1. DOCUMENT OVERVIEW

This document describes the BX Software License System. While the BX Licensing mechanism

works similarly to the SAP Business One Licensing mechanism, there is one big difference: BX

Add-ons and Thin Client solutions handle the licenses on a per-company basis. This means you

have to import and allocate licenses in every company database.

This is the reason why the BX Licensing System has been created. In this document we will

explain how to use this system with the BX Add-ons.

3. REQUESTING LICENSE FROM SAP

If you want to run a BX Add-on, you must have two licenses: an SAP and a BX license. You can

request an SAP license from SAP on their homepage. You have to add a partner solution to your

license for the specific BX Add-on you want to use. The simplest way to find our add-ons among

the partner solutions is to look for ISV partner name “Variatech Consulting” and then you will get a

list of all our add-ons from which you can choose. On the previous page the in the Summary Table

you can find the SAP component to your BX Add-on.

After you submit the license request you will receive your new license from SAP in an e-mail. You

have to import your license either in the SAP License Manager or in SAP at

Administration>License>License Administration. After you have imported the license you have

to assign the license of the add-ons to the specific users otherwise the add-on won't start.

4. REQUESTING A BX LICENSE

You can request a BX license at our license request web page:

https://www.bx-software.com/license/

Fill out all necessary fields on the license request page (the ones marked with *) and add the

products for which you need the license.

You have to fill in Partner name, e-mail address and customer name accordingly, then please

gather all customer’s data about your SAP system: Installation Number, System Number,

Hardware Key. These can be found in SAP Business One in the Help -> About SAP Business One

menu.

You can copy the numbers if you right click on the fields, and then you can paste them into the

appropriate fields on the web page. Please note: all of them are needed for the license. Then you

must set the “Requested AddOn” name, the “Requsted AddOn Type” (license type) and the

“Requested AddOn Quantity” for the license. Note: you can request a license for 10 different add-

ons at once. If you need more than that number, you must fill in two request forms.

You can find the license names for the requested BX AddOns in the Summary Table at the

beginning of this document.

The Requested AddOn type should always be „Production” if you request the license for a

customer in a working environment. If you are a partner and need a license for presentation

versions then you have to request a „Demo for Presentation” type license, which will be valid for

one year, only for one user. If you want to request a license for a customer so that he can try our

add-ons, you have to request a “Demo for Customer” license, which will be valid for one month.

Please note: Production licenses have no expiration date, but they are always billed to the

customer/partner.

If you have filled out your license request form, you have to click on Submit to send it. If the license

was successfully sent you will receive the BX license in an e-mail within 24 hours with a summary

page showing the details of the licenses you requested.

Note: production licenses take some days to arrive. Demo licenses are sent right away to the

requester.

Requesting License for BX Business Designer 4.1

BX Business Designer has a special licensing method as it has a runtime and a developer version.

Runtime version should be used at the customer's side, where the created scripts are only run, but

not developed. Developer versions should be used by developers who are actually programming

the scripts. If you want to request a Runtime license you should select „Production” as Add-on

type on the web page. If you want to request a developer license, you have to choose

„Developer”. If you choose license type “Demo for customer”, you can develop scripts but you

cannot compile the script into a runtime version that can be run on a computer with runtime

license. It is valid for 40 days. Demo for presentation license works the same as demo for

customer, but it is valid for a year.

Requesting License for BX Mobile Applications 4.2

BX Mobile Applications have similar licensing model to SAP Business One, but instead of SAP

users, licenses can be required and assigned to either:

Employees (from SAP Business One human resources modul) or

Terminals (client computers or mobile devices)

Employee licenses can be assigned to specific employees who can use then the software from any

computers. Terminal licenses can be assigned to computers or mobile devices which can be used

then by any user. Terminals are usual identified by IP address.

5. IMPORTING AND ASSIGNING BX LICENSES

If you receive your BX license in an e-mail as a txt attachment, you have to save it in a directory,

and start SAP and the add-on. During add-on start up, you will receive a message that no licenses

are assigned:

To import and assign licenses you have to open the BX License Administration form from

Tools>variatec BX %add-on%>BX License Administration where %add-on% is the name of

you add-on. This form looks and works similarly to the SAP License Administration form.

In case of no add-ons bought, this option is replaced by the BX Control Panel standalone add-

on, which looks and works the exact same way as License Administration. Install BX Control

Panel, run it from the Add-on Manager, then open the form via Tools → BX Control Panel →

Licensing.

Use the “Import License File...” button to import the license files (the txt files) you received in the

email.

You have to click on button Import License File... and browse for your BX license file:

Then you have to select the users and assign the license to them:

After that you have to update the form and restart the add-on, then you can use it. Note: you can

import any license to any BX AddOn in the BX License Administration form (for example you can

import and assign your BX Warehouse license in the license administration form of BX PPS), but

the license is only valid in one company database, so if you have a productive and a demo system,

you have to import the BX licenses in both of them.

If you click on the Components tab, you can select a license in the matrix and see its details.

Additional kinds of license files 5.1

5.1.1 Employee

To assign a license to an employee, click on the Employees tab, select the employee in the left

matrix then click on the 'Allocated' checkbox on the right matrix. This is also similar to how the SAP

License Administration form works.

5.1.2 Terminal (client) License

To assign a license to a terminal, click on the Terminals tab. The left hand matrix displays the

available terminals, which can be defined manually in the User Table: BXPLICTER (Tools>User

Defined Windows>BXLICTER).

Make sure the IP Address is filled for the terminal, because the Web solution checks the IP

address of the client.

IP Address needs to be the address of the device BX Service Broker establishes the connection to.

Now that there's an available terminal, allocation of the license(s) works the same as previously,

this time under the Terminals tab.

When you are finished, press the Update button to save changes and then close the form. After

that you have to restart the SAP Business One Integration Service or the BX Service Manager for

the changes to take effect.
