Expense Reduction Analysts Success Stories The multiple award winning pub group appointed Expense Reduction Analysts to improve their cost, purchase and supplier management. Botanic Inns engaged Neil Copland and his team of procurement specialists to identify areas of their business where effective cost management could be implemented. Following agreement, areas for review included Gas, Merchant Card Fees and Business Plant and Facilities Management (BPFM). Iain Middleton from Expense Reduction Analysts’ Banking team analysed Botanic Inns’ spends on Merchant Card Fees and found that they were not getting the best value available. Using his expertise and knowledge of banking, he was able to achieve an incredible saving of 19% with the incumbent supplier, improving the bottom line almost immediately. The Botanic Inns Group, originally a family owned company, has been trading since 1857 through it’s first outlet and flagship brand, affectionately known as “The Bot”, a bar and nightclub situated near Botanic Gardens in the Queen's Quarter of Belfast. Company expansion began in the early 1990’s and the group now owns 16 outlets throughout Northern Ireland and continues to be at the forefront of the industry. Expert in Business Plant and Facilities Management, Ian Morrison came in to review Botanic Inns’ Planned Preventative Maintenance (PPM) and Reactive Maintenance requirements across the 16 sites. A complete review was undertaken to establish current requirements and how these impacted the operation of each location. During his analysis, Ian was able to identify that significant improvements could be made by implementing a single Facilities Management provider who would be capable of managing and delivering all services, resulting in reducing suppliers from 16 to 1, with each location being supported by a dedicated 24 hour helpdesk too. To review Botanic Inns’ spends onInsurance, Neil called in experts ScottIngham and Robin Hobbs, of ‘ERAICM’, aspecialist division within Expense ReductionAnalysts that deals primarily with InsuranceCost Management.

Working with Botanic Inns, Scott and Robinbuilt a detailed understanding of thebusiness, covering it’s exposure andtolerance of risk, as well as the company’splans and objectives. Using their marketinsight, they selected a high-quality nationalbroker – with the right resources andtechnical insight to cater for thoserequirements – which produced analternative, fully-costed programmedesigned to improve the quality of coverand service that Botanic Inns were currentlyreceiving, whilst aligning the programmewith its evolving commercial needs andreducing the cost.

Prior to ERAICM’s involvement, Botanic Innshad required the services of a local brokingrepresentative as it’s holding broker didn’thave an operation of it’s own in NorthernIreland. To overcome this, Scott and Robinintroduced a broker with offices based inBelfast. This has been of real benefit toBotanic Inns as the new broker has a strongknowledge and understanding of theNorthern Irish insurance marketplace andthe local factors that distinguish it fromother insurance markets throughout the UK.

An additional benefit of the project processwas the independent perspective that itprovided, introducing greater clarity into theway Botanic Inns’ insurance and riskmanagement programmes are structuredand managed. Building on this, Scott andRobin were able to create a more efficientand effective ‘tri-partite relationship’between Botanic Inns, the broker and thecompany’s insurers, which by properlypositioning the risk management work beingundertaken by Botanic Inns, has helped todeliver better cover for lower premiumsdelivering an overall savings of 16% in theinsurance category.

Gordon Harvey, Quality Standards Managerfor Botanic Inns, commented “Engagingwith Expense Reduction Analysts hasgenerated significant savings for BotanicInns, whilst improving our back office andpurchasing processes. These combinedbenefits have really set us on a soundfooting from which to move forward.”

Whilst improving the bottom line was theprimary aim of the project, a significantbenefit of engaging Expense ReductionAnalysts was the simplification of the supplychain. This was of real value to Botanic Innsas it enabled them to be more efficient andmake better use of their time.
