Hotel Policies

DECORATIONS/DÉCOR Customer may provide their own decorations, flowers, etc. that comply with local fire laws.

Pre-approved signage and promotional materials are permitted. These may not be af-

fixed to walls, doors, fixtures or ceilings without prior approval from the Catering Depart-

ment.

MENU SELECTIONS To insure proper service, all food and beverage selections are required (3) three weeks

prior to the event date. In the case of bookings within (3) three weeks, menu selections

are required at the time of booking. We recommend the selection of one entrée for each

event; if a split menu is required the event is subject to a split charge of $2.00 per person.

The Hotel will provide different colored tickets for distribution at all split entrée functions.

Any and all known food allergies, dietary restrictions, or other meal exceptions (such as

children’s meals) must be communicated 10 days prior to the event.

GUARANTEES All final guarantees for catered functions are due (5) five business days prior to the event.

This represents the minimum number for which you will be billed. The Hotel will be pre-

pared to serve 5% over customers’ guarantee. If no guarantee is received at the appro-

priate time the original estimated number of guests will be used.

FOOD & BEVERAGE Due to health code regulations and liquor ordinance it is required that all food and bever-

age be supplied and prepared through the Hotel. In accordance with the MA State Liq-

uor Commission, alcoholic beverages may not be brought in or removed from the premis-

es. Proper identification is required. Liquor may not be served after 12:00 AM and the

Hotel reserves the right to refuse alcohol service to anyone at any time. $150 bar set-up

fee will be charged per bartender, hotel estimate 1 bartender for every 100 guests.

3RD PARTY VENDORS If Customer wishes to hire outside vendors to provide any goods or services at Hotel dur-

ing the Event (if otherwise permitted hereunder or by Hotel), Hotel may, in its sole discre-

tion, require that such vendor provide Hotel, in form and amount reasonably satisfactory

to Hotel, an indemnification agreement and proof of adequate insurance.

HOTEL EQUIPMENT &

AUDIO-VISUAL SER-

VICES

Hotel will provide, at no charge, a reasonable amount of meeting furniture, i.e., chairs,

tables. These complimentary arrangements do not include special set-ups or extraordi-

nary formats that would deplete Hotel’s present in-house equipment to the point of re-

quiring rental of an additional supply to accommodate Group’s needs. If such is the

case, Hotel will present two alternatives: rental cost for additional furniture, or to

change the extraordinary set-up to a more traditional format, avoiding the additional

cost.

Hotel offers a wide variety of audio-visual rental equipment. A menu outlining the Hotel’s

equipment and associated charges is available for Customer’s review. There is a 48-hour

cancellation policy on any Hotel audio-visual orders. If Customer’s audio-visual needs

extend past Hotel’s inventory availability, Hotel will contact an approved vendor on Cli-

ent’s behalf and provide pricing information. Should the event require an onsite audio-

visual technician a third party audio-visual vendor will be required for all AV services.

SHIPMENTS/PACKAGES The Hotel must be notified in advance of all shipping arrangements. The customer is re-

sponsible for all arrangements and expenses of shipping materials, merchandise, exhib-

its, or other items to and from the Hotel. Packages should be sent to the attention of the

Catering Department with your event name, company name, phone number, and date of

function on shipping information. Packages received prior to 7 days before scheduled

function date will be subject to a storage fee of $25 per day per package. Please consult

with your event manager on Hotel availability for accepting pallets, crates or other large

deliveries.

Hotel Policies

TAXES & FEES A 7% MA State tax, 13.5% Service Charge, and 8.5% taxable administrative fee will

apply to all food, beverage and room rental charges. If there is no food ordered than

the Room Rental is not taxable and only a 8.5% taxable administrative fee and 13.5%

Service Charge will apply. Audio Visual charges are subject to a 6.25% MA State tax,

13.5% Service Charge, and 8.5% taxable administrative fee.
