Section I: Event Introduction
Festivals are a way for a group of people to gather for shared experiences. In the past,
food was a central part of festivals, as the term “festival” comes from the English word “feast”
(feast n.d.). In the early 1900’s, music started to become a major part of the festival. Many
festivals were “strongly associated with countercultural youth movements” according to
(festivals n.d.). Now, after the 60’s, many companies and people realized that they would gain
more from festivals, and are beginning to become a little more lax about the nature of modern
festivals. Festivals are becoming more and more popular because they are a good way for many
different types of people to gather and enjoy everything the festival has to offer.
Section II: Event Proposal
We at Superior Planning are proposing a Blue Moon Festival for the City of Denton. The
event will take place on the Denton town square in the afternoon and evening hours on
Saturday, May 21. This event will accommodate local businesses, artists, artisans, and
farmers. Denton is a lively community that likes to support one another. This festival will allow
members of the community to connect, find more locals to support, and enjoy the changing of
the season. “With a population more than 118,000, not including a student population of more
than 40,000, Denton is far from rolling up the sidewalks at night. In cooperation with various
organizations, local universities and the Parks and Recreation Department, Denton hosts many
festivals and events throughout the calendar year. From Twilight Tunes to Dog Days of Summer

and Cinco de Mayo, Denton is fast becoming one of the most popular places to visit in the
Metroplex” (Festivals n.p.).
Logistically, booths will surround the courthouse and house local restaurants and
business. We will reserve some tent space for housing local art and craftsmen, so they can sell
their goods. Lighting will be rented and hung throughout the trees and along pathways. Music
will also light up the space with folk sounds drifting through the warm night air. This festival is
meant to connect people and provide them with an enchanted evening of finding local
treasure.

Negotiating with vendors, the Tents, Lights, and booths will need to be rented

Part A: 5 Senses
Soundscaping
We plan to fill the evening air with sounds that please the listeners throughout the
event. When attendees enter the local restaurants they will encounter a soundscape of the
bustle of a dinner rush, as well as live music in some of the locations on the square, such as the
Abbey Inn. Music from street performers can be heard up and down every street as well as
local bands that volunteer to liven up the night with their sounds. Laughter and awe will fill the
air as the fireworks show makes a BANG and entertains the crowds when the festival concludes.
Visual Cues
The main visual cues for this event will be centered on the lighting show, local art, and
firework show. The trees will be strung with thousands of twinkling lights. As attendees stroll
through the square they will see vendors selling homemade goods, local bands and street
performers putting on shows, and a firework display the pleases the visual sense for all ages.
There will be plenty to see inside of the various shops and restaurants, each sporting their own
atmospheres representing Denton and the things it has to offer.
Touch

The touch element is mostly left up to the individual experience. The touch of the cool
night breeze will gust through the crowds of people. Crowds will sit on the fresh green grass
and feel the soft cool touch as they gather to watch bands and socialize. Some people will
choose to go into the Dark Age Tattoo studio and get a piercing or a tattoo while the needle
touching their skin leaves a new statement for them to keep forever. Many will touch the
spines of records and CDS from Mad World Records, while others flip through the pages of
books at Recycled Book Store. There is a sense and feel of the atmosphere that cannot be
forced, but rather the opportunity must be presented so that people may consume as they
please.
Smell
The smell of a summer night will drift through the air with undertones of fresh food,
dancing bodies, and the different smells coming from various shops and vendors. There are
many stores for those with a sweet tooth, such as Atomic Candy, that adds its own huckleberry
crafted candies and jams aroma into the air. Whether it be the smell of hot pizzas coming from
Mellow Mushroom, fried catfish and shrimp coming down the way from Hoochies, or ground
coffee and smoothies wafting out of Jupiter Houses doors, the sense of smell is sure to be
engaged all night.

Part C: Corporate Social Responsibility (CSR)-Sustainability Plan
Incorporating Corporate Social Responsibility into the Blue Moon Festival will allow the
event to leave a legacy in the host community. Because we are reaching out to locals and trying
to connect the community, we must take special care to details that they see as important.
Recycling and sustainability is key within the community. Through organizations like Scraps, a
local recycle shop, we will arrange for leftover event items such as décor, promotional goodies,
banners and signage to be donated and repurposed in classrooms and art programs. In
association with scraps, all reusable materials at pack up and break down of the event will be
donated and transported to their facility. We will follow the City of Denton’s Litter Free Event
Agreement and Event Recycling Agreement to ensure our festival is not harmful to the earth.
Please refer to section IX for more information on the agreements.
Part D: Amenities & Accommodations
We will have a stand available with information on participating vendors, present
vendors, first aid and emergency help, and location assistance. Amenities such as: wipes and
sanitizer, sunscreen and bug spray, light blankets and a first aid kit will be available at this stand
as well. The volunteer in this stand will be trained on how to contact the authorities, or
emergency services if a problem occurs.

Part E: Lodging
There will be no lodging available specifically for the event. Because the event is meant
to support local artisans, local shops, and growing the community, we are hoping that property
and homeowners in the city will be the ones participating. There are a few hotels within the
Denton area square. If there are guests from out of town that choose to visit for this event then
we will have information at the amenities and accommodation booth for where in town they
could seek lodging.
As a special treat concerning lodging, we will be promoting local bed and breakfasts for
locals to visit. This is another way we are reaching out and supporting Denton’s small
businesses. We will encourage the attendees to book a night and support the historical and
hospitality sector of Denton.

Part F: Food & Beverage
The local vendors that have stands on the square during the festival will supply food and
beverage.
Part G: Security and Transportation
We will be working closely with Denton Police Department to direct traffic around the
fair. They will supply between 10-20 officers who can help direct pedestrian and automobile
traffic. There are many places to park around the town square, so we will have officers directing
cars to open parking lots. There will be many pedestrians walking to the square in the dark. We
believe it is very important to think of safety first. Denton PD will be assisting in patrolling the
surrounding area and supplying adequate direction in the high traffic areas surrounding the
square. The Police will also close the streets surrounding the square to ensure safety of
pedestrians walking around. Please refer to section IX for a closer look at the Street Closure
Information Packet.
Part H: Attractions & Entertainment
Attractions will be the local shops creating and driving interest into local business. The
stand representing SCRAPs on the square for the Blue Moon Festival will be providing a small
contest for art made from scraps and recyclables. Other similar businesses will be showcasing
what their business is about and connecting with Denton citizens. There will be a display of
lights coating the area in decoration representing the Blue Moon and inspiring awe in the
evening hours. There will be a small display of fireworks at the end of the festival as well.

Background The Blue Moon Locals Festival is an idea founded on bringing the community together and reinvesting in the local businesses, vendors, and artists. This, since it would be the first festival, is currently a one-off event, but if we have positive feedback and an enriching effect on the community, it could be an annual occurrence.
Event Description As the event commences, one can find Denton PD directing cars into lots, vendors’ stands set up around the square, and the shops and restaurants opening their doors as a welcome to the locals and the cool evening breeze. People can treat themselves to some of the fine things that Denton has to offer while admiring the local art and aspiring musicians. The trees in the surrounding area will be decorated with twinkling lights and moon themed décor that illuminates the evening. Everyone is encouraged to come to the event so college students can be found mingling and enjoying music, kids playing on the grass around the courthouse, families filing booths in the surrounding eateries, and various bands at the many bars pouring their unique sounds into the patios and streets. Local growing artists did most of the art that is featured during this event, but anyone can enter the SCRAPs art contest. The art surrounding this stand will be made from scraps and other recyclables and they will choose and announce the winner after last call for submissions. As the suns last rays fade and the evening turns dark, the lights will evoke awe as their full glow illuminates the area. Then, the lights will go out and a firework display will draw the crowds out of the bars and restaurants, and all the faces will turn to the sky as the bursts of colour and sound paint the night sky. After the excitement of the firework display dies down, with the lights off, the stars and moon can be appreciated. As the night draws to a close, and the crowds disperse, volunteers will clean up the area and assist any last vendors or stragglers find their way.

Other audience information: The target audience is primarily members of the community, although some outside traffic is to be expected. Since there are so many different attractions on the Denton Town Square, it appeals to almost any member of the community. The younger demographic can enjoy the bar scene. Families will find something for every member with all of the different vendors and stores. Singles can mingle among the other attendees or enjoy a book at a table in one of the many coffee houses. Couples can share a milkshake or get their animation portraits drawn up by local artists. The idea is to have a variety of attractions that really highlights the different local treasures that Denton has to offer.
Branding Event name:The event is called the “Blue Moon Locals Festival”. It is a simple title that has all of the key points of this event. The blue moon, but most importantly the locals and their community is what inspired the event. Since the event name says it all, a slogan is unnecessary.
Logo:Many logos will be seen, but they will be those of the businesses and vendors in the community. For the posters/fliers there will be various designs, many by local artists, with some incorporation of the blue moon and Denton.

Event Promotion Advertising, PR and Event appealThe event will be promoted through social media outlets, word of mouth, posters/flyers seen around the community, and through strategies that those participating in the event will use.
Budget Estimated Budget:The budget that we were given to work with for this event is $10,000. Out of that sum, $1,050, with the actual cost staying just below that, is designated for marketing purposes. Currently, the event is able to survive on the budget, and the only revenue we will be receiving will be rental fee from the vendors.
Estimated Expenditure:Estimated expenditures for the event was a little over the budget at $13,945. However, the actual expenses to date $9,911, still leaves us with a little bit of money left over. This money goes into the appropriate permits, security, firework display, marketing, lighting, etc.
Estimated Income:Any income for the event will be in the form of a donation or business to the city or the local shops and vendors at the event. The event is not one designed to generate mass amounts of revenue, but rather generate commerce.

Market Research Economic impactDenton has a population of more than 118,000 people, not including the student population of more than 40,000. However, the event is to take place over the summer, therefore the majority of the population attending will be locals of Denton. The event takes place on a Saturday evening, therefore we are expecting the usual bustle of the weekend, as well as the additional traffic hosting the event will bring. Although most of the people attending will be residents of Denton, non-locals are sure to make up a portion of the crowd. We are hoping that we can expect 5,000-10,000 people, but since it is the first time this event is occurring, a lower attendance is likely. The event is one day and there are no accommodations, but for those looking for somewhere to stay overnight, we direct them to the many local Bed and Breakfasts.
Social impact:Having a social impact through the Blue Moon Locals Festival is one of our main goals in coordinating this event. This event features the locals and all of the unique things that they bring to the community. From the Mom and Pop restaurants to young artists, one does not have to look closely to see that Denton has a lot to offer.
Environmental data:The event features festive lights in around the square, a firework display, and the locals, all of which will have a very small environmental impact. To assure that the footprint remains small, there will be a clean-up team afterwards, carpooling is encouraged, and we urge vendors and shops to keep make a conscious effort in their operations to be more sustainable.
Risk Management Accuracy of InformationThe information is at no risk of being inaccurate unless a contract by a vendor is broken or the weather doesn’t allow for a show.
Ability to meet promises of serviceThe risk in meeting the promises is minimal. Only severe weather will cancel the event. The only sensitive item on our list is vendors and fireworks.
Contingency PlanThe contingency plan involves either cancelling the event or our volunteers directing the citizens to shelter. The Denton PD will be on site to handle the crowds and emergencies. The remaining funds will go to a contingency fund.
Monitoring The success of the event will be evaluated throughout the event itself, as well as afterwards. The objective is to bring the community together, so attendance will play a huge role in the events success. There may be numerical measures for the businesses to measure how well the night went, such as how many people they talked to or the total sales. The event will be monitored throughout by our volunteers and by the Denton PD officers on site. Volunteers are in place to answer questions that attendees or vendors

might have. Since they will be interacting with the crowd, we will be constantly checking in and making sure that everything is running smoothly. The officers will monitor traffic and provide crowd control, should it be needed. Having minimal issues, or the issue that do arise are handled swiftly, is a measure of the events success. If the community comes together to bond and support each other, the event went according to plan. Another tool one can use to evaluate is by doing a follow up after the event. Ask the businesses and vendors how they thought the night went or check the social media sights for any feedback or posts from the night to get an idea of the events effectiveness.

vendors to our show. We spent some time researching the types of vendors we wanted to
invite. Since we are trying to help support local business, we really aimed for local “Mom and
Pop” places to be present at our Art Show. When we contacted some of these local shop
owners, we compared and contrasted the information they gave us and created an Excel
spreadsheet with the results. For more information, please refer to Appendix D on page 1.
After some thought, and in order to save some money due to budget constraints, we
chose to hire volunteers to help run the event. We are planning on having an estimate of 10-20
volunteers, depending on how many show up the day of the event. They will assist us to ensure
the vendors are taken care of and set up on time. Other job duties will include: walking the
event, assisting guests to appropriate vendor booths, and helping solve any problems as they
arise. Since they are volunteers, we will not be paying them for their services. But we will sign
any volunteer sheets they have, so the volunteers can allocate their hours however they would
like.
In order to have our festival at Denton Town Square, we will need to have some
permits. After talking with the City of Denton, we found out that we will need to process
festival and event permits. The vendors will need to provide a copy of their own Food Handling
(Temporary) permit and if they are a food truck they will need to review the Food Truck

Requirements and Guidelines to ensure they are within city requirements. Blue Moon Festival
will not provide these permits for the food vendors. We will also need several other permits

Section IX: Event Evaluation- Proposed Evaluation Method
We would evaluate our festival as successful. We feel that we were successful in running
and planning our event because we were able to utilize many resources Denton has to offer.
We were also able to accurately predict and budget for all obstacles and setbacks we
experienced. And the money left over we are going to put it towards next year’s festival.
When evaluating our event, we used both qualitative and quantitative evaluation
methods. We did this to maximize our evaluation, so we can check for errors on what went
wrong this year and fix it for next year. We chose to do a survey to measure our actual results.
We had it available at the information stand. Guests were able to rate us on a 1-10 scale on
how the festival was, and there were also blanks where guests could write what we did best
and what we could improve on. These combinations give us both quantitative and qualitative
feedback.
We were able to take a lot away from this survey. It provided real-life critics on what the
Denton population wants to see for next year. With these surveys we were able to figure out
that the guests wanted more art, beverage, and music vendors. We also found out that the
guests want the festival to be bigger for next year, and they want a band to headline and
perform for the following year! This was exciting news because we, as planners, want the
festival to grow as well. We found great success with the surveys as they provided great
feedback for us.
Since we are using Facebook and Twitter to advertise for our festival, we plan on looking
at the comments people leave during and after the event. Guests will be commenting on our

Facebook page and posting tweets on Twitter all throughout or event broadcasting to all their
followers about Blue Moon Festival. We plan on checking these social media networks to see
what people are saying and gain extra feedback about our festival.
Section X: Conclusions and Evaluations
Logistically the event took place on the square in the afternoon and evening hours on
Saturday, May 21. The preparations started in the morning hours of the day and the pack down
and clean up took one and a half hours after the event was finished. The subcontractors that
we hired to string lights and perform the fireworks show took care of the pack up that involved
their services; this was included and discussed with their contract pricing. The traffic went
smoothly and was directed by the city, there was plenty of parking in the surrounding lots and
the attendees had even more opportunities to visit and identify local shops while traversing the
area. The Denton PD was able to help control the flow of traffic into the event and be available
for safety. The vendors that participated were very pleased with the connections they made
with attendees and with the chance to spread word of mouth about their products and
locations.
We had many wonderful volunteers who networked and connected with the attendees
with the participating businesses. They helped in shifts from start to finish of the event and we
gave out thank you gifts to them, which were planned within our budget.
This event was beneficial to both our company and the surrounding companies in the
Denton County. We believe at Blue Moon Festival that our well developed, planned, and
executed event will bring new clients to our company and the area. The festival brought the

community together and allowed for connections to be made and networking to take place.
The atmosphere that we planned was mystical and enchanted. The music, lights, fireworks, and
warm evening air hosted these ideals. The event was meant to bring people together in
meaningful ways and start the summer season with a positive outlook and we were able to
achieve that. We hope that our event inspired connections that last throughout the season. We
aimed to create great benefits to the county of Denton so that they will reach out to us in the
future for events that they need assistance planning.
Next year we plan to invite a band to headline at the festival in order to appease many
of the guests who commented from this year. We also plan to have more vendors and music in
order to make the festival bigger. We plan to expand on our original idea to attract more guests
and fully appease guest satisfaction.
