4 CrucialCar Rental Software Features
In July, 2014 CENTRUM Rent a Car (http://centrum-rentacar.com) approached us (http://aspersoftwarehouse.com) to create their Custom Car Rental Software (full Case Study here: http://aspersoftwarehouse.com/case-study/car-rental-booking-software). It’s been 3 years now since we’ve developed it and modified the application in accordance with the business development.
I’m sure that now, after those 3 years, we know A LOT about Car Rental Software. That’s why I thought that this might be helpful for others, if I’d share our experience.
You’ll find here 4 Crucial Car Rental Software Features. They are random. I’m sure you’ll find valuable tips here.

#1Custom Pricing Conditions Management
#1 - Custom Pricing ConditionsWhat we’ve learned after 3 years of working on Car Rental Software is that…
There are A LOT of variables when it comes to the Rental Pricing. For example it might be:
● an additional fee for receiving a car after the office hours,● a discount for longer rental periods.
And much, much more.
You MUST have an option to set them yourself. Cause it will change in time. And trust me, it will happen a lot of times...
#1 - Custom Pricing ConditionsLet me show you an example.
That way, our client decided in his Car Rental Software dashboard to add an additional $50 fee to the total rental price IF the customer will decide in his booking form to receive the car after 7 PM.
#2Calendar View of Your Rentals
#2 - Calendar View of Your RentalsWhy you should have a calendar view of rentals in your Car Rental Software?
It’s simple. You’ll save tons of time on a daily basis while managing the rentals.
● Do you want to browse through a whole table,● use sorting filters to look up rentals for a given day,
Just to check out which cars should be prepared for rental on a particular day? I suppose NOT!
#2 - Calendar View of Your RentalsIf you’re going to, for example, check out which cars should be prepared for rental on a particular day, then the table below might be chaotic.
Instead of it, see how a calendar view of rentals looks like...
#2 - Calendar View of Your RentalsA slight difference, huh? :) You see the rented cars at an exact days of the month, and a whole month overview.
#3Customer Segmentation
#3 - Customer SegmentationIn a car rental business there are a lot of different types of customers. What our Car Rental Software client found useful is a Customer Segmentation feature. Why?
Don’t you want to:
● change the prices,● or adjust your marketing tactics,
depending on the TWO EXTREMELY IMPORTANT segments differentiation:
1. long - term rental customers,2. short - term rental customers?
#3 - Customer SegmentationYes. Long-term and short-term car rental customers is a KEY DATA helping you to adjust your business tactics.
We made it even more accurate. They are split into:
1. First-time customers (just one booking),2. Repeaters (at least two bookings),3. VIP’s (they would rather choose a Porsche, than a Fiat OR they
are just renting the cars often).
Now imagine your Marketing Cycle with this data. Given this, you can try to transform the “first-time” customers to the VIP’s.
#3 - Customer SegmentationSee? This customer is a VIP. However, he hasn’t rented a car for a couple of months. Something happened? Take action! We call it Car Rental Software Business Intelligence! :)
#4Lease and Insurance Deadlines Reminders
#4 - Lease and Insurance DeadlinesIf you manage a car fleet of multiple cars, it might be hectic to remember all of the payments deadlines. Leasing and Insurance fees are the most basic ones.
We developed a reminder feature which is managed from a particular car edit screen in our client’s Car Rental Software.
It looks like this:
