BoardBookit for Web Quick Start Guide Welcome to BoardBookit! BoardBookit will allow you to electronically access meeting information, board books and other board related materials all in one place. It is accessible to you via a web browser (Chrome, Safari, etc.) at app.boardbookit.com. BoardBookit is also available to you through an Android App and an iPad App. To download these Apps on your mobile device, go to the Play Store or App Store and search for “BoardBookit”. BoardBookit Support and Resources The BoardBookit Help & Support section is available to directly contact support with any questions you have. BoardBookit for Web Quick Start Guide 

Welcome to BoardBookit!   BoardBookit will allow you to electronically access meeting information, board books and other board related materials all in one place. It is accessible to you via a web browser (Chrome, Safari, etc.) at app.boardbookit.com.    BoardBookit is also available to you through an Android App and an iPad App. To download these Apps on your mobile device, go to the Play Store or App Store and search for “BoardBookit”.

   Accessing BoardBookit  Once your Administrator has activated your account, you will receive an email with instructions on logging in and establishing your password. Once your password has been created you can continue to access BoardBookit through a web browser at app.boardbookit.com.

Dashboard

After you have logged into app.boardbookit.com you will be taken to your Dashboard. Here you have quick access to upcoming meetings,

approvals, polls, personal information, news and announcements. The Dashboard is your homepage and can easily be accessed by selected

the “Home” icon in the top-left navigation panel.

Navigation Panel 

The Navigation Panel is located on the left side of every page visited. It directs you to each section of the Member Portal swiftly by selecting

an item listed.

Meetings 

Upcoming, past, and proposed meeting information is listed on this page. You can also search for meetings by filtering through the

“Groups/Committees” dropdown. Information such as date, time, attendees, and location of the meeting are given at first glance. By

selecting the “Board Book” icon, you can view the agenda included with that meeting and all of the documents included.

 

By toggling from the list view to the calendar view icon, you can view your meetings in a daily, weekly, or

monthly calendar view.

By clicking on a meeting, you will be taken to the meeting details page. Again, the time, attendees, location and any notes will be listed.

View board book items published for the meeting, conveniently RSVP that you’re attending, and view attached Minutes. Admins have the capability to take attendance on the meeting as well. Add the meeting to your iCal, Outlook, or Google Calendar so that you’ll never miss a

meeting.

Board Book Details 

Once a “Board Book” is opened, an agenda for that meeting will be displayed in an outline. You can view the agenda page and attached

board book documentation in PDF format by selecting “Agenda” and “ Full Board Book” in the top right hand corner. You can download or

use it to print your agenda. (This may be helpful while in the process of integrating BoardBookit with members still wanting paper copies.)

Otherwise, you can bring up agenda items by clicking on the item you want to view.

Viewing an Agenda Item 

After selecting the agenda line, the screen will split with the agenda on the left and the associated document on the right. Here, you can

then scroll through the document and edit by highlighting, adding sticky notes, arrows, checkmarks, and much more. Annotations will be

saved automatically. If sharing of annotations is allowed by your Admin, click on the “lock” icon to see annotation access options. To learn

Starting A Discussion If allowed by your Admin, a discussion can be started and participated in from any of the member BoardBookit apps. To learn more, check out our Discussions Usage Guide for Standard Members.

Tasks 

Dashboard Notification  

If a task has been assigned to you, you’ll receive a notification by

email as soon as the task is created. In addition, you will see an

icon listed on their member app dashboard. To view your tasks in

more detail, you can simply click on the tasks icon and a window

will open which lists in-progress as well as closed tasks.

Remember, the tasks are visible to you as long as the meeting is

published. From this task listing, you can mark a task as

completed by clicking on the status circle to the right of the task. When you do so, the admin who created the task will be notified of the

completion.

Tasks on Agenda Page  From the meeting agenda area, you can also see and manage the Tasks that have been assigned to you for that meeting. If you’re an Admin

or Committee Admin you will have the ability to also create and edit tasks for this meeting. Please refer to the Admin Tasks Guide for

additional information on creating tasks.

Minutes 

To view minutes, click on the Minutes tab. All past minutes are listed, but you may filter through by either groups/committees or by year. By

selecting one, all attached minutes documentation will load on your screen to be reviewed.

eSign 

Select the “eSign” tab to view all open and completed esignatures. You may also see expired or declined esignatures listed on this screen.

To view related documents and to sign a specific document, select the correlating document or click “Review & Sign”.

eSignature Details  

Hitting the eSignature link will take you to the eSignature detail screen. From here you can read any description of what is to be signed,

review any supporting documents that have been provided, and finally electronically sign documents.

Signing 

Hit the “Review and Sign” button to bring up the documents requiring your signature. Scroll through the document to review all pages.

Look for the signature boxes where your signature is required. Sign accordingly, depending on the type description of the signature in the

box. Once, your signature is set, hit “Confirm”. The ability to “Decline” is also available in the upper right corner. Declining will cause the

approval to move the approval into a declined status where no other signatures will be allowed to be collected.

Directory  

To view the user directory, click on the “Directory” tab. Here, you can view all members and their personal information. You can filter

through the directory by group or committee, role, or alphabetically. Click on individual members names to view detailed profile

information.

Click on their email address to send them a message. To email multiple members at once, Click the “Email Members” button then select which members to send a message. Then hit the “Compose Message” button, populate your subject and message and hit “Send Email.”

Financials 

The “Financials” tab is used for viewing financial documents. Filter through documents by name, year and/or type. Click on a document to

view the financial statement attached.

 

Documents 

To view documents, click on the “Documents” tab. Documents are searchable and are sorted by folders. To view a specific document, select

the correlating folder. Any recently added or viewed files are listed on the right-hand side.

Votes 

Votes can be found on the right-hand side of your dashboard and in the ‘Votes’ tab

of your navigation panel. To quickly vote, click on a vote listed and submit your

answer. Completed votes will show a checkmark next to them. If you access ‘Votes’

through your navigation panel, you’ll be taken to the votes details page where all

open and closed votes can be viewed. Click on an open vote to submit an answer and

view results. If a vote is closed, no more voting can be done.

Surveys 

BoardBookit’s Surveys functionality allows board members to answer complex surveys with ease while in the BoardBookit app. With just a

tap or click of a button, answer questions, view documents, e-sign, and submit all in one feature. If any surveys require input, members will

see an icon listed on their dashboard. To view open and completed surveys, click on this icon.

Survey Status The status of each survey is be visible from the Surveys page and can be viewed in more detail or completed by clicking on the Survey name.

● In Progress- Member has started to answer the survey, but has not fully been completed yet.

● Incomplete- Member has not started this survey yet.

● Submitted- Member has completed and submitted the survey. You can click to view the submission.

Answering Questions To begin filling out a survey, click on a question. The list of survey questions will be in view on the left and the question itself on the right.

Tap or click on your answer and then save changes. Click ‘Next’ to move to the next question or click on a question from your list on the left

to jump to it. As questions are answered, you’ll see green check marks appear or even a red ‘x’ if answered as ‘Not Applicable’. A question

mark just means that it’s yet to be answered.

Dependent Questions Some questions are dependent on a particular answer chosen from a previous question. So, if that answer isn’t chosen, the dependent

question will show wording that states it’s ‘Not Applicable’ to you.

Definitions Bold wording within a question indicates that there’s a definition attached to it. Click on the wording to view the definition.

Submitting A Survey Once all survey questions have been successfully answered, a ‘Submit Survey’ button will appear at the bottom of your listed questions. To

submit your completed survey, click this button. The next window will show your survey and answers in PDF form. If your Admin has

requested your eSignature, you’ll see a ‘Tap to Sign’ area at the end of the survey. Tap this area to e-sign and then Ok to confirm your

signature. The survey will then be moved to the ‘Completed’ tab or your surveys page where you can view your submission at any time.

Rejected Survey Admins have the ability to reject a member’s submission. If this happens, members will receive an email notification alerting them of the

rejection. At that point, the member will need to go back to that survey to complete and submit again.

Help 

The “Help” tab is used for help, support and feedback of BoardBookit. Helpful articles are listed along with support phone numbers for you

to call. You can also send messages for support and feedback.

Settings 

Update your profile settings by selecting the “Settings” tab. You can change your photo, name, email address, password, two factor

authentication number, set your preferred date format and enable “Push Notifications” for your mobile devices.
