1. Introduction The Fastbolt Group has implemented this guideline “How to supply Fastbolt” for the whole supply base in order to provide an enhanced understanding of Fastbolt’s logistical requirements from their suppliers. All the requirements for a successful cooperation are included within this document and will avoid any kind of misunderstanding. This paper comprises the whole packaging specification and how to proceed with ready-to-ship containers.

• The packaging specification must be observed for every purchase order without any concession. Any kind of deviation to the standard specification will be communicated in written form by Fastbolt employees when issuing the purchase order.

• Any kind of deviation from this guideline initiated by the supplier has to be

authorised by the responsible Fastbolt employee. • All costs incurred by not following this packaging specification will be borne by

the supplier.

• Any non-conformance to the packing specification will lead to a negative vendor evaluation.

• This packing specification is valid until further notification. Changes will always

be communicated by Fastbolt staff in written form.

• This document is solely intended for the relevant suppliers and must not be disclosed to third parties.

2. Types of Packing

• The range of Fastbolt’s small boxed packing contains the following box types: - FB1, FB2, FB3, FB4, FB5, FB6, FB7, FB8, FB8S, FB9, FB11 These boxes need to be used for all product groups with the exception of threaded rod. The boxes have to be protected inside with a foil in case of plain items. The exact information of which item has to be packed into which box can be gained from Fastbolt’s Masterbox List.

• The range of Fastbolt’s outer cartons is as follows:

- FBU1, FBU2, FBU3, FBU4, FBU5

These outer cartons need to be used for all product groups with the exception of threaded rod. It is not allowed to close the outer cartons with any kind of strapping. The exact information of which box has to be packed into which outer carton can also be gathered from Fastbolt’s Masterbox List.

• The range of Fastbolt’s bulk cartons is as follows:

- FBU1, FBU2, FBU3, FBU4, FBU5

These bulk cartons need to be used for all product groups with the exception of threaded rod. The bulk cartons have to be protected inside with a foil in case of plain items. The exact information of which item has to be packed into which bulk carton can be gained from Fastbolt’s Masterbox List.

• The blue colour print tone for all types of packing mentioned above is „Pantone 293U“.

• The quantity per box / bulk carton is shown on our Purchase Orders and

should be strictly followed.

• Important note: We only accept full box / bulk quantities according to the description in our purchase order. This rule must be transferred to “over-deliveries” as well as to “under-deliveries”. We will not accept part box / bulk quantities.

4. Pallet case (for loose product)

• The pallet cases must be stable and stackable. They need to be secured by PVC strapping (no metal) and by stretch foil. Finally they have to be closed with a wooden cover.

• Maximum Weight: 900 kg • Maximum Height: 750mm • Basic pallet: Euro-style pallet: 1200mm x 800mm x 144mm (L x W x H).

5. Labels

• Independent from the kind of packing condition (loose in pallet case, small boxed or bulk packed), FB labels must be used.

• The supplier is responsible for the creation of the labels as well as for the

labelling of the packaging. • The different packaging conditions have to be labelled in the following way. • A) FB pallet cases

- 2 labels on the wooden cover and one label on each side of the pallet.

• B) FB small boxed

- One label per box. - All boxes have to be labelled like the left one on picture 5.3. - 2 exceptions: FB1 & FB2 as shown below. Please note that it is not

acceptable to cover the FB logo.

6. Pallets

• It is mandatory to utilise only dry pallets (max. 16% residual humidity) with the dimension of 1200 x 800 x 144mm (L x W x H).

• The maximum weight is not allowed to exceed 900 kg / pallet. • The maximum total height (including pallet) is not allowed to exceed 750 mm.

• It is important to ensure that only stable wooden pallets - in Euro-style pallet

format (Fig. 6.1) - are used.

• One article must not be distributed across several pallets if the total quantity

would fit on one pallet. • No mixed pallets as long as FB order a minimum of one layer per item! In

those rare occasions that FB order less than one layer per item, it is allowed to pack a mixed pallet.

• It is expected that the supplier puts a packing slip on the top of each pallet

which contains the following information:

• As far as possible, the label of the packed product should be visible from the outside.

• Outer cartons which are not fully packed should always be marked as „balance quantity“(see Fig. 6.3) and to be put on the top layer.

• For those 2 carton types without outer carton the supplier must use a strong cardboard sheet on the pallet base and also between the different layers. Moreover it is requested to use a foil between pallet and the first layer in order to protect the cartons from humidity (see Fig. 6.5).

• Pallets with FB outer / bulk cartons (FBU1, FBU2, FBU3, FBU4, FBU5) The pallets need to be stabilised with dry wooden edge protection (max. 16% residual humidity) which should end approximately 3-5 mm below the top carton. Do not use more than 2 nails per side (ideally without any nails). Afterwards the pallets should be STRONGLY wrapped with stretch foil (see pictures below) for protection reasons.

7. Container

• FB only accept FCL (20‘container) shipment. • Containers must be loaded in such a way that a shift of cargo or any other

potential transport damage is avoided. • When loading the container, the pallets should be efficiently secured by

utilising strong wooden square timber / slat which is fixed to the container wall (see pictures below). No more than 2 nails should be used to fix the wood to the pallet. The removal of this kind of loading protection should not create any problems for our warehouse members of staff.

• FORBIDDEN: It is not allowed to nail neither the pallets nor the securing wood on the container ground.

• All objects which could negatively influence a faultless storing into an automated warehouse must be removed before the despatch of the container. The pallets must be arranged as a compact transport unit without any overlapping in order to avoid repackaging efforts at Fastbolt side.

• In case of combined shipments (product with different port destinations e.g. Felixstowe & Rotterdam), red labels should mark those pallets which are destined for the different harbour than initially ordered.

• For the pallets and the wood which will be used to fix the pallets in the container it has to be heat treatment natural wood. If you will use plywood pallets it has to be noted explicitly on the shipping documents.

• Attention!!! Fastbolt can only accept the heat treatment process (HT) for wood packing materials - a treatment with Methyl bromide (MB) is forbidden!

8. Pre-Shipment Inspection Pre-Shipment Inspection: Fastbolt Germany has implemented a CAQ-Software (CAQ = Computer Aided Quality Assurance) to organize the inspections of incoming goods in Gronau (Germany) as well as to organize inspections before shipment. For goods which need to be inspected before shipment, Fastbolt Germany requires to send pre-shipment samples to either the external laboratory FQC (China) or to the internal laboratory in Gronau (Fastbolt Germany). The reasons why to ask to send samples are different. Some of them are:

a) New product group b) New supplier or new product group for an existing supplier c) Critical product group d) After quality complaint

To ensure an unproblematic and fast process it´s important to follow the instructions as follows: 1.) To inform the supplier about the required samples Fastbolt Germany is sending

an Excel-File in addition to the purchase order. This Excel-File contains at least the following information:

2.) After the supplier has finished the mass-production he has to ensure, that the

samples will be immediately send to the required testing location (FQC China or FB Germany).

3.) To ensure an unproblematic processing and easy sample-identification at the

laboratory it´s necessary that the supplier is marking the samples with a label. The label should contain (at least) the following information:

9. Release Procedure

• Every container shipment has to be released by the responsible Fastbolt employee. It is not allowed to ship a container without our authorisation! All costs occurring from an unauthorised shipment will be charged to the supplier.

• Fastbolt expect a pre-packing list before each shipment. This document must

be sent to the relevant Fastbolt branch for this shipment. The pre-packing list will be checked and shipment released accordingly. After this release the supplier can book the vessel.

• Thereupon the supplier must send the following original shipping documents

(1 set as e-mail copy in advance) via courier service to Fastbolt. NOTE: The original documents must be available 10 days before ETA in order to avoid any demurrage cost.

- Invoice and Packing List (1 invoice + 1 packing list per container) - Bill of Lading (original shipping line B/L!!!) - Certificate of Origin or Form A (acc. to the below list)

- Test Certificates (only necessary as e-copy) - Insurance Policy (only for CIF shipments) - Heat Treatment Certificate If there is no Heat Treatment Certificate available the following should be noted on the packing list: “We hereby certify that the solid wood packing mate rials with this shipment are totally free from bark, and apparently free from live plant pests. All SWPM is treated by Heat Treatment (HT) method, and marked in complianc e with ISPM #15 to meet the regulation 7CFR 319.40-3(b)”

• Shipments to Fastbolt are carried out based on the agreed Incoterms. • Any increased transport cost due to changing the way of transport (e.g. air

freight) will only be accepted if Fastbolt has explicitly requested and agreed the change.
