This guide documents the Banner® Accounts Receivable 8.4.4 release, which includes enhancements, request for product enhancements (RPEs) and problem resolutions.

System Requirements
Before you install and use Banner Accounts Receivable release 8.4.4, you must install the Banner General release 8.3 and Banner Accounts Receivable releases 8.4, 8.4.1, 8.4.2, and 8.4.3.

Account Comments Enhancement - Functional
Prior to this release, comments could be entered directly on a number of forms within Banner Accounts Receivable, including the Comment Central Form (TGACOMC). Comments were limited to 60 characters per line. This character limit was not sufficient since it forced you to frequently abbreviate words and use multiple lines to record a single comment. To address these issues, enhancements have been made to Account Comments functionality as follows:
• Modifications to the Comment Central Form (TGACOMC) to allow you to enter longer comments in a single text box.
• A new Comment Code Validation Form (TTVCMNT) to allow you to defined comment codes to associate with account comments.
• A new Comment Mass Entry Form (TGACMAS) to allow you to quickly create comments to multiple accounts.
• A new Comment Text Validation Form (TTVTEXT) to allow you to create comment text to be used when creating comments via mass entry form or batch processing.
• A new Comment Create Process (TGRCOMC) to allow you to quickly create comments to multiple accounts.
• A new Comment Purge Process (TGRCOMP) to allow you to purge comments using various criteria.
• A new Comment Report Process (TGRCOMR) to allow you to print comments using various criteria.
This enhancement resolves the following RPE's: 1-17KMQD7, 1-HNWG0Z, 1-2UZEBJ and 1-5ZC2OP.
New Forms
The forms in this section are new with this release.
Comment Mass Entry Form (TGACMAS)
This form allows you to quickly create the same comment on multiple accounts. The comment can be directly entered on this form, or defaulted using a Text Code from the new Comment Text Validation Form (TTVTEXT). Comments entered on TGACMAS will immediately update the Account IDs and can be reviewed on the Comment Central Form (TGACOMC).

Default Values block
Field values entered in this block default into the Detail block.
Fields Descriptions
Comment Type The Comment Type field is used to add a comment type such as Collections. Valid values come from the Comment Code Validation Form (TTVCMNT). Only active Comment Type Codes can be used when creating new comments.
Originator The Originator field is used to show the office the comment was added by, for example, the Admissions Office or the Bursar's Office. Valid values come from the Originator Code Validation Form (STVORIG). The Originator defaults from the Comment Code Validation Form (TTVCMNT) and can be changed.
Term The Term field displays the term associated with the comment. The Term field is required if the comment code requires term on the Comment Code Validation Form (TTVCMNT). Enter a value, or select a term from the Term Code Validation Form (STVTERM).
Restrict Update The Restrict Update indicator determines if the comment can be updated only by the user who created it, or by any user. Valid values are Y(es) and N(o). Y indicates the comment is restricted and can be updated only by the user who created the comment. N indicates the comment is not restricted and can be updated by any user. The Restrict Update indicator defaults from the Comment Code Validation Form (TTVCMNT). If the defaulted Restrict Update value is Y, the value cannot be changed to N. If the defaulted Restrict Update value is N, the value can be changed to Y.
Purge The Purge field allows you to indicate if the comment can be deleted or purged. Valid values are Y(es) and N(o). Y indicates the comment may be deleted or purged. N indicates the comment will not be deleted or purged. The Purge field defaults from the Comment Code Validation Form (TTVCMNT) and can be changed.
End Date The End Date field displays the date when the comment expires. The End Date field is required if the comment code requires an end date on the Comment Code Validation Form (TTVCMNT).

Detail block
Values entered in the Default Values block for these fields default into the fields in this block. You can type over these values, unless specifically noted in the table below.
Text The Text field allows you to enter the text code of the comment you want to create. Enter a value, or select a text code from the Comment Text Validation Form (TTVTEXT). When a text code is entered, the associated comment from TTVTEXT is defaulted into the comment field and can be changed. If the Text Code is not entered, then the Comment field must be entered.
Comment The Comment field allows you to enter up to 32,000 characters per comment. The comment text auto-wraps within its window. If you select the Comment edit button, the Editor window appears. From here you can insert and update comments, as well as search and replace on the text within the comment. If the Comment field is not entered, then the Text field must be entered.
Fields Descriptions
ID ID for the person or non-person associated with this comment. You can choose an ID from the Person Search Form (SOAIDEN), the Non-Person Search Form (SOACOMP), or the Alternate ID Search Form (GUIALTI).
Name Name of the person, or non-person. Display only.
Comment Type The Comment Type field is used to add a comment type such as Collections. Valid values come from the Comment Code Validation Form (TTVCMNT).

This form allows you to define comment codes and default values used for comments entered on the Comment Central Form (TGACOMC), the Comment Mass Entry Form (TGACMAS), and used as a parameter on the Comment Create Process (TGRCOMC).
Restrict Update The Restrict Update indicator determines if the comment can be updated only by the user who created it, or by any user. If the Restrict Update value is Y, the value cannot be changed to N. If the Restrict Update value is N, the value can be changed to Y.
Purge The Purge field allows you to indicate if the comment can be deleted or purged. Y indicates the comment may be deleted or purged. N indicates the comment type will not be deleted or purged.

Code The Comment code for person and non-person comments.
Description The description for the Comment code.
Originator Originator is the code of the originator of the comment. The originator could either be an office or individual. Valid values come from the Originator Code Validation Form (STVORIG). This value can be left blank, or you can enter the originator to be used as the default when creating comments.
Term Required Indicates whether the term is required for the associated comment code. The valid values are Y(es) and N(o). Y indicates that a term must be entered when using this comment type code; N (default) indicates that entering a term is optional.
End Date Required Indicates whether the End Date is required for the associated comment code. Valid values are Y(es) and N(o). Y indicates that an end date must be entered when using this comment type code; N (default) indicates that entering an end date is optional.

Comment Text Validation Form (TTVTEXT)
This form allows you to assign a text code to a comment. The text code can then be used to create the associated comment in mass via the Comment Mass Entry Form (TGACMAS) or the Comment Create Process (TGRCOMC).
Restrict Update Indicates the default restrict update value for the comment code. Valid values are Y(es) and N(o). Y indicates the comment record associated with the comment code is restricted and can be updated only by the user who created the comment. N (default) indicates the comment record associated with the comment code is not restricted and can be updated by any user.
Purge Indicates the default purge value for the comment code. The valid values are Y(es) and N(o). Y (default) indicates the comment code may be deleted or purged. N indicates the comment code will not be deleted or purged.
Active Indicates whether the comment code is active. The valid values are Y(es) and N(o). Y (default) indicates comment code is active. N indicates comment code is not active.
Activity Date Date the record was last updated. Display only.

Description The short description for the text code.
User ID The ID of the user who last updated the record.

The forms in this section have been changed for this release.
Comment Central Form (TGACOMC)
This form has been redesigned and modified to allow comments of up to 32,000 characters to be created. As of this release, TGACOMC is now the only form used to record and display specific comments about a person or company. Comments are sorted by activity date (newest to oldest). You may query on other fields to review only those comments matching specific criteria.
Key Block
Use the key block to enter the ID of the person or company for whom you want to enter comments. Use the Comments Information block to enter comments about the person or company established in the key block.
Main Window
Use this window to enter comments for a person or company. The following fields are used on this form.

A link to the Display Holds Form (SOQHOLD) has been added to this form via the Options Menu.

This form has been modified to remove the ability to directly enter comments on the form. All comments are now entered on the Comment Central Form (TGACOMC).
Installment Plan Form (TFAISTL)
This form has been modified to remove the ability to directly enter comments on the form. All comments are now entered on the Comment Central Form (TGACOMC).
Collections Form (TGACOLC)
This form has been modified to remove the ability to directly enter comments on the form. All comments are now entered on the Comment Central Form (TGACOMC).
Customer Profile Definition Form (TGACPRF)
This form has been modified to remove the ability to directly enter comments on the form. All comments are now entered on the Comment Central Form (TGACOMC).

New Processes
The processes in this section are new with this release.
Comment Create Process (TGRCOMC)
The TGRCOMC process is used to create a comment, common to multiple accounts. This process can be run using a population selection or in mass. When this process is run in mass mode, a comment will be created for all SPRIDEN accounts. It is recommended that you run this process first in audit mode and verify the results. Audit mode produces a report listing of the Accounts for which a comment will be created without updating the database.
Prior to running TGRCOMC, a Text Code must exist on the Comment Text Validation Form (TTVTEXT) for the comment you wish to create. Use the TTVTEXT form to map a text code to a specific comment.
Warning! When using a job scheduler, we recommend the use of a specific, valid User ID when creating comments. If a generic User ID is

used and comments are created with the Restrict Update indicator set to Y(es), users will be prevented from updating the comment.

03 Run Mode Yes Enter a value to indicate whether Banner will run the process in Audit (A) or Update (U) mode.
Audit Mode will produce a report but will not update the database. Update mode will produce a report and update the database.

If the Originator parameter is populated, the run time parameter value will be used for each comment created.

Comment Purge Process (TGRCOMP)
The new TGRCOMP process enables you to purge comments based on parameter information you provide. All user comments matching the parameter criteria selected will be deleted, unless Purge Ind is No. It is recommended that you run this process first in audit mode and verify the results. Audit mode produces a report listing of the Accounts selected for purge without updating the database.
Warning! When running the batch Purge Process, comments with the Purge Ind = Y that match the parameter criteria will be purged without regard to the value of the Restrict Update indicator.

TBRCMNT Conversion Scripts
Prior to 8.4.4, all comments were associated with the form from which the comment was created. For example, if TBRCMNT_FORM =TSADETL, this means the comment was created on TSADETL. As of 8.4.4, all comments are associated with a Comment Type Code.
Script tttvcmnti_080404.sql identifies form acronyms that currently exist in the TBRCMNT_FORM column and inserts the form acronyms into the new TTVCMNT table to create Comment Type Codes for each form, for example, TSAAREV, TFAISTL, etc.
Script ttbrcmntu_080404.sql converts pre 8.4.4 comments to the new table structure.

Requested functionality
Provide the ability to query in the ID field on the Cross Ref tab of TFADETL/TSADETL when viewing a sponsor account.
Resolution
This RPE has been resolved by enabling the ability to perform a query in the ID field on the Cross Ref tab. Please note that you must enter the entire ID in order for the query to return only matching results. Wildcard query (for ex, S%) is not supported.
