1

Introduction

he Gilbarco G-Site ® can be connected to your Windows PC using an RJ45 cable and a 9-pin connector included in your package. Your G-Site ® is a Point-Of-Sale (POS) system with the built-in ability to talk to your Back-Office Software running on Windows.

Gftp is the software that runs on your PC to communicate with the G-Site ®. AGKSoft uses Gftp for all communication to the G-Site ®.

Software Requirements • Windows NT, 2000, XP, Me, Vista or Windows 7.

• Windows Vista will work only if the User Account Control (UAC) is disabled. To disable UAC, open the Control Panel, open User Accounts, click [Turn User Account Control on or off] and make sure the [Use User Account Control] checkbox is unchecked and click OK.

• Windows 7 will work only when it is set not to notify, in the user account control. To do this, Click Start, Control Panel, "Add or Remove User Accounts", Go to the Main User Accounts Page, Change User Account Control Settings, Drag the slider to "Never Notify", click OK.

Installing Gftp

G-SITE ® Console

From the G-Site ® Console set the following information:

Insert the Black Key into the GSITE Console or Switch to Manager Mode and select Program Mode. If you are using the ExxonMobil V4, BP V16, ADS-Dallas V63.x (Marathon) software on the G-Site, do the following:

Press 9 (Software Control) Press 1 (Remote Access Programming) Press Subtotal twice

For all other G-Site software, do the following: Press 1 (Station Data Programming) Press 1 (Station Information Programming ). For ExxonMobil V3A or ADS Dallas v61, look for Remote Access Programming.

1. CHANGE your Station ID to: 123456 2. CHANGE your Remote Login ID to: RPCI (Note that the last letter is not a one) 3. CHANGE your Baud Rate to: 19200 4. CHANGE your Protocol to: Gossip Level 1 Press SUBTOTAL twice to save your changes. *** If the Protocol was changed you MUST reboot your G-Site for the changes to take effect ***

You may also want to make sure the G-Site prompts for a Reference Number when you do Paid-In and Paid-Out.

Insert the Black Key into the GSITE Console or Switch to Manager Mode and select Program Mode. Press 1 (Station Data Programming) Press 3 (Station Operation Programming) Press 1 (Station Operation Options)

You will see “REQUIRE PAID-IN/PAID-OUT NUMBER”; make sure it is set to True.

Plug your RJ45 cable into the RPCI connector.

Plug the other end of your RJ45 connector to the 9-pin connector included in your package and plug the 9-pin connector to your Windows PC Serial Port (e.g. COM 1). To figure out which Com Port you are using, open the Control Panel, select System, select the Hardware tab and click Device Manager. Look under the “Ports” section to see which COM Port # you are using.

From your Windows PC Insert the AGKSoft CD and it should auto-run. If it does, click “ACCEPT”, select “Gilbarco G-Site” and then “Install Software” and let it do the installation. If it does not, you can find it on the CD under \GFTP\GFTP.EXE or on the Internet at http://www.agksoft.com/images/gftp.exe. Run the gftp.exe program from the web or from the CD and follow the installation instructions. When the installation is finished; you will have the C:\GFTP folder on your hard disk.

Configuring AGKSoft for your G-Site • If you did not install AGKSoft, go ahead and Install it from the CD.

• When the AGKSoft installation is finished, click the Icon on your desktop. Note that the default login password is lower case “s”.

• You should now see the First Time User screen. If you do not see it, click on the “Help” Menu and then select “First Time User”.

• Select “G-Site” from “1. Cash Register Interface” section and click the “Configure” button.

• You should now see the “Cash Register Interface Setup” as shown below.

• Under the “Cash Register Connection” section, select “G-Ftp”, make sure the COM Port is set properly (e.g. COM2) and make sure the Baud Rate matches your G-Site (e.g. 19200).

• Under the “Gateway Options” section, make sure “Host or IP” is “127.0.0.1” or “localhost”. Also make sure that the Username is RPCI and the Password is your Station ID (e.g. 123456).

• Under “Station Configuration”, choose your station type. (e.g. Shell)

• You should now click “Save” and then “Test Connection” to make sure your connection is working. If the Test fails, reboot your PC and try again. You may also have to warm-start/reboot your G-Site (Press the Power button in the front, wait 5 seconds and then press it again).

• Click the “Diagnostics” button; this should inform you if you selected the proper Station Type. This may also change some settings to match your version. Click the Save button when finished.

• Under “Email Changes of” you can e-mail changes in Fuel prices and or Shift and other information if either of these check boxes are checked. (Please fill in an e-mail address in “Setup” “Business Info”)

• Under “Department Mapping” enter in all the dept numbers that you would like the software to map out of the sales room automatically. Simply click in the empty box next to the name and enter the department number.

• You can also hide a service type that isn’t supplied at your station. For example if you only supply Self Service gas, un-checking the Full Service will hide it from anywhere gas is shown.

• If the G-Site is connected to the tank monitor check the “My Cash Register is connected to a Tank Monitor ” otherwise uncheck it.

• Under “Download by:” select how you would like to download your batches. Click save and quit when you are finished.

Configuring AGKSoft • You should now be back in the First Time User Screen. If you are blending gas, click on Gas Blending,

you will see the window shown below:

• By clicking on “Setup Blending Automatically” you will be asked

� Are you blending Gas? If the answer is Yes, you will be asked…

� Do you blend your Plus grade only? If the answer is Yes, you will be asked…

� Enter your percentage of Regular. The software will automatically figure out the rest and you are done.

Setup Blending alternative:

Click the “Next” button until you see the grade you blend. Select its grade components and their percentages, click “Next” to do another blended grade. Click “Quit” when you are done. Note: The Gas Blending window will show 7 grades of gas even if you don’t use all of them.

Other First Time User options:

• Business Info - allows you to enter in your business name, address, telephone, e-mail address etc... We will use this information on your reports.

• Taxes - Allows you to enter your state’s 2 letter initial (example Rhode Island = RI) and configure your sales tax percentages and payroll information.

• Vendors - Allows you to enter all the vendor names that you deal with on a regular basis to easily track your expenses.

• Employees - Allows you to enter all your employee names to do Payroll.

• Bank Info - Allows you to configure up to 3 separate checking accounts.

o If you will be using AGKSoft to print checks be sure to “Select Check Type” under “6. Accounts”

• Expenses – Enter in all the expense types here.

• Incomes- Enter in all the Income types here.

• Work Types- If you have a garage, use this to enter all the parts and part numbers and use the Garage Inventory to track the inventory of the parts.

• Lottery- If you have lottery in the store and you would like the software to track them for you, please enter all the information for your tickets here and then send the changes to the register.

• Add Tickets - is where you enter all the lottery scratch tickets serial numbers.

• Assets – Enter in all the asset types here.

• Vendor Invoice – This is used to enter in invoices from your vendor whether electronic or loaded manually.

o Note: AGKSoft supports EDI invoices supplied by many different vendors.

• Electronic/Checking/Cash – opening any of these will allow you to enter deposits, transfer money between the accounts and pay vendors.

o Note: AGKSoft supports up to 3 checking accounts.

• Hourly Rate – If you charge a specific amount for labor in your garage, enter it here.

o Include unpaid invoices: Check this if you want the software to include unpaid invoices from the Work Order screen as part of the total in the Net Income.

• Gas Price Min and Max – If you want the software to warn you if the gas selling price on any grade is being set to high or too low, enter the amounts into the Min and Max boxes.

• Money Order – If you would like the software to calculate the profit per transaction for your money orders enter the amount here. The value will show in the Net Income.

• Finance Charge- When using the client accounts window, and a client has not paid a bill. Enter the percentage that you would like the software to automatically charge.

• Profit Margin Changes Selling - With this checked, when the profit margin is changed the selling price will change as well. If it is not checked the cost will change.

• Worker cannot exit - With this checked and a user is logged in as a worker, the software cannot be closed without the supervisors password.

• Round time card – If you would like the software to round to the nearest 15 minute interval, check this box.

• Convert Gas Sale liters to Gallons - This should NEVER be checked unless you live in area like Canada or Puerto Rico where they use Liters.

• Limit Manager Editing – When the manager is logged in and this is checked, they cannot edit the amount of credit cards, gas etc...

• Auto Generate Daily Sheet - Generates a spreadsheet report of your Daily Batch; your Dept. Sales, Inventory, Gas Sale, Lottery and more.

• Auto Print Shift Log – With this selected the sales log will automatically print when using Automation. Choose Brief to print the cash, department and gas sales only.

• Delete Today / Delete All – Will delete all data for a selected day or a specific shift, or will delete all data from when you started using the software in the current year. Note: This action will NOT delete vendor names, employee names, Price book etc… It is also highly recommended to backup the data before performing this action.

• Start the GAS LOAD Window as shown below and do the following:

1. Click the left arrow [>] to hide any grade that you don’t sell and enter your Gas Tax rates.

2. Click “Save Settings”

3. Find out what you last paid for Gas and enter the Buying Price for each grade.

4. Find out how much Gas you had in your tank at the start of the shift you plan to download. You can get this information from your Tank Monitor or your shift printout.

5. Enter your Tank readings under Volume, select “N-None” next to “Paid from Account”, click “Save” and then “Quit”.

You should now be back in the “Cash Register Interface” window as shown below, click on the “Products Download” button and you should see a screen showing the download progress. This should finish in a few minutes without any errors.

A message box will prompt “!!!Warning!!! Are you sure you really want to update your products from what was last downloaded?” press Yes.

From the “Cash Register Interface” window, click “Download” under” Gas Selling Prices and make sure the prices are in the proper place. If the prices are not correct, click the [>] shown next to the Quit button.

You should now see the Gas Map group, change the numbers and hit “Update” until the grade prices are proper. You may need to check the “Switch Service “if your prices are in the “Full” Column and you only sell “Self”. You may also need to click “Download under Gas Selling Prices” again. The most common mapping numbers are 1 for Regular, 2 for Plus, 3 for Super and 4 for Diesel.

Please Note: When using unique names like Blue, Silver and Gold for your gas names you will have to enter them into the section under “Name” in the “Gas Map”. You are also able to map your Trendar to a dept. So, if you created dept 5 as your Trendar dept you would enter #5 in the “Gas Map” under the appropriate gas type in the Name field.

!!! WARNING !!! - Before downloading your shift for the first time, check the “Keep Gas Sale Open” checkbox. This will keep the Gas Sale window open, so you can validate the profit as well as your pool margin.

To download the 1st shift or day, click “Show Available Batches”, you should see a list of batch numbers. Double click the one you want to download or enter the batch # in the “Batch to download” box and click “Sales Download”. The G-Site will only keep 8 or 9 shifts and up-to 3 days.

When the download is finished, go back to the “Cash Register Interface” and click “Verify ”. This will let you confirm the Date as well as the Batch #. We will use the Batch # as the Shift # or Day #.

Click “Update Sales” to process your shift or day.

If the “Keep Gas Sale Open” checkbox is checked, the Short/Over screen will not load automatically. The “Gas Sale” window stays open, validate your data and click Save. If you do not see the proper sales numbers, you need to look at the “Gas Sale” section in the Sales Log that was open in Notepad and enter the Grade Names that you see there in the Gas Map next to the numbers.

If you are getting negative Volumes, click the “Setup” in the Cash Register Interface window button and un-check the “My Cash Register is connected to a Tank Monitor”.

You will need to re-download your shift again and reprocess it.

Now the “Short/Over (End of Shift)” window opens up for you to balance your shift. The shift should automatically balance unless there was a configuration problem.

Go ahead and balance your shift by validating your “Cash & Checks” and “Safe Drops”. When you finish, click “Close Shift (SAVE)”.

If you need to make adjustments to the Sales Room, click the “SALES ROOM” button, select Find and make the adjustments you need to make. When you come back to the Short/Over, the amount gets adjusted automatically. You can make similar adjustments to most other fields. If you want to make quick adjustments, you can simply make your changes in the Short/Over window without going to the details.

To see your Daily Books, start the “Short/Over” window and click the “Report” button and select “Short/Over Report” or “Summary Report”, click OK. Select a Date-Range or simply click OK to see all dates.

Other Cash Register Interface Options:

• Upload Products to register: If you have changed a lot of items throughout the day and are ready to upload them you can use this option. This option can also be used if you want to upload all items in a selected dept as well as all PLU’s.

• Product Wizard: Allows you to do large quantity of price changes at one time, whether by name, price point or department as well as many other ways.

• Department Setup: can be used to edit / configure new departments and upload them to the G-Site.

• Change Price Groups: Opens up a spreadsheet type window to allow changes to existing Price Groups names and ID’s or to create new ones.

o Note: The amount of price groups that can be programmed will depend on the software running on the G-Site. Please call Gilbarco if you are unsure about the amount.

• Change Categories: Opens up a spreadsheet type window to allow changes to existing Category names and ID’s or to create new ones.

• Change Sub Categories: Opens up a spreadsheet type window to allow changes to existing Sub Category names and ID’s or to create new ones.

• View Products: Opens up a spread sheet type window which will show the entire Pricebook.

• Validate Products: This will generate a list of invalid products, invalid buying vs. selling and also invalid multipliers.

• Products Download: This will download the current Pricebook into the software. This should only be done when first configuring the software.

o If you want to control your price book from the back office you will never have to press this button after the first time.

• Create / Modify Products: Allows you to work with one item at a time changing pricing, editing the name etc…

• Sales Download: downloads the most recently closed shift or day from the G-Site.

• Last batch: This is the last batch that was downloaded or reprocessed from the G-Site.

• Batch to download: This will show you the next batch that will be downloaded from the G-Site. Clicking on the word Batch to download will restore any shifts / days that the software has automatically backed up.

o Note: This is NOT what the G-Site has available to download.

• Show Available Batches: These are the closed shifts / days that the G-Site has available to download.

• Verify: allows you to see the batch number and open / closing time.

• Update Sales: posts the downloaded data into the software.

• View Sales Log: Allows you to restore the most recently downloaded shifts / day log.

o Clicking on […] will bring you to all the saved logs that the software backs up automatically.

• Auto: This will bring up the Automation window which can automatically download the shifts or days from the G-Site

• Setup: Opens the Cash Register Interface Setup window.

• Help: Brings up help topics about this window.

• Show Me: Brings up a video tutorial on how to use this window.

• Press Quit once finished

Downloading Shifts Automatically • If you want the shifts to automatically download from your register, click the “Auto” button in the

“Cash Register Interface” window and you should see the following window.

1. Select the Download Interval (How often you want the software to look for a new shift to download)

2. The “Export Options” section would be used if you want to automatically publish your reports or data to your own FTP server or to your AGKSoft Home Office Software.

3. The “Import Options ” sections would be used if you want to automatically import price changes from your own FTP server or from your AGKSoft Home Office Software.

4. Click “Start Automation” and make sure you leave your PC on and the software running at all times.

“Next Batch #” is the next shift or day that automation will automatically download once closed on the G-Site.

“Download Product Prices from Cash Register” should only be checked ONLY if you change your prices directly from the G-Site.

Please note you should always change your prices from your AGKSoft Back Office Software.

“Auto Restart Software after download” should be checked if you would like the software to restart in worker mode. This is useful if want tighter security for your software when you will not be at the station.

Clicking on the will open up a notepad will detail information about the automation process, if it stopped, it there were errors etc.

How to Review the Downloaded Shifts 1. Click “Stop Automation” to stop the automation process

2. Click “Quit” to close the automation window

3. Open the “Short/Over” window

4. Click “History”, select a date range and hit OK

5. You can now pick the shift /day you want to re-open and make changes to.

Make sure you “Start Automation” when you are finished to begin the download process again.

How to Check-in and Check-out using the G-Site This feature is supported only by the ADS Chicago, ADS Dallas, BuyPass, ConocoPhillips, Shell, Sunoco & ExxonMobil software brands.

How to create a MACRO to facilitate Check-in and Check-out?

1. Press the Hot Key; it looks like a big @ sign right above the "A/B MEMORY" key on the left side of your keyboard.

2. Select (1) CONFIGURATION; You need to enter your CONFIGURATION password, if you do not know the password, call your Gilbarco Authorized Service Rep.

3. Select (1) KEYBOARD CONFIGURATION.

4. Select (3) EDIT CONFIGURATION.

5. Select (1) RECORD MACROS. 6. Select a key on your keyboard that you wish to use for the Check-in button; Press this button

twice and then press the Alpha Key.

7. You will now be prompted to enter Cash or Check; Choose Cash. 8. You should now be back in the PC CONSOLE CONFIGURATION (Edit Keyboard) SCREEN. 9. Follow steps 3-7 to record the Macro key you would like to use for Check-out.

How to use the newly created Macro keys 1. Press the Hot key; it looks like the big @ sign. Select 1. Cashier Functions/Green Key; Enter in your

user ID and password.

2. Select the newly created Check-In key and enter in One Cent, when prompted for a reference ID enter the Employee’s ID number followed by the pound sign; when prompted “Press Cash/Check” choose Cash.

3. Follow step 2 for Checking-out.

• To find out a certain Employee’s ID number open up the “First Time User” screen in AGKSoft; Click on the Employee’s button and then find.

• All the employee time will download when the shift / day is closed on the G-Site and then downloaded into AGKSoft, it will then automatically fill the timecard and allow for easy payroll printing.

Troubleshooting Gftp 1. Check the cable, make sure it is a straight RJ45 cable (NOT TWISTED), make sure you are using the

AGKSoft connector and make sure it is connected from your PC’s COM Port to the G-Site’s RPCI Port. Reboot your PC and possibly your G-Site and try again.

2. Make sure your Station ID is set to “123456” and your Remote Login ID is properly set to “RPCI” both on the G-Site and the back office PC.

3. If you are having trouble using your COM port (no communications), make sure you are not using a switch box and you may want to remove the COM port from the Control Panel and let Windows automatically add it after you reboot. Make sure you are using the proper COM port number.

4. If you are having communication problems downloading a shift, make sure you specified the proper shift number and make sure the shift has been closed. If the “Test Connection” works, then make sure you specified a shift # that exists on your G-Site by clicking on “Show Available Batches”.

5. You may want to Close the G-Ftp Server and re-launch it whenever you make a change such as COM Port, Station ID, Gossip Level or Remote Id.

6. When uploading more than 500 items from your PC to the G-Site, some G-Sites cannot handle it, so you will see errors coming from the G-Ftp Server. You need to close the G-Ftp Server and start it again or reboot. Then try to upload one Department at a time to the G-Site.

7. If GFTPS crashes at startup then make sure you create an Internet Connection first. If you get an “Exception ESockError in module Gftps.exe with Error #10022, you should check the WINSOCK.DLL and WS2_32.DLL to make sure they are compatible.

8. If the GFTP Server crashes with Error 10048, it means there is another G-FTP Server already running or you may have Internet Information Services IIS installed and running. To work around this, stop IIS and make sure G-FTP Server is not running more than once.

9. If you get a “G-FTP Server” Error (ie_Open – device already open), it means that another Windows program is already using the same COM port GFTP Server is attempting to use.

10. If the GFTP Server crashes with Error 10061, it means your Windows Firewall or other Firewall (e.g. MacAfee) could be blocking the server. Please disable the Firewall, reboot and make sure it is still disabled. You can start a command prompt and type “netstat –an”, make sure port 21 is not blocked. You can look for a line that looks like this: “TCP 0.0.0.0:21 0.0.0.0:0 LISTENING ”.

You can also try this: “netsh firewall show allowedprogram” or try this: “netsh firewall add allowedprogram c:\gftp\gftps.exe GFtp ENABLE ”

11. If you receive an “APRO Exception” error it means that there is an error with either the serial port or driver. Replace you serial port or reinstall Windows in a new folder.

12. If you are having trouble uploading items to the G-Site, make sure you un-install MacAfee’s Antivirus and Security software. For unknown reasons, the latest version of MacAfee causes problems when uploading to the G-site. Norton Antivirus does not cause any such problem.

Using FTP to connect to your G-Site 1. Start a DOS Command Prompt (Click Start, Run, type COMMAND and hit Enter)

2. Type “FTP localhost” or “FTP 127.0.0.1” and hit Enter. If you get an invalid command, try “FTP”. If you still get an invalid command, search for FTP.EXE, it should be in your C:\Windows\System32 folder. If you cannot find it, you may have to install some missing network features in your Windows. You can do this by installing any Internet Service Provider software or add a dial-up connection from your Network Control Panel.

3. FTP should display “Connected to YOUR MACHINE NAME” and it should ask you for a Username. Enter “RPCI” as the Username and hit Enter. FTP should ask you for a password; enter your Station ID (e.g. 123456) and hit Enter. FTP should say “Welcome to YOUR GSITE NAME” followed by another line that says “User RPCI Logged in”. If you see all that, then you are connected to the G-Site and the communication is working. You can now type “ls” in lower case to list the G-Site directory. Note that “ ls” is the UNIX command to list the files and directory.

Using FTPXTEST to Test your G-Site connection 1. Run FTPxTest by clicking on the icon on your desktop

2. Make sure Host is either “127.0.0.1” or “localhost” and LogonName is “RPCI”

3. Set the Password to your station ID (e.g. 123456)

4. Click the Connect button and look at the Debug section, you should see some messages such as:

Welcome to the G-Site

User RPCI logged in.

If you don’t see the above messages, then you have a problem with one of the following:

• COM Port (COM1 or COM2)

• Baud Rate (typically 19200)

• The Protocol Name (e.g. RPCI)

• The Station ID (e.g. 123456)

• Your connection is loose or you have a bad RJ45 cable or a bad 9-pin connector

• Make sure you can run FTP from a command prompt. If you cannot, then try making an Internet Connection first.
