Meeting Rooms
We reserve the right to re-allocate alternative function space based on final guaranteed attendance, set up re-
quirement, service times and business levels. An additional service charge may be applicable for the set-up of
function rooms with extraordinary requirements. The hotel is not responsible for damages or loss of any arti-
cles left in the premises prior to, during, or following any function by the customer or his/her guests. We ask
that no confetti or flower petals be used on hotel premises; otherwise, a cleanup charge of $200.00 will be as-
sessed. Liability for any and all damages to the hotel will be the responsibility of the individual whose signa-
ture appears on the contract.
Confirmation
Upon booking, the hotel requires a copy of the signed Contract of Agreement and a credit card in order to con-
firm the booking. Should there be any outstanding charges following the function without pre-arranged credit
privileges, the hotel is authorized to charge the credit card given as the guarantee. A deposit of $1000.00 may
be required in order to confirm a booking. 100% of the estimated total bill may be required at least 72 hours
prior to the scheduled start of the event(s), unless billing privileges have been established through our Ac-
counting Department. Any additional charges above and beyond the estimated total bill will be required at
completion of the event(s).
Cancellation Policy and Payment Procedures
All cancellation should be made directly with the Catering Department. Any expense incurred by the Hotel in
preparation for the event(s), which has been cancelled, will become the responsibility of the client.

Nothing is to be attached, in any manner, to the walls of the meeting rooms or in the hallways. We will be
pleased to assist you with your needs.
Receiving Meeting Materials
Storage of goods shipped prior to the event is subject to time and space restrictions. The hotel is not responsi-
ble for any loss or damage to goods stored before, during or after the conference. All deliveries must be
arrange with our Catering department prior to delivery and must be clearly labelled.

Policies
Internet Access
Internet access is available through the hotel in all bedrooms and meeting rooms. Your computer must have a
network card and must be configured to detect an IP address from a “DHCP” client server.
Our catering department will supply you with an access code to access your complimentary connection.
Food and Beverage
The menus contained within are suggestions only. We would be pleased to arrange for our Executive Chef to
meet with you to prepare a menu to your specifications and budget. The Holiday Inn & Suites Grande Prai-
rie—Conference Centre will be the sole supplier of all food consumed in our facilities, the only exception be-
ing wedding cakes, which must have prior approval by the hotel. Please note that health regulation prohibit
the removal of any food product from the hotel. Buffet products will be displayed for a maximum of one and a
half hour from the time stated on event order at any function to ensure the quality and integrity of the prod-
ucts. All alcoholic beverages will be supplied, or approved, by the Hotel. The hotel utilizes many different
ingredients in menu items and there will be products that may contain nuts, nut products, dairy and/or soy and
the like. The hotel will not be liable for the guests’ allergic reactions resulting from partaking the food items
served at any functions being held on the premises. Special Dietary Requests: Should guest attending a func-
tion have any special dietary requests or food allergies and require special meal requirements, the hotel must
be notified at least 1 week in advance with names of guest and catering needs. The hotel will make the neces-
sary arrangements to accommodate the requests. Alberta laws do not permit any alcoholic beverages to be
brought into a licensed function room. Bar service must stop by 12:00 am and entertainment must stop by
12:30 a.m. in order to vacate the room by 1:00 a.m. to comply with the Liquor Board. The hotel cannot serve
liquor to any person under the age of 18 or to any intoxicated person.
We reserve the right to close bars at any time should the consumption become excessive.
Menu selection must be received by our Catering Department at least two weeks prior to your functions to
insure product availability. Should guests have special dietary need and/or specific food allergies, please ad-
vise the Catering Department at least two weeks prior to your function. Guaranteed number of guests must be
received 1 week prior to your function. When no guarantee is given, the estimated number of people at the
time of booking will be taken as a guarantee for service and billing purposes or the actual number of person
served, whichever is greater. All prices are subject to change and will be confirmed no more than three (3)
months prior to an event. Food and beverages charges are subject to 15% gratuity and 5% GST.
Music Tariffs
In accordance with the license agreement between the Society of Composers, Authors and Music Publishers of
Canada (SOCAN) and Re:Sound (Music Licensing Company), the Holiday Inn & Suites Grande Prairie is ob-
ligated to collect fees, in accordance with applicable tariffs, from all licensees and users of the facility in re-
spect of the performance of musical works on the premises which are arranged for or authorized by the licen-
see. If you have arranged for music at your event, the hotel will assess the licensing fees payable by you. Ad-
