Chapter 2 Exploring the Main Page
All Files Tab
This tab displays the list of files. This list can be sorted by clicking on a specific
column heading, e.g. File Name.
Current File TabThis tab shows the active file. Click the Current File tab to access the file.
File Tasks
Create New: Open a new file.Edit: Open the file for editing.
Copy: Create an identical copy of the highlighted file.
Archive: Remove a file from the All Files list.

Archive
To remove files from the All Files list, highlight the file and clickthe Archive icon in the Files navigation pane.
A warning message will appear to ensure the selected file is to
be archived. Click Yes to archive the file.
NOTE: An archived file can be restored. Only the ACLAdministrator is able to restore an archived file.
Recent Files
This section displays the last five files accessed. Click the file toopen. It will now appear on the Current File tab.
Find Feature
Click in the Search for field or use Ctrl+F.
Enter a file number, part of a file name, the lawyer name or the
court file number to search.
Click Clear to return to the complete file list.

Show Only My Files
To display only your lawyer(s) files, click Show Only My Filesto display the list of available lawyers. Highlight the name(s)
and click Add. Click OK.
To view the full All Files list, uncheck Show Only My Files.
Group Items
Files can be grouped by File Type, Proceeding, PrimaryLawyer, Last User or None.
Navigation Bars
There are three navigation bars:Files, Letters, and Court Forms.

File Number
Enter the number assigned by your firm. If a number has not yet been assigned, this
field may be left blank and completed later.
File Name
Use the client name or the short title of proceedings. This appears in the All File List
only, not on court forms.
File Type
Select the type of file.
Primary Lawyer for Court Documents
Begin typing the first name of the lawyer or click the Find icon to select the lawyer for
court documents and letters.
Additional Lawyers for Court Documents
For additional lawyers, click the Select icon, highlight the names, click Add and click
OK.
Overseeing Lawyer
This field defaults to the Primary Lawyer. To change the Overseeing Lawyer,begin typing or click the Find icon to select from the list.
The Overseeing Lawyer only appears on the File Information Sheet and not on courtdocuments.
Level of Court
Select the appropriate level of Court from the list. Available options are determined by
the File Type selected above.
Court Office or Location
Begin typing the city or town of the court location or click the Find icon to select from
the list.
Proceeding Commenced At
This field automatically defaults to the chosen court location. To modify, click into the
field and type.

Court File Number
The court file number can be added when available. For more than one court file
number, ensure each number is separated by a comma (e.g. action and appeal court
file numbers).
Proceeding
Click the drop-down menu and select theProceeding Type from the list.
Procedural Route
This field defaults to Ordinary Procedure. Tochoose a different Procedural Route, click thedrop-down menu and select the required
Procedural Route from the list. This can alsobe changed later if necessary.
Choosing the correct Procedural Route willensure that the appropriate court forms anddocuments are assembled.
Click Save to retain the details. Click Cancel to return to the Main Page. Use Next or
Previous to move forward or backward between screens.

Adding Party Information
Select Parties from the Files navigation pane.
Click Add Client or Contact. The Stored Client and Contact List will open.
To avoid duplicate clients, contacts or representatives in the Stored Client and ContactList, check to see if the client, contact or representative already exists in the Stored Clientand Contact List.
Search
Add client orcontact

RepresentativeNames
Begin by typing the client, contact or representatives name in the Search for: field. If
the name has been previously stored, it will appear in the list. In the above example,the Search for:contains smithand it locatesJohn Smith and Suzie Smith as wellasBob Smith as a Representative with the ABC Company. To add this party, see Add
Client or Contact Stored on page 21.
If the party does not appear in the list, see Add Client or Contact New on page 9.
If your firm has MS Outlook, clients/contacts can also be added by selecting theImport From Outlook icon. See page 22.
Adding Representatives: If the client/contact being added to the file is an
organization or corporation, existing representatives can be chosen or newrepresentatives can be added. See page 10.

If the client or contact does not appear in theStored Client and Contact List or cannot
be imported from MS Outlook, click the Addclient or contact icon.

If the party should not be stored in the Stored Clients and Contacts List, uncheckInclude in Stored Clients and Contacts List.
To continue adding clients or contacts, click Add Another and complete the dialogs asnecessary.
Click OK to save the party information. The party will be automatically added to the Stored
Clients and Contacts List.
Adding a Client or Contact New (Corporation)
If the client or contact does not appear in the
Stored Client and Contact List or cannot beimported from MS Outlook, click the Add client
or contact icon.
Party Role
Select a Party Role from the drop-down menu. Roles are determined bythe Proceeding Type chosen.
Party TypeSelect a Party Type from the drop-down menu.
Organization Name
Enter the Organization Name.
Add RepresentativeClick Add Representative in theOrganization and Representatives
section to see a list of all the
representatives currently associatedwith the organization.
Select the name of the required
representative.

If the representatives name does not appear on the list, click the icon to the right
ofSearch for to open the Add Representative dialog. Complete the details asrequired and click OK. The new representative will now be added to the StoredRepresentatives List for that company and will be available for future use.

Copying a Partys Address
To add a party with the same address as another party on the file, highlight the existingparty in Parties and click Copy party's address. Only the partys address details arecopied. It will be necessary to complete all blank mandatory fields.
Adding a Lawyer Represented Party
Place cursor over Add opposing party and select
Lawyer Represented.
Begin typing the law firm name. If the firm name does not appear go to step 2. Ifthe firm has been previously stored, it will appear in a filtered list. Highlight the firmname, press enter and the firm details will display to the right.

Enter Law Firm Details
Click the Create a New Firm icon to add a new firm.
Firm or Sole Practitioner: This allowsACL3 to generate the correct wording for
court documents.
Firm Name: Enter the full name of the lawfirm.
Descriptive: Select an option from thedrop-down menu. Other descriptions can be
manually typed if necessary.
Enter the Main Switchboard Number and
Main Fax Number.
Click OK once firm details are complete.
Enter Lawyer Details
Click Add Lawyer.
Lawyer Details: Complete as required.
Direct Numbers and E-mail: Complete as
required.
Include on Court Documents/Use for
Affidavit of Service: Check these boxes toinclude the lawyer on Court Documents andthe Affidavit of Service.
Add Another: Click Add Another to add
additional lawyers. Repeat steps toabove. Otherwise click OK.

Order Parties
To change the order of the parties for the Title ofProceedings, highlight the party to be moved and
click Move this party up or Move this partydown.
Re-lines
There are two Re-lines:
1. Opposing Parties; and2. Clients or Contacts.The formatting of the Re-line is set by the firm. If required,the content of the Re-lines are fully editable.
Clicking Refresh the document will remove any manual edits and will update the Re-lineswith any changes made to File Details and/or Parties.

Title of Proceedings
NOTE: The Title of Proceedings will lock once the first court form isgenerated. To make any changes to the Title of Proceedings, clickUnlock the Document.
The Title of Proceedings is fully editable. Formatting changesmay be made manually by using the icons on the formatting toolbaror shortcut keys.
Any changes to party names should NOT be done in the Title ofProceedings, instead edit the Party Details.
Clicking Refresh the document will remove any manual edits andwill update the Title of Proceeding with any changes made to
File Details, Parties and Order Parties.
There is an option to insert the words In the
Matter ofinto the Title of Proceedings.
Click Add In The Matter Of and thenclick Standard Options and make yourselection(s) from the drop down menu. The
list ofStandard Options can be modified byyour firms ACL Administrator.
The grey-shaded area in the preview is a place-holder.
If this place-holder is deleted, the word BETWEEN will not assemble in Court Forms. Also,the Court Official's details and date of the Order or Judgment will not appear.
If this place-holder was deleted in error, use the Undo icon or click Refresh the
document to restore the place-holder.

Lawyers for ... Wording
The party roles are identified and theparty names are displayed. The text in
the Lawyers for field can be edited byclicking in the field.
Click the refresh icon to return thetext to the default setting.
Service Details
NOTE: The Service List will lock once the first court form is generated. To make anychanges to the Service List, click Unlock the Document.
To view the Service List, in the File navigation pane, clickService Details.
The details for Your Firm and Service List can be viewed and
manually edited.
Clicking Refresh the document will remove any manual edits and
will update the Service Details with any changes made to FileDetails, Parties, Order Parties and Lawyers For wording.
All parties in the proceeding will automatically be added to the Service List.
The Service List also accommodates for law firms who are not representing parties and foropposing contacts to appear on the Service List.

If a party has been removed from the proceeding, to exclude that party from the Service
List, edit the party at the Parties task pane and uncheck Include on Service List. Theparty removed from the Service List will remain in the Title of Proceedings.
Adding Co-Counsel
Co-counsel may be added to Your Firm by adding them as opposing counsel without
completing the Represented Parties dialog. Co-counsel will then appear in the Service
List. Cut co-counsel's details from the Service List and paste those details into Your Firm
and the Backpage, as required.
Note: Clicking Refresh the documentwill remove the addition of the co-counsel.
Use the , , icons on the formatting toolbar or use: Ctrl+X to cut, Ctrl+C to copy
and Ctrl+V to paste.
Once the co-counsels details have been added to Your Firm, it is recommended that yougo back to the Parties task pane to edit their details. Uncheck the Include on ServiceList checkbox to ensure that co-counsel will not re-appear if you refresh the Service List.

Backpage
NOTE: The Backpage will lock once the first court form is generated. To make any changesto the Backpage, click Unlock the Document.
The Backpage is fully editable. Formatting changes may be
made manually by using the icons on the formatting toolbar orshortcut keys.
Clicking Refresh the document will remove any manual edits
and will update the Backpage with any changes made to FileDetails, Parties, Order Parties and Lawyers For wording.
The grey-shaded area is a place-holder. If this
place-holder is deleted, the Document Title will not appear onthe Backpage of an assembled document.
Use the undo icon or Refresh the document to restore theplace-holder.
Missing Information Alert Message
ACL3 will detect if required file information is missing. An alert message will appear on theRe-Lines, Title of Proceedings, Service List or Backpage previews.
Click View Details to identify the missing information.

Adding a Client or Contact Stored
Click Add Client or Contact.

Importing a Contact from Outlook
Contacts can be imported from either your Microsoft Outlook (MS Outlook) contacts orfrom another individuals MS Outlook contacts (e.g. your lawyers contacts), if you are adelegate to those MS Outlook contacts.
To import a contact from your MS Outlook mailbox, click Addclient or contact at the Parties task pane.
Click the Import Contact from MS Outlook icon:
Select the Contacts option under your name:
Select the required contact and then click the Import icon. Review the information thathas imported into the Add Client or Contact dialog page in ACL, choose the Party Roleand complete any other information as necessary. Click OK to finish.

NOTE: A user must be set up as a delegate in the lawyer orlaw clerks MS Outlook accountbefore having access to their contacts. Once designated a delegate, follow these steps.
To import contacts stored in a lawyers or law clerks MS Outlook account, click theDelegate Contacts bar to reveal the Manage icon of the Import Contacts from Outlookdialog.
The Delegate Contacts Manager dialog will
open. The name of the lawyer or law clerkmust be typed in the exact manner as theirlogin name for their computer. Once this hasbeen entered click OK.
Click again on the Delegate Contacts icon.
Select the appropriate lawyers or law clerksname:
A Microsoft Office Outlook warning will appearadvising that a program is trying to access MS Outlook.
Click Allow access for 1 minute and then click Allowin order to continue.
The lawyersor law clerks contacts will be listed in the Import Contacts from Outlookdialog. Highlight the required contact in the list and then click the Import icon.
Review the imported information in the Add Client or Contact dialog, choose the PartyRole and complete any other information as necessary. Click OK to finish.

Chapter 5 Editing a File
Editing Party Details
In the Files navigation pane, highlight the
file in the All Files list. Click Edit. Openthe Parties task pane, highlight the party
and click Edit Party. Amend details asnecessary.
Review and, if necessary, refresh theremaining task panes e.g. Title ofProceedings, etc.
Clicking Refresh the document will
remove any manual edits and will reflectthe changes made.
Changing Representation
When a party changes representation, Parties will need to be modified to reflect thischange. On the Parties page, highlight the party to be edited and click ChangeRepresentation.
Select whether the party will become your client (To our client), be represented by
another lawyer (To other lawyer) or become self-represented (To non- or self-represented).

When choosing To other lawyer, the Change Representation dialog opens to choose thenew law firm and add the lawyer(s).
Type the law firm name in the Firm
field. If the firm has been
previously stored in the Law Firm
Manager, it will appear in thefiltered list. Highlight the firm name
and press Enter. If the firm doesnot appear in the list, see page 13to add the firm.
Click Add Lawyer and enter the
lawyers information.
The party name and role will carrythrough.
Click OK.
Once you have changed representation review the Service Details and refresh ifnecessary.
Deleting a Party
Highlight the party and select Delete Party.
Review and, if necessary, refresh the remaining task panes e.g.Title of Proceedings, etc.
Clicking Refresh the document will remove any manual edits andwill reflect the changes made.

Changing Proceeding Type
As litigation evolves, so too should the file in ACL. Actions may become counterclaims orthird party claims and new pleadings need to be generated to correctly relate to suchproceeding types.
To change or evolve a file, select the original file on the AllFiles List at the Main Page and click Edit.
In the File Details section, click the drop-down menu and choose a new Proceeding.
A message will appear outlining what portions of the file
may require updating (i.e. Title of Proceedings, Party
Roles, Backpage, etc.). Click OK, review each relevantsection, edit if necessary and refresh the remaining taskpanes e.g. Title of Proceedings, etc.
Clicking Refresh the document will remove any manualedits and will reflect the changes made.
The Save icon will now appear as a Save As icon. Users have the option to save the newproceeding type as a new file or overwrite the original file.
Note: When saving as a new file, the File List will contain two files with the same name andfile number; however, the proceeding types will be different.

Updating the File
If changes are made to File Details or Parties, the followingpreviews may need to be refreshed for the changes to appear:
For the Title of Proceedings,
Service Details and Backpage, clickUnlock the document followed byRefresh the document.
Clicking Refresh the document will remove any manual edits and will reflect the changes
made.
When refreshing Service Details, ensure you are updating Your Firmif your firms details
have changed and the Service List for changes to opposing parties (including changes inrepresentation) by clicking the appropriate radio button. To save changes, click Save orpress Ctrl+S.

Service List Updating an Opposing Law Firms Details
Once contact details for an opposing law firm have been amended on a file, a notice willappear on each subsequent file linked to that firm indicating that contact details have beenmodified.
The Service List will lock once the first court document is generated. To update theService List to reflect the modified law firm details, follow the steps as shown below:
Click Unlock the document
Click Refresh the document
The changes to the modified law firm details will now be visible.
Clicking Refresh the document will remove any manual edits
and will update the Service List with any changes made to FileDetails, Parties, Order Parties and Lawyers For wording.
Note: If you had previously made substantial manual edits to the Service List, you may
wish to copy and paste the Service List into an MS Word document before you click Refreshthe Document. Doing this will then allow you to selectively copy and paste informationagain from that document back into the Service List.

Letters
Click the Letters navigation bar to see a full list of available
templates.
Letters-Create: This folder contains blank templates to
create envelopes or labels, fax cover sheets, inter-officememos, letters and e-mails.
The remaining folders contain pre-written letter
templates.
Assembling a Letter
Highlight the template in the folder list and click Generatethis letter. Complete the dialogs as necessary and click Fill.

Error Message
If you receive an error message such as the onedisplayed here, click Generate Error Report.
ACL3 will close and an Error Report will generate in MS Word. In the General Information
section, enter a brief description of the last actions performed in ACL3 prior to receiving theerror message, and send the Error Report by e-mail to [email protected].
For any other type of error message, please provide a screenshot of the errormessage. To create a screenshot, press and hold the Alt key and then press thePrint Screen Key.
Paste the error message into an e-mail message to [email protected], along
with a description of the problem, the sequence of events that led to the problem occurring
and any additional information and/or screen-shots that you think will assist in trouble-shooting.
Technical Support and Online Remote Session
If a Support Representative or Trainer requires connection to your workstation totroubleshoot the issue, they will contact you directly to arrange a remote session.
