It took over 10 years in the making and 50+ of the world’s leading pharmaceutical organizations as customers to generate this newsletter — what took us so long? Well, better late than never! I am genuinely pleased to introduce what we believe will be a very inform- ative, interesting, and fun source of information. The purpose of the FirstDoc Connection Quarterly is quite simply to keep our customers better informed through a useful communica- tion channel. I encourage you to write me with your opinions about whether or not we’re hitting the mark. I look forward to filling up the “Letter from the Publisher’s Corner” section with insightful statements concerning the market and industry trends that affect your business and about ways you help shape our FirstDoc product strategy. In this initial edition, I feel it is most appropriate to thank you— our FirstDoc customers. Are you longing for a SharePoint userinterface but not quite ready to moveoff your Documentum system? Do youhave a need to serve up personalizedcontent to internal and external usersin a way that WebTop simply can’tdo? Then FirstDoc SPX (SharePointXperience) is what you’ve been looking for.

What is SPX?Simply put, FirstDoc SPX providesthe ability to view, edit, and managecontent stored in FirstDoc through aSharePoint user interface. Using indi-vidual Web Parts which are the build-ing blocks of a SharePoint page,FirstDoc features and functions canbe embedded in a SharePoint portalfor a more flexible deployment.

SPX is based on Wingspan’s DocWayWeb Parts, which provide the basicDocumentum to SharePoint connec-tion. We chose DocWay because it isthe most flexible product on the mar-ket and enables SharePoint to deliverthe FirstDoc business rules our usershave come to know and expect.Functions such as Create/Import,

Checkout/CheckIn, and Initiate/FinishWorkflow are all available within theWeb. Users will require little to notraining, because all functions areavailable through a right click contextsensitive menu.

Easier Control over ContentIncreases ProductivityPerhaps the most compelling featureof SPX is the ability to personalize, orfilter the content that is made avail-able within the Web part. Content canbe filtered by queries, starting folders,or even a specific document. Withthese filters on, users will only be ableto see and interact with the files thatare presented to them in a particularWeb part. For instance, have you everhad the need to give someone accessto a folder structure, but prohibit theirability to navigate folders above it inthe hierarchy? Now you can, becauseSPX can confine access to a particularfolder structure without allowing usersto navigate above their starting point.This is especially beneficial whenworking with external partners onClinical Studies. You may want yourpartners to see the TMF folder struc-

ture for that study, but not see anyother studies in your docbase.

Lastly, each SPX Web Part can beconfigured to point to more than onedocbase. This is extremely helpful forusers who need to access files in mul-tiple repositories. For example, theirInbox can contain all of their tasksfrom all of their docbases, and savethem the trouble of having to go toeach separate Inbox. And searching isa plus too, if a user has permissions inmore than one docbase, they can runcross docbases searches from withinthe search Web part.

Not just for FirstDoc OnlyEmploying standard DocWay func-tionality, SPX will also work with yournon FirstDoc Documentum docbases.This can be a great strategy to bridg-ing the gap between your disparaterepositories and providing a trueenterprise content managementexperience for all of your end users.

Based on your feedback for functionalenhancements, we have a great oppor-tunity to introduce new and excitingfeatures in FirstDoc 6.0. CSC’s devel-opers have been busy on the releasethat will continue to expand upon SPX,

Big News on theCollaboration FrontEver since we started working withusers on document management sys-tems one area more than all the oth-ers has generated discussion duringworkshops — what tools are availablefor collaborative authoring andreview? As you know, the most widelydeployed solution is the use of PDFbased annotation tools. Many of ourusers find these difficult to manageand work with, particularly whenmany comments are attached or co-authoring is required. “Give us trackchanges they proclaim” — well in 5.0we went some of the way with the“Track Changes Edit workflow”, but of

course, that needed people to workon the document one after another,not true collaborative working.

Well now we are excited to announcethat with FirstDoc 6.0 the capabilityfor concurrent track change-basedauthoring will be available. TheCollaborative Review Xperience orCRX add-on will allow multipleauthors to make tracked changes toa document and share these changesusing a SharePoint collaboration work-space. This functionality, originallydeployed in FirstPoint, will be inte-grated into the DocumentumWorkflow enabling the automatedsetup of the workspace and notifica-tion of members and the management

of concurrent changes to the docu-ment. Upon completion the updateddocument will be brought back intothe Docbase when the workflow taskis concluded. See the diagram belowfor details of the process flow.

This major development is a massivestep forward for the authoring com-munity. Suddenly collaborative author-ing in a controlled environmentbecomes a reality. Users will be ableto work on their documents withouthaving to take them out of the systemand into the uncontrolled world of thefile-share and email.

ty to discuss the dominant issue in myfirst contribution to the Tech Corner.

As of FirstDoc 4.3, field level valida-tion for property screens is config-urable and can be accomplished viathe Property Validation Configurationobjects. These can support validationssuch as enforcing a pattern for textentry, e.g., a social security number###-##-####. They also supportenforcing the dates fall before, afteror between specified dates.

In addition, as of FirstDoc 4.3, youcan automatically assign a property’svalue based on other property values.For example, you can automaticallyset the name and title of CRF Pagesto the CRF Page ID and the CRF PageName. This is useful when scanning in case report forms.

• Notifications are delivered using thelanguage of the recipient if the sys-tem is configured to use multiplelocales with different languages.

• Notifications may include links tothe associated documents. Whenyou click the link, the PDF renditionopens, if available. If there is no PDFrendition, the document opens in itsnative format.

Restricted Edit can be particularlyuseful as a means for responding toreal-world changes that affect valuesin the standard and product-relateddictionaries. However, a number of thedictionaries are cached by the systemand may not show newer valuesimmediately. To solve this problem inthe long term, caching can be dis-abled using the Document DefinitionSDLs. On an operational level, anadministrator can use “Tools->FlushCache” to force the system to revisitthe dictionary.

FirstDoc Users Group meetings areenjoyable and rewarding for FirstDocusers at all levels and from all func-tional areas. As always, this year’s pro-gram consisted of user presentationsas well as product strategy andrelease updates from CSC — onlywe held the meetings in festive SanAntonio, Texas and beautifulRome, Italy. The user groupsincluded the results of theever-popular Focus Groupsessions in which users havean opportunity to share theircomments and suggestionsdirectly with the developmentgroup from CSC.

Over 70 attendees from morethan 30 companies attendedthe two user group meetings.

Customer presentations arealways a highlight as our cus-tomers share their strategies,

successes, and challenges witheach other and broaden their viewof what other companies are doing inthe industry to solve similar businesschallenges. This year was no excep-tion. Hot topics included SharePoint,migrations, Best Practices, perform-ance, and Documentum 6 as well asFirstDoc functionality.

In the US, there wasdemand to move to abroader, longer, and morerich user group with Businessand Technology break outs.We will be introducing thisnew an improved user groupstyle in 2009.
