Thank you for registering to help World Book Day break the world record for the most people participating in simultaneous literature

quizzes in multiple venues. Below is all the information you will need to take part, so please do read it carefully to ensure your attempt is

validated. The quiz questions will be sent to you w/c 8 Febuary 2016.

WHAT YOU NEED TO KNOW 1

To break the record, we need 2,680 PEOPLE to take part in the quiz between 2PM AND 3PM on MONDAY 22 FEBRUARY 2016.

To take part and break the Guinness World Records title attempt, your school/library/bookshop/organisation will need to:

• Host the quiz simultaneously i.e. host the quiz at the same time as other schools, libraries and organisations. The quiz will need to take place from 2pm to 3pm on Monday 22 February 2016.

• Your organisation must use the quiz (and answers) provided by World Book Day (but you may choose which age range of questions you will be using – KS1, 2 or 3).

• The quiz must last at least 30 minutes if it is to qualify towards the Guinness World Records title attempt.

• All quizzes must have a minimum of 25 participants - but there is no maximum.

What you need to do BEFORE THE DAY…Before taking part in The Bumper Book Quiz, you will need to consider the following points as each venue will need to submit the following information to World Book Day to verify your attempt:

• Please allocate a Team Leader who will be responsible for all administration on the day as well as uploading the evidence afterwards.

• Venue Layout. All venue layouts with entrances and exits must be submitted – see Venue Layout Template (p14)

• Please be clear on how you will count your participants on the day. Please see Counting participants on the day (p2) as attendance numbers must be accurately counted and confirmed using this approved method. You must also take specific measures to ensure participants are not counted twice.

• Delineation of Area. if there is a prohibitive issue with your attempt area, contact [email protected]

What you need to do ON THE DAY…To qualify as a Guinness World Records achievement, each school, library or organisation taking part will need to follow ALL of these guidelines:

• There must be a minimum of 25 participants per venue in order for that venue to be included in the overall record total-though the more the merrier if we are to smash the current record!

• All venues must have independent stewards and two witnesses (see below).• All record attempts must take place in restricted areas with entrances and exits clearly

marked and controlled. Indoor attempts must take place in a room designed for the attempts and outdoor attempts must be secured with fences or other physical barriers.

• Participants leaving the attempt area before the attempt is over must also be counted accurately and deducted from the final total.

• Measures must be in place to ensure participants are not counted twice.

Counting participants on the day

Participants must be counted individually by an efficient, accurate method upon entering the venue. Stewards’ individual counts of their sections does NOT constitute an acceptable counting method for the record total and is meant only to ensure full participation by all those involved in each of their individual sections.

Please use the TICKET STUB TEMPLATE from the World Book Day website to create ticket stubs to be used for counting purposes on the day.

Designated Stewards

FOR VENUES WITH MORE THAN 50 PARTICIPANTS• For any number up to 50 participants, there must be a DESIGNATED STEWARD.• Stewards must not come from the organisation holding the record attempt. • Each steward must be allocated a specific group of participants who are to be positioned in a

clearly delineated area assigned to that steward. This can be done using coloured clothing, a clearly marked area or another method pre-approved by Guinness World Records.

• Each steward must supervise their group during the attempt to ensure full participation.• Each steward must monitor if anybody in their group leaves the area.• The steward must note any participants who need to be deducted from the final total either for

non-participation or for leaving the allocated area.• If the total number not participating exceeds 5% of the final total the attempt will be

disqualified.

Independent Witnesses

• Every venue needs an independent witness who does not work for the school, library or organisation.

• The witnesses must personally perform the counting process or directly observe it.• The witnesses must perform spot checks during the attempt to ensure the rules are

adhered to.

What you need to do AFTER THE DAY…

To qualify as part of World Book Day’s Guinness World Records attempt, your school, library or organisation will also need to provide the following information to World Book Day by MIDNIGHT ON WEDNESDAY 24 FEBRUARY 2016.

This information should be named correctly, zipped and emailed via WeTransfer to [email protected]. See page 4 for instructions on how to do this.

EVIDENCE TO BE SUBMITTED

• A COVER LETTER including the date (22 February 2016), time (2pm to 3pm) and exact location of the record attempt, your chosen witnesses and your record attempt measurement (see COVER LETTER TEMPLATE, p10). The name of your school, library, organisation, company or person making the attempt must be supplied along with the date and place.

• TWO WITNESS STATEMENTS for your venue and quiz. These statements must confirm that the rules have been adhered to and must explicitly state the exact and final figure of the total participants taking into account any participants who the stewards deducted from the total. Statements must describe the counting process and overall attempt in details including the local time the quiz started and finished (2pm to 3pm) (SEE WITNESS STATEMENT TEMPLATE).

• PHOTOGRAPHIC EVIDENCE of your attempt taking place, capturing the details provided by the independent witnesses. Please provide 3 photos:

1. An aerial photograph of the crowd or a photo showing the entire group2. The room prepared for the event but empty3. The people taking part in the attempt being counted by the stewards

• VIDEO EVIDENCE of the entire record attempt for each venue, from start to finish that enables Guinness World Records to confirm the measurement achieved, that the guidelines have been adhered to and verify the details provided by the independent witnesses. In addition, all entrances and exits must be monitored on video and the counting process must be clearly visible in the video too.

• VENUE LAYOUT DIAGRAM showing the layout of the room where your attempt took place.

• SCHEDULE 2 should be signed by the Attempt Leader when submitting evidence which you either own or have permission to allow Guinness World Records to use.

• Any newspaper, online, TV or radio articles should be submitted as part of your evidence but are NOT compulsory.

Please send ALL your evidence electronically by following these simple steps:

1) Title all your files as follows: ORGANISATION NAME_ SIMULTANEOUS BOOK QUIZZES-PIECE OF EVIDENCE NAME

2) Package all your evidence into a folder, then compress by zipping the folder.

3) The zipped folder should then be titled with ORGANISATION NAME_ SIMULTANEOUS BOOKQUIZZES -EVIDENCE

4) You should then send this one file to us using WETRANSFER (www.wetransfer.com). If you haven’t used this tool before please ensure you undertake the following steps:

• Video Content – Make sure this is under 1gb – to do this compress the video into one of the following formats:

• .MP4• .OGV• .WEBM

• If your video file is very large, please use a tool like http://www.onlinevideoconverter.com/ to reduce the size.

5) Please send all your evidence via WeTransfer to [email protected]. Within your message please state your SCHOOL NAME and the evidence you are submitting. If you need to send more than one WeTransfer file as your files are too large to send at the sametime, please do so.

All evidence must reach us by midnight on 24 February 2016.

HOW TO SUBMIT YOUR EVIDENCE FOR REVIEW 4

Your cover letter is your opportunity to provide Guinness World Records with a clear overview of your participation in the attempt. Please fill in the COVER LETTER TEMPLATE (page 10). This should be the final document that you complete before submitting your evidence, as it will provide a road map for the GWR records management team when evaluating the accompanying evidence. Because GWR will not be present at the attempt, this document when completed properly is immensely helpful in giving their team a clear picture of what took place on the day.

WHAT IS THE COVER LETTER? 5

Photographs are compulsory evidence for all record attempts as they should provide evidence that enables GWR to confirm the measurement achieved, that the guidelines have been adhered to and verify the details provided by the independent witnesses.Please ensure they are of as high a quality as possible.

What must the photographs include?

The photographs are primarily a source of verification and they should therefore capture the significant moments of the attempt. The photographs should complement and mirror the moving images we see in the video evidence. You must therefore submit images showing us each stage of your record attempt; preparation, attempt and outcome. Within these stages they should capture any key moments such as the start time of the attempt, the presence of your witnesses, and so forth.

Your photographs should:

• Show variety – include photographs from various angles and positions, and ones taken at different stages of the record attempt (start, during, end)

• Show a sense of scale – if your record involves a large gathering of people or a large object, you need to capture its large scale in your image

• Capture the action – aim to capture the participants in action and in the act of attempting the record

How should my photographic evidence be submitted?

Your photographs must be clearly labelled with a description of what the images show. Please include an index including a description of the images alongside your uploaded images.

WHAT PHOTOGRAPHIC EVIDENCE DO I NEED TO SUPPLY?

Witness statements are statements of authentication from independent* individuals who verify all relevant details of a record attempt – essentially the eyes and ears of the GWR Records Management Team. They are tasked with observing the entire record attempt, confirming whether all Guinness World Records guidelines have been followed, and providing a detailed account of precisely what took place. Without this independent verification, it is impossible for GWR to approve your record attempt.

The witness will also be responsible for the timekeeping.

What does “independent” mean?

An independent witness is an individual who is neither affiliated with, nor related to, the individual or group attempting the record, the record organisers, participants, venue, or any persons involved with staging the event, nor should these individuals have anything to gain from the outcome of the attempt. The witnesses must also be independent of one another.

What must the Witness Statements include?

Witness statements must be submitted using the WITNESS STATEMENT TEMPLATE (page 13) included in this pack.

• Contact details must be filled out completely. It is likely Guinness World Records will contact these witnesses to confirm details of their statements. Without valid contact details, a witness statement will not be accepted.

• All fields of the witness statement must be completed in detail, including the final section (“What did you see/measure/evaluate as a witness?”). All details of the event including precisely how the record was measured, including the timekeeping, who performed the measurement, confirmation that guidelines were understood and adhered to, and any other relevant information. Simply stating the final measurement is not sufficient.

• Statements must be completed by the witnesses themselves, in their own words. It is not acceptable to prepare a statement for the witnesses in advance of the attempt for them to sign. Nor is it acceptable for witnesses to prepare one joint statement together, as their separate, independent verification is essential. Any statements which are clearly pre-prepared or which are identical to one another will not be accepted.

Who can act as a valid witness?

Independent professionals from the community – Local lawyers, government officials, accountants, and police officers are some examples of valid witnesses, provided they are suitably independent, and are present at the event with the sole purpose of acting as a witness. For example, a security officer whose duty is to maintain order at a mass participation event would not be a valid witness, since he/she is performing a different duty and so will not always be able to act in the capacity of a witness.

How many witness statements are required?

A minimum of two witness statements will be required for your record attempt.

WHAT ARE WITNESS STATEMENTS? 6

Complete video footage of your record attempt is essential, as it is how the GWR Records Management Team can truly adjudicate your record attempt and verify the details provided by the independent witnesses.

What must the video evidence include?

• Your video evidence must show the entire record attempt, from start to finish. This is required for all attempts, regardless of how long the attempt lasts.

• The camera must focus clearly on the record attempt so that it is possible to accurately observe and judge the record attempt.

• The video must clearly show the measurement of the record, e.g. participants being counted for a mass participation record.

• It is also recommended to provide a brief introduction to the attempt at the beginning of the video, including your name or the name of the organisation attempting the record, Application Reference number, and record being attempted.

What formats do you accept?

We accept any format that can be played on a PC:

VENUE LAYOUT

We will require you to provide a diagram of the layout of the room where your attempt took place as part of your evidence. Please use the VENUE LAYOUT TEMPLATE on page 14.

For a mass participation record (i.e. any record based on the number of participants) it is essential that the final total is the exact number of people successfully completing the activity that is the subject of the record attempt, not simply the number of people attending the event. For this reason, GWR require Stewards to supervise groups of 50 or fewer participants, in order to disqualify any attendees who do not successfully take part in the record attempt.Stewards are required for all mass participation records that require active participation by those involved or which take place at ticketed stadium events.

Please note that stewards must be independent of the attempt organizers.

What must the statement include?

Templates for Steward Statements must be submitted using the Steward Statement template included in this pack (see p12).

What happens to the Steward Statement?

Steward Statements must be provided to the independent witnesses once the attempt is completed. The independent witnesses are responsible for calculating the final total based on the total number of attendees, less the number of participants disqualified by Stewards.

WHAT IS A STEWARD STATEMENT? 8

1) Do you have any general guidance for evidence?

The selection of appropriate evidence is your responsibility. Before attempting any record you should carefully read and understand the exact evidence requirements of the record title you are attempting. You should prepare and make arrangements to gather this evidence in advance and carefully consider the type of materials you intend to submit. Do not assume that you can collate evidence after the event. For GWR, having complete and accurate evidence is as important as the record attempt itself. Above all, keep your materials as clear and organized as possible.

2) Do I need to send originals of all evidence or will copies of evidence suffice?

GWR requires original witness statements and log books – photocopies are not acceptable. For video, photographs, official certificates and other additional evidence copies are acceptable. GWR reserves the right to request originals of any evidence where it is deemed that the copy is of insufficient quality.

3) Should I include media coverage in the evidence package?

Media coverage is not a compulsory evidence requirement. Should you wish to share media coverage (newspaper, online, TV or radio) GWR would be happy to review them, but this is not compulsory.

4) Do I need to include Schedule Three?

If you include any photographs or video in your evidence which you do not own or have permission to allow Guinness World Records to use, then you must include Schedule Three. This document should be signed by the photographer, camera operator, or individual who owns the rights to the photographs or footage. However please note if you don’t include Schedule Three we will assume you have permission to allow Guinness World Records to use the materials so it is important that you make sure Schedule Two is signed by the right person(s).

5) Will I receive a confirmation when my evidence has been received?

You will not receive an email directly from World Book Day but you will receive an email from WeTransfer confirming delivery of your evidence.

6) How long do I have before I send in my evidence?

All evidence for participation in this record must be sent via WeTransfer to [email protected] by midnight on Wednesday 24 February in order to allow time for the evidence to be collated.

7) How long will it take?

If we are successful in our attempt, World Book Day would like to make a PR announcement on World Book Day itself, 3 March 2016.
