2 CONFIRMATION OF MINUTES

RECOMMENDED on the motion of Gordon McCaw and June McGrane that the minutes of the previous meeting held on 28 July 2015, having first been circulated amongst all members, be confirmed.

3 BUSINESS ARISING

3.1 Australia Day Citizenship Ceremony

The Committee discussed the recommendation of the previous Minutes which were to be tabled at 25 August 2015 Council Meeting and their determination. Griffith Pioneer Park Museum will still hold an Australia Day Celebration.

5 ITEMS OF BUSINESS

CL01 PROMOTIONS AND ADVERTISING

Mrs O’Donnell-Priest presented the promotions and advertising report to the Committee. Councillor Cox commented that Griffith Pioneer Park Museum was not listed separately as the No 2 tourist destination in the Visit Griffith Guide and that it was in the ‘mix’ of scenic hill and Hermit’s Cave. Councillor Cox also expressed disappointment that Lake Wyangan was missed altogether. Mrs La Rocca also expressed discontent that the guide targeted the Wine and Food industry and did not encompass whole of tourism. Mr Lawrence noted comments and will consider these in future publications.

RECOMMENDED on the motion of Gordon McCaw and Councillor Cox that the Committee note the report.

CL02 GPPM VISITATION STATISTICS FOR THE PERIOD 20 JULY - 16 AUGUST 2015

RECOMMENDED on the motion of Carmel La Rocca and June McGrane that the Committee note the visitation report for the period 20 July to 16 August 2015.

Councillor Zappacosta requested that event numbers be listed on the visitation statistics as well e.g. the Salami Festival. Griffith Italian and Cultural Museum to be requested to supply visitation numbers. Mrs La Rocca advised that as a part of the Italian Museum and Cultural Committee Incorporated that they had received insurance cover for the Salami Festival.

Mr McCaw advised that it would be prudent for the Museum to retain a copy of this policy on file. Ms O’Donnell-Priest to request a copy from Italian Committee executives.

CL03 MEMORANDUM OF UNDERSTANDING - GRIFFITH ITALIAN MUSEUM AND CULTURAL CENTRE INC AND GRIFFITH CITY COUNCIL

RECOMMENDED on the motion of Councillor Cox and Gordon McCaw that:

(a) The Griffith Pioneer Park Museum Committee endorses the Memorandum of Understanding between the Griffith Italian Museum and Cultural Centre Inc. and Griffith City Council.

(b) The MOU be authorised by the Griffith Italian Museum and Cultural Centre Inc. and Griffith City Council executives prior to 27 August 2015

Councillor Cox made comment that it is important to note the agreement between the two entities working together as part of one Museum.

CL04 BUSINESS & ADMINISTRATION COORDINATOR UPDATE – 24 AUGUST 2015

4.1 Staff Update

Mr Lawrence updated the Committee members on the progress of the appointment of the new Curator. It is anticipated that the successful applicant will commence in a couple of weeks.

4.2 Pioneer Wall

The Committee requested an update on the proposed Pioneer Centennial Walk or Commemoration.

Mr Lawrence advised that a Sub Committee would be required as the 2016 Centenary Committee is already committed to other projects and there was limited financial capacity to undertake this project. The Committee discussed options and opted to form a subcommittee and asked that people who investigated this proposal prior and member/s of the Griffith

Genealogical and Historical Society be invited to join.

June McGrane advised that Rhonda Romagnolo has investigated the Italian Pioneers and had names and would be a beneficial subcommittee member. Gordon McCaw and June McGrane nominated to be on the subcommittee also. Jenny O’Donnell-Priest to pursue other members. Mr Lawrence advised that he would be happy to accept any recommendations and forward to the 2016 Centenary Committee and endorsement through Council.

RECOMMENDED on the motion of June McGrane and Carmel La Rocca that a subcommittee be formed to organise a Pioneer Centennial Walk/Monument for the 2016 Centenary of Griffith.

4.3 Pioneer Park Museum Spring Fair

Mrs O’Donnell-Priest advised that she had spoken to the Griffith Show Society president and that it was advised that the Show Society would not be holding any event themselves however there was a proposed event scheduled. The Committee recommended that a Spring Fair be organised for the long weekend in October, showcasing an old fashioned family fair. Councillor Zappacosta, Gordon McCaw, June McGrane, Carmel La Rocca and Jenny O’Donnell-Priest were nominated to be on the organising committee. Discussion took place on the best day to hold such an event. Mrs O’Donnell-Priest to call a meeting as soon as practicable.

RECOMMENDED on the motion of Derek Motion and June McGrane that the Business and Administration Update report be noted.

CL05 GRIFFITH PIONEER PARK MUSEUM FINANCIAL REPORT

Councillor Cox queried the expenditure on the PA system that was not listed in the capital expenses. Mr Terrazas advised that the account had not yet been received and that he had spoken to Griffith City Council’s Assistant Financial Accountant who advised that the monies would be carried over from last year’s budget as it was approved but not spent. RECOMMENDED on the motion of Doreen Stephens and Charlie Bishop that the Financial Report for July be noted. 6 OUTSTANDING ACTION REPORT

The outstanding action report was reviewed and noted.

7 GENERAL BUSINESS

7.1 Todd Collection

Mr Lawrence updated the Committee on the Todd Exhibition and Multipurpose Shed project. Mr Lawrence updated the Committee on the Todd Collection project and advised that a fully costed budget was being prepared by the Coordinators.

Previous quotes received were mismatched and therefore not directly comparable and therefore stated specifications are to be provided for a correct quotation process to take place. The Technical Coordinator is working on a 1, 5 and 10 year capital/building maintenance plan which will also be referred to when commitment of funds are reviewed.

Once the total cost and shed specifications are determined, they will be forwarded to Council’s Principal Planner Urban Design and Strategic Planning to review prior to distribution for quotation.

7.2 Melbourne Cup Day

Councillor Cox recommended that Griffith Pioneer Park Museum hold a Melbourne Cup Luncheon on 3 November 2015. It was noted that Mrs Romagnolo would be away and that catering would be organised elsewhere. This is to be promoted through the Visitor’s Information Centre. Mrs McGrane advised that Rhonda could speak with Alan Wallett regarding promoting both the Spring Fair and Melbourne Cup Luncheon.

7.3 Local Government Week Mini Action Day

Mrs O’Donnell-Priest advised the Committee that mini action day was to be held on Friday 4 September with approximately 400 children expected to attend and gave an overview of planned activities. A request was put forth to Committee members to give voluntary assistance on the day. June Mrs McGrane to demonstrate morse code and man the Griffith Post Office, Councillor Cox to undertake ‘old school’ classroom, Charlie Bishop to demonstrate saddlery maintenance, Doreen Stephens to ask around to see if another volunteer could assist with making scones, Rhonda Romagnolo is giving a demonstration on old washing techniques and sewing, Jenny O'Donnell-Priest to organise treasure hunt and old fashioned games. 8 NEXT MEETING

The next meeting of the Griffith Pioneer Park Museum Committee is to be held on Tuesday, 27 October 2015 at 1:30 pm.

An informal meeting (workshop) is scheduled to be held on Tuesday 29 September 2015. Mrs O’Donnell-Priest to send out an invite to the Griffith Pioneer Park Museum Committee and Volunteers to attend.

Griffith City Council COMMITTEE REPORT CLAUSE CL01 TITLE Curator Update FROM Jason Richardson, Mr TRIM REF 15/70819

SUMMARY

The purpose of this report is to share information on recent activities at Griffith Pioneer Park Museum.

RECOMMENDATION

Council note the report.

REPORT

Since starting in the role of Curator on Monday 8 September, I have worked with my colleagues at Pioneer Park to seek opportunities, implement new public programs and generate publicity.

The first opportunities were applications for assistance from the Museum of Art and Applied Science. We recently learned the Park was successful in obtaining a curatorial visit to discuss agricultural machinery and a workshop in the conservation of wood-based objects. Both of these activities will be held in 2016 with the public workshop proposed for up to 20 participants, including volunteers and community members.

As for publicity, two media releases have been written and distributed with assistance from Council’s Communications Officer. The first announced my arrival to the role, while the second promoted the Hogarth wedding dress display prepared by volunteer Heather Waide for the Round House at the Park. A number of people have commented on hearing about the former on Star FM, while it has been pleasing to see Museums and Galleries have included the latter on their website: http://mgnsw.org.au/events/hogarth-dresses/

Further public engagement has been sought using social media. Facebook is generating good results with very high levels of engagement and an increasing number of likes for the GPPM page. An Instagram has been created and content is being regularly uploaded.

We are currently developing plans for a family-oriented event to take place in the future.

SUMMARY

The visitation numbers to the Griffith Pioneer Park Museum have been steady over the period. The commencement of the school holidays and the Under 12 State Soccer Titles saw a good number of families attend. It has been found that engaging children and allowing them to closer observe the exhibition is creating more interest in the Museum.

Griffith City Council COMMITTEE REPORT CLAUSE CL03 TITLE Aboriginal Project - Work for the Dole FROM Jenny O'Donnell, Business and Administration Coordinator GPPM TRIM REF 15/71389

SUMMARY

Riverina/Western NSW Aboriginal Employment & Training Officer, Mark Saddler and GPPM Business and Administration Coordinator have been working together with a proposal for an aboriginal specific Work for the Dole project. This project proposes improvement of Griffith Pioneer Park Museum’s representation of an aboriginal cultural site with planned maintenance and development of the area where the Wiradjuri Canoe and Scar tree are situated.

RECOMMENDATION

Ongoing discussions and organisation has centred around the existing Wiradjuri Canoe and

Scar Tree with the vision of maintaining the existing exhibition with cultural development and

further work done on the site. The following information was forwarded on by Mr Saddler and

a program has now been developed specifically for Griffith Pioneer Park Museum.

Work for the Dole Programs Following is a guide for programs that I assist in rolling out with organizations that partake in the Work

for the Dole program. Work that can be incorporated in these programs can be,

Undertake fence erecting and repair,

Construction of pathways, signage, access roads,

Building maintenance,

Garden maintenance and installation,

Species count, flora and fauna,

Water testing, and reporting,

Rubbish removal,

Identify cultural areas and items,

Tourism training or experience,

Restoration of cultural areas,

Construction of cultural interpretation signs,

Feral animal trapping and removal,

Weed removal and spraying.

The scope of these programs can be very wide, as long as the activities are interactive, educational

and fun, then we may have a great chance to engage some of our Aboriginal people with meaningful

work that may lead to further training and employment.

Also with this program I ask if that the participants can get some formal training such as white cards,

first aid certificates and such as a way of enhancing their employment prospects.

Most times it is also possible to have a paid supervisor, (up to 6 months) to assist organizations with

the Work for the Dole program as well. For these positions I will target Aboriginal people to undertake

the supervisor’s role.

The project organisation is well underway with the participants enlisted, supervisor selected

process to a practical program.

The Museum is continuing on the path of advertising and promotion through different mediums. The Museum has now been given approval for utilising and maintaining social media and it is anticipated that this will capture old and new interest in the Museum.

INSTAGRAM & FACEBOOK Mr Richardson and Mrs O’Donnell-Priest followed due process and submitted a request through Council’s SMT to be authorised to commence social media and staff are very pleased to report that we are well on our way to already achieving the KPI’s that were projected (request attached). The Business Administration Coordinator, Curator and Council’s Communications Officer are Administrators of the pages. Due to the Mr Richardson’s experience in Instagram, he will be the main manager of the Instagram account. This is mainly a pictorial page that gains interested followers, likes and posts. Mrs O’Donnell-Priest will be given more training in the utilisation of Instagram when time permits. To date Griffith Pioneer Park Museum has 118 followers on Instagram and 14 posts. Mrs O’Donnell-Priest and Mr Richardson administrate Facebook and are posting regularly from historical data to event information to keep the audience engaged and hopefully to grow. The Facebook page has 444 likes to date, 100% response rate to messages and a user rating of 4.4/5. MEDIA RELEASES Our Curator is well versed in visual and written language being a good communicator and writer he has authored a couple of media releases. This are subject of his own report.

SUMMARY

It was noted that the volunteer numbers for the Griffith Pioneer Park Museum have declined over the past couple of years and since undertaking the role as Business and Administration Coordinator it was believed critical to gain new volunteers to keep the Museum in a sustainable position. Mrs O’Donnell-Priest put a ‘call out’ for new volunteers and is happy to report that the numbers have increased and it is proposed to continue to drive for an increase into the future.

As a consequence of the ‘volunteer drive’, Griffith Pioneer Park Museum has now engaged thirteen new volunteers, has five proposed offers (yet to undertake paperwork) and also engaged the Green Army, a volunteer heritage and environment group. The thirteen new volunteers are Robin Sylvester, Denis Couch, Dom Franco, Alan & Lyn Power, Jeff & Jean Bastianon, Catherine Baker, Bev Riley, Lorraine Vitucci, Heather Edwards, Joe White and Ryan O’Meara.

These volunteers have already proven to be enthusiastic and competent workers and a very welcome addition to our Pioneer Park ‘family’. The Museum also welcomes back Kay and Norm Corcoran who have been dedicated to the Museum for many years, their daughter Stevie Thoroughgood, Lou Austin, Neva Dalla and Libby McWilliam.

Of course our loyal regular volunteers of Brian Hampel, Bob Stewart and John Bickerstaff are here religiously each week and are to be commended on the work that they have put into giving our faithfull old train a much needed makeover.

It is proposed future reports are to be submitted to the Committee with information on proposed and current projects that the volunteers are working on.
