    Workspace Configuration

    Natural Light from your windows is great to make you feel good throughout the office day. However, if you are on video, light from windows can cause starker shadows. For best results have a lamp with a shade to one side of your camera.

    Make sure your background is free from clutter. Avoid slatted window blinds as they can cause issues with your web camera's auto exposure system. Try to cover windows or pull shades closed to minimize these issues ensuring you look your best!

    Make use of lights: You can redirect bright LED desk lamps, and many have adjustments for dimming and color temperatures. Try pointing the lamp light toward a nearby wall rather than pointing it straight at your face. If that doesn’t work, try taping a heat resistant material like this over the lamp. These techniques give a more pleasing look on the camera.

    Technical Considerations

    Test all your A/V settings before the meeting:

    Audio: • Always mute microphone when joining a meeting.• Check your PC’s setting to automatically adjust the microphone or

    mic level.

    Video:• Disable the mirror effect in video settings of your conferencing tool. • If you have lower Internet bandwidth (than shown below), do not

    connect to VPN as this lowers your external bandwidth. If still too slow, at least try to do introductions on video before disabling.

    Test your network (while NOT on VPN) before you call for support: Wifi issues: Use an ethernet cable to connect directly into your router for stability. For video meetings,

    Confirm your Internet cable/Wifi bandwidth of 2 to 8 Mbps download and 1 to 2.5 Mbps upload using an Internet speed test. On the web, try: http://speedtest.net, http://fast.com, or check your local ISP for internet speed tests

    It may seem cliché for IT support, but this is the first/best recommendation for troubleshooting a home network. If the SpeedTest* below reveals speeds lower than expected from your ISP plan, or if you have issues connecting to the Internet, first try rebooting your Internet router and/or cable modem. Restarting PC systems and networks is a good way to “start fresh.”

    Sharing Presentations & Content on a Low-Bandwidth Connection

    Hosting a meeting from a low-bandwidth connection effects all viewers. If you have low bandwidth issues at home the following tips will help keep your session solid:

    • Change your screen resolution before the meeting to 1280x720 – this lowers the size of the data your conference tool compresses and sends out (sharing).

    • Log off VPN – unless your on a Public network (i.e coffee shop) your company’s VPN will reduce your bandwidth, which is not needed for most web conferencing solutions (which can be encrypted).

    • Pause Online Backup Solutions (like OneDrive*, Google* Drive, or DropBox*) for the duration of your meeting

    • Close all applications not in use. Specifically make sure to close all applications that use the network (like Skype*, or other chat/IM apps).

    • Use hard wire (ethernet) connection if possible instead of WiFi*.• Plug in your laptop to AC power for best performance, then click the battery icon

    in the Windows toolbar and adjust to “Best Performance”• Share only the content/presentation vs entire screen. This will hide your toolbar

    and other applications, but uses less bandwidth.• Do not use Intel Unite to share unless you are in the same room.• Talk to your household before your meeting, ask them to stay off streaming

    entertainment services (Netflix*, Youtube*, gaming etc) or other apps that might utilize your network only for the duration of your meeting.

    Best tips for managing a professional PowerPoint presentation1. Know your content and be prepared with backups for anything “live”

    like a demo. Rehearse with a friend or colleague to gain confidence.

    2. Limit the words on the slides, but be prepared to speak to these important bullets.

    3. Know your audience. Be prepared to speak to engineers and executives

    4. Modulate your voice with emotion. Monotone speaking is like a lullaby

    5. Start strong and end strong. Impactful Intros keep attention longer and conclusions give a chance to review and make plans for next steps.

    6. Align colors and fonts across your presentation. Use an approved template for your organization is recommended.

    7. Use hotkeys - F5 to quickly launch into presentation mode. Shift-F5 to begin presenting from current slide

    Suggested Hardware

    Camera

    A High quality (1080P) webcam is suggested for meeting customers on video. Ideally, your outgoing video is at least 720p but is encoded. 1080p ensures a good output for web-based meetings. 4K is slightly better, but not necessary in most cases.

    Audio

    A USB or wireless headset with an ACTIVE noise cancelling microphone is best. This will help significantly reduce background noise in meetings.

    Keep It Professional

    Remove all interference: Avoid pets, kids, parents, or anything else moving around behind you. This can be distracting and cause you (or worse your customer) can become distracted and lose the impact of the discussion. Talk to your household before the meeting and maybe consider a sign on your workspace door when you are busy.

    If you’re working on video:

    Dress appropriately for meeting in person. Follow the same guidelines you would if meeting them on site.

    Don’t spin around or move a lot in your chair: The effect can be disorienting to the viewer, and sounds picked up may be a lot louder than they appear to you.

    Remote Meeting Best PracticesLike you’re meeting them in person

    • Make sure to prepare in advance with your platform and content

    • Greet them and run the meeting as if they are in the room

    • Speak loudly and clearly so you are well understood

    • Prepare in case video is used:

    • Dress like you’re meeting them in person

    • Don’t slouch and remember your body language

    • Cosmetic use is up to you, but feel good and comfortable. That said, a little powder can help with shine

    Running a Video Meeting – Best Practices

    • Include in the invite that you are going to ask people to use VIDEO so please be prepared to present with their camera on.

    • Attach a picture of a video camera in your calendar invite so the request stands out more.

    • Ask everyone to turn their cameras on for just the introductions portion so you know who is in the room (then allow people to turn off their camera for the rest of the meeting if needed)

    • Write out your message in a friendly, approachable tone

    • Rehearse your delivery out loud until you're comfortable with your script

    • Don't worry about memorizing your script, each studio has a teleprompter

    1. The camera does not provide feedback, act like your talking to a person

    2. Slow down and enunciate clearly

    3. Use your hands naturally

    4. Don’t slouch or move around, stand tall and look at the camera.

    5. Use facial expressions that meet your message

    6. Understand your audience so you can speak at their level

    7. Dress for your audience

    8. Write out message- Use the teleprompter. You don’t need to “memorize your lines”

    9. Remember the power of your background. Never wear green in front of green screen!
