CONDO ~ COMMUNITY ~ CABANA

ADMINISTRATIVE/OFFICE EXPENSES Audit/Review

The cost for a certified public accountant to do an annual audit of the financial condition of the associations’ accounts.

Corporate Fees Annual fees to register the Community, Condominium and Cabanas as corporations with the Florida Secretary of State ($61.25 per association) Condo: Annual fee to register the Condominium Association with the Florida Division of Condominiums ($4 per unit)

Insurance Our insurance is written through Statewide Commercial Insurance located in Vero Beach by agent Tom Danaher. There has been a change in the insurance companies. Last year we budgeted our property insurance with Citizens (wind) and Chubb (x wind). Citizens was created in 2002 by the Florida State Government to provide property insurance for homeowners who cannot obtain insurance elsewhere. It is government-owned, not for profit, insurer of last resort. The budgets are adopted in November and the policies renew in April. Last year we changed insurers from Citizens and Chubb to Lloyd’s of London. Citizen’s and Chubb rated the three associations differently than Lloyd’s. The condominium was paying .41% of the appraised value and Lloyd’s is .53%. Therefore, the budget increased. The community went from 1.26% (Citizens’ and Chubb) to .68% (Lloyd’s) and the cabana went from 1.15% (Citizens and Chubb) to .52% (Lloyd’s). The premiums for the community and cabana have decreased. Telephone/TV/Internet Community: The costs for telephones/TV/Internet used in the office, in the three guest suites and the guardhouse. (9 lines in all) Condo: The costs for the telephone lines for the fire alarm systems. (6 lines in all)

OPERATING EXPENSES A/C Maintenance & Repair

Community: The cost to repair and maintain the A/C units in the clubhouse (5) and the guard house (1). This includes the annual preventive maintenance. Condo: The cost to repair and maintain the A/C units in the lobbies and garages (24). This includes the annual preventive maintenance.

Building Maintenance Supplies and Repairs This includes materials, parts, paint, light bulbs, fixtures, wood and general items for completing routine maintenance requests. Also included is the outside contractors needed from time to time such as a plumber, electrician and others as needed. Community: In 2014 the pumps were replaced in the lift station (cost $11,969). $3,925.22 was charged to this line item and $8,043.78 was from the Capital Contribution Fund. The lock to the north dune crossover was also charged to this line item (cost $2,967.94)

Elevator Service/Repair/Permit

Contract with ThyssenKrupp Elevator provides monthly maintenance service and callouts during normal working hours. The annual price has gone down due to renegotiated contracts with ThyssenKrupp. The cost of state permits and annual inspections are also included in this category.

Fire Equipment

Annual fire extinguisher check and tag by Fire Equipment Services. The contract with Simplex Grinnell is for fire sprinkler inspection, fire alarm inspection, monitoring the system, the back flow annual inspection. It also includes repairs to the camera equipment contracted by Star Communications. As the property ages, more of the equipment will need to be repaired and replaced. In 2015, the fire back flows will be pressure tested and some need to be rebuilt.

Fountains

The cost to maintain the fountains located in front of the six condominium buildings.

Tele Entry Repairs

This includes the cost to repair the condominium tele-entry phones and the cost for replacement/repairs to the prox-lock system.

Maintenance/Housekeeping Payroll This includes the costs for two full time maintenance men and a full time cleaning person. This cost is also pro rated between the three associations.

Health Insurance

This includes the cost for health and dental insurance for the two maintenance people.

Payroll Tax/Administrative Expenses

This includes social security, state & federal unemployment, employer liability insurance, workers compensation and the costs for employee leasing services.

Pest Control

Cabana & Community: Includes the cost for monthly pest control serviced by Tru Green and monthly rodent baiting. Condo: Includes the cost for condo interiors serviced by Home Team, and the cost for exterior common area pest control serviced by Terminex. This also includes monthly rodent baiting.

LANDSCAPE/GROUNDS EXPENSES

Dune Control

Coast to Coast Landscaping trims the dunes twice a year.

Irrigation Supplies & Repairs Parts for the irrigation system, repairs of timers, sprinkler heads and fittings. This also includes an outside contractor when needed. We also get contractor costs for these supplies. The discounts range from 25% to 50%.

Landscape Maintenance Contract The contract is with Coast to Coast Landscaping. Maintenance includes mowing, edging, weeding and trimming. Also includes the cost for Evergreen to maintain the potted plants.

Landscape Replacement

This is for flowers, plants, trees and sod replacement. Mulch

This is for 100 cubic yards of mulch for the community and 100 cubic yards for the condominium including labor.

Spraying/Fertilizer

Spraying: The contractor is Coast to Coast Pest Control. The lawn service covers 6 treatments for damaging insects, chinch bugs, sodweb worms and mole crickets. Shrub service covers 6 treatments for aphids, scale and nutrients. Fertilizer: The contract includes two granular applications a year for sod, trees and shrubs by Coast to Coast. Coast to Coast uses special blends for the palms, ixora and other specialty items.

Tree Trimming Contractor is Jimmy’s Tree Service. This is for trimming all trees. There are 248 palms on the condominium property, 228 palms on the community property and 21 palms on the cabana property.

RECREATION FACILITIES Pool & Spa Chemicals

This includes the cost for chlorine, acid, D.E. powder and sodium bicarbonate to maintain the chemical balance of pool and spa.

Pool & Spa Equipment and Repairs This includes the cost to repair motors, pumps, lights, safety equipment, heaters and timers as well as minor repairs to the deck and pool furniture.

Tennis The cost for Har-Tru and other maintenance items.

UTILITIES Electric

Community: Cost for electricity for the clubhouse, guardhouse, pool area and other common areas. Condo: Cost to air condition the lobbies and garages and lighting for the common areas. Not for individual units. Cabanas: Cost for lighting the common areas. The power is supplied by FPL

Gas Community: This includes the cost to run the gas lanterns and to heat the pool and spa. Condo: This includes the cost to run the gas lanterns. Also some of the units have gas appliances. Gas is supplied by Amerigas.

Irrigation Water This is the cost for irrigation water supplied by the City of Vero Beach.

Trash Removal

Cost is for Treasure Coast Refuse to pick up the trash 2 times a week Nov-Apr and 1 time a week May –Oct.

Water & Sewer

Community: Domestic water and sewer for the clubhouse, guest suites, guard house and swimming pool. This is supplied by the City of Vero Beach. Condo: Domestic water and sewer for all the individual units and fountains. Cabana: Domestic water and sewer for all the individual units. Water is supplied by the City of Vero Beach.

CONTROLLED ACCESS (Community Only) Gate Maintenance System

This includes the cost for repairs to the gates and gate motors.

Payroll This is the cost for 24/7 personnel in the gate house.

Security Equipment This includes the cost to maintain the surveillance equipment, inter-com and computer equipment in the gate house.

MISCELLANEOUS EXPENSE Contingency/Miscellaneous

This is for the unexpected, unpredicted costs in routine care of the property. Condo: During 2014, two large expenditures charged to this line item were:

Community:

% of 2012 Year End Operating Surplus

An accumulation of surplus funds from prior years used to off-set the operating budget. THIS IS NOT A BUDGET LINE ITEM FOR 2015.

Reserves for Deferred Maintenance Reserves are required by law unless owners vote annually not to collect these funds. Reserves must be calculated for painting, paving, roofing and all other major items that would cost more than $10,000 to replace. Community: The budget includes roof replacement for the clubhouse and guardhouse, exterior clubhouse painting and replacement of five air conditioners for the clubhouse and one air conditioner for the guardhouse. We also have a reserve for recreational expenses. This includes items such as:

(Cost $14,429) Condominium: The association budgets for exterior building painting and replacement of the common area air conditioners (24 total). We have replaced all condensers and 22 air handlers. It is proposed to add elevators to the reserves. Six of the twelve elevator hydraulic lines have been replaced. The original lines run underground and cannot be repaired. When replaced, they run above ground through the garages. Each hydraulic line is approximately $16,900 to replace. Cabana: The association budgets for roof replacement and exterior painting.
