Parental contact

• All staff:• The student diary is the primary medium for contact

between teachers and parents. All teachers may write comments, which will be read by tutors and parents on a weekly basis and should be followed up as necessary.

• Contact home is usually made through the relevant tutor or co-ordinator.

• Teachers do not contact parents by telephone.• Subject teachers may decide to contact parents over

subject specific issues causing particular concern. This should only be done after consultation with the tutor and relevant Head of Dept.

Regarding students not making adequate progress or failing subjects:

• Teachers identify students after each assessment window (mid and end of term) and subsequently organise parental interviews, highlighting areas for improvement. This information must be co-ordinated with the relevant tutor, who may hold the parental interview.

Page 11: Changes to procedures

• Details of any discussions should be recorded on the ‘Parent Meeting Report’ form and copied to the tutor (for the file) and the academic secretary (Rosa) – the details of the appointment remain on the website until the report has been received by Rosa.

• Tutors should use the ‘information request’ form and distribute this to teachers when gathering information about a student – a 3 day turn around is the norm for such requests.

Punishments

• Pastoral coordinators may decide that the detention should take place after school – written permission from parent/guardian is always required for this.

• Pointless exercises related to copying or writing lines are often counterproductive. Students should be offered an opportunity to reflect on the misbehaviour in order to learn from their mistakes.

Guidelines for writing report grades in student diaries:

• calculate the grade according to guidelines in the staff handbook

• keep a personal record of the grade achieved (mark book/spreadsheet etc.)

• record the achievement grade in the diary using the school grading system and no other symbols

• teachers are not required to sign next to the grade this year• the grade should be written neatly in black pen next to the

relevant subject• ensure that the correct grade is given and avoid writing in other

rows  • keep a record of diaries that have not been written in and follow

up accordingly • record the grades on pastoral (paper copy in secondary folder)

and departmental (spreadsheets) tracking sheets as instructed by the due date

• tutors ensure that diaries have been signed by parents

Serious Incidents

• If a teacher encounters a situation which is felt to be potentially serious, advice should be sought from the relevant key stage coordinator and Head of Secondary

• If the incident is deemed to be serious, the Head of Secondary will open a formal investigation.

Trips

• All letters/information for parents are distributed from the school office and are signed by the teacher responsible for the trip.

• The permission slips are collected in by the teacher in charge of the trip (support from tutors and Myriam may be requested, especially when large numbers of students are involved).

• No student is allowed to participate in a trip without the relevant signed permission from his or her parent/guardian.

Page 16: Changes to procedures

• Payments greater than 10 Euros should always be handed in to the school office, where a receipt is issued. Teachers responsible for a trip collect smaller sums in an envelope (with class list attached to keep record), which must be handed in to Admin on the morning of collection.

• The chasing up of payments by teachers should be carried out sensitively and support from Myriam (contacting parents) is available if necessary.

Page 17: Changes to procedures

• The permission slips, the school mobile phone and the first aid box are taken on the trip by the teacher in charge.

• The permission slips are returned to the school office as they have to be stored for up to 3 years after the trip.
