IV. Program Updates Staff provided overviews of various aspects of the program. Karyn K. MacRae, IOM, CAE, CMP briefly spoke about goals and opportunities and gave recognition to the volunteers and staff.

a. Marketing (Andrew Weller, IOM)

Ads were placed in a number of publications, such as ACCE’s Chamber Executive magazine and ASAE’s website, in the Winter Institute offseason. These were supplemented with online ads and other hard-copy marketing materials.

Past video testimonials resulted in high engagement numbers. Moving forward, a new video will be posted each month.

Once again, the on-site photo contest helped garner many new photos from attendees that will be useful for social media over the next few months. These authentic photos from attendees leverage engagement when attendees see their personal photos on Institute’s account.

Usage of the Snapchat Geofilter was in line with numbers seen from the summer sites. This service will continue to be used, as it has a minimal cost and attendees enjoy it.

b. Social Media (Andrew Weller, IOM)

All Institute social media platforms experienced positive growth in the past year. o Facebook and Instagram continue to stand out with higher engagement.

The number of tweets with the hashtag #IOMeducates did dip down compared to last year, which may be due to lower overall Twitter usage combined with the lack of classroom signs.

The IOM Alumni Facebook group was discontinued in November of 2016.

c. State Partnerships (Shelby A. Parish, IOM, CAE, CMP)

Following up on the conversation from the Fall Board Meeting, two incentive programs have been re-named. o The Pay It Forward program has been renamed to the State Partner Scholarship (SPS),

which more accurately describes the incentive. The 2017 Summer SPS notification went out in mid-January notifying Institute’s partners of the name change. Many positive comments on the new name have been received.

o The Friends and Family incentive has also been renamed to the Premier Investor Discount incentive. Now U.S. Chamber members at the elite and advantage rate, as well as members of C100 and CCC100, can use the Premier Investor Discount when registering.

d. Scholarships (Shelby A. Parish, IOM, CAE, CMP)

All funds for summer 2017 have been recorded and a total of $46,312 in scholarships will be allocated this year.

Winter Institute raised over $8,100 toward their 2018 scholarship fund.

Board Scholarship: each board member has one $500 scholarship to use a recruitment tool. Once they decide to whom to award their scholarship, they need to send him or her the previously provided link to fill out by the given deadline. Once that deadline passes, staff will provide the attendee with the promotion code to use during registration.

e. Fundraising (Shelby A. Parish, IOM, CAE, CMP)

Institute had a great fundraising year. o Raised just over $40,000. o This year saw the most successful #GivingTuesday and annual appeal yet. o Had 72% participation from board. Thank you to all of you who donated to Institute.

2017 fundraising goal is $45,000, to be raised through the means below. o Bi-annual solicitation. o Annual appeal from Board of Trustees chair. o On-site fundraising. o #GivingTuesday.

Goal is to raise donor participation amongst alumni. o Ask volunteers to reach out to their networks. o Social media. o Keeping an updated database.

f. Winter geographic breakdown (Shelby A. Parish, IOM, CAE, CMP)

2017 Winter had 216 attendees from 40 states, D.C., and Ethiopia.

The highest number of attendees was from Texas, with 22.

The top increase in attendees was from Missouri, with 5 additional attendees.

V. Boards of Regents’ Reports

Each of the five Board of Regents Chairs highlighted one success/best practice and one support question to share with the Board of Trustees.

a. Winter Board of Regents report

Blain Andera, IOM shared the success of the Kickoff event at Winter Institute, highlighting that the new interactive icebreaker encouraged high engagement amongst attendees from various years and classes. The concern posed to the trustees was about how to best continue to integrate associations and chambers in the classroom, thus ensuring that content is still relevant.

b. Midwest Board of Regents report Jodie Perry, IOM reported how the Midwest regents made it a point to focus on recruitment in the fall and that they recently shared success stories amongst the board. She shared that regents appreciated time to share best practices between the five sites at the Fall Board Meeting.

c. Southeast Board of Regents report

Kim Dahlsten, IOM referenced the high engagement amongst the attendees and the Southeast Board of Regents, thus correlating to higher retention rates. She asked the trustees for assistance with ideas to grow association participation at the Southeast site, an area the board is continuously trying to address.

d. West Board of Regents report

Kelle Marsalis, IOM, CCE shared the success of fundraising at the West site, referencing that West accounts for approximately 25% of Institute’s overall fundraising efforts. She asked the trustees for their support in driving attendees to the West site, highlighting the mix of diversity.

e. Northeast Board of Regents report

Steve Clark, IOM, J.D., CFE reported that the Northeast regents continue to focus on making customer service a priority to help create a full attendee experience. He asked the trustees for advice on how associations and chambers can be tied together at home in their own communities, in an effort to continue to grow and enrich relationships.

VI. Discussion and Brainstorming

Joseph B. Henning, IOM, CAE, ACE led the discussion and brainstorming section. Highlights from each discussion are included below.

a. Absences and Response Plan

After reviewing the plan, the group agreed that the make-up policy is more than fair and is not laborious nor too much to ask of attendees.

Trustees shared that it’s the best option Institute has had and that it should not be changed.

A recommendation was made to provide links and resources to assist those responsible for submitting make-up work. It was mentioned that while faculty can provide assistance at their own discretion, staff would like to keep the strain placed on them to a minimum.

It was suggested that the importance behind and reasoning for the strict attendance policy be made more clear up front and reiterated once on-site.

The group decided not to make the absence response plan public knowledge.

b. Course Audits and Evaluations

Trustees were not concerned with auditors missing chunks of class.

The group agreed that the audit form could be expanded to solicit feedback on faculty members in addition to the curriculum.

The recommendation to sometime in the near future, move away from paper course evaluations and instead gather real-time feedback through the on-site app was made.

It was mentioned that Institute needs to keep up with trends.

The thought is that those who want to share feedback will continue to do so, through whichever medium is available.

c. Volunteer Offboarding

Suggestions were made to keep former board members up-to-date and informed on program changes and announcements and to potentially utilize them as mentors and/or to provide industry consultations throughout the year. In addition, the ways to remain engaged and involved can be more clearly spelled out.

The group agreed that they can continue to serve as ambassadors at programs in helping to promote Institute.

A recommendation to award the emeritus title to former board members was made.

d. Trustee Recruitment Efforts Trustees were asked to share thoughts and names of anyone they recommend to join the Board of Trustees moving forward.

VII. Chairman’s Report Joseph B. Henning, IOM, CAE, ACE delivered his chairman’s report, which included the points below.

The work done by the Curriculum Committee was recognized and it was reiterated that curriculum changes made at the 2016 Fall Board Meeting were incorporated at the 2017 Winter site.

Blain Andera and the rest of the Winter Board of Regents were congratulated.

Joe shared his positive experience at Winter and expressed excitement for the remaining four sites.

2017 registration goals were shared: o Overall: 309 first-years/938 overall o Winter:

Goal: 94 first-years/258 overall

Actual: 67 first-years/216 overall o Midwest: 50 first-years/148 overall o Southeast: 78 first-years/247 overall o West: 30 first-years/117 overall o Northeast: 56 first-years/170 overall

VIII. Other Business

On behalf of the entire Winter Board of Regents, I’d like to begin by thanking the 2017 Chair, Blain Andera, IOM, for his leadership, enthusiasm, dedication, and friendship. Final numbers for 2017 Winter Institute were 216 overall, 67 of which were first-years. We were just shy of the goal to have 30% of attendees representing associations. As a board, we need to always look for new opportunities to promote Institute to colleagues in order to continue to grow the Institute program. Frequent communications are sent to keep regents engaged and informed throughout the year. Our board divides up the list of past attendees and personally contacts them to ensure knowledge of registration and scholarship opportunities. Each regent identified industry professionals who may not be exposed to the program in their respective states and worked to educate them on the benefits of Institute, in addition to recruiting them to Winter. Social media is an integral part of our retention and recruitment efforts. Regents ‘like’ and ‘share’ information with a goal to be visible and proactive in our outreach. One of the hallmarks of Winter Institute is having a fun and exciting auction to fund our scholarship program. Led by the new team of Nick Kieffer, IOM, CP and Mike Hofman, IOM, our 2017 auction raised $5,465, and additional on-site donations came in at just over $2,700. The ability to hold our auction over multiple days has generated a better response to this important part of the week’s experience. Improvements to our Institute Kickoff were well received. Robert Medler, IOM, and his talented team introduced an ice-breaker which served as a fun way to quickly bond everyone together prior to the start of classes. The overall response was that the interaction and engagement with the networking icebreaker was a step in the right direction and gift card prizes from local restaurants worked very well. Winter Institute is great at researching best practices and challenging itself to always be improving. Prior to leaving Tucson, the board actively discussed the year’s successes, challenges, and opportunities and set assignments for 2018. Planning for the following year on-site allows us to continue the tradition of offering superior value. Looking ahead to January, customer service will be our top priority. Our strategic goals include an enrollment goal of 223 overall attendees, including 66 first-years; raising $10,000 for the scholarship fund through the silent auction and other fundraising avenues; and finally, recruiting at least one first-year attendee per regent. Class Advisors are critical to the success of Institute. Vice Chair Nick Kieffer is already recruiting, bringing back the best from the past and identifying new and strong chamber and association executives to serve. With Nick’s leadership, it is our goal to take more care and consideration to volunteer onboarding and attendee on-site communication. Finally, while I am the one who has the privilege of presenting this report, there are many who do the work. The Winter team is a family and are passionate about Institute. They are innovators who work

tirelessly to comb through surveys and engage in on-site conversations as to what attendees want and need. They are eager to make a difference, and they inspire me each day. It is my pleasure to submit this final report of our activities at Midwest Institute at the University of Wisconsin in Madison. In short, we are pleased with our successes this year and feel that we had a very strong year. Our final enrollment was 146 students with 43 first-years, compared to our goal of 148 overall students with 50 first-years. We had briefly met our overall goal, but in the week leading up to Institute, there were two last minute cancellations, causing us to miss our mark slightly. I believe a couple of our efforts helped us to have a strong year. First, we put an emphasis on fall recruiting this year so that prospective students would have a chance to budget for next year. Second, we asked every board member to make at least 3-4 personal ‘asks,’ including to their state associations, to consider the program. Third, we put extra effort in to giving away our Board Scholarships and had a much higher rate of utilization this year which helped with recruitment efforts. From my perspective, our biggest success was hitting the goals that we had set for ourselves last fall:

1. Achieving enrollment numbers. 2. Increasing the number of board members who awarded scholarships. 3. Refreshing our major events (Big Bash & Kickoff). 4. Raising $5,000 for scholarships. 5. Increasing our social media presence.

In addition to the previously mentioned first two successes, the need to refresh our major events was something we had heard through attendee feedback. While both the Kickoff and Big Bash were very strong, in particular, I was very pleased with the makeover of our Big Bash. We were also thrilled to hit our scholarship fundraising goal thanks to generous donors and the terrific leadership of Stacey Wilson. Finally, we appreciate the hard work of both Teresa Eyet and Jenna Armstrong, who further developed our social media activities on-site. One of our biggest successes is also one of our biggest challenges – fundraising for scholarships. We have historically been one of the smallest on-site fundraisers. While we do make up for that with strong support throughout the year, including #GivingTuesday, this is a challenge that we are trying to overcome. We have been inspired by the strong performance of West, and continue to have discussions about how we can up our game for this. Unfortunately, our new champion for the auction will not be returning to Madison next year, so we will have someone new step up to lead these efforts. We plan to build on the strong foundations we have laid the last few years. Again, we will emphasize early program promotion in the fall and ask board members to make connections to their state associations. Challenging board members to make a specific number of asks seemed to help make it manageable for everyone and we will continue with that. Trying to make connections with the states in our areas where we don’t already have the State Partnership Scholarship relationship will also be a focus. In addition to utilizing board members, we also plan to engage current attendees in our recruitment efforts. We really shook up our social media activity this year. As previously mentioned, Teresa Eyet did a great job revamping the social media scavenger hunt and we had many eager participants vying for prizes this

year. She gave it a more professional, site specific focus and we saw strong increased participation. Jenna Armstrong also took on spearheading board and advisor social media activity. She drafted a schedule and wrote sample posts that we could use throughout the week. I believe our goals this year would be to continue to build on those strong foundations, as well as continue to engage our Class Advisors in the social media aspect. Thank you for taking the leap to change up the schedule. As the first site to go through the new schedule, I think there was a little confusion early in the week over how it worked. But, it was far outweighed by the ability of everyone to get on the road or in the air earlier on Thursday. We look forward to seeing the feedback from attendees on this idea. It was truly a pleasure to lead an amazing group of volunteers this year at Madison. The Midwest site is such a friendly, welcoming place for both chambers and associations and I think we have developed a really great culture. Southeast Institute has much to be proud of this year. The goal of 247 overall attendees was not only met, but slightly exceeded with 248 in attendance, 4 attendees more than last year. The regents were passionate in recruiting first-year attendees, reaching 113% of goal, or 88 attendees, 16 more than last year. Another point of pride was our fourth-year attendance, which resulted in 54 attendees, or 117% of goal. The Southeast Institute Board of Regents emulates the three Cs of mentorship: competency, care/compassion, and comradery. This is felt in our conference calls and especially on-site, as each regent interacts with our attendees, whether as a Regent Partner, during an industry consultation, greeting them on the way to class in the morning, or as a faculty member. They are each immensely talented and give their energy and enthusiasm to a program that has given much to them. The results are relationships that last past the week in Athens and connections that form strong retention rates Southeast Institute has seen for many years. We are not just a volunteer board, we are family. Additionally, we had great success with 30 industry consultations conducted on-site. These one-on-one meetings are one more opportunity for attendees to become connected and engaged with their peers while at Institute. Another achievement was raising $7,975 in scholarship funds to be awarded in 2018. Our total will continue to grow with other fundraising avenues, i.e. registration donations, annual appeal, donate now, online store, #GivingTuesday, etc. before our scholarship committee meets next spring. While the history of Southeast Institute is strong, we are aware the focus is, and will continue to be, on first-year recruitment for the longevity of this professional development program. As the availability of online leadership programs grow, we must continue to share our individual stories within our circles of influence, as well as with those new to the nonprofit, association, and chamber profession. The on-site experience at Institute is a game changer when it comes to the knowledge, connections, and relationships developed throughout the four years, and cannot be replicated through online mediums. Moving forward under Bryan Daniels’ leadership in 2018, the Southeast Institute Board of Regents plan to engage all state associations that have history with Southeast Institute and encourage their members to attend. We will also leverage our new board members to reach out to their chamber peer groups and encourage attendance at Southeast. There is also value in encouraging the current class members to recommend Southeast for training and the possibility for scholarships to recruit attendees. We have used our personal social media accounts to encourage our colleagues to attend the program. These posts also bring awareness to our stakeholders regarding the value the U.S. Chamber has and its positive effects at a local and state level. We will encourage all attendees and alumni to create social media posts of support leading up to and during the June session. I want to thank the U.S. Chamber team for making the change to the schedule of activities this year. I believe it was key for many in being able to attend their Institute site of choice while getting back to professional and family obligations in a timely manner. I also commend the Board of Trustees and the Curriculum Committee for their continual review of course content, faculty, goals, and objectives for Institute to remain relevant as the go-to education resource of nonprofit, association, and chamber professionals.

On behalf of my fellow regents, I am pleased to report the successes, challenges, and opportunities from West Institute in 2017. Our attendees experienced a great week at Loyola Marymount University in July and I am thrilled to report some of the highlights from the week. West Institute hosted a total of 114 attendees this year, 32 of which were first-year students (goal was 115 total, with 31 first-years). Registration did slightly increase this year in both total registrations and first-year attendees, which points us in the right direction to increase enrollment in 2018. Recruitment continues to be our biggest challenge and the single-most important thing for our volunteers to focus on in the coming months. The Board of Regents is already hard at work outlining strategies for specific audiences in 2018, building off our recent success. The two strategies best suited for our site include a focus on metro chamber staff and utilizing a more geographically diverse Board of Regents. Metro chambers are a great untapped resource for the Institute program. Educating these organizations on the benefits and cost involved will help the organizations budget appropriately, and the peer-to-peer dialogue a concentration of metro staff will allow is a great selling tool. Several new additions to the regents over the past couple of years have diversified our reach as well. Our Board of Regents now has representation in the Northeast, Northwest, California, Midwest, and most points in between. West has always been one of the most geographically diverse group of attendees, and we hope our volunteer reach can help us build on that strength in 2018. Our biggest success this year was once again our fundraising efforts. We set a stretch goal of $12,000 in live and silent auction revenue this year, and I am pleased to announce that the final (after Bidr fees were paid) totaled $12,204. We received 56 items from 43 individuals. Thanks to the talents of one of our Board of Regents, we had some fun and auctioned three items live, totaling over $5,000 in revenue. Our fundraising efforts have provided important financial support to nearly every attendee who applied for a scholarship, which can be a very important recruiting tool. There was some concern about the change in venue for the Big Bash, but I am pleased to report the California Yacht Club proved to be a beautiful backdrop and fruitful space for our fundraising efforts. The West Board of Regents utilized social media for recruitment by following the staff recommended posting calendar. Ideas for better social media engagement in the future include highlighting students in a Q&A blog, listicles specific to the site (top 5 coffee spots near Loyola, etc.), and assigned postings for regents throughout the year, but specifically during peak budget and recruitment months. West Institute is poised for growth and success in 2018. I am pleased to welcome Brad Lacy, with the Conway (AR) Area Chamber, as chair, and Tony Felker, with the Frisco (TX) Chamber, as vice chair, as well as the fantastic new additions put forth to you for our slate of regents. I would also like to recognize two outgoing regents who both served as amazing chairs, Russ Lahodny with the California Chamber, and Tony Vedda, with the North Texas GLBT Chamber. Both will be missed, but have provided a solid foundation for success in the coming years. A special thank you goes out to Joe Henning for lending his guidance and leadership to West as our fearless trustees chair. Your input was extremely valuable and timely and we enjoyed hosting you. The 2017 Northeast Institute attendee numbers were strong, except for the third-year class, which fell a little short in meeting enrollment goals. The exact reasons for this deviation were not clear. The Board of Regents is planning on maintaining more contact with this year's second-year class to encourage the class to continue to return. Our biggest success remains utilizing social media and having a good program during Institute. Our biggest challenge remains continuing to grow the number of association professionals that attend Institute. This being said, Northeast does see the highest percentage of associations of all the Institute sites. We plan to continue recruiting attendees through calls and emails. We want to consider a new strategy of texting current attendees and the leadership of targeted association organizations. We have leveraged social media efforts through Instagram, Twitter, and Facebook. The tweets have been very strong; however we need to be respectful, as some instructors are uncomfortable with participants in their class tweeting out messages during class. This is not an issue specific to just Institute. Perhaps the trustees should consider a formal policy so both faculty and students know what is expected. I first want to thank the Board of Trustees for changing the class schedule to permit Institute to end at 11:30 a.m. on Thursday. I believe the new schedule worked very well. I do ask that the trustees consider some formal policy about the use of social media during classes. Students and faculty need to know whether some or all of classes can be streamed live or recorded and streamed later.

In 2017, Institute’s marketing efforts were advanced through the hard work and collaboration of the volunteers and the Institute staff. Below is an overview of our marketing accomplishments for your review. Our main aim was to create new messaging and outlets for promotion of the organization in addition to sustaining successful practices from past years. Advertisements:

Chamber Executive magazine has been an important medium for us to advertise past Institute testimonials and upcoming registration dates. Multiple half-page and full-page ads have been placed in the magazine. The focus of the ads included Institute summer registration, scholarship deadlines and other testimonials and photos highlighting the Institute program.

Our “dates and deadlines” postcard was updated with the new 2017 sites and dates, and this postcard was placed in the post-site thank you letters sent to Institute attendees. It was also printed and mailed to state conferences with other marketing pieces.

The Institute planner is our largest and most prominent advertisement. It is distributed to all Institute attendees at registration. It is also included in conference shipments all around the country, and regional Chamber offices. This planner contains a calendar that people use throughout the year and is a “walking advertisement.”

A web banner advertisement with the summer registration dates and an Institute alumni testimonial was featured on the ASAE website for three months before summer registration. This prominent placement was guaranteed to get us thousands of impressions.

Multiple video testimonials that give a short, quick in-depth look into the benefits of Institute have been hugely popular on social media. We plan on continuing these efforts by creating more videos in the coming months.

Promotional Materials:

Continued from last year, Institute sent blue tablecloths with our logo and hashtag to different conferences. They were also utilized by staff at larger conferences such as ACCE and MAKO. These bright, eye-catching pieces are easy to transport, also market our social media presence.

The water bottles given to attendees with their planner during registration were very well received. We have distributed water bottles in past years, but attendees continuously look forward to them.

Institute screen cleaners, featuring a testimonial from Institute board members and alumni, have been a huge hit at state and national conferences. They are a unique item and printing them in full-color makes them an attractive collateral piece.

Attendees receive an Institute branded pen on-site. This pen writes very well and is used by attendees post-site. It is also included in state conference shipments.

STATE PARTNER SCHOLARSHIP

On two occasions in 2017, Institute reached out to 123 state executive societies (chamber of commerce executive societies, association executive societies, economic development councils, and convention and visitor bureaus). The first time was to encourage Winter Institute participation and the second was in regards to summer registration.

Of the 123 organizations who were contacted, 45 participated by sharing information about the Institute program with their members.

In total, 45 first-year participants attended Institute using a SPS scholarship; 40 chamber of commerce professionals and five association professionals.

Once again in 2017, Institute reached out to “nontraditional” partners such as state CVBs and EDCs. However, none chose to participate this year.

MARKETING INSTITUTE TO STATE PROGRAMS THROUGH GIVEAWAYS

Since the 2016 Fall Board meeting, Institute sent marketing materials, including branded electronic screen cleaners, planners, and other marketing materials to 24 association executive societies, chamber of commerce executive societies, and other professional nonprofit societies since this time last year.

PARTICIPATION AT STATE, ANNUAL, AND REGIONAL CONFERENCES

Institute had a presence at five conferences in 2017: Association of Chamber of Commerce Executives (ACCE), Chamber of Commerce Executives of Ohio (CCEO), Missouri, Arkansas, Kansas, Oklahoma Conference (MAKO), Texas Chamber of Commerce Executives (TCCE), and Western Association of Chamber Executives (W.A.C.E.).

Institute sees our increased presence at annual conferences valuable for the dual purposes of recruiting new attendees and reminding alumni of the impact Institute had on their careers.

W.A.C.E. PARTNERSHIP

Institute continues to partner with the Western Association of Chamber Executives.

Graduates of the Academy program are eligible to attend Institute as third-year attendees, bypassing their first two years of the program.

INCENTIVE PROGRAMS

Premier Investor Discount

Formerly known as the Friends and Family Incentive, the incentive was renamed the for clarity and accuracy.

78 individual (32 first-year and 46 returning attendees) attended Institute using the Premier Investor Discount, an increase from 47 in 2016. This in large part due to PID now being available to Advantage level members of the U.S. Chamber of Commerce.

Group Rate

112 attendees registered for Institute using the group rate.

Board Member Scholarship

In 2017, Institute gave each Board Member (Trustee and/or Regent) one $500 tuition-scholarship to award to a first-year Institute attendee as a recruitment incentive.

28 Board Members out of 93 successfully awarded the incentive. This is up two scholarships from 2017.

The Board Member Scholarship will not be offered in 2018. Instead, an additional four $500 National Scholarships will be added to the six already existing National Scholarship offerings.

Congratulations to all Board of Trustees, Boards of Regents, and Curriculum Committee members on a truly successful year! A special thank you to the Board of Trustees Chair, Joe Henning, IOM, CAE, ACE for his leadership and on-site engagement, as well as all volunteers for their continuous efforts to market the program this Institute season. Due to your hard work, the final enrollment for 2017 Institute was 885 overall attendees, 282 of which were first-years. As a point of reference, final enrollment was 912 overall and 288 first-years in 2016. We are looking forward to a great year ahead! Below are some highlights from 2017.

Recruited 21 new Board of Regent members and 33 Class Advisors from various associations and chambers of commerce across the country.

Of the 33 Class Advisors, 23 were first-time advisors.

269 interested volunteers in our database representing 40 states plus D.C.

32 states plus D.C. are currently represented on the boards and committee.

36 first-years were recruited from board members’ organizations, compared to 25 in 2016.
