Call to Order: TheBoard of Trusteesmeeting convened at7:00 pm in theCLPOA conferenceroom. A roll call wastaken as follows:Shannon Hastings:

Property Owner’sTime: Gene andDenise McCutcheon(lot 55) were presentto discuss a citationletter they received fornot obtaining a build-ing permit. Denise ex-plained that there wasan existing deck andthey were only tryingto perform repairs.There was an alu-minum roof over thedeck which leaked andhad to be completelyreplaced. The newroof is a wood struc-
ture with shingles.The Board told themthat the decking doesnot require a permithowever one is re-quired for a roof.They stated that thebuilding inspector didnot tell them that apermit is required forthe roof. They wouldlike to dismiss this as amisunderstanding andonly pay for the roofpermit. When askedabout the stop workorder, they admitted toignoring it and com-pleting the construc-tion. To be discussedin new business.

Public Relations –Shannon reported thathe and Dar Jones metwith Chuck Averyabout pursuing a ListServe communicationprogram. The com-mittee would like to
recommend the pro-gram and get itkicked-off. Theywould like to have itincluded in nextyear’s budget. Theprogram would benon-solicitation; it isintended for notifica-tions and useful com-munity information.Gene reported that hehas been working witha call service for hischurch and they maybe able to offer a bet-ter deal for the lake, aflat rate rather than aper call charge. Genewill give the informa-tion to Mike.• Recreation –
nothing to report.• House and Office
– Ruth reported thatpay stubs and W-2’swill be available toemployees on the se-cure website and theywould no longer re-ceive paper copies.This will be a savingsfor the office.• Land/Facility Use
– nothing to report.• Long-range Plan-
ning – Dan reportedthat the committee iscontinuing to exploreoptions and costs for acommunity recreationcenter. Scheduledmeetings will beposted on the signboards so that resi-dents can attend andprovide input.• Security – nothing
to report.• Personnel – noth-
ing to report.• Choctaw Utilities
– John Foote reportedon the Utilities Boardmeeting last night. Anew family is rentingthe house next to thewater tower. A por-tion of the rentalfunds will be set asideand used for improve-ments to the house.John reminded theUtilities Board of theEPA communicationspolicy.• Sewer – Bill
stated that the nextmeeting is February 7.He reminded theBoard to consider areplacement for RobDillman’s expiringterm on the SewerBoard. This seat willneed to be filled by aChoctaw resident.
Old Business:Shannon will prepare areport of what thecommittee has dis-cussed concerning theinitial scope of the ListServe communicationprogram. Since ChuckAvery and Dar Joneswere unable to attendthis meeting, TheBoard tabled discus-sion.
New Business: TheBoard discussed theMcCutcheon deckissue and the finesthey have beencharged. The fines area result of not having apermit and not obey-
ing the stop workorder placed on theproject by the buildinginspector. Mike wasdirected to explain theBoard’s position tothem.Mike distributed a
detailed delinquencyreport by lot showingassessments that havebeen billed and notpaid. The report didnot include fines orpenalties. The totaldelinquency is$48,637. Mike askedthe Board to take thisinto account when de-veloping the budget.Mike reviewed the
proposed 2012 budget.Income accounts werelooked at and com-pared to 2011 budgetand actual. Expenseaccounts were lookedat and compared to2011 budget and 2008-2011 actual. Capitalprojects and set asideaccounts were also re-viewed. The Boardagreed that the budgetlooked good but ex-pressed concern aboutpossible increases infuel costs. Mikeagreed to providetrending data on col-lections.Bill Laney made a
motion to adjourn.Dan Blazer seconded.Motion passed. Themeeting adjourned at9:20 pm.

The Somerford TownshipTrustees met in regular session onWednesday, January 11, 2012 at theSomerford Township Hall, with allmembers present.
The meeting was brought to orderat 7 p.m. by Chairman Bill Laney.
Vendors’ checks were approvedand signed. Jim Moran made the mo-tion to approve the December min-utes and Ernie Sparks seconded. Themotion passed.
Attending the meeting were SallyHoey and Ron Stewart. Ms. Hoey isselling two partials of her property toMr. Stewart and is requesting a con-ditional use change from zoning. Shewould like to keep the driveway thatleads to the property and grant Mr.Stewart an easement for entrance tohis property. Ms Hoey stated that she
had spoken with the county and theysaw no problem. Wally Ward asked ifhe could have that in writing from thecounty.
Jim Moran stated that property israted R-1 and could not have a condi-tional use change but he would speakwith the county prosecutor and getback to her.
The meeting turned to PhyllisScott for a motion to elect officers for2012. Motions were passed to nameErnie Sparks as Chairman and JimMoran as vice chairman. ErnieSparks made a motion to pass a reso-lution to appoint Phyllis Scott as fis-cal officer. All were in favor and themotion passed.
Bill Laney made a motion to ac-cept the budget for 2012. Moran sec-onded and the motion was carried.
It was a greed that the trusteeswould continue with their work onthe squad, the regional planning com-mittee and the sewer board.
Ernie Sparks made a motion topass a resolution to budget $115,000for insurance expenses for 2012. Themotion passed.
Moran made a motion to increasethe sale of cemetery graves for peopleliving outside of Somerford Twp.from $1500 to $1800; to raise open-ing and closing from $400 to $500;and to increase cremation openingand closing from $150 to $250. ErnieSparks seconded and the motion car-ried.
Phyllis Scott said they’d receiveda letter from the Madison County En-gineer’s Office stating the county’scommissioners had passed a resolu-
tion for the establishment and imple-mentation of sign assessment andmanagement and maintenance. Theengineer’s office was asking trusteesto pass a similar resolution. Moranmade the motion to pass the resolu-tion and it carried.
Moran stated that he had receiveda call from the county concerning adrainage ditch on Karen Drive. Theproblem was that while installing acatch basin, they county discoveredsome pipes were old and needed to bereplaced. Moran gave his approval.
Bill Laney stated that the state isphasing out estate tax and the town-ship would not receive any fundsafter 2013.
There was no other business andthe meeting adjourned at 8:15 p.m.
