Summer Camp Online Reservations
• Registrations are tied to a registration order number and e-mail address for the event contact.
• SWC Units have unit rosters uploaded each month and each unit has its own username and password for myRoster.
• Out of Council units can create a myRoster account and upload their membership data easily, no need to type data into the system.
• Unit commitments are locked in when the unit makes their first payment.
Summer Camp Online Reservations
• The non-refundable deposit will not be charged until March 20 after early bird payments are due. Until then you can remove Scouts without penalty.
• The system works with progress payments. When a progress payment date passes, if you were to add a new Scout, you would have to pay the current progress fee.

Additional Week Discount
Scouts can attend an additional week of camp for $300 per session.Provisional Scouts (PROVO)-Scouts are partnered with another troop in camp.
Adult Partial Week of Camp• Adults can attend camp for partial weeks at $41 per day• Three days, Sunday through Wednesday is $123 (down from $125)• Adults in camp for more than 72 hours must be registered with the Boy Scouts of
America and have Youth Protection training.
• Partial week adults should be registered as Adult – Partial Week• Under the attendee tab, click on their name, enter their information, and check
off what days they will be attending.
Camperships
• Camperships for SWC units are requested online, no paper forms will be accepted.• Camperships link to the unit record and show as tentative
credits until approved.• Camperships are awarded for up to 50% of the cost of early
bird rates for camp.• Scouts requesting camperships pay the rate they qualify for
based on deposits and payment deadlines.• The Unit must have the Scout listed by name on their camp
attendance tab in order for us to apply the campership.• www.senecawaterways.org/camperships is the main page.
Discounts
Sibling Discounts are given by the system automatically1. The Unit enters the names of the Scouts in the attendee tab2. When two or more Scouts have the EXACT same address, in
the same session, a sibling discount is applied.
Sibling Discount is $40 per family member• First Sibling pays full price• Every additional member will receive the discount• Brothers & Sisters will need to be applied manually. Must verify
that the brother is already registered for camp
Discounts
New Scouts Joining the Unit this Spring1. We extend the early bird rate to all new Scouts that joined the troop this
spring. 2. Registration for the Scouts-BSA Girls and Webelo Crossovers should be
registered here3. Unit must identify these Scouts using the category “New Scout in Spring”.4. Scouts listed as a “New Scout in Spring” will have the early bird rate apply
to them through the start of camp.5. Scouts listed as Boy Scout Youth follow the normal camp payment
deadlines.
The unit should change registration categories through the website. - This can be found under the “MORE” dropdown of the reservation page
Adult Leader / Scout Verification
• All Scouts attending Scout Resident Camps must be registered with the Boy Scouts of America and have a membership ID number assigned.
• All adult Leaders attending any Scouting activity must be registered with the Boy Scouts of America, have completed Youth Protection Training and have a membership ID number assigned.
• Seneca Waterways Council units will use an online validation system as part of registration. Units may use their myRoster account to register Scouts and adults for camp using the membership database.
Adult Leader / Scout Verification
Out of Council units should bring a copy of an official document supporting the registration of units youth and adults within the BSA.• my.scouting roster• a roster generated from your Scout Service Center, listing all adults and youth
attending camp. This document also could contain youth protection dates, certificates of completion are also acceptable.
• Scoutbook roster• Copies of BSA Memebrship cards• Third party rosters, or excel worksheets are not acceptable forms of roster
verification.
Adult Leader / Scout Verification
Adults not on the Roster?To make sure that criminal background checks have been completed and amember ID can be issued, we recommend submitting adult applications no laterthan mid-May to your service center to be processed.• This should give plenty of time for processing.• Unit Scouter Reserve is a position where the training requirement is just
Youth Protection.
What if they are not registered in time?Adults that are not registered with a troop, with Youth Protection training, will not be allowed to stay at camp.
Refund for Camper FeesEvent Cancellation Policy:A $150 per camper non-refundable deposit is due by February 28, 2019. This initial per-camper deposit is not refundable under any circumstance.There are situations in which a camper's fee may be refunded, either in whole or in part. Please note that checks will not be written to individual families but written to the unit.
Refunds for Extenuating Circumstances (only reasons for refund after June 30)The complete balance of a campers' fee (less the initial deposit) may be refunded up until two weeks prior to the start of your week at camp for the following reasons if accompanied by appropriate documentation:• Medical issues regarding the camper• Summer School• Extreme family emergencies
Refund for Camper FeesRefunds requested after June 30 up until the unit's billing conference at camp canbe issued with $250 of the fees paid retained with the balance refunded.
No refunds will be considered after the unit billing conference takes place at camp.All documentation must be turned in at the time of the billing conference.
The Seneca Waterways Council can not provide full refunds after this timeframe ascertain expenditures have been made (e.g. food and program-related items) basedupon the unit's projected attendance.
Merit Badge Selection• Merit Badge Selection opens on May 1 at 9:00 AM
• Prior to merit Badge selection you should enter all information for the Scouts and adults attending camp under the attendee tab.
• Some fields will be required which may prevent you from saving merit badge selections.
• Required fields will become active on May 3. Be sure to check your registration after May 3 to make sure that all information has been entered.

• Camp Forms are found on the event page for your camp• Get there through the camp website or your registration e-mail
Medical Forms for CampPlan ahead now. Medical Forms continue to be required to attend a summer camp program.Scout Resident Camps and Webelos week require Part A, B, C and Medication Form for all youth and adults.
Medication Form provides the camper with approval to carry sunscreen and bug spray while attending camp. This is a New York State law. Campers can not have bug spray or sunscreen without this form being completed.
• This form also provides permission for over the counter medication distribution.
• Over the counter medication distribution is not a guarantee.
Medical Forms for Camp
NEW-2019Meningococcal disease FormNew York State Public Health Law (NYS PHL) §2167 and Subpart 7-2 of the StateSanitary Code requires overnight children’s camps to distribute information aboutmeningococcal disease and vaccination to all campers who attend camp for 7 ormore consecutive nights.• Units that arrival early on Saturday and leave on the following saturday will
need this form for their youth• Listed with attachements
Camp Food Accomodation Request
• This form should be used to request a food accommodation for a Scout or adult that is attending camp.
• Please give at least two weeks notice to the camp so that we can make sure we have the supplies to accommodate the request
• Requests should be e-mailed to the addresses on the form• The Camp Director, Cook, Health Officer, and Camping Support Team will
receive the form when it is sent to the address on the form.
Swim Ability Pre-Check
• This form should be used to communicate that Scouts and adults have completed the swim check ahead of camp and request that the Aquatic Director honor the test.
• The Aquatics Staff reserves the right to request a re-check of all campers at anytime during the camp session.
• Scouts that are participating in aquatics merit badges will check again at camp as a check in a pool is different than a check performed in the lake.
• Proper documentation is required with the form in order for it to be accepted.• The swim check form contains a description of the process and classifications.• Forms should be brought with the unit to camp
Camper Release from Camp
• This form should will be used at each camp office to sign a Scout out of camp when leaving before the conclusion of the session.
• The individual picking up the Scout from camp MUST be identified on the BSA Medical Record form.
• A unit leader and the adult picking up the Scout must be present for camper sign out.
• The adult picking up the Scout must have a drivers license for verification
CIT Applications/Fees
• CIT Applications are available under the forms section on the council website
• 14 and older to apply• CITs are campers, a fee of $25 is charged
to participate• Each camp has different CIT programs
but all teach the skills necessary to become a camp counselor.

Camp CardsCamp Card Sale begins in mid-February
Cards Sell for $5.00One time use coupons more than $20
40% commission: At the 40% commission rate ($2.00), units will be able to pick up the camp cards at the beginning of the sale and
return any unsold cards (in re-sellable condition) no later than May 31st. The unit will be expected to pay in full for cards sold when
cards are returned at the end of the sale.
50% commission: At the 50% commission rate ($2.50), units will be able to pick up the camp cards at the beginning of the sale. They will
not be able to return any unsold cards and will be expected to pay for all cards by May 31st. The unit may continue to sell any remaining
cards until the first expiration date on the card.
55% commission: At the 55% commission rate ($2.75), units will pay for all cards when they receive them. The unit may continue to sell
all remaining Camp Cards in the unit’s possession until the end of the year and does not have to worry about the May 31st deadline.
