HIROKO House is available for (female) international students of Meiji University. This house

was kindly offered by Mr. Toshimasa Obonai, the family of late Dr. Hiroko Obonai (Professor,

School of Information and Communication).

Please read through the following information for the detailed application process.

Application Guideline

1 Information of HIROKO House

(1) Eligibility for application

1) A degree seeking International students enrolled in Meiji University (residence status of

Student Visa is required.)

2) Female student.

3) Students who will follow the house rules (refer to appendix: The Detailed Regulations of

Residence) and can cooperate with other roommates.

4) Preferably a non-smoker. (There is no smoking area in the facility)

(2) Number of rooms: total of 4 rooms (3 rooms currently available)

(3) Details of facility: Please check the General Facility Information.

(4) Residents responsibility: Please check the attachment for the detailed Regulations of Residence.

2. Application process and its selection

(1) Application process

1) Contact the International Student Office

・Person in charge will provide you with the latest information.

2) Application

・Please submit by e-mail the APPLICATION FOR HIROKO HOUSE (Appendix).

・An interview will be conducted to successful candidates of the initial screening.

(2) Screening process

1) Initial paper screening (for nomination by the International Student Center)

・Screening will be conducted based on the application documents.

・Confirm eligibility and financial status.

2) Interview (After nomination by the International Student Center, candidates will undergo an

interview with the owner)

・Confirm the following items;

- Residents’ Responsibility, Detailed Regulations of Residence, and Important instructions.

- Eligibility and financial status.

- Cooperativeness, etc.

(2) Move-in process (if you passed the selection)

1) Documents for Submission

・Signed Residents’ Responsibilities (Appendix 2) & Detailed Regulations of residence.

・Residence card (please bring original card to our office desk. We will make a copy.)

・Copy of bankbook for automatic withdrawal of the rent.

2) Application for the Comprehensive Renters’ Insurance for foreign students studying in Japan.

・Please complete the application for the Comprehensive Renters’ Insurance for foreign students at

the International Student Office desk.

・Please note that only the students who agrees to obey the house rules (see the

appendix 2, Detailed Regulations of Residence) will be accepted.

Residents’ Responsibilities for HIROKO House

International Student Center

(1) In the residence

・Take initiative in communicating with other residents.

・Keep the living environment clean.

・Each resident should handle each own valuables, cash, and other private properties in their own

responsibility. Please note that the owner and Meiji University have NO responsibilities for any

loss or theft in the share house. Please take necessary actions to prevent these troubles such as

locking your own room even when you are inside of the share house.

(2) The use of Individual Room

・Cost of cylinder lock replacement must be paid by residents who lost the private key.

・Residents are requested to keep their individual room clean by themselves during their stay.

(3) The use of common area

・Do not leave personal belongings in the common area.

・Do not use the washing machine after 10:00 PM.

Detailed Regulations of Residence

Detailed Regulations of Residence

HIROKO House is a share house exclusively for international students of Meiji University,

established in accordance with earnest wishes of the late Dr. Hiroko Obonai, Professor of the School

of Information and Communication of Meiji University. During her life, she carried her study

forward by visiting various countries and communicating with local people to pursue her research on

economic development. And through her experience, she believed various stages of development

cannot be realized without cross-cultural understanding from direct communication. Therefore,

Hiroko House was opened as a place to practice these principles and to promote mutual

understanding with each other.

Please observe the following regulations.

1. Prescription of residents

International students enrolled at Meiji University can move-in once they are granted as a

resident of HIROKO House by the university’s nomination. However, non-enrolled student in

following conditions may be accepted after consultation with Meiji University:

■ Those who change their status of residence card from [Student] to [Designated Activities] to

continue their job hunting after graduation.

■ International students accepted by a short-term program of Meiji University.

Furthermore, HIROKO House may accept anyone nominated by Meiji University aside from

international students.

2. Move-in

・International students can stay at HIROKO House during their enrollment at Meiji University.

Furthermore, if approved by Meiji University, the student may change his/her duration of stay (eg.

Status of residence changed to “designated activities”)

・Residents must pay the monthly rent shown on the regulations of residence. However, the rent of

the first month will depend on the number of days he/she stayed; 50% of rent if staying less than

15 days. 100% of a monthly rent is staying over 15 days.

・Residents are required to apply for the Comprehensive Renters’ Insurance for foreign students

studying in Japan. If you cannot join this insurance upon move in or join during your stay, you

will be required to pay the deposit for 2 months upon beginning of contract.

3. Departure from HIROKO House

・The student must leave HIROKO house if he/she is no longer registered at Meiji University. As for

other students who have changed their status of residence to [Designated Activities] for continuing

their job hunting in Japan or who have been accepted to short-term programs of Meiji University,

they will have to leave the house by the date specified in the notification.

・Residents who wish to move out of HIROKO House must submit a notification to both Meiji

University and Leibnizhouse one month before departure.

・If notification is not submitted before a one month notice, the resident must pay the rent for the

following month.

・HIROKO House has the right to request the resident to move out, due to his/her delinquent action.

・The rent of the final month will depend on the number of days he/she stayed; 50% of monthly rent

is staying less than 15 days, 100%of monthly rent is stayed over 15 days.

・Residents who cannot join the Comprehensive Renters’ Insurance must move-out from the

HIROKO House if they failed to pay their rent for 2 consecutive months.

4. Life in HIROKO House

HIROKO House should be operated basically by the residents themselves, therefore detailed

living rules should be decided through their mutual discussion and kept once finalized. However

there are some rules prescribed in advance as follows.

1)Residents must mutually respect each lifestyle and religion.

2)Residents must pay attention not to cause trouble to others when using the common area.

3)Residents must pay attention not to damage the shared items.

4)Residents must pay careful attention to prevent fire.

・No smoking in any area (including HIROKO House and neighboring streets.)

・No cooking except in the kitchen.

・No usage of fire (eg. Candles) in each room.

5)No pets allowed.

6)The common area is a place to communicate with each other, so do not leave your personal

belongings.

7)Show understanding with each other and take initiative in participating in household events.

8)HIROKO House welcomes visitors within the common area for the purpose of communication,

however visitors are strictly forbidden to stay overnight.

9)If any event is held in the house, be careful of the following points;

・No actions causing loud noise.

・All events must end by 10:00 P.M.

10)Don’t disturb neighbors.

・Obey the local rule for garbage disposal.

・Do not leave your own bicycle or personal belongings on the street.

11)Residents must inform Leibnizhouse in the following occasion;

・Submit a notification by e-mail when going out for more than one week for travel or other

reasons.

・Any urgent situation such as fire or accident occurs.

・In a serious health conditions.
