Benefits of Business Intelligence Business Intelligence consists of two parts, a business data warehouse containing key data from

WinTeam in a format conductive to reporting and a leading reporting and analysis toolset –

BusinessObjects. BusinessObjects is a collection of tools for monitoring key metrics through dashboards

and creating ad-hoc analysis and reporting with Web Intelligence, a powerful user friendly browser-

based reporting solution.

Welcome shows who you are logged in as.

Applications allows you to access the BI workspace and Web Intelligence.

Preferences allows you to set preferences for General settings, Analysis edition for OLAP, Web

Intelligence, BI workspaces, Crystal Reports and Locales and Time Zone.

Help Menu allows you to access the help files and information about SAP BusinessObjects.

Log Off logs you out of Business Intelligence.

The Search allows you to search for files within BusinessObjects.

HOME TAB

My Recently Viewed Documents shows a history of the last few reports or dashboards that you have

viewed.


My Inbox displays any reports that have been scheduled to be delivered to your BusinessObjects inbox.

My Recently Run Documents displays any reports that have been run in the background from a

schedule.

The Alerts display any alerts from Crystal Reports that are set up to alert when key metrics exceed

specific thresholds.


My Applications displays the BI workspace and the Web Intelligence icons. BI workspace allows

dashboards, reports and other media to be grouped and viewed together in a tab within

BusinessObjects. Web Intelligence is the key application in BusinessObjects that provides users to ad-

hoc analysis and create powerful custom reports.

DOCUMENTS TAB

My Documents contains My Favorites folder. This folder holds your individual files that others within

your company do not have access to.


Folders are the public files that everyone within your company can see.

Categories allows you to tag reports to show on mobile. The mobile app for BusinessObjects works on

Apple and Android devices.

Search enables you to search for files within BusinessObjects.


TEAM WORKSPACE TAB The TEAM Workspace tab is a quick link to get to information in the TEAM folder, such as

Documentation, Dashboards and Reports.

Creating Reports From the Home tab, click the Web Intelligence icon.


Click the New icon on the Menu Bar.

When the Create a new document screen appears, select Universe and click OK.

When the Universe screen appears, select the Universe you want to use for the report and click OK.


When the Query Panel appears, you will use the data elements from the left navigation pane to drag

over to the Results Objects field and the Query Filters field to create your report.

NOTE: It is best to select your Query Filters first so you limit the data being queried.

There are three types of data elements: Measures, Dimensions and Filters.

Measures are the numeric values that can be shown on a report. They can have mathematical

formulas applied to them.

Dimensions are used to slice or filter the measures that you show on your report. They can

represent time frames or some other logical structure and can be used in any combination.

Filters are pre-built dimension filters that can simplify building a report.


Once you have the data elements in the Result Objects field and the Query Filters field, click the Refresh

button to display the report in the Data Preview section.

If the information in the Data Preview looks correct, click the Run Query button and your report will

show as a New Document.


Edit Reports To edit a report, click the Data Access tab.

Under the Data Providers tab, click Edit. This will bring you back to the Query Panel screen to make

your changes.

Formatting Reports


CHANGE REPORT NAME To change the report name, click the Page Setup tab.

Click the Rename Report tab.

Enter the report name of your choice and hit enter. This will automatically change the report name.

Note: You can also right-click on the report tab at the bottom of the screen and select Rename Report.

CROSS TABLES To create a cross table, put your cursor on the edge of the data (cursor turns into a cross) and right-click.

Go down to Turn Into and select Cross Table.


You report automatically turns into a cross table.

To format the cross table, put your cursor on the edge of the data (cursor turns into a cross) and right-

click. Select Assign Data.

In the Assign Data screen, you can choose which data elements should be the Columns, Rows and Body

of the report. Use the plus sign button to insert a data element. Use the drop-down arrow to

access extra options, such as Insert, Delete, Move Up, Move Down, Move Top and Move Bottom for

each data element. Use the ‘X’ button to delete the data element. Once you have made your

selections, click OK.


The report will reflect the changes you made.

HIDE COLUMNS To hide columns, click within the column itself (not on the column header). The column will turn gray.


Right-click and select Hide and then Hide Dimension. This will remove the column from the report.

FORMAT NUMBERS To format numbers, click within the column itself (not on the column header). The column will turn

gray.


Right-click and select Format Cell.


When the Format Cell screen appears, click Number and make your selection from the grid.

Click OK and the format of the column will automatically change.


ADD SUM ON ROWS OR COLUMNS To add a sum on each row, click within the table (not on the column header). The table will turn gray.

Right-click and select Insert and then Sum.


When the Insert a Sum screen appears, select Columns, Rows or both and click OK.

This will automatically add a column and/or row for the sum.


ADD SECTIONS To add sections, right-click in white space between report title and column headers. Select Insert and

then Section.

When the Available Objects screen appears, select the data element that you want to use for your

section and click OK.


You will now see the report split out in sections based on the data element you chose.


ADD VARIABLES To add a variable to the report, click the Data Access tab.

Under the Data Objects tab, click New Variable. The Create New Variable screen appears.

Enter the Name of the variable.


Select the Qualification of the variable. Dimension would be text. Measure would be a number.

In the Formula field, you have the ability to click and drag from Available Objects, Available Functions

and Available Operations to create a formula. You can also enter the formula manually into the field.

Use the check mark button to make sure the formula is correct. If it correct, you will receive a

message stating, “The formula is defined correctly.”

If the formula is not correct, you will receive a message stating what is incorrect.

Use the ‘X’ button to delete the formula and start over.

Once you have the formula set up correctly, click OK.

The new Variable is now listed under Available Objects.


Click and drag the Variable into the report and the system will automatically insert the information.

NOTE: You can also insert column into the report and create a formula.


CREATE CHARTS/GRAPHS To insert a chart or graph into the report, click the Report Elements tab.

Click the Chart or Other tab and select the format of your choice.

Once you make your selection, click anywhere on the report to insert the chart/graph. Your cursor

should have a trailer that says, “Click to insert the chart here (Press ESC Key to cancel this action).”

Your graph will show in the report allowing you to pull in items from the Available Objects.

Once you have pulled the items into the graph, it will automatically update the chart/graph.


To organize the items, right-click on the chart/graph and the Assign Data screen appears.


Once you make your changes, click OK and it will automatically update the chart/graph.

FREEZING PANES To freeze panes, click the Reading mode button in the upper right-hand corner.

Click anywhere within the table and click the Freeze button.

NOTE: Freezing panes does not work in Design mode or on Cross Tabs.


Saving Reports To save the report, click the File tab and click the Save icon.

When the Save As screen appears, you can choose to save the report in your Favorites Folder or in the

Public Folders. Enter the File Name to save the report under and click the Save button.

Refresh Reports on Open To refresh reports automatically upon opening, click the Properties tab and select Document.


When the Document Summary screen appears, select the Refresh on open checkbox and click OK.

NOTE: You will need to enable this function if you want the system to recognize user security when

others are opening this report.

Enable Reports for Mobile To allow reports to show on the Business Intelligence app, right-click on the report and select

Categories.


When the Categories screen appears, click the plus sign to expand Corporate Categories.

Click Mobile and click OK.

NOTE: Dashboards are available by default in mobile.
