The HR200s: ** BENEFIT REPORTS ** NOTE1: All HR200 BENEFIT reports are based on HR DATA, not on Payroll data.

It’s important to understand that most Benefits are calculated as part of Payroll Processing using extensive logic. HR Benefit Assignment data, then, often does not include actual contribution and deduction amounts.

NOTE2: Benefits are date-driven based both on Benefit Assignment dates in the BENEINFO table and On Benefit Effective Dates in the BENETBLE.

There are examples on the next few pages.

NOTE3: In the BENETBLE is a field called SORT. It’s a confusing name. It just means TYPE of Benefit. It is often found in the Selection Criteria of Benefit reports. This selection itself will have no effect on how the report data is ‘Sorted’.

Here is an example of one District’s “SORT” values:

General Guidelines and date samples for Benefit Reports Why are Benefit Dates important? It’s easy to understand why Benefit Assignment dates are important. Benefit Assignments are stored in the BENEINFO table. In IFAS 7i, employees’ previous years Benefit Assignments can be stored. On a report, you generally only want one particular year. The hidden part is that each Benefit Assignment is linked to a Benefit. Benefits are defined and stored in the BENETBLE. Each Benefit in the BENETBLE has an effective date range. When the same Benefit is offered year-to-year, you may have it listed twice with the same name in the BENETBLE but with different effective dates, and possibly different other values. For this reason, most Benefit reports include selection criteria for both sets of dates. If not specified correctly, the report could include duplicate records. NOTE: Your dates may be different from these examples. KNOW your data to avoid duplicate records. To get Benefits Assignments THIS YEAR, to get Benefits Assignments from LAST YEAR: accept these default values: subtract 1 year from the 1st 2 dates and enter Effective dates as below:


To get Benefits Assignments for employees with new assignments, i.e. starting after 09/01/yyyy, just change the month for the first prompt: Benefit Assignment Begin Date >= :

Now the report will NOT include employees who had Benefit Assignments that started on 09/01/2007 or 10/01/07. NOTE that your Dates Selections, Sort by and Benefit Plan selections are reported on the Page Header of some reports, like HR203.

We know there will be only one of those. Even here, we should use a pay Begin date for the current or most current payroll.
