Hello!

Welcome to the team, it is nice to have you all on board and (hopefully) getting excited about coming to AUG and Perth. The Perth Office is really looking forward to having you all here and all of us will be doing our very best to ensure you all have an enjoyable, memorable and positive experience in Perth.

Included in this presentation you will find the skeleton information regarding the event and your involvement with it.

Our next two sessions will continue the education and updating process for the entire team but we encourage anyone who feels the need to also contact the team directly.

OverviewThe project is progressing well overall and with the team now back and firing after SUG, EUG and NUG we are pushing on with a few key items.

Key items of note:

•Our Operations Co-ordinator role has been filled by Catherine Pacholke. Some of you will remember Cholke from previous appearances in episodes such as “AUG 2008” “RDO East” and many others.

• We have all sport management teams appointed except for one part of the cycling program and tenpin bowling.

•A high majority of our competition management teams have come via the state sport bodies and two from national body level.

•All venues are secured and 27 of our 31 sports are with in a 10km radius of each other.

•Games transport system is designed and passes are on sale.

•Competition manager training 1 has been completed and session 2 begins this week.

Challenges We are still facing a few in the form of:

• How many people will we have competing?

• Opening ceremony format and delivery.

• Finalizing social program planning and strategies.

• Sports venue catering arrangements.

• Meeting volunteer head count numbers.

• Completing the accreditation collection schedule.

• Volunteer rosters.

• SCHEDULES.

• Games booklet production.

Human Resource Management - New Roles

AUG 2010 has seen the creation of some new staff and volunteer roles as part of the games time team. The most significant of these are:

•Implementation of a Sport Liaison and Results Coordinator• One of our AUS team• Based at the games centre• Managing results team, end of day processing and providing support and back up to

all the mobile SLO team

•Creation of a Sport Liaison Assistant Role• A volunteer role that will provide every SLO with a key right hand person• This person will be there to simply assist the SLO where you most feel you need it

come games time• In a worst case environment this person could also step up and help at a higher level

•Creation of a Sports Services Supervisor• Targeted at being the “front line” person who activates the revised end of day

process and services the incoming CM and TO’s at the Games Centre

• Special Guest Staff in the roles of SLO’s and SLA’s will be:• Rochelle McKee - Curtin University• Andrew Tam – Singapore Management University • 2 x student volunteers from Singapore Management University

Human Resource Management – VolunteersOverview

• Competition Managers and sports are working to recruit sport volunteers.• Our aim is for a further 100 key and general volunteers• To date we have up to 60 of those 100 volunteers for games time in various stages of

recruitment.

Feed Team • We have gone away from games time vouchers and have taken on a feed team

concept for the workforce.• They will collect the lunches each day, add and pack them all up and deliver to each

venue.• Special arrangements will be made for out of town venues. • We have sponsored water for each volunteer every day.• This format will reduce our cost from $10pp per day to $6pp per day at most as well

as improve the quality of the food being made available to the team. • An allotment will be delivered for staff and SLO’s as well.

Uniforms• There is a set and expected uniform standard for games personnel beyond the

provide shirt and cap.• Base uniform is expected to include black pants, skirt or shorts.• All games staff are expected to assist in setting this standard of uniform.

• Beachside apartments• 3 to an apartment• Room allocations TBC

Vroom Vroom• Cars have been booked and will be allocated as needed.• Some staff will be sharing where practical.• Who gets a golf buggy??

Feed Me!• We are working on a private caterer that will be preparing the majority of team

dinners throughout your stay.• All meals served at the office in pre games week will be served in a different location

to where you are working all day. • Breakfast will be at your accommodation.• Pre Games week we are opening our own Subway!• Games week lunches are as per the feed team format

No Thongs or Singlet’s Allowed • Please remember your AUS polo’s, jumpers, jackets etc for the week pre games• Event uniform will be in use from Sunday 26 September• Uniform standards are as outlined earlier for games week

Sporty Stuff

Early Event StartAUG will begin sport on Sunday 26 September with Sailing Teams kicking off at Royal Freshwater Bay Yacht Club.

Event Riders These are a key tool for the delivery of the games. Each sport and venue has one already in use/production and all SLO’s will need to start interacting with their specific event riders.

End of Day ProcessAUG will be implementing a similar system to that tested at the regional events but with some adjustments and extra dedicated staff resources.

What You Can Expect

Day 1 • You all arrive on 19 and 20 September at various times from all over the world• Early arrivers - we have your room available for Sunday night and early Monday• You will head straight to the accommodation and settle in/wait for the others to arrive• 3.00pm – you will head to the games hub en-mass• Games centre will already be set up and laid out• RDO and HO staff - I hope you don’t have separation anxiety as we want your laptop!• 3.30pm – 5.30pm – leave that to us – don’t you worry your pretty little heads• 6pm – 9pm – we have the final key volunteer and CM meet and greet event and

dinner which you all get involved with.

Event Daily Run SheetsThese will be in place but modified to identify

• Key event area priorities for the day• Resources allocated to those areas for that day• Daily timeline of other coming and goings

Pre Games Week Daily Briefing/Battle Planning!Each morning we will meet at the games centre and run through the plans for the day based on the event daily run sheets.
