AppROACHES 2 Business Messages

• How you compose a message depends: on the purpose of communication, receiver’s extent of urgency and necessity, andthe writer’s inclination towards it.

There are two types of approaches namely:DIRECT APPROACH andINDIRECT APPROACH

App = your application of skills in writing a messageRoach = combing the mane of a lion, horse, etc.App ROACH = how you comb your message using skills

DIRECT APPROACH• The ENCODER’s primary objective agrees with that of the

DECODER.• The encoder transmits the message that the decoder is

anticipating or inquiring.• Positive messages, Persuasive messages, Neutral messages

come under this segment.• Main Idea indicating a recommendation, a request, or a

conclusion is stated first > Any explanation or reason.• Also Known as the deductive approach.

• The primary message contains the Sub: YOU and the tense forms: PRESENT and FUTURE.

• Tone of the Message would be formal as well asfriendly.

INDIRECT APPROACH

• The ENCODER’s primary objective usually disagrees with that of the DECODER.

• The encoder transmits the message that the decoder is NEVER anticipating or inquiring.

• All Negative messages and few Neutral messages come under this segment.

• Any explanation or reason > Main Idea indicating a recommendation, a request, or a conclusion is stated first

• Also Known as the inductive approach.

• The primary message contains the Sub: YOU and the tense forms: PRESENT and FUTURE.

• Tone of the Message would be formal as well as friendly.

DIRECT APPROACH - Examples

1. Great job! Congratulations! Your work in promoting our products has been tremendously on the increase….

2. Thank you for the ardent work and enthusiasm that you displayed during my absence. You have displayed exceptional communicational abilities when you could accommodate the two rival groups on the same dais and consorted to mutual agreement….

3. As per our agreement the Aerosol Computational Audit Report needs to be on my table by yesterday evening. Hence you are reminded to furnish it by afternoon today so as to facilitate my future proceedings..…

INDIRECT APPROACH - Examples

1. …Applications other than you ones with equally solid educational ground but extensive cultural background, have been selected to the next round of recruitment…

2. ….our department shares the goals which are also set by you. On this pretext we would like to intimate you that we can’t provide you with accommodation on the dates quoted by you on account of a pre organized workshop. Hence we regret the disappointment caused to you by our inability….

3. We feel it a privilege factor to work with your, organization especially with regard to novel designer furniture. Hence we seek your agreement in offering us a partnership in future commercial enterprises……
