RRESTRUCTURING FOR GROWTH

In the last edition of Code Red I spoke about implementing strategy as well as changes in the way we do things as a company in the year ahead.

As some of you might already be aware, over the last few weeks there has been some restructuring within the different departments. So why the change, and to what degree?

The restructure focuses on moving similar activities so as to report within the appropriate departments, with the associated changes being made purely in respect of reporting lines. There have been no retrenchments.

Our aim is simply to achieve efficiency and productivity gains as well as better service delivery for both our external and internal customers. I firmly believe that this restructure will provide the platform for the next 5 years of growth for our group of companies.

Some of the departmental changes are:

Streamlining of the Sales Department reporting channels across all core and managed products to ensure structured sales processes both within RSA and the Regional African Countries.

Dedicated Value Added products reporting lines within the Sales Department to drive maximum customer advantage in providing 360 degree fleet benefits to all customers.

Consolidation of reporting lines for all Regional African countries.

Creation of direct reporting relationships for the Phakisaworld managers to the relevant group functional heads, but with dotted reporting lines to Shawn Govender. For example, Phakisaworld finance will now form part of the mainstream AFS Finance team.

The transfer of the Costing unit to the Finance department.

Centralisation of responsibility for all AFS group transformation objectives under Shawn Govender.

Dreamworks/IFM and Fleet Accident Management have been moved to report within Operations.

The creation of the Fleet Management Consultancy within the Strategy and Development department.

I believe that all these organisational changes are for the benefit of our company as well as each and every one of our staff members. Let us embrace these new changes and give our colleagues our support as they adjust to their new reporting lines. Your support will go a long way in translating these changes into successes.

Because we believe that the wellbeing of our employees is paramount, we are committed to sustaining overall employee wellness. One of our key initiatives with regards to employee wellness is the Voluntary Counselling and Testing (VCT) programme which we conduct every three years. This programme allows employees to gain valuable knowledge about the HIV/AIDS epidemic and to be tested so that they know their HIV status, and should need be, participate in relevant treatment programmes. In February 2014 we teamed up with EOH – our wellness service provider, to host HIV Voluntary Counselling & Testing. The programme comprised of a 20 minute training session which was compulsory for all employees to attend, followed by a testing session which we strongly urged employees to participate in. There was also a pre-test and post-test counselling session for each employee as part of the testing.

There was a training and testing session that took place over 3 days (the 24th, 25th and 27th of February 2014). The training, which was compulsory, took place from 08:00 to 08:30 each day in the Auditorium. Staff only needed to attend one of the training sessions, after which they could go to one of the 5 testing rooms for a 20 minutes testing and counselling session.

The Integrated Employee Value Model (IEVM) was launched in August 2013 by our Chief Executive Clive Else. In essence the IEVM is our people management philosophy. A key component of the IEVM is the Employee Value Proposition (EVP) which simply means “this is the company’s promise to our current and future employees”. The EVP comprises 6 key elements, namely, INSPIRE, GROW, THRIVE, LIVE, RELATE & REWARD.

INSPIRE: We create clear vision and strategy through leadership insight, style and behaviour to ensure clear direction and understanding of roles.

GROW: We manage, measure and review personal growth against defined targets and goals.

THRIVE: We create an inspiring and professional climate by developing aligned, high calibre leaders and employees and ensuring fair practices.

In November 2013 we introduced you to the LIVE element of the Integrated Employee Value Model (IEVM). We focused on the importance of Work-Life Balance and encouraged you to utilise the services of ICAS should the need arise. We also focused on Health and Safety and urged you to be aware of the Group Personal Accident (GPA) benefit that is available to all employees in South Africa.

We would like to further assist our employees to ensure that their financial well-being is looked after. Effective February

2014, we will be having a consultant from Alexander Forbes who will visit Isando and the Avis Trade and Auction Centre

twice a month for two hours. The consultant will be able to assist in the following matters:

• Pre-retirement planning (anyone from 40 upwards) • Advising new employees regarding their retirement benefits • General financial planning• Assisting employees with their retirement options

Employees at the regions can uti lise the serv ices of the consultant telephonica lly or via emai l. We will introduce the next element of the Employee Value Proposition (EVP), namely RELATE to you during the month of February and March.

Lesotho Lifesaving Awards Ceremony

Lesotho Royal Life Saving Association (RLLA) enrolled 15

high school students in lifesaving training from 2012, as a

result of the rising number of incidents of children

drowning while swimming in rivers and unprotected

ponds and dams. On Friday, 31st January the students

were awarded lifesaving certificates and medals by his

Majesty King Letsie III.

The association operates in the districts of Leribe, Berea,

Maseru, Quthing and Mohale’s Hoek and the graduating

students were from Abia High School, Moshoeshoe II

High School, Honorate Labreque, St. Agnes High School,

Masitise and Moyeni High School. Avis Fleet Services

were present at the event as one of the major sponsors.

The 29th of January saw 20 of our top customers and their partners singing and dancing along to this famous old song, “Summer of ‘69” at the Feathermarket Centre in Port Elizabeth. The evening started with drinks and snacks before the concert at the Gilbeys Room which was situated directly next to Bryan Adams changing room! Our customers had their own private entrance into the theatre, which definitely made them feel special. They rocked the night away to all of Bryan Adams songs and a fantastic evening was had by all. The show was excellent and there was a fantastic vibe which our customers really apprectiated.

Midas supply AFS Soccer Team with new kit.

AFS Lesotho have decided that this is the year to take the

healthier route and engage in sporting activities. On

Saturday, the 8th February, the AFS Football Club played

against the Ministry of Trade and Industry at Co-Op

College Football Ground. Kick-off was at 10H30. Midas

Auto Spares store, a supplier to AFS workshops,

presented a new sports kit to the ‘indomitable reds’ of

Avis Fleet Services. By the time the referee blew the final

whistle, the score was 6-2, in favour of Avis Fleet Services.

AllSound Security launches its new 2014 fleet.

The Allsound Management team thanked Avis Fleet Services for once again ensuring that they have new vehicles at a competitive price and Knysna Nissan for their supply of the reliable Nissan NP200 pickup.

Allsound Security work on a 24 month contract and this will be the 3rd time that they have replaced their fleet with Avis Fleet Services.

For 20 years Allsound Security has been ““Keeping Knysna Safe” focusing on Knysna and keeping it local by supporting local businesses. Vuswa Fleet Services sponsor renovations to Welkom Primary School, Kgalagadi Media Centre

In March of 2013 SANParks held their annual cricket tournament, in aid of raising funds for the schools in the parks and surrounding areas. For six years the cricket tournament has always taken place in the Kruger National Park. On request by Mr. Jan Kriel, the Head: Field Guiding of the Kgalagadi Transfrontier National Park, the annual cricket event, in its 7th year came to Kgalagadi.

Mr. Kriel, in helping the community, approached the Welkom Primary School principal, Mr. Jan Julies to ascertain what was needed most at the school. Mr. Julies confirmed that they needed a media centre for the children. Mr. Kriel at the time, felt that this was a very ambitious project and had reservations of it becoming a reality, knowing a project of this magnitude could be nothing less than R250 000-00. Mr. Kriel, however still approached Vuswa Fleet Services (Pty) Limited asking for a mere donation of R4000-00 to start the fundraising for this project.

At the time Jenika Robindranath who had been the Fleet Manager: SANParks Other and Francois Viljoen, the Director, went a step further, motivating to the Board of Directors that they sponsor the complete building of this media centre, as a social responsibility project for 2013.

Both Mr. Kriel of SANParks and Mr. Julies, the Headmaster of the Welkom Primary School, were skeptical that a venture this big would be sponsored in its’ entirely by one company. They however, were pleasantly surprised and ecstatic, when the response from Vuswa Fleet Services (Pty) Limited was a positive one. Mr. Kriel said this was the biggest donation any company has sponsored since the inception of the annual SANParks cricket tournament seven years ago.

The Welkom Primary School educates children of different backgrounds and cultures from as young as Grade 0 to Grade 7 from communities in the Upington and Kgalagadi outlying regions. This community is very poor and gets very little outside financial assistance. As can be seen from the pictures above, the school is in need of a good makeover. The school is bursting at its seams, having to facilitate 3 grade classes in each classroom. Teaching is made very difficult and a media centre would definitely help. This media centre is not just for the benefit of the pupils but all the community in the area, both children and adults. With the school being 250 km’s away from the nearest town, transport, building supplies and securing a contractor to work so far out was a logistical nightmare. It took nearly seven months to obtain a B-BEEE compliant contractor who was prepared to do the job. The Welkom Primary School is situated 8 km from the SANParks Kgalagadi Transfrontier National Park gate and 250 km away from Upington. The builders had to work in temperatures, sometimes as high as 400C in very dry and dusty conditions. Vuswa Fleet Services (Pty) Limited enlisted the contractors Lettam Building and Civils cc to build the media centre. On completion of this worthy project the cost was R310 228-06. Lettam Building and Civils cc then undertook to upgrade the principal’s office at their expense. The entire project was completed by the end of September 2013. Signage for the school was arranged and installed in early December 2013.

Other points:

SANParks Kgalagadi’s Forum donated 2 sets of Encyclopaedia’s, both in English and Afrikaans, as well as story books for the little ones. This will give the media centre a head start in aiding in the much needed upgrading of education and research material for the children. Vuswa Fleet Services (Pty) Limited at the request of Mr. Julies will be donating second hand computers to the school to assist the bigger children and teachers in learning computer skills in bringing them into the 21st century. The sourcing of these computers is diarised for the end of March 2014. The official handover ceremony function took place on the 20th January 2014, together with eats and refreshments for everyone.

On the 1st February, 2014 Avis Fleet Services treated 30 of our top Gauteng customers and partners to an evening with “The Boss”. A pre-concert cocktail party was held at Tony’s Spaghetti where the customers each received the very latest Bruce Springsteen CD to enjoy after the concert. They were then transported to FNB Stadium on a bus where they all enjoyed an awesome concert, even if it was over a rain drenched Saturday evening

On Saturday, 23 November 2013, Avis Fleet Services and GM Westvaal Nelspruit co-sponsored the Nottinghill Equestrian Estate Show Jumping Event which was held in White River, Mpumalanga. Eighty to one-hundred horses go through the arena on a typical show jumping day such as this, which consists of a total of twenty jumping classes, six showing classes and six bar power jumps.

A branded AFS stand under a gazebo was manned during this extremely hot and humid day for enquiries or information about all our products. The sponsors were announced repeatedly throughout the days events, as well as a lucky draw prize for a chauffeur driven dinner for two, won by a delighted Peppa Moolman. Kraai, the owner of the estate and her team could not thank us enough for all our support and for making the arena look so professional. The day was thoroughly enjoyed by all and our brand received fantastic coverage in the region.

In 2010 Avis Fleet Services embarked on a journey to create a paperless environment (MVA Folder Project) around the Management of Vehicles within AFS, we never envisioned that our solution would become the benchmark for Document/ Enterprise Management Solutions. Our initial implementation in the Maintenance department involved the removal of three levels of duplication, which was recognised by the Laserfiche community in 2010, winning their “Run Smarter” Award in the Commercial Category. Once again Avis Fleet Services’ have been recognised for the “MVA Folder” implementation with special reference to being able to action documents within Laserfiche from the AS400. This innovation was also recognised internally with the award of the Barloworld Automotive CEO Award and finalist in the Barloworld Group CEO Awards. In January this year Mike Re, Bharthi Ramsewak and Praveshree Mahabeer attended the Laserfiche Conference in Anaheim, Los Angeles to accept the “Run Smarter” award in the Commercial Category for 2013. Approximately 2500 Laserfiche Customers and Business Partners from all over the world attended the event, where they meet and share their accomplishments, challenges and innovative ideas. It was humbling to see many of our ideas & feature requests being developed in the new Laserfiche Product releases. The conference has given IT the insight into new functionality and product features which are due to emerge within the next year. Mike Re was invited to be one of the key note speakers. The key note address is the highlight of the Conference. Customers speak about the benefits their organization has received after implementing Laserfiche. Avis Fleet Services is one of the largest workflow users internationally and has the highest level of integration encompassing a multitude of custom facilities to aid the business in achieving their goals. The Keynote address was well received by all present generating a lot of interest in the Avis Fleet Service Laserfiche Implementation. Healthy Corner HOW TO EAT HEALTHIER Nutrition is the basis of good health. It can affect our weight, help manage our risk of disease, risk of long-term medical conditions, and contribute to our overall state of vitality and wellbeing. Poor health is largely attributable to lifestyle factors such as poor diet so having a healthy diet is crucial

What is a healthy diet? A healthy diet is one that is balanced and supplies our bodies with the vitamins, minerals, protein, fat, and energy that it needs to function optimally. Eating from the five main food groups ensures a balanced diet.

• Protein. Protein helps to repair and rebuild your body. Protein can come from white meat (skin removed) such as fish, chicken, turkey; red meat (this is high in saturated fat so it’s recommended to only eat this twice a week); and pulses such as lentils and chickpeas. Eat two servings of protein a day.

• Carbohydrates. Carbohydrates give the body energy. Choose options that are unprocessed and contain fibre as

this slows down the gradual release of energy into the body. Wholewheat breads, pasta, and high-fibre cereals are the healthiest options. Carbohydrates should form about 33% of your meals.

• Fats. Our bodies require small amounts of unsaturated fats for optimum functionality. Saturated fat is the ‘bad

fat’ that leads to thickening of the blood vessel walls, which can result in heart disease and stroke, whereas unsaturated fat comes from healthier alternatives such as nuts, olives, fish, and avocado. Less than 10% of your diet should come from fat. Opt for low fat or fat free options.

• Fruit and vegetables. These contain vitamins, minerals, and antioxidants that boost your health and wellbeing.

These should consist of 33% of your daily diet.

• Dairy. Dairy products are an important source of calcium, magnesium, vitamin B, and protein. Dairy can be high in fat, so three servings of low fat or fat free dairy options is recommended per day.

How to eat more healthily

• Eat more fruit and veg. Aim to eat three servings of fruit and five servings of vegetables every day. • Drink water. Water accounts for 50-75% of our body. Aim to drink 2L of water each day. • Cut down on junk food. Fast food, sweets, and fried foods are full of salt, saturated fat, and calories. • Eat breakfast every day. Breakfast is the most important meal of the day. It boosts metabolism and provides an

early boost of energy to keep you at your best throughout the day. With small changes to your diet you can greatly improve your overall health and wellbeing.

DIRECTIONS Peel, de-vein and butterfly the prawns, leaving tails intact. You can also buy peeled prawns if time is limited, but they need to be uncooked. Heat one tablespoon of oil in a wok over a high heat. Add half the prawns and stir-fry for 30 seconds. Remove from wok with a slotted spoon and set aside. Repeat with the remaining prawns. Add the other tablespoon of oil to the wok and add the asparagus and ginger. Stir-fry for 1 minute. R.I.P Cecilia Mudau

It is with great sadness that we say had to say “goodbye” to a dear colleague and friend Cecilia Mudau, who suffered complications through premature childbirth and subsequently passed away on the 4th February 2014.

We would like to encourage each and every one of you to please pray her partner and family who are surely going through much heartache at the moment.
