Personal leadership skills matrix

Effective communication is like a back bone in carrying out the tasks successfullyleader communicates the vision in a simple and easy way he imagines or picturesthe certain situation and then explains it to his subordinates and takes their feedbackthat have they understood the vision and if there is any dou bt or concern then clarify

it. Leader communicates goals using SMART formula because this way they arerelatively easy to communicate, understand and carry out otherwise it is difficult to doso. A leader must have to ability to assess the strengths and weaknesses of staff and use them to coach for continuous improvement.

Listening skills   Personal thought Why

It is very important that theleader listens to the teammembers carefully andshould respect the ideas of his/her subordinates.Because listening is one of

the most effective tools, listening to human being is apowerful involvement tool; ithelps the speaker feel thatthe person listening wants tounderstand what the speaker has to say. It encouragespeople to open up, and tobecome involved. If no onelistens, people won¶t becomeinvolved, because they willrecognize that no one valuestheir opinions and this might

lead a conflict in a team.

I consider myself to be a verygood listener, i listen topeople with my utmostattention and try tounderstand the messageother person is trying to

convey.

A very basic principle of communication is that if thereis a message conveyed tothe other person the persongiving the message mightthink that communication is

all about giving theinformation to the other person but the person on thereceiving end might not listenit carefully so in a way thiscommunication didn¶t takeplace because listening is avery important skill toposses.

Trust your subordinates Personal thought Why

Trust is the solution to thefears and risks of failure, trust means confidence inyour leadership and team¶sability. When trust prevails, team members are morewilling to go through adifficult process, supportedthrough ups, downs, risk andpotential loss. Trust is mostefficiently established when

leadership commits to visionfirst, and everyone knowsthose commitments aregenuine. Trust on each other is very important because aswe all know that no one isperfect we all make mistakesbut it is very important thatwe have trust on each other

Trust is inevitable in theworking relationship ipersonally think that i amquite good when it comes totrusting my work colleagues, because i understand thatyou need to prevail anatmosphere of harmony andtrust in order to achieve thedesired results.

When different people fromdifferent backgrounds worktogether in an organisationtrust is one thing which isdesired by ever manager inthat organisation becausedespite of the fact that thoseindividuals have their individual differences butthey are working for acommon objective on a

single platform trust workslike the glue it keeps themunited and produces fruitfulresults both for theindividuals and theorganisation.

8/8/2019 Ayaz PDP

http://slidepdf.com/reader/full/ayaz-pdp 6/13

that if we work together as ateam we can come up withsomething very good.  Help others  Personal thought Why

Not everybody is good atwork so the leader must

understand the role of supporting other teammembers; they all need towork together for the benefitof the team and for themselves. They should besupportive to each other inall the circumstances andhelp any team member whois struggling. In short they should haveknowledge of theorganisation the industry in

which it operates, their job, culture of the organisation, knowledge of team workingand for skills they shouldhave interpersonal skills, good communication skills, stress handling skills and askill to understand their everyhuman being is different withtheir own likings anddisliking.

helping others is in my bloodi in most of the situations will

help others even though imight have to put myself inthe second position, this tome is very good quality tohave especially if you haveto lead other people, whybecause you as a leader isthere to facilitate the smoothrunning of the operations andalso it is your responsibility todevelop and nurture your subordinates for them tobecome to future leaders.

as we know that noteverybody is like all guns

blazing so it is important in aworking environment that theleader should take this intoconsideration and realisethat there will be some of hisordinates who might needlittle help here and there inorder to complete the tasksnow if the leader doesn¶trealise this or is not willing tohelp to some of his slowburning subordinates theymay very well be able to

complete the task but theymight have left somediscrepancies in that or mightnot be able to complete thetask all together.

Manage Conflicts Personal thought Why

  A leader could manage the

conflicts effectively throughimproved communicationand increased consultationwith the conflicting groups.First of all gather all theinformation and then call in ameeting with the conflictinggroups listen to their point of view carefully try tounderstand the roots of theconflict and try to addressthose issues which causedthe conflict. Don¶t rush

towards a solution becausethis way you either maycome to immatureagreement or make thesituation worse. Keep intouch with the groups whoare opposing your ideas bepatient with the negotiationsdon¶t try to solve the conflict

Managing conflicts is what i

have come across frequentlyin my domestic life so iconsider myself to be on themark in terms of managingthe conflicts successfully, aswe all know that we cannotget rid of the conflicts alltogether because they arethere all the time no matter how good we practise theproceedings, the actual testof the leader is to effectivesolve the conflict not to avoid

it or to mismanage it.

Over time there are different

type of conflicts which ariseswithin the organisations soas i have mentioned beforeas well that a successfulleader is not the one whocan avoid the conflicts butthe who can effectivelymanage the conflicts now if the conflicts are noteffectively managed theycould be very damaging for the organisation becausethey disrupt the flow of the

work and also drain theresources of theorganisation.

with intimidation because itwill not lead to a long lastingagreement.

SWOT Analysis

SWOT analysis is basically a marketing tool used for the strategic decision makingbut it could also be very useful in an individual¶s context because in this type of analysis you can highlight your strengths and weaknesses to go with theopportunities and the threats. Once you know what your strengths and weaknessesare then you can work towards the next bit which is to make maximum use of theopportunities in hand and try to be aware of the threats I know it¶s not possible toholly get rid of the threats but what you can do is to be aware of the major threatswhich can have huge influence on our lives. SWOT analysis could give us a verygood starting point about our professional and personal development because it canhighlight all the relevant factors about us as of what kind of strengths we posseswhat are the weaknesses and so on.

PEST Analysis

It is the analysis of the external environment which t he most of organisation uses inorder to have a better picture of the external environment and then act accordingly. As for an individual this analysis could also prove very useful because this analysistells you what factors can affect you in what way now it¶ s down to you to come up

with such plans so that you make maximum use of the factors which will work in your favour and to minimise the effect of the factors which are not so favourable.

Communicating the plan

As far as the question of communicating my pdp is concerned i will need to see mysupervisor regularly and show him/her my progress and also take some usefulfeedback and make positive use of that feedback. It is very important part of the pdpbecause if you don¶t communicate your plan in a good manner than you are likely tohave some difficulties in achieving your goals. It is very important that you should letyour supervisor know how you feel at the each stage as you go along what kind of development are you seeing in yourself and so on because then your supervisor canknow that you are on the right track and there are results to be seen

Implement the plan

Implementation is no doubt a very important part of the pdp now how do i do thatwell i need to set up clear goals and set out the criteria to achieve those goals and

then make sure that i am working correctly towards achieving those objective. It is very important to be clear in your head about your future because this will thenallow you to pull are the forces together and work to achieve your goals.

Review and monitoring

Keep reviewing your pdp against the initially set objectives because if don¶t do so atthe end of set time u might have some discrepancies in your pdp so it is better tohave a regular check of what¶s going on with your pdp . I will also utilise both

8/8/2019 Ayaz PDP

http://slidepdf.com/reader/full/ayaz-pdp 10/13

quantitative and qualitative methods for example a list could be made of all theobjectives including their time span this would be quantitative whereas you coulddetail the level of quality you want to achieve so this would come under qualitative.

Risk assessment

An organisation should make an appropriate and satisfactory consideration of ±

y The dangers to the health and safety of his workers to which they areexposed while they are at work

y The dangers to the health and safety of persons not in his ser vice arising outof or in relation with the behaviour by him of his responsibility

This requires a positive response from management, not in terms of minimalcompliance but with wholehearted commitment to the ideal of making its enterprisessafer and healthier for all concerned.

Every employee should make a proper and adequate assessment of ±

y The dangers to which he is exposed to regarding to his own health and safetywhilst he is at work

y Also it is the responsibility of each and every employee to use the equipmentaccording to the company¶s guidelines

If organisation is wishing to raise its standards of health and safety will be welladvised to review its rules on safety, to amend and supplement them whennecessary, to make sure that they are known and un derstood by employees andfinally to take care that they are actually observed in practice

Whichever measurements mentioned above should be reviewed by theorganisation¶s management

y There is cause to think that it is no longer applicable for example nowad aysthe technology is moving very fast so it is very important to train your employees according to the new technology because it will have new kind of dangers

y There has been a considerable change in the matters to which it relatesbecause you can only achieve your set goals and objectives only when your workplace is safer for both the operations and the employees

Organisation should not employ a young person unless he has, in relation to risks tothe health and safety of young persons, made or reviewed an measurement.

In making or reviewing the measurement, if organisation is to employ a youngperson should take specific account of

y The inexperience, not have enough of responsiveness of risks and formativeyears of young persons

y The fitting-out and design of the workplace

8/8/2019 Ayaz PDP

http://slidepdf.com/reader/full/ayaz-pdp 11/13

y The character, amount and period of contact to physical, organic andcompound agents

y They will be unaware of the form, range, and use of work equipment and theway in which it is handled so they will need special training

y The degree of the health and safety training provided or to be provided toyoung persons

If the organisation has more than five employees so it should keep the record of

y The important findings of the measurement

y Any cluster of his employees identified by it as being speci ally at risk

Risk assessment - Practical Application

Under the Health and Safety at Work Regulations 1999 organisation is required toassess the risks created by the operational actions for the purpose of identifying themeasures they need to have in place to comply with their duties under health andsafety legislation. (Organisation can hand over the assessments to a dependablemember of staff, safety representative or safety officer, but the legal duty remainswith the organisation)Risk measurement for the organisation with few or simple hazards should be astraight forward task based on sound conclusion. There are few practical steps tofollow when carrying out risk measurements

y First - spot the hazards

y Second - spot who can be damaged by hazards

y Third - assess the risks arising from the hazards and make a decision if thesafety measures already in workplace are sufficient

y Fourth - proof of important findings (If 5 or more employees have beenemployed, important findings of the measurement must be recorded by writingthem down. Information on how the measurement was carried out, all thenoteworthy hazards and groups of people recognised as being affected bythese hazards were taken into account, the safety measures were sensiblyrealistic and any remaining risk was low. In simple, show that the safetymeasures are sensible and that an appropriate check was made, writtendocuments should be kept back for the future reference as they may help toshow that legal obligations have been met)

y Fifth - review assessment and revise if necessary (New proceduresintroduced into the place of work can lead to likely new hazards and importantchanges in place of work actions need to be integrated in the measurement.  Anyway, a review of all measurements should be completed at constantintervals to keep them up to date with current practice

Total quality management (TQM): is a business management strategy aimed at

embedding awareness of quality in all organizationa l processes. TQM has beenwidely used in manufacturing, education, hospitals, call centers, government, and

service industries, as well as NASA space and science programs.

Total quality management is the organization -wide management of quality.Management consists of planning, organizing, directing, control, and assurance.Total quality is called total because it consists of two qualities: quality of return tosatisfy the needs of the shareholders, or quality of products.

As defined by the International Organization for Standardization (ISO):

"TQM is a management approach for an organization, centered on quality, based onthe participation of all its members and aiming at long -term success throughcustomer satisfaction, and benefits to all members of the organization and to

society." ISO 8402:1994 One major aim is to reduce variation from every process so that greater consistencyof effort is obtained. (Royse, D., Thyer, B., Padgett D., & Logan T., 2006)

In Japan, TQM comprises four process steps, namely:

1.Kaizen ± Focuses on "Continuous Process Improvement", to make processesvisible, repeatable and measurable.2.Atarimae Hinshitsu ± The idea that "things will work as they are supposed to" (for example, a pen will write).3.Kansei ± Examining the way the user applies the product leads to improvement inthe product itself.4.Miryokuteki Hinshitsu ± The idea that "things should have an aesthetic quality" (for example, a pen will write in a way that is pleasing to the writer).[citation needed]TQM requires that the company maintain this quality standard in all aspects of itsbusiness. This requires ensuring that things are done right the first time and thatdefects and waste are eliminated from operations.[citation needed]

Total quality management continues to evolve in the form of the criteria for performance excellence which were first published in 1988. The criteria provide thebasis for the Baldrige National Quality Program (BNQP) that is administered by theNational Institute of Standards and Technolo gy (NIST). Organizations benchmarkagainst the criteria to assess how well their actions are aligned with their strategies.

Results are examined to determine the effectiveness of their approaches anddeployment of these strategies. Dr. Juran once stated th at the criteria for performance excellence are the embodiment of those philosophies and practicesthat we call TQM. The term 'quality' is often used loosely.
