Certification Process

Organizations applying for licensing under the API Monogram Program must develop and maintain a quality manual that describes their quality management system and how it conforms to the requirements of API Spec Q1. Organizations participating in the API Monogram Program must also demonstrate continued ability to meet the technical requirements identified in the applicable API product specification(s).Prior to submitting an application to API, organizations must have had a quality management system in place for at least four months. This includes performing and documenting an internal audit and management review in accordance with the applicable standard.

Submit the completed application forms, application fee, and the quality manual (if applicable), and the API Spec Q1, 9th Edition Conformity Matrix and/or the API Spec Q2 Conformity Matrix. The quality manual must be written in English. API will review the application forms and the quality manual (if applicable) for conformance with program requirements and applicability of desired scope of certification. Should application forms be incomplete, and/or should the quality manual be out of conformance with requirements, API will provide comments.For those applying for an API Monogram license,once the application package, thequality manual and the API Spec Q1, 9th Edition Conformity Matrixare accepted, API will schedule anon-site audit. Audits include verifying the organizations conformance with API Spec Q1 and any applicable API product specification. The audit costs are at the organization's expense.API will make the certification decision on the basis of an evaluation of the audit findings and conclusions, and evidence of effective implementation of corrective actions by the organization (if required)*.

Organizations licensed under the API Monogram Program will have audits scheduled every three years to ensure continued conformance with the applicable program requirements.

Licensing Process

1. Upon receipt of your completed application documentation and quality manual, API will initiate a two-step process:

The API Certification Programs staff will review your quality manual and Conformity Matrix against API Spec Q1 and the requirements of the API Product Specifications under which you are seeking licensing. If your quality manual and Conformity Matrix do not meet the stated requirements, you will be notified of any deficiencies and you will be required to resubmit a revised manual and/or Conformity Matrix.

Upon acceptance of your quality manual and Conformity Matrix, an on-site audit will be scheduled at a time mutually convenient to your Organization and the designated API auditor and at your Organizations expense. Organizations will be given the audit team leaders name and all other pertinent information regarding preparation for your on-site audit.

2. After the audit is conducted, the audit team leader will prepare a detailed report, and any nonconformances will be reviewed with the Organization representatives during an exit interview. The original report will be forwarded to the API Certification Programs staff for verification that the program described in the audited Organizations quality manual is in place and functioning.

3. The API staff decision to issue a license is based upon objective evidence obtained during the audit that verifies conformance with API quality standards and API Monogram Program requirements. Please note that evaluation of Licensees is a continuing process with renewal audits required every three years. In the interim there can be unscheduled periodic or for-cause audits.
