1. Introduction

The Betasoft Advanced Reporting suite provides a sophisticated reporting solution for SafeCom solution with Tracking or Pay capabilities.

The software bypasses the SafeCom server software to retrieve reporting data directly from the SafeCom database and

therefore ensures top performance and resilience to meet enterprise demands.

By utilising Crystal Reports technology many of the suite’s reporting templates allow drill-down to see further details

related to the summaries shown in the main report.

The suite’s Enterprise features provide for full automation of the generation and delivery of parameterised reports to relevant recipients.

Templates to meet particular customer requirements can be designed quickly and cost-effectively. User are not able to customise reporting templates themselves.

2. General Notes

Page refers to electronic impression and not paper pages. In a duplex printout there are usually two electronic impressions per sheet of paper. When a document has an uneven number of pages the last sheet of paper only holds one page

Data shown reflects the SafeCom device and user properties as defined at the time of the job. The following templates are an exception and perform a query on a lookup table in a separate SafeCom database to retrieve additional data.

3. Installation

Downloads

Installation files can be downloaded from the support section of the Betasoft website. Make sure you select the

appropriate version for your Windows OS architecture (32 or 64bit – x86 or x64). The download contains both the

software installer as well as the installer for the Crystal Reports runtime.

.Net Framework

If the computer does not have the .Net 4.0 framework or higher installed please install or upgrade to the latest version.

Installation

1. Extract the Advanced Reporting installation file

2. Install the Crystal Reports run-time (CRRuntime_xxbit_00_0_0.msi)

3. Run Betasoft.ReportViewer.setup.msi

4. Download and extract reports DLL (Betasoft.ReportViewer.Reports.dll) and copy the file into the program

folder.

5. Configure the database connection. Use Betasoft.ReportViewer.Config.exe from the program folder or Start

menu or program folder to do that:

If no database user has yet been created, selecting ‘Create In DB’ will perform that task, provided the logged on

user has the necessary privileges.

Select ‘Integrated Authentication’ to use the currently logged in user credentials to connect to the SafeCom

databases. Ensure the user has the necessary privileges.

4. The Desktop User Interface

Overview

Export

Print. Prints the current view.

Refresh. Prompts for new parameters and then refreshes the data displayed.

Copy. Copies the selected content on the page to the Windows Clipboard.

Toggle Parameter Panel. Not in use.

Toggle Group Tree. Shows or hides the tree view representing data groups.

Go to First Page. When a view spawns multiple pages this command will take the user to the first page.

Go to Previous Page.

Go to Next Page.

Go to Last Page.

Go to specified page.

Find Text. Searches for text in current view.

Zoom.

5. Enterprise Automation

Introduction

In order to automate the generation and delivery of Betasoft Advanced Reporting templates the suite provides a number

of tools.

Betasoft Report Runner

The ReportRunner is a command-line tool that takes the following command-line parameter:

ReportRunner.exe configfilename.xml

The ‘configfilename.xml’ details each report to be generated and delivered and specifies the following parameters per

report:

Summary Info (title, description)

Database Connection (DB server, integrated security or username & password)

SMTP Server details (server, port, optional logon credentials)

List of Reports. Each Report requires the following parameters:

o Reporting Template name

o Report parameters. Date parameters can have the following values:

PREV_MONTH_BEGIN_DAY - The first day of the previous month.

PREV_MONTH_END_DAY - The last day of the previous month.

PREV_MONTH_DAY_XX - The XX day of the previous month.

CURR_MONTH_BEGIN_DAY - The first day of the current month.

CURR_MONTH_END_DAY - The last day of the current month.

CURR_MONTH_DAY_XX - The XX day of the current month.

TODAY - Today.

TODAY_MINUS_XX - Today minus XX days.

TODAY_PLUS_XX - Today plus XX days.

dd/mm/yyyy - An absolute date.

Betasoft Report Runner Configuration Utility

The ReportRunner UI allows administrators to create configuration files for report automation.

Executable: Betasoft.ReportViewer.ReportRunnerUI.exe

Step-by-Step configuration of an automation script:

1. Create a new configuration file – File | New

2. Specify a title and Description. Default description is shown below.

3. Configure the SafeCom database connectivity.

4. Where report delivery by email is required a valid SMTP server connection must be configured.

5. Right-click the Reports item and select Add-Report. The list of available templates is displayed. Select a

template and click Ok.

6. Expand the Reports item again and click on the recently added template name. This will present the list of

parameters in this template. BEGINDATE and ENDDATE are mandatory. Available values are shown below and

can be selected with a mouse and copied to the clipboard using Ctrl-c.

7. Click on the ‘+’ next to the template name to add a delivery action. Right-click ‘Actions’ and select from ‘File

Action’ and ‘Email Action’

8. After adding an email option and selection that item the following screen appears. Provide details as

appropriate.

9. A File Action is configured as follows:

10. To Save the configuration file select: File | Save, and define a file name (retaining the XML extension) and

location. This produces the following XML script.

Note: The database user name and password is stored as encrypted when the ‘Encrypt’ button was selected in

step 3.

11. To execute an automation script open a command line window and run:

ReportRunner.exe MyAutomationScript.xml

12. To schedule this task use the Windows Scheduler.

4. Graphical Reports

Print and Copy Volume – All Graphs

Graph 1 (top): Shows the total number of pages printed or copied per day time hour for the entire report period. Only shows a bar where there is data for a particular hourly period.

Graph 2 (bottom left): Shows the total number of pages printed or copied per week day for the entire report period. Only shows a bar where there is data for a particular week day.

Graph 3 (bottom right): Shows the total number of pages per calendar month covered by the report period. Only shows a bar representing a calendar month if there was activity during that calendar months in any of the years covered by this report.

Groups records by the name of the queue the job was submitted to.

Data shown: Print queue name, total number of pages, sum of Price 1

Allows Drill-Down to show individual jobs that have been submitted to this print queue during the report period (Job name, user logon, SafeCom device name the job was allocated to, date and time, mono or colour, total pages, price 1)

Parameters: Report start and end date, print queue name (LIKE), Flag to control whether only push print queues are shown or both pull and push print queue.

Users – Balances

This template shows the current balance of all Pay users.

Groups records by SafeCom User ID

Data shown: User ID, user logon, balances in account 1 and account 2, balance in reserved account,

Users – Cashflow

This template shows a summary as well as user details for all cashflow through a solution. It shows all pay-ins

and all spend from accounts 1 and 2.

Groups records by user ID.

Note: In the SafeCom purse database a user logon can occur in multiple instances with multiple user IDs. This

takes place when a user is deleted and then re-created using the same logon name.

Data shown: User logon, user ID, total amount paid in to a money loader / kiosk, total amount paid in via the

cashier functionality, total amount of auto-payments (auto-payments are generated for example when a user

is deleted in order to clear the balance), total amount paid in via SafeCom ePay (Web payments), total

amount spend from account 1, total amount spend from account 2 and total amount spend from both

accounts.

Drill-Down: Shows an individual user’s transactions (transaction date-time, transaction type, transaction

string, transaction value, new balance on account 1 and 2, comment string)

Parameters: Report start and end date, user logon to filter records, Show reservations (true/false), Comment

string to filter records.

Users – Cashflow – by Department

This template displays summaries of Pay users’ cashflow grouped by their department (user description field)

Groups transactions by users’ description field (typically used to store a department name), then by user

logon.

Data shown: department/description, total amount paid in to a money loader / kiosk, total amount paid in via

the cashier functionality, total amount of auto-payments (auto-payments are generated for example when a

user is deleted in order to clear the balance), total amount paid in via SafeCom ePay (Web payments), total

Users – Cost Centre Summary

This template presents SafeCom usage data grouped by the users’ SafeCom Cost Code field.

Groups data by the SafeCom users’ Cost Code field.

Data shown: Total pages (impressions) printed or copied, total colour pages, total mono pages, total

impressions printed in duplex and total impressions printed in simplex mode, total colour cost, total mono

cost and total overall cost.

Drill-Down: Shows a summary of every user with a selected cost code with the same columns.

Drill-Down (2): When a user is double-clicked a list of all their jobs covering the period is shown (job name,

impressions, simplex/duplex, colour/mono, Price 1)

Users – Cost Centre Details

This template shows print and copy activity by cost centre. This assumes that the users’ cost centre

information is stored in the SafeCom User Cost Code field. With each cost centre all users who have been

using that cost centre for at least some of their output. Users can appear in multiple cost code sections. A

user’s cost code can be changed manually by an administrator, through an AD synchronisation or by users

themselves from their desktops using Betasoft Billing Lite. This template is typically used when report

generation and delivery is scripted and automated.

Data shown - for the cost centre as a whole and all its users individually: Total pages (impressions) printed or

copied, total colour pages, total mono pages, total impressions printed in duplex and total impressions

printed in simplex mode, total colour cost, total mono cost and total overall cost.

Drill-Down (2): When a user is double-clicked a list of all their jobs covering the period is shown (job name,

This template is suited for report automation where a departmental head will be sent a report of their users

and their usage details. Unless a value is specified for the Department parameter output by every department

and each of their users will be displayed.

Data shown: Total number of pages and total cost (Price 1) per user as well as every individual job for each

user. Jobs show the following information: Job name, device name, date & time stamp, simples/duplex,
