The changes to ETP were made due to three ITG requests that were approved by the District and Municipal Court representatives. ITG requests are the Information Technology Governance requests that are sent to AOC by courts to ask for changes in one of the applications. The requests are reviewed and approved by the court representatives before being sent to AOC staff to begin to work on.

In this case we had three different ITG requests that were submitted and were grouped into one project so all of the changes were implemented at one time.:ITG 156 Asked to make changes to the person comparison screens in ETP to help enforce the Person Business Rules and prevent data from inadvertently being over-written in conflict with the Person Business Rules.ITG 176 Asked to show the cases with Court Dates on the ETP Selection Screens so those cases can be found and processed quickly.ITG 191 Asked to show the DOL License Issue date and Address Updated information to both comparison screens so it is easier to see which address is the most current and should be entered or remain as the address in JIS, per the Person Business Rules.

Additionally, while doing the updates to ETP a system bugs was found and was also fixed. The one being that the Interpreter Language Code was not being imported from the eTicket any longer; that has now been corrected.2/28/2014 9:05 AM2ETP Find eTickets ScreenCourt Date Category

To implement ITG 176 a couple of changes were made to the eTicket selection screens.

The first change was to make it easier to select all cases with a Court Date set by an officer on an eTicket. To do this a new row was added to the Find eTickets by Category section of the Find eTickets screen.

NOTE: Cases in this section will be listed twice if they have a court date scheduled; once in the above categories and once in the Court Date category row. Courts can still use the other categories to process cases with court dates.

2) The other change was to show the Court Dates on the Selected eTickets page.

- If the Court Dates Category is chosen you will see all cases that have court dates scheduled on this screen. They will be listed and processed in calendar order for the court dates issued on the tickets.

- If another category is chosen, as with this example, the cases with court dates will be processed first, oldest court date to newest court date, then all other cases will be processed, sorted by oldest eTicket to newest eTicket.

Another change on this screen is the addition of the charge column. The charges for each case will display on this screen next to each of the selected eTickets.

The biggest changes that were made, though were to the two eTicket Person Comparison (Conflict Resolution) screens. Well start with the eTicket/DOL Data screen.

To see this comparison screen you MUST use the option to go to DOL (a step that should be done on every ticket being processed). On the DOL screen, use the option to bring back the DOL data. If all items between the DOL record and the eTicket match EXACTLY, the comparison screen does not appear and you return to the Search Name Duplicate (SND) screen. However, if even ONE item is different between the two records the comparison screen appears.

The most noticable change made to this screen is that there is no longer a button at the top of the columns. This is to require the processor to look at each item individually for the best option to move forward with, which may not all be in the same column.

Also, not all items will be pre-selected in the comparison rows.

Below the new messages you will see the rules of the screen. They tell you when and why items in the table above will be pre-selected and when they will not be. In this example, the address on the eTicket was marked as New by the officer so that address is pre-selected. If it was not marked as New the processor would need to chose the address to proceed with.

The grey bar has also been moved and has some additional data added to it; in this example you see the eTicket Issue Date, so you can tell how recent the address is if the officer marked it as new. Below the grey bar are a couple of additional notes now, too; The DOL Residential Address Update date and the License Issue Date. These are two dates you would normally need to remember from the DOL screen to decide which address is the newest and should be used. No longer do you need to burn those dates into your memory as you process the ticket!

If you try to press the Continue/ button to just proceed with the items that are pre-selected, you will likely get an Error message.

This error message states that you must select one of each item listed above. Remember, per the new rules, not all items will come pre-selected so you must choose the best option to move forward.

Anytime there is a difference in the name, including familials (Jr, Sr,, etc), there will not be a pre-selected option in that row. This is also true for Race and DOL information.

If the first 5 characters of the last name, the first or middle initial on the names do not match, if the DOL license and state do not match, and if the Sex Code does not match between the two records, you will NOT be able to continue with the DOL name that displays.

A new message appears at the top of the screen in this instance.

In this case the sex codes do not match between the two records.

You will not be able to select ANY options when this occurs. Click the Continue/ button to return to the Search Name Duplicate (SND) screen to look for a matching person record, without the DOL record.

ETP eTicket / JIS Comparison ScreenMany changes

There were similar changes made to the screen that compares the eTicket and DOL combined data to the existing JIS record if one was selected from the Search Name Duplicate (SND) screen.

The most notable change made to this screen is that there is no longer a button at the top of the columns here, either. This change was made for the same reason on the DOL Comparison screen; to require the processor to look at each item individually for the best option to move forward with, which may not all be in the same column.

Also, not all items will be pre-selected in the comparison rows on this screen either.

Again, thats to help the person processing the ticket decide which address is the newest and should be used.

In this situation you will be required to add a new record for the name. You can attach it as an AKA later in JIS if it is later determined that the existing record and the new person are one-in-the-same.
