1.1 Introduction
This document describes the design of the Case Book feature for the Florida Safe Families
Network (FSFN) Common Management module. This new page will support the need for
system users to have quick access to case specific information necessary to support analysis
regarding the safety and well-being of children, vulnerable adults, and families of the state
of Florida.
The functional design of the Case Book page represents changes to FSFN resulting from the
transformation of the Child Protection process to support changes to improvements to
DCF’s current safety and family assessment tools and practices. Enhancements to this
module support the following goals of the FSFN Child Protection Transformation and
SACWIS Compliance project:
Improve quality and consistency of decision making
Eliminate redundant processes and re-work
Gain efficiencies through enhanced technology
The Case Book page will allow users’ quick access to case information to support swift
analysis of case content. With the amount of information available in FSFN, users have
found it difficult to locate specific case information when needed causing many to rely on
ancillary systems to support their work.
New users find the current functionality cumbersome with case information scattered about
the application, making it difficult to retrieve when needed. Users are also challenged with
navigating through a number of expandos in order to access case information in the case as
the system is currently designed.
This design represents a major function of FSFN that supports the business process for
various users across the system, providing increased usability and efficiencies in accessing
and creating work. These changes are the result of the Child Protection Transformation
effort, as well as compliance with SACWIS requirements. System changes noted for this
design impact all system users.

1.2.1.1 Page Overview
Page Navigation
The Case Book page allows for the items/reference values once located in the Options drop
down to be easily accessed from one location. The user can also create pieces of work (case
and participant specific) from the Case Book page via the hyperlinks located in the Actions
list box. Information contained within the various group boxes on the Case Book page will
pre-fill and display information based on existing timeframes in FSFN today, mimicking
the logic employed when the desktop is in Date Restricted view. The amount of information
displayed at one time is limited by a CVM default view to timeframes such as three months,
six months, or two years from the date of creation/update.
Case Book is accessed from the desktop by clicking the Case Book hyperlink next to the
Case Name hyperlink within the Cases expando when in Case View. Case Book can also be
launched from the Utility Search page (accessed via the Search command button on the
Desktop or Search option from the Utilities menu). Refer to the Desktop/Navigation/Search
Functional Specification for details regarding how to access Case Book from each of the

tabs on the Search page. It is important to note that Case Book can be accessed by selecting
the Case Book hyperlink via each of the Case, Person, Provider/Organization, and Worker
tabs.
Access to the Case Book page is specifically excluded on data retrieval search pages. The
new Case Book link will only show on search results provided on the Search Utility page
tabs defined above. Data Retrieval Search pages are those which are accessed from pieces
of work within FSFN (e.g., Intake Inquiry Search page, Case Search pop-up page from
various pieces of work created or maintained through Financial Work, and so on.), as well
as any search page other than the Utility Search page.
When the Case Book page is accessed from the Desktop, the pieces of work accessed from
Case Book are launched in Edit mode if the user has the applicable security to access and/or
create the various pieces of work. If accessed from Search, the pieces of work launch in
View mode and the Case and Participant Action hyperlinks will not be available within the
list box.
The Print command button in the FSFN application will allow for a screen print and will
include the information captured below the scroll bar. Additionally, Case Book employs the
existing logic that all pages within FSFN have to support audit functionality.

Case Book page Landing page for overall Case Information.
Case Book is accessed from the desktop by clicking the Case
Book hyperlink next to the Case Name hyperlink within the
Cases expando when in Case View.
Case Book can also be launched from the Search page (accessed
via the Search command button on the Desktop).
Refer to the Search Functional Spec for details regarding how to
access Case Book from each of the tabs on the Search page.
When the Case Book page is accessed from the Desktop, the
pieces of work accessed from Case Book are launched in Edit
mode.
If accessed from Search, the pieces of work launches in View
mode and the Case and Participant Action hyperlinks will not be
available.

Case Name; (Case ID); a text indicator if the case is Restricted;

[No Status, Pending or Historical] ---"Display Nothing"

(Case Split from Case ID: XXXXX) next to the Case Name
hyperlink if the case is the result of an authorized worker
performing a Case Split.
(Case Merged with Case ID: XXXXX) within the Case Name
hyperlink if the case has been merged with another; (Pre-
Adoption Case ID: XXXXX) next to the Case Name hyperlink if
the case is an Adoption Case created when a worker de-activates
a child from an existing case for the reason of “Adoption
Finalized.”
(Post-Adoptive Case ID: XXXXX) next to the Case Name
hyperlink if the case is one that has had a child de-activated for
the reason of “Adoption Finalized,” (e.g., the Pre-Adoptive
Case), which results in the creation of a new Post-Adoption
Case.

additional details about the FSFN Case. Displays the following
information: Case Type, Case Open/Reopen Date, Primary
Assigned Worker’s Name, County, and Case Address.

images will display newest to oldest by Date Document
Scanned.
Participant Name Displays as the participant's name: Last Name, First Name, and
Middle Initial with associated Person ID. Selecting this
hyperlink launches the participant’s associated Medical/Mental
Health page.
MMH Details Plain text displayed beneath the Participant Name hyperlink
provides additional details about the FSFN Case Participant.
Captures the following information:
Psychotropic Meds: with Yes or No indication based on whether
there is at least 1 Medication captured with the Psychotropic flag
set to "Yes";
Date of Last Medical Exam, which pre-fills from the Medical
History tab where Condition Type = Medical and Type of
Service = Physical Exam with the most recent date using the
following logic:
If multiple records exist with this criteria and Last Dates
and First Dates both exist, looks at the record with the
most recent "First Date", and then displays the "Last
Date" if documented, otherwise displays the First Date.
If only First Dates exist, displays the date of the record
with the most recent First Date; Date of Last Dental
Exam, which pre-fills from the Medical History tab
where Condition Type = Dental and Type of Service =
Dental Exam and employs the same logic as for Medical
Exam to display the applicable date; Date Last Updated

When Adoption is selected, the center group box displays the Adoption Information,

hyperlinks in the center group box and appear exactly as the same Adoption icon located on
the Desktop. Within each grouping, the Adoption Information pages will display by person,

Subsidy Agreement Information pages will display by person, in alphabetical order based on
last name, then first and middle name. The Adoption Subsidy Agreement Information pages
