Version 3 – Mrs Brown’s Maths Set
You have opened a business as a party planner. You are
creating your first party for a client. You must plan the best
party and present your ideas to the client to see which party
they wish to go for. The client will pay you a total amount and
you must remain within this budget.
Your first task is to decide what your business name is. Make
sure it shows what you do as a company and also makes you
stand out.

As you are offering your planning services, you need to charge
the client a set price as well as their budget. Decide carefully
what your price will be. If it is too expensive the client may not
decide to choose your services. If it is too little, you risk not
making profit.

Your brief
The client wants a fun party to celebrate her twins’ 8th birthday
– a boy and a girl and they will be 8 years old. The client has
given you a budget of £2000 to throw the perfect celebration.
Their only requirements are that they can invite at least 25
guests (but no more than 70), that every guest is fed
adequately and that there is at least one form of entertainment.
You will need to decide: a venue, the number of guests, food,
entertainment and how to design invites. You may wish to also
add extras. Ensure that you keep a running total of your spend.
Remember you want to end up with a profit rather than a loss!
Remember the client has given you £2000 to give her a party
but you don’t have to spend it all. However, if your party is not
good enough the client might question how you’ve spent their
money!

You and your team start off by visiting venues which might be
appropriate for the party. You might need to start thinking about how
many guests you wish to invite.
Here are the list of venues available:
Village hall - £200 for 2 hours, £2 extra per guest (can hold up to 40
guests)
Park – £250 to close the park to the public for 2 hours, no extra
charge per guest (can hold up to 50 guests)
Local manor house – £600 for venue and gardens for 3 hours, £3
extra per guest (can hold up to 75 guests)

Your next job is to ensure that you buy enough food for each of
the guests. You have choices of hot or cold foods. If you choose
to buy any hot food, you will need to hire a chef for £55 an
hour. If you have 25 guests, you may choose not to buy 25 of
each food but must ensure they all have enough to eat. A
portion is an average amount for one person to eat.

Your guests will need invites to the party which show:
• When the party is
• Where the party will be
• What they can expect to eat
• What the entertainment will be
Each guest other than the two birthday children and their mum
will require an invite. Each invite costs 10p to make and send.
Work out how much it will cost to send out your invites to all of
your guests.

You have 2 people working for your party business including
yourself. As you have been working for your company, each of
you should be paid half of your service fee.
Number of people in team: _________________
Half of your fee: ____________ (Divide service fee by 2)
Total spend on staff payments: _____________
To calculate your profit or loss, you will need to work out how
much money you have spent in total. This should include your
costs for the venue, food, entertainment, invites, extras and staff
pay. This amount should be taken away from your budget +
service fee to find your profit. Do you have any money left
over?
