Exempt Entities: Quick Start Guide
1. Homepage
Thank you for subscribing to the Accounts Preparation System (also known as
TECM). This guide will help you understand how to use the tool. Let’s first look at the
Accounts Preparation System homepage on CCH Online.

2. Downloading the program from CCH Online
To create a new accounts preparation file, click on the ‘Download’ button on the
homepage.
The file will be sent to your ‘Downloads’ folder. See below for how this step appears
in Firefox and Google Chrome browsers. We recommend you download a new
programme from this page for each new assignment so that you are confident
you are working with the latest version of the Accounts Preparation System.

Firefox browser
Open the file from the location that the browser has saved the file:

Google Chrome browser
Google Chrome will automatically save a copy of the file to your downloads folder.

3. Using the excel programme
The excel programme will now open and a box will appear prompting you to either
save the file by clicking ‘OK’ if it is a new client file, or, if you are opening an existing
client file, to skip this step by clicking ’Cancel’.
If you click ‘OK’, a box will appear asking you for the file name and where you want
to save the file. It is important that you use your firm’s standard file-naming structure
and that you save the file in the folder that your firm designates for this purpose (and
that is regularly backed up). Once you have entered these details click ‘OK’.
The programme homepage will appear. Click on ‘Go to questions sheet’.
Note: Please ensure that you have macros enabled to use the programme. You may also need to disable
the protected view in your settings. Refer to the ‘Troubleshooting’ section in this quick guide for guidance.

Once you have opened your newly created excel file it will look like this:
Complete the client name, year-end and file number fields shown in the red
outline in the screenshot above. These will then automatically appear on all
worksheets, saving you time.
File indexing
The file indexing can be amended to enable the references in the top right hand
corner of each schedule to slot into the old PCAS audit exempt file structure or the
Kestrian/APS/old TECM file structure as an alternative to the default system (both on
screen and when the schedules are printed out).
You can select your required referencing system for each client file using the drop
down menu in the Questions tab:

Tailoring
The file is tailored by answering the questions in the 'Questions' tab to tailor financial
statement areas in/out of the file. The programme will automatically hide worksheets
and rows that are not relevant to your assignment as you answer the tailoring
questions.
Tab mapping
The ‘Guidance’ tab contains a table listing the file sections and associated schedules
with references and names as well as the tab name of each schedule to enable
users to find their worksheets in the new template whichever referencing system
they choose to use. The default column shows the reference of each schedule if
users select 'default' in the questionnaire; the second and third columns show the
references if users select the PCAS/Kestrian options from the drop down menu in
the questionnaire.

Note that this listing has no bearing on the TECM client file, it is provided purely as a
reference point to look up file names and references for users. Any tailoring of the
file is done in the Questions tab by selecting the referencing system and answering
the tailoring questions.
Inserting tabs
To insert a new work programme, use the blank template at the end of the workbook
(workprog) which will have the header information. Right click on its tab and then
select 'Move or Copy' which will list all the sheets in this workbook. Highlight the tab
of the sheet before which you want workprog inserted, tick 'Create a copy', then click
'OK'. The workprog sheet will be inserted and opened for you to edit, with a tab
name of 'workprog02'.

A print button is available on the Questions Sheet to facilitate printing of this sheet or
whole workbook (hard copy and PDF versions):

The rest of the package works very much as a normal excel spreadsheet and so can
be filled in, formatted, printed and so on.
Quick tip: Shortcut to worksheets
Here is a useful excel shortcut that you may wish to familiarise yourself with.
If you need to skip to a tab in your workbook, simply hover your cursor over the
green arrow on the bottom left of the questions sheet and right click.

A pop up will appear to list all the active sheets in the workbook. Click on the
required sheet name, then ‘OK’ and you will automatically be taken to that sheet.

4. Troubleshooting
4.1 System Compatibility
This tool should be compatible with the following versions of Excel:
32 bit 64 bit Excel 2007 - Excel 2010 Excel 2010 Excel 2013 Excel 2013 Excel 2016 Excel 2016
However, it is not compatible with versions of Excel prior to 2007, neither is it
compatible with Mac computers.
4.2 Macros
This programme requires macros to be enabled. If you do not have macros enabled,
an error message may appear when you try to open the programme.
To check your macro settings:
i. Go to File -> Options -> Trust Center and press the Trust Center Settings
button.
ii. You will see the Trust Center window. Select the Macro Settings option
This is a matter for each firm to consider depending on their IT policy.
The ’Disable all macros with notification’ option will allow the user to selectively
enable macros by bringing up the following pop-up every time a file with macros is
opened.
4.3 Error when trying to open a file
The excel workbooks are downloadable directly from your browser, so in some
cases you may encounter an error message when attempting to open the file if your
computer settings are not configured to enable this.

4.4 Copying entries from prior year worksheets
The programme is set up to suppress additional workbooks being opened in the
same instance of Excel.
In order to copy and paste from one Excel workbook (e.g. last year’s client
assignment) to the new programme, the new excel programme should always be
opened first. Then open any other required workbooks, which will automatically open
in a new instance of Excel, avoiding any conflicts and allowing standard copy/paste
functionality.
4.5 Keyboard Shortcuts
To navigate between worksheets, the keyboard shortcuts “Ctrl + PgUp” / “PgDn” and
“Ctrl + n” can be used.
