• Handheld Bar Code scanner

• Small Laser Printer for creating ID Badges with Bar Codes

• Laminated ID Cards

How to use scanner

• Unpack scanner and plug USB cord into computer.

• Find scanner instruction book and scan codes under “Add an Enter Key”

• Open PA-411E and click on first cell in License Number column.

• Scan bar code – after each scan the cursor should automatically advance down the column to the next row.

How to print ID cards

• Install the barcode font on your computer.• Open ID card template file in MS Word.• Type in name and license number.• You must leave * at beginning and end of

license number in order for scanner to work.• Print ID cards using Avery self-laminating ID

cards.

Training event setup

• Download a copy of the TDA Applicator database just prior to the event. Place it on the notebook computer that will be used to register attendees

• Scroll down to Ag Pesticide Applicators Currently Licensed • Download in Excel format• Setup a notebook computer, printer and USB barcode scanner• Start Microsoft Excel and open the appropriate TDA attendance form• PA-418E – SPCS Recertification Attendance Form (structural)• PA-411E – Pesticide Agricultural recertification Attendance Form • Complete top fields in form and Save As with file name identifying

the event

• Scenario 1 – Participant registering has an ID card

• Scan card & visually verify the License number displays correctly in the spreadsheet

• Scenario 2 – Participant registering does not have an ID card• Have the participant fill in a paper attendance form giving at

a minimum their First and Last Names and their Pesticide Applicator License number.

• While the training is going on, look up the participant in the TDA database and confirm the name and number are correct.

• Print an ID card using the Avery 5361 self-laminating ID cards and the Word template.

• Scan the card to populate the report form • Place the card out for the participant to pick up at the end of

the event.

• Scenario 3 – Participant has an ID Card but did not bring it• Ask if they need a new card.• If so:• Have the participant fill in a paper form giving at a minimum their First and

Last Names and their Pesticide Applicator License number.• While the training is going on, look up the participant in the TDA database

and confirm the name and number are correct.• Print an ID card using the Avery 5361 self-laminating ID cards and the Word

template.• Scan the card to populate the report form • Place the card out for the participant to pick up at the end of the event.• If Not:• Look them up in the TDA database and enter the information in the

attendance form manually.

• Scenario 4 – Participant does not have a TDA Applicator License

• Keep a separate attendance roster for these; they should not be entered on the TDA Attendance form.
