    COMMITTEE REPORTS

Architectural Control Committee Robert Lloyd, Chair

    [email protected], 907.223.4577 November 15, 2016

Minutes of the November 1, 2016, ACC meeting was available for review. Items discussed during the ACC meetings included:

    November 15, 2016 8ayshore HOA Minutes - Page 1

  • Update on businesses operating in Bayshore

    • Amber Bay Loop Lawn Service. The renters have moved out after receiving a violation notice when their lawn service vehicles and equipment created parking and traffic disturbances. The owner will notify future renters of Bayshore CCRs.

    • Amber Bay Loop Snowplow Operations. The direction from the ACC committee was to use MOA regulations for Home Occupations to discourage the operation of the snowplow business from the residence. Snowplow trucks parked on Amber Bay Loop hinder city snowplow operations. A letter will be sent to the owner outlining possible violations and a copy of MOA regulations for Home Occupations.

    • Kvichak Lawn Business. No complaints have been received on business operations. However, owner is parking equipment in the side and back yards on lawn/gravel. ACC Inspector will request owner build a wood screening fence.

    Violations discussed

    • Boats on Lawn on Marmot Circle. Owner has submitted a request to build a wood screening fence. Request will be granted provided the fence is built by May 31,2017.

    • Marmot Circle. Several owners/renters have been contacted regarding lawn care, unsightly premises and improperly parked vehicles.

    • Scammon Bay Renters. ACC Inspector to send out violation notice if it is determined that construction equipment is being stored in the backyard. Renters are driving on the lawn to and from backyard, possibly with equipment.

    • Sleeping Lady Lane. Owners placed trees and shrubs in greenbelt. ACC Inspector will investigate.

Nextdoor.com Nextdoor is now being used by 200 Bayshore residents. A notice will be put on the event board asking residents to stay informed by joining Nextdoor. "Restricting" email notifications to Bayshore only will prevent a flood of emails.

Volunteer form A suggestion was made to have the volunteer form available on the website.

    FACILITY REPORTS

    Neighborhood Watch

Bayshore Owners Association Operations Susan Jensen, MPA, General Manager [email protected] 907.522.4909

    November 15, 2016

Last month the Architectural Control Committee (ACe) talked about reviving neighborhood watch. After review and discussion, the general consensus is to use Nextdoor.com and increase neighborhood participation. Nextdoor.com is a blog for neighbors to chat about things going on the crime and safety, neighborhood events, classifieds, and more. Many incidences are being talked about online such as car break-ins, bike thefts and more.

Very recently neighbors have renewed interest in Neighborhood Watch on a Bayshore FB blog set up by Board member Joe Steger and his wife Analisa. I have offered to set up a meeting with

    November 15,2016 8ayshore HOA Minutes - Page 2

  • Anchorage Police Department Neighborhood Watch folks where neighbors can get together and hear about the formal program and also discuss security concerns and any course of action neighbors can do working together. Crime in our area of town is on the rise as you can see from a few instances noted below.

Article WRONGLY naming Bayshore Bayshore Board member Mohammed Naviwala reported the article at right to the Bayshore Owner Association office. I contacted the author of the article and was able to obta in the address of the incident. The people in question lived in Seclusion Bay which is part of SOUTHPORT. I let the ADN know that these are distinct neighborhoods and the importance of correcting the article to reflect it was not in Bayshore, especially since that was in the tit le. They quickly made the correction to the online version which now reads:

"Federal prosecutors: Southport resident convicted on coca ine charge"

Egging by White Pickup A neighbor on south Amber Bay Loop had a car in their driveway egged by people in white pick-up at 10:45 p.m., Thursday evening, October 27. A check of video showed it drove past Bayshore Clubhouse in an easterly direction with headlights out, then sped up as they bounced over the speed hump and threw the eggs. The occupants can be heard laughing loudly in video that owner took.

  • Budget 2017 Initial documents reviewing the budget were made available to Board Members earlier this month. Although the economy has been flat expenses go up each year. A modest dues increase may be necessary to keep providing the level of services the neighborhood has grown to expect. Next year will mark four years with no dues increase. The last two increases were $10 on July 1, 2008, with $5 going towards capital project savings and on July 1, 2013, for $15 per month, with the full $15 going towards current and future capital projects.

    Pool Waiver

Bayshore Owner Association Maintenance Report Jeff Johnson, Maintenance Supervisor

    [email protected] 907.522.4914 November 15, 2016

Board President Michael Stahl is working on getting a waiver regarding the violation issued Fall 2015. A pool inspector came by in August and said they would return but have not so far. It was a different inspector than we had last year. She left no report for us so we assume she will be back. They post results online.

lift for Stairs We have two local bids and have reached out to Seattle companies at Board's request to check rates for installation in Anchorage. Three Seattle companies were contacted and do no work here. A Fairbanks firm was also contacted and does no work in Anchorage. My understanding is that stair lifts will be discussed at 2017 budget review in November and December.

Miscellaneous During routine cleaning of women's sauna on October 25, I found glass on the floor. It came from the glass cover that goes over the light bulb. I'm going to guess that the same person who has been removing it in times past and finally dropped it. I have replaced it with a new polycarbonate one that hopefully won't break as easily. That little slip cost BOA $77.05 plus $10.50 in shipping. Why someone would want to remove it and unscrew the bulb is beyond me. The light switch is working just fine. Several emergency light batteries and one emergency light fixture have been replaced.

The UV bulb for hot tub was replaced. Water flows through a chamber and when it flows past this light it helps destroy bacteria. It is part of the sanitation system. Cost $99.00.

Skid strips were added to walkway slope from Sleeping Lady and Marathon down to pond boardwalk. This area can be very slippery when wet or icy. The skid trips will help eliminate slip possibilities.

Tennis nets are stored away for the year. Four-wheeler and snow-blower have been prepared for winter use. Three vent tables have been repaired. Women's locker room drain was clogged with a huge wad of hair that was about a foot long. I flushed it with hot water and it is draining well now. Preschool sink was clogged due to a boy scout project. I contacted the scoutmaster to let him know how to avoid that in the future. I was able to successfully unclog the drain once I found out what material was in there. I helped Event Manager Glenn Hagberg hang the new speakers for event room. This helped keep installation costs low. I made sure to find studs to hold the brackets. Three of four heart monitors on treadmills are not working so a technician will be coming this week.

    Clubhouse Sound System

Bayshore Clubhouse Event Report Glenn Hagberg, Event Manager

    [email protected] I 907.522.4910 November 15, 2016

The components for the new sound system have arrived and have been installed in the Clubhouse. What an incredible improvement to the guest experience for those who require a sound system for their event. We have installed a mixer, a professional handheld wireless microphone, an AM/FM tuner and two powered speakers. We are able to play radio stations; music from a phone, tablet, laptop or any MP3 player; audio from the Blu-Ray player, TV or a laptop or other device set up by the TV; and/or a CD player. The cost of this first phase of the purchase of the sound system came in more than $800 under the board-approved budget for the project.

Ararat Electric installed new outlets for the speakers, and an outlet under the sound system box that replaced a worn-out outlet that plugs would fall out of. Sarkis Ovsepyan lives in Bayshore West and is the owner/operator of Ararat Electric. He was one of the vendors at the 2016 Bayshore Home Improvement Fair.

Halloween Carnival The Annual Halloween Carnival was held on Friday, October 21. The event drew 49 kids and 35 adults. We received positive feedback with one parent saying it was the best Halloween Carnival

    November 15, 2016 8ayshore HOA Minutes - Page 5

  • they have been to. Others thanked us for sponsoring this fun activity for the chi ldren. There was a golf game, a fishing pond, a craft corner, a lollipop pull, a bobbing for apples activity, a bean bag toss, a bowling game, and more. The game stations were operated by eight teen vo lunteers, two part-time staff helpers, and Susan Jensen with support from Glenn Hagberg and Brook Storch in the office. The kids also enjoyed snacks including fruit and juice. Each child left with a goody bag stuffed with fruit snacks, candy and a gift certificate to Wendy's Restaurant.

If this event is he ld aga in in 2017, we will schedu le it for a Thursday or other weekday, leaving Fridays available for booking events.

Just over a week later on Ha lloween, the Bayshore Clubhouse was a popular place for trick or treaters. They not only received candy from a neighborhood vo lunteer, they cou ld warm up and use the facilities before visiting other homes in the area. Reports are that there were a large number of kids on the streets on Halloween.

Holiday Bazaar The Bayshore Holiday Bazaar was held on Saturday, November s. In spite of not holding the event on the same day as the City Church Holiday Bazaar, and competing with the Anchorage Holiday Food and Gift Festiva l at the Dena'ina Center, the Bayshore Holiday Bazaar was well attended. Brook Storch coordinated the event and was on hand all day to answer questions from vendors, and more. We also had another staff member taking care of the facil ity for homeowners using the pool and fitness room as we ll as helping vendors and attendees. We also had a part-time staffer don a f luorescent orange vest and help guide arriving attendees into lega l parking spots around the Clubhouse.

Budget As far as events go, I am submitting what I be lieve are important budget items to keep moving forward and making the Bayshore Clubhouse a multi-use facility to increase revenues. We are looking to get more chairs that wou ld be used for the outdoor weddings in the summer. Maintenance Manager Jeff Johnson has cleared out an area that wi ll enable us to keep the chairs inside a secure area and out ofthe elements. Another market that we can go after is business meetings. These are normally he ld during the weekdays. Those groups who are holding retreats, meetings or training sessions require certain amenities that we currently don't provide. To attract th is segment of the market, we need to be ab le to offer audio visua l (projection, PowerPoint, etc.), flip chart, linen, coffee and water, catering (with those professionals) and other services other faci lities have. Budget items to get us closer to being a business meeting destination will be included.

  • Website Overhaul We are in the midst of a complete overhaul of the Bayshore website. Once our current site is proofed and corrected, the instructions to our website host will be sent. A new design will take more than three weeks to get done. We are planning to have an opening image with a welcome message along with a few general choices along the top of the screen. Visitors to the new site would then have three choices: Homeowners; Event Rentals; or Bayshore Early Learning Center. Within each of these choices there would be appropriate pages for whatever the web visitor is looking for information on.

Newsletter We are working on getting the next issue of the Bayshore Buzz newsletter published. In this issue will be holiday hours, neighborhood news and upcoming events. If you have an idea for an article, please let Glenn know.

OLD BUSINESS Pool waiver. Michael Stahl updated the board on the status of the waiver.

NEW BUSINESS Noah Streit, Troop 104. Noah discussed a proposed Eagle Scout project of installing a bench on either side of the sign near the east entrance to the pond boardwalk. The benches will match earlier benches installed by another scout and will be at an angle that will encourage discussion among visitors.
