Context Batchelor Institute of Indigenous Tertiary Education was established for the tertiary education of Indigenous people of Australia and the provision of other educational and training programs and courses, and facilities and resources for research and study. 2. Position overview This position is responsible for the day to day management of information, data and analysis for strategic planning within the Operations Division; contract administration and completion; policy development and budgetary processes including forecasting of project costs; potential business growth and control of official contract data collections; development of funding applications to government; provision of advice; and project and event management as required. This role will be deadline driven with tight schedules to internal team members, other divisions and external stakeholders. That said time is largely self-managed with oversight from the Chief Operating Officer. A key aspect is to prioritise meeting the needs of the various stakeholders (internal and external) that require assistance. 3. 1. Context

Batchelor Institute of Indigenous Tertiary Education was established for the tertiary education of Indigenous people of Australia and the provision of other educational and training programs and courses, and facilities and resources for research and study.

2. Position overview

This position is responsible for the day to day management of information, data and analysis for strategic planning within the Operations Division; contract administration and completion; policy development and budgetary processes including forecasting of project costs; potential business growth and control of official contract data collections; development of funding applications to government; provision of advice; and project and event management as required.

3. Detailed Statement of Duties

3.1 Support the Chief Operating Officer in the development of strategic papers.

3.2 Manage the commercial quoting process and ensure appropriate correspondence and attachments are submitted in a timely manner to all prospective clients.

3.3 Create a process to support this including:

(a) Meeting statutory requirements of the Institute(b) Maintain corporate records using an internal filing system which contains all the hard

copies of the above documentation(c) Ensuring the security of all files and for the maintenance of complete confidentiality

of all matters associated with their work(d) Documentation on myShare, costing models, quotations, agreements, MOU’s

3.4 Coordinate key preparation of contract, plans and project documentation.

3.5 Identify external funding opportunities and coordinate the submission of key tenders.

3.6 Ensure the Institute remains abreast of the key developments of the national and local funding initiatives.

3.7 Coordinate the creation and submission of key business plans and sector projects.

3.8 Assist in implementing systems and processes to provide comprehensive, timely and accurate business plans.

3.9 Create and implement contractual processes that ensure compliance, risk management and budgetary requirements.

3.10 Ensure appropriate legalise around all funding agreements including; contracts, funding business governance and policy.

3.11 Provide high level advice and leadership in regards to business growth and development.

3.12 Ensure Occupational Health and Safety Compliance. Work safely and comply with the Work Health and Safety rules, standards and best work practices within the Institute. Report hazards, correct where possible and contribute to the achievement of work, health and safety initiatives.

4. Essential selection criteria

4.1 Demonstrated capacity to work within the social, political and cultural environments of Indigenous Australian communities and organisations.

4.2 Experience in the management of project finance and successful project management experience; and contract and grant management experience.

4.3 Tertiary qualification in Business, Commerce or Management.

4.4 Demonstrated interpersonal and organisational skills with leadership capabilities including the ability to develop mentor and manage individual staff.

4.5 Demonstrated business writing skills particularly the ability to write business plans, policies, marketing plans and communications of the Institute.

4.6 Demonstrated experience in providing executive support to governing or senior advisory committees with the ability to work with and interpret relevant legislation, policies and procedures, including those related to financial and records management.

4.7 The ability to contribute to the broader work of the Institute through internal and external working groups and committees, networks and alliances.

4.8 Must hold a current working with children clearance ‘Ochre Card’; possess a current criminal history check; and hold a current driver’s licence.

4.9 Understanding of Work Health and Safety principles and practices, and ability to comply with Institute WHS Policies and Procedures.

5. Desirable selection criteria

5.1 Experience working in a Tertiary Education setting, either Higher Education and Research, or Vocational Education and Training, or a combination of both.
