ITC SECURE

ITC Secure were looking for a low-cost but effective Intranet and Document Management Solution. CPS made it happen using Microsoft SharePoint.Based in Crossharbour within London’s Docklands, ITC Secure provides businesses with secure IT network infrastructures that enhance performance, safeguard data and simplify management. ITC’s flagship NetSure360° product integrates network, performance and security management into a single, powerful managed service, with multiple threat intelligence feeds that provide real-time warnings of potential cyber-threats. Established in 1995, ITC Secure has become one of the UK’s leading network and security integrators, with customers including the Financial Services Authority, Thomson Reuters, Mizuho International Bank and PwC; not bad for a firm with just 65 employees.

THE CHALLENGE

In 2014, ITC Secure found itself wanting a secure platform where employees could collaborate, share information and track projects, whether working from inside the office, in the field or at home. It also wanted this platform to function as a Document Management system. However, the costs and time involved made an in-house solution a non-starter.

“If we were going to manage a complete Intranet that was available internally and externally, allowing people to work from home for one or two days a week” says Head of Operations, Christopher Ross, “then those requirements would mean quite an expensive undertaking if we had to build that infrastructure and run it ourselves.”

ITC Secure contacted Microsoft, who recommended CPS, a leading specialist in Microsoft SharePoint and Project Online. Initial meetings with CPS convinced Ross that CPS were the best fit for the job. “We saw CPS as a company similar to us” says Ross. “ITC Secure is a network and information security specialist, and like us, CPS is a specialist in its core business.”

Having picked out SharePoint, ITC Secure felt that it needed help from a specialist company that could plan and implement a SharePoint platform quickly and effectively, leaving the in-house team free to focus on core business tasks. “In a small company like ours, you don’t have a dedicated web development team or the time to build an infrastructure that isn’t a core part of our business” Ross explains. “We essentially wanted an expert doing it, who could get the job done quickly, answer questions, manage the core systems and handle it for us.”

A CPS consultant worked closely with Christopher Ross and ITC Secure to develop a design for the intranet and document management portal, then implement it in SharePoint. The new platform provides a central repository for files and documents as well as being a resource for effective collaboration. Employees can access the Intranet from any system with a supported Web browser, company specific processes and a two-factor authentication system having been put in place to ensure high levels of security and governance.

THE SOLUTION

The platform has evolved organically, with the design and feature set changing during the process. “Our consultant has been very adaptable, and able to step up and do whatever is necessary,” says Ross. “He’s been highly responsive– a great consultant.”

The intranet and document management platform is now active, and with the major file-sharing, document management and collaboration capabilities in place, ITC Secure are already seeing benefits. Meanwhile, SharePoint’s integration with OneDrive for Business cloud storage makes working between home and the office much easier. “OneDrive for Business makes the perfect home drive” says Ross, “It follows you around, and that’s very convenient.”

In the near future, ITC Secure expects to see more benefits from the document management system, giving the team easy, managed and secure access to a central repository of all the firm’s key documents. Meanwhile, SharePoint’s support for business process automation will enhance the firm’s working practices and aid compliance. This is just the beginning. “It’s a very simple model now” says Ross, “and we’re very clear that there’s a huge amount you can do with SharePoint.” And how would Ross characterise his experience of working with CPS? “I would describe it as collaborative, well-facilitated and effective,” he concludes.
