CAREER INFORMATION:Organization – AL BAYRAQ FURNITURE INDUSTRIAL FACTORY L.L.C.Designation – HR Administrator (Reporting to HR Manager & Group HR Manager).Period – September 2008 to Present.

ROLES & RESPONSIBILITIES:HR ADMINISTRATION:Preparing employee’s final settlement/Gratuity at EOSB in coordination with the Accounts department and executing exit interviews.Maintaining employee’s records, communicating HR policies & across the organization at all levels.Maintaining employee benefit administration such as leave records, Sick leaves, Tickets entitlement info etc. Tracking & maintaining leave records, PF records, issued letters, etc.Preparation of full and final settlement, issuance of Experience Letters, Relieving Letters. Keeping track of Confirmation, Appraisals of the employees.Preparing and submitting all relevant HR letters/ documents/ certificates as per the requirement of employees in consultation with the management.Receive, sort and distribute incoming and outgoing correspondence and mail.To ensure that company rules and regulations, standard operating procedures and instructions are being followed by all team members.Ensure HR maintains accurate files and records in accordance with company rules and regulations and the Labor Law.

PAYROLL MANAGEMENT & TIME ATTENDENCE ACTIVITIES:End to end processing of organization payrolls.To check the time cards are duly filled & ensure that this is properly punched in the Bundy clock. Incomplete info on the time card is sent to the respective line manager for approval.To check all the time attendance machine & Bundy clocks are pleasantly functioning.Inform the respective line managers for the rectification of attendance machine which are faulty.Make a track record of the staff’s attendance info & produce when required.Update the tracker with the information for sick leaves & annual leave absenteeism.Ensure that the attendance policy is strictly followed by all colleagues.To escalate the info in regs with the absentism or any disciplinary action for irregular colleague.

RECRUITMENTS:Implementing resourceful means to source a qualified pool of candidates and arranging and conducting interviews.Adhere to Recruitment and selection process, interview matrix and approval matrixMaintain the records for applicant shortlist & interviewed in tracking system.Manage end to end recruitment for bulk hiring across all levels.Act as key point of contact for recruitment process related matters in Retail & Restaurant sectors.

Ensures all documents/approvals are optioned before rolling out offer letter to selected candidatesConduct smooth on-boarding of new hires and assist with new hire orientation and coordinates with HR/Ops to ensure new hire traveling, accommodation, training and joining and post joining process runs efficiently.Pitch correctly policies and procedures to the candidatesReviewing and updating new job description in system.To ensure cost effective recruitment through the use of appropriate source

ON BOARDING FORMALITIES & ADMINISTRATION:To arrange for the tickets for the newly hired candidates upon approval from the respective managers.To ensure that all the tickets are booked before the visa expiry.Implementing a plan for new employee induction and orientation.To check documentation for the newly joined at the time of joining formalities.To arrange accommodation & airport pick for the new joiners arriving on the specified date.Liaise with the PRO for the visa submission at the airport for the candidates who are schedule to arrive.Prepare and verify the documents submitted by the hired candidates are as per the company standards.To ensure that new or transferred employees have an effective induction programmed which is adhered to.

OFF BOARDING FORMALITIES & PROCESSES:To ensure availability of documents, memorandum, letters, reports etc. whenever required.To assists in preparation of all necessary documents related to government related issues such as visas, cancellation, termination, absconding.To facilitate the separation process for the resigned / terminated colleagues.Coordinating with the Payroll department for final settlements after the processing is initiated.Liaison with PR team for visa cancellation and repatriation tasks.To follow up with the Accounts dept for the remittance of final settlement or EOS benefits.Arranging the repatriation ticket for the resigned or terminated staffs as per the entitlement.

EMPLOYEES RELATIONS:Assist employees in HR Policy administrationAdvise line managers on policy clarifications.Handling documentation related to grievances, investigation, etc.Processing the leave application forms & informing payrolls for the leave payments.To monitor and oversee all staff vacation leaves and sick leaves.Assist the HR management on employee enrollment, orientation and on-boarding, disciplinary actions, exit interviews etc.Attend to staff queries related to salary disputes, grievances, leave application, benefits and employee relations.To ensure that the company’s grievance and disciplinary procedures are observed and that all relevant documentation is completed.

TICKETING:Coordinating with the travel desk for booking of tickets for the colleagues going on vacation.Arranging business tickets for the managers, other colleagues visiting other countries for business purpose.Arranging tickets for the terminated staffs as per the entitlement.Cost effective issuance of tickets with economical fare.Verifying & Allocating of invoices for the tickets issued as per the category thereof.
