COURSE SELECTION 

Exchange students take maximum 30 credits per semester = ± 22 hours a

week, spread over 4-5 days. We prefer that you take minimum 21 credits.

In attachment you can find more information about the courses and the

schedules.

Please note that the language courses are of a high level, sometimes

higher than in your country.

It is very important to check the course specifications. Don’t forget to take

a look at the evaluation method. If it says “continuous assessment”,

attendance to classes is mandatory. If it does not say “continuous

assessment”, attendance is not mandatory, but we still advise you to go to

class as often as you can. Professors notice who is absent !

You should introduce yourself to the professors BEFORE the start of the

classes. Please explain that you are an exchange student and that you

want to check your level. If you don’t know Dutch, you can ask if there are

facilities in English.

Some language courses are taught multiple times a week in different

groups. You only need to take the course once.

Some language courses are taught multiple times a week, but in the same

group. You will need to attend all classes of this group.

Be careful that you don’t miss classes ! 

For those who take language courses (codes A7XXXXX) at Campus

Mercator, you can choose the group. If you have any doubt, you can talk

to the professor or contact [email protected] 

For those who take language courses (codes A0XXXXX) at Blandijnberg

and need to choose a group for the exercises, you can talk to Chris

Bulcaen, room 110.023 (first floor).

It is also possible to attend courses from other  faculties of Ghent University

(http://studiegids.ugent.be/2014/EN/FACULTY/A/), but you have to follow

at least 60% of your learning agreement in the Faculty of Arts and

Philosophy. You need to contact the professor BEFORE attending the class

because you need his/her permission.

LEARNING AGREEMENT 

The name and e-mail address of your faculty contact person is mentioned

on your Letter of Invitation. You can contact this person to arrangeacademic matters, talk about courses and adjust your Learning

Agreement. Do not hesitate to make an appointment if you have questions

or if you need some assistance. You can always add or cancel courses

within the first weeks of the semester or till one month after the start of the

academic year. You should hand in your final Learning Agreement by 20

October at the latest. You can find the form via this link:

ACADEMIC YEAR AND EXAMS 

The academic year starts on Monday 22 September 2014.

The second semester starts on 9 February 2015.

There are breaks for the Christmas and Easter holidays.You can find the academic calendar on the following link:

The exams for the first-semester courses are scheduled in January, those for

the second semester in June and the resits (for people who failed or were

absent in January and/or June) take place in August/September.

Students are expected to be present during the exam periods.

COMMUNICATION 

ELECTRONIC LEARNING ENVIRONMENT MINERVA

Many of our teaching staff supplement their course with digital learning

material (documents, slides, etc.), organise a forum or make

announcements via electronic learning environment

http://minerva.ugent.be. 

You can log on with the user name and password you received after your

registration. It is possible to register for courses on Minerva if you are not yet

officially registered for the course, so you can already have access to the

learning material. We recommend you do this, since it also gives the

professors an idea of the number of students that will take his or her course.

Dear Exchange student,

 As an Exchange student at our university, you are able to join the e – 

learning environment Minerva 

Once you have registered for your courses on Minerva, you will find teacher

announcements there, important websites, articles you need to read,

exercises, exam marks and the likes. You will surely find Minerva very easy to

use and to navigate  – its transparent organisation is one of the many things

which is highly appreciated by students and teachers alike.

Let us start at the beginning and get you through the course registration

first. Please follow these steps:

Click on LOGIN WITH CAS and enter the username and password you have

 received after your enrolment

Click on STUDY OFFER 2014-2015: you should see a selection of courses,

depending on your own programme.

Should a course not appear in this list, then do not panic and add it

manually: please click in the navigation column first on STUDY OFFER 2014-

 2015, and then via COURSESITES on SUBSCRIBE BY SEARCHING FOR CODES.

Now enter the code of the course that is missing and then, in the action

column to the right of your screen, tick the enrol button.

The course should now appear in your list!

UGENT EMAIL

Each student of Ghent University automatically gets an email address

(…@ugent.be) upon  registration. Through this email address, you will

receive regular messages from the teaching staff (among others via the

Minerva Electronic Learning Environment), from the school’s

administration… 

Please note that this is the only email address that lecturers and

administrative staff members will use to contact you, so make sure to check

it regularly.

OASIS  

Oasis (oasis.ugent.be) is the administration system of Ghent University.

Once you’ve made your final choice, you need to register officially for the

courses via OASIS. We will invite you to attend an information session inOctober.

Oasis allows you to check your programme whenever you want, and exam

results will be published there.

You can log into Oasis using your username and password.

BOOKS AND SYLLABI 

Once you’ve made your final choice, you need to buy the necessary

learning materials. You can check Minerva and / or the course

specifications for more information.

For courses with codes A7XXXXX:

On the webpage http://www.vtc.ugent.be/ you can find a list of

books and syllabi that you need to buy for each course.

Books and syllabi can be bought in the A-building, room K103 (basement).

It is not necessary to pre-order, and you can pay either in cash or with

bancontact.

Apart from these libraries, you can also consult a number of other libraries in

fiction, non-fiction, audio & documentation.

CAFETERIA AND RESTAURANTS

If you don’t have the time or facilities to make lunch, you can always go to

a student restaurant. The students restaurants at Ghent University offer the

students a fresh and varied meal at a reduced price, a priority to which the

catering likes to hold on. You can find information about campus

restaurants on the webpage http://www.ugent.be/en/facilities/food. 

For those who take courses at Campus Mercator:

You can also go to the restaurant of University College Ghent in building C,

Nonnemeersstraat. In the main building in Groot-Brittanniëlaan 45 there is a

cafeteria in room BK.02 where students can eat their sandwiches and buy

soft drinks.

FACEBOOKGROUP

This group is for all students at the Faculty of Arts and Philosophy of GhentUniversity, home students and international students, who like to be part of

the international group at the faculty. We hope you will use this group to

get in touch, to post questions, activities, wild ideas, to organize new

events,... the international office will also post any international activities

BUDDY EVENT

As a new international student at Ghent University, you will be faced with a

multitude of changes and adjustments. We want each incoming student to

be well guided during his or her stay. To help you find your way around the

university and Gent, you can contact a regular Belgian student.

The buddy programme is a way of making your integration at the Faculty

easier, not only at the beginning when you have a lot of practical

questions, but also later when you want to meet fellow (Belgian) students.

We kindly invite you to attend the buddy-event on Tuesday 23 September

at 19:00, UFO-building. 

LANGUAGE TANDEM

A language tandem is a conversation between two (or more) people who

speak different languages. The conversation can be held in the

language(s) that you choose, which can be your mother tongue and/oranother language. The idea is that you get together regularly, when and

where that will be entirely up to you.

The goal of a language tandem is to bring people together to talk in an

informal, pleasant setting (visit museum, city tour, bar, cinema, sport, ...).

We are organising a kick-off meeting on Thursday 6 November.
