    A better solution.More than an incremental change from AdvantX 2.4, AdvantX 2.5 is amajor upgrade, introducing enhanced functionality, even greater ease ofuse and altogether new capabilities.

    What’s new. AdvantX 2.5 introduces two new optional modules – the Collector’sDesktop and the Analyzer Reporting module. In addition, AdvantX 2.5adds a new product to the AdvantX suite – AdvantX SH (SurgicalHospital), which is designed specifically to manage inpatient andoutpatient surgical cases. Please contact your sales representative for purchase information regarding these three new offerings.

    Collector’s DesktopThe Collector’s Desktop assists AdvantXusers by improving collections efficiencyand decreasing A/R. From a centralworkspace, collectors may generateletters, bills and insurance tracers, entercollections-related comments, accessrelated Registration and Billing informationand assign action dates. Flexible systempreferences enable different collectionprocesses per payor and allow separationof insurance collections activities from

    patient activities. System-generated triggers initiatecollection activity and/orfollow-up. A history of allcollection-related activity isconstantly maintained.

    Upon application launch,collectors have the option toopen the individual

    collector’s queue, which is automaticallypopulated for the current user based onaction dates assigned by systempreferences or the collector. Alternately,collectors may create collection queuesfrom options presented on the Collector’sDesktop filter screen.

    The Collector’s Desktop queue includespatient name, account, case, amount due, total charges, collector’s action date(CAD) and the responsible party or claimoffice. The queue may be sorted inascending or descending order by anycolumn to offer maximum flexibility when“working” accounts.

    The collector may select and pull anaccount into the workspace to view

    detailed account information, generatebills and/or correspondence, turnover toan external collections agency, entercomments and set action dates. Collectioncomments will be automatically generatedto track collection-related actions. Uponcompletion, the user may click the ‘Next’button in the workspace to move to thenext account in the queue.

    The following reports assist AdvantX users with management and oversight of collection accounts:

    AdvantX Analyzer Reporting ToolThe AdvantX Analyzer reporting tool facilitates the generation of user-definedreports. Flexible filtering, sorting and formatting options make this a powerfulanalysis tool to complement AdvantXreports.

    Surgical Hospital Module The AdvantX Surgical Hospital module provides the ability to manage both inpatient and outpatient surgical cases.

    Scheduling in the Surgical Hospitalbusiness unit allows specification of one ormore operative rooms and zero or moreextended-care recovery rooms per caseto track patient treatment within the facility.

  • Surgical Hospital Module (cont’d)Rooms may be assigned to the operativeor extended-care theater and may bedesignated as private or semi-private.Conflict checking is performed to ensureavailable beds are not exceeded and,optionally, that patients of different gendersdo not share a room.

    Simply click the ‘Rooms’ button on the Case tab to specify additional room assignments for the operativetheater. Click the ‘Add’ button to beginscheduling additional operative rooms.After specifying the date, begin time, endtime and room type, click on the roomlookup to select from a list of availablerooms. These ‘Additional Op’ rooms maybe scheduled before and/or after the main operative appointment and are notrequired to be consecutive. They willappear on the scheduling grid precededby an ampersand symbol (&) indicatingtheir “additional” status.

    Extended-care theater scheduling is performed in the ‘Recov’ tab. Click the ‘Add’ button to begin schedulingextended recovery rooms. Specify thebegin date, end date and room type, and click on the room lookup to selectfrom a list of available rooms. These‘Extended Care’ rooms may be scheduledbefore and/or after the main operativeappointment and are not required to beconsecutive. The patient gender andlength of stay will display for reference.User-defined care levels may optionally be assigned to each room to designatethe varying degrees of medical attentionrequired during each phase of recovery.

    In addition, rooms that have beendesignated for use in Surgical Hospitalsupplemental scheduling inthe extended-care recoverytheatre allow specification ofthe number of availablebeds and privacy type.

    Available privacy typesinclude private, semi-privateand semi-private with gender conflictchecking. Private rooms will limit thenumber of patients to one per room. Semi-private rooms will allow user-specificationof the number of available beds and willdisallow additional scheduling when themaximum number of beds has beenreached. Semi-private rooms with genderchecking will disallow selection if a patientof a gender different than the currentpatient already occupies a bed.

    Case History will allow modification of both the ‘Additional Op’ and the ‘ExtendedCare’ room assignments. In addition,organizations performing itemized billingmay opt to incorporate markups for carelevels occuring during the patient’s stay.Activate ‘Care Level Itemized Billing’ viathe Case History General Preferences.Revenue codes and tiered markups maybe assigned to each care level in the CareLevel User Table. OR Theater care levelsare tiered in minutes while extendedrecovery theatre care levels may be tiered in minutes, hours or days.

  • HIPAA-Related Enhancements

    Audit Trail and ReportIn accordance with HIPAA’s audit controlguidelines, AdvantX has introduced anAudit Trail feature to log the followinginformation: patient name, date, time, useraccessing the account and the module inwhich it was accessed. This logging willoccur in the following AdvantX modules:

    • Scheduling• Registration• Case History• Billing Transactions• Collector’s Desktop

    The Audit Trail report will output access to patient accounts by user, date andmodule.

    Auto LogoffIn accordance with HIPAA’s entityauthentication guidelines, AdvantX hasintroduced an ‘Auto Logoff’ feature whichwill “lock” AdvantX user sessions after auser-specified idle time. System-wide idleminimum and maximum times may bespecified in Global System Preferences

    and, optionally, for userswith appropriate security.This feature may be over-ridden within thevalid range.

    AdvantX 2.5 Enhancements

    After the specified idle time has elapsed,the AdvantX session will be locked andthe user will be presented with a loginscreen. The user may provide a passwordto resume their session without losing anyunsaved changes. Alternately, the usermay click the ‘Exit’ button to exit theapplication without saving any changes.

    The F11 key provides the ability to lock thesession on demand. The user mustprovide their password to resume theirsession without losing any changes.

    Display Current User in Title Bar To further assist with entity authentication,the current user’s account will display inthe AdvantX title bar. This additionfacilitates oversight by office managersand system administrators to ensure thatusers are logging in with the intendedaccount and corresponding security level.

    Information DisclosureIn accordance with HIPAA’s administrativeprocedures to guard confidentiality, usersmay log details regarding each request for patient information. For each patient,requests and subsequent release ofinformation to third parties or to the patientmay be logged. The date, detailedinformation of the requesting entity, theinformation disclosed and the reason fordisclosure may be stored. The InformationDisclosure History window will allowsorting of disclosures by column and maybe printed.

  • System-Wide Enhancements

    Module Launch on LoginEach AdvantX user may select a moduleto open when logging in to AdvantX. Front-desk staff may choose to launchScheduling or Registration at login whilebillers may launch Billing Transactions,Insurance or Patient Billing. Users electingto launch the Collector’s Desktop uponlogin will be presented with a queue of accounts based on the collector’saction date.

    Form and Label Generation Demographic form printing has beenenhanced to allow specification and output of a free text message at run-time.In addition, forms and labels may now be generated by appointment entry dateand/or schedule date.

    Chart PacksDemographic form printing has beenenhanced to allow the specification and selection of chart packs. Chart packs are user-defined groupings ofdemographic forms typically printed during the registration process to gatherpatient information. A new Chart PackUser Table allows user-defined selection of forms and ordering of the form output.The Chart Packs User Table report will output information regarding the UserTable entries.

    Enhanced SecurityAdditional security checkpoints have been added to grant/restrict access toaccount activation and deactivation, batch maintenance and billing periodmaintenance.Checkpointsgrant/restrictthe ability tocreate new,open, deleteand closebatches andbilling periods.In addition, security checkpoints havebeen added to grant/restrict view and editabilities for each visit department in CaseHistory and all Preference categories.

    Care Level User Table and ReportThe Care Level User Table allows userdefinition of various care types to permittiered time and material billing in theSurgical Hospital business unit. The Care Level report lists all entries in theCare Level User Table and offers filteringand grouping by revenue code as well assorting by description or quick code.

    Collections Comments User Table and ReportThe Collections Comments User Tableallows user definition of comments for use with the Collector’s Desktop module.Frequently entered comments may bestored to facilitate repeated use.

  • Hover Enhancements

    The following additional ‘SchedulingHover’ elements have been added:secondary insurance information, referring physician information, case andpayment source information for PracticeManagement business units and patientaddress information.

    The following additional‘Ledger Hover’ elementshave been added: payment source description,secondary insuranceinformation, collector’sdesktop information andpatient address information.

    One additional ‘Inventory Hover’ elementhas been added: preferred vendor.

    Comments Enhancements

    The Comments screen has beenenhanced by adding the option to ‘View Collector’s Desktop Comments.’When selected, the CD comments willdisplay in the grid and may be opened forviewing and marked for printing.

    Scheduling Enhancements

    Hour to Display on LaunchA user-specific preference has beenadded to allow specification of theschedule hour to display when Schedulingis launched. This preference allowsstorage of different preferred display timesfor each business unit.

    AdvantX 2.5 Enhancements

    Appointment Billing Analysis ReportThe Appointment Billing Analysis report has been enhanced to reportappointments that are scheduled and billed for different providers.

    Cancellation Analysis Report (NEW)The Cancellation Analysis report offersdetailed analysis of all appointmentcancellations within a user-specified daterange. Users may filter both schedule dateand/or cancellation date and may groupthe output by cancellation reason or patient. ASC business units may alsochoose to group by surgeon, if desired.Practice Management users may elect togroup by appointment type.

    Daily Schedule (PM) ReportThe Daily Schedule (PM) report has been enhanced to output the account and patient balances when the ‘Long’format of the report is run.

    Daily Schedule (SH) Report (NEW)The Daily Schedule (SH) report will output schedule information for thesurgical hospital business unit. The reportincludes appointments in main operativerooms, additional operative rooms andrecovery rooms. The report may be sortedby patient to facilitate the review of therooms utilized during the patient’s stay. In addition, the report may be sorted by schedule or time to allow maximumflexibility in the presentation of the daily schedule.

    New Entries ReportThe New Entries report has beenenhanced to offer Detail and Mergeformats. The detail format will offeradditional patient-specific information,including address and carrier information.The merge format will facilitate columnarexport to third-party applications.8

  • Registration Enhancements

    Registration Conflict CheckingConflict Checking has been added to the Registration module to allow userspecification of mandatory fields duringthe registration process. Users maychoose from a pre-defined list of fieldswhether they wish to be warned if the field is not completed (Alert User andReport), whether to report if the field is not completed (Report Only), whether todisallow save without completion (Do NotAllow) or whether to ignore the selectedfield regardless of completion (Disregard).

    This addition streamlines the datacollection process, ensuring that all necessary data has been properlyentered during Registration. Labels forfields designated as mandatory willdisplay in bold to alert the user that completion is mandatory. Fields availablefor selection include: Chart, Class, DOB,Employer, Gender, Marital Status,Nationality, Occupation, Missing or Incomplete Address, Missing orIncomplete Home Phone, Missing orIncomplete SSN, Race and Religion. The Registration Conflict Checking reportwill output the conflicts listed above aswell as those designated as Report Only.

    Anesthesia Concurrency Report (NEW)The Anesthesia Concurrency report lists,for Anesthesia business units, the caseswithin a user-specified Key DOS range.The report lists case information, includingbegin time, end time and case descriptionalong with staff information such as theanesthesiologist, CRNA and number ofCRNA’s supervised.

    Patients by Insurance Claim Office Report (NEW)The Patients by InsuranceClaim Office report listspatients associated witheach claim office andwhether the claim office ispart of their primary,secondary or tertiaryinsurance coverage. ClaimOffice address, phone andfax information is includedfor reference along with the count ofpatients associated with each claim office.

    Patient Distribution by Zip Code ReportThe Patient Distribution by Zip Codereport has been enhanced to allowfiltering by primary provider, patient statusand patient classification.

    Patient List ReportSeveral enhancements have been madeto the Patient List report. The report maybe filtered by date last seen or accountdate range in addition to the existing dateof birth range. A new sort by zip code wasadded to complement the existing nameand account sorts. In addition, a ‘Long’format has been added to include thedate last seen, date last billed and theaccount date. All information included inthe ‘Long’ format is also offered in the newcolumnar ‘Merge’ format to facilitate exportto third party applications.

  • Referring Provider Case Analysis ReportThe Referring Provider Case Analysisreport has been enhanced to includereferring physician detail, includingaddress, phone and fax. In addition, a ‘Merge’ format has been added to facilitate columnar export to third-partyapplications.

    Registration Conflict Checking Report (NEW)The Registration Conflict Checking reportwill detail registration-related conflicts.Users may elect to filter on primaryprovider, patient classification, patient lastname, conflict action and specific conflict.The report may be grouped by patient orby conflict.

    Case History Enhancements

    Equipment QuantityEquipment selection has been enhancedto display patient name, account information and the description and quickcode of the currently selected item. Thisfeauture also allows specification of thequantity used.

    Anesthesia AnalysisReport (NEW)The Anesthesia Analysisreport will detail anesthesia-related information for performed cases within auser-defined date of servicerange. Users may filter onanesthesia type, visit type,

    schedule, surgeon, anesthesiologist andCRNA. Sorting by date or patient and

    optional grouping by anesthesia type is also available. The output includesdetailed anesthesia information such as base units, risk units, ASA class, anesthesia type, anesthesia begin andend times, anesthesia procedures andrelated staff. Cases are totaled by anesthesia type.

    Cases by Care Level Report (NEW)The Cases by Care Level report will listcases and their corresponding care levelsin the Surgical Hospital business unit. Theoutput may be grouped by care level, sur-geon or date and may be filtered on dateof service, care level and surgeon.

    Census Report (NEW)The Census report will detail admissions,discharges and total census days for bothinpatient and outpatient cases for SurgicalHospital business units. The report maybe run in both summary and detail formatsand may be filtered by insurance type andsurgeon.

    Equipment Utilization Report (NEW)The Equipment Utilization report detailsthe usage of surgical equipment within auser-defined date range. The report maybe filtered by equipment, equipment type, surgeon and key date of servicerange and offers both summary and detail formats.

    Room Utilization Report (NEW)The Room Utilization report details theusage of rooms in a user-defined daterange. Users may filter by room, roomtype and surgeon, with various formatsand grouping options offered.

  • Billing Enhancements

    View ContractThe View Contract option, accessible fromBilling Transactions and the insurancetabs in Registration, has been enhancedto include the display of the contractualsource of revenue defaults for first,second, third and other procedures.

    Adjustment Analysis ReportThe Adjustment Analysis report has beenenhanced by adding filtering andgrouping by Collector for use inconjunction with the Collector’s Desktop.When grouping by Collector, adjustmentsentered since the collector was maderesponsible for the outstanding balancewill be reported allowing analysis of thecollection results.

    Aging by Carrier ReportSeveral enhancements have been added to the Aging by Carrier report,including the ability to group by insuranceclaim office and/or patient-responsiblebalance and sort by amount/aging. Inaddition, percentage totals for each agingbucket have been added to the totalsection of the report.

    Aging by Date of Service ReportThe Aging by Date of Service report hasbeen enhanced by adding percentagetotals for each aging bucket to the totalsection of the report.

    Billed Patients Report (NEW)The Billed Patients report will list theaccounts billed through the Patient Billing module within a user-specified date range. The report may be sorted bypatient, guarantor, billed date or zip codeand provides a history of statements

    collector’s action date in a user-defined range.Alternately, users mayrequest a listing of allaccounts with a CA datewhich falls into or outside of a user-defined range. This report operates inconjunction with the newCollector’s Desktop module.

The report may be filteredby provider, carrier, specialty andprocedure and offers a variety of sortoptions including procedure, carrier, claimoffice, provider and specialty. Summary,detail and grid formats are available. Thegrid format will allow user-specification ofthe row, column and summary data onwhich to report.

    Revenue by Revenue Code ReportThe Revenue by Revenue Code reporthas been enhanced to offer calculation of revenue at either gross or net.

    In addition, outpatient and inpatient sub-totals have been added. For ASCbusiness units, all revenue will be

    considered outpatient. Surgical Hospitalbusiness units may choose to designatecases as outpatient or inpatient using carelevels or the outpatient/inpatient type radiobuttons on the Case tab in Case History.
