Gert Jan Gelderblom (NL)

Dear Marion, Hannah and Casper This week the AAATE community is together in Budapest for its biannual conference. In these moments we intensely miss the presence of Gert Jan and his always positive contribution to the scientific and social part of the conference. We will remember him during the General Assembly with a moment of silence and by awarding him the AAATE diamond award for outstanding work in advancing Assistive Technology in Europe. AAATE Conference organisation

Reality:

• Major competition from other conferences and networks

• Limited number of bids responding to the last calls

• Conditions were felt as penalising the host

• A lot of work anyway done by the board

– Conservative and defensive programming

– Risk of decreasing numbers

The conference as the main resource to consolidate

and strengthen AAATE and for having impact

Proactive attitude!! • Major impact on the programming

• Make the conference grow in numbers and importance through active and targeted promotion – link with the major networks and players

• Building on the existing experience

• Building up capacity in running the conference

Board decisions

• In 2015 no call for the 2017 conference

• Collaboration with University of Sheffield

(CATCH)

• Work on a risk sharing basis

Medium term and end goals:

• Picking up responsability for our own conference

• Have a new and replicable model for the conference

organisation in place in 2017.

Forward planning!

• We will make early disclosure of invited speakers, Special Thematic Sessions and draft programme

• Next year we will call for STSs for 2017

• It will be competitive because we will also keep our traditional open paper sessions

• We invite you and will seek others active in AT to propose major themes – multiple sessions

Session format

• We want to give much more choice

– Currently 5 speakers who register early in 90 minute sessions, or plenary sessions

– So for STSs : any format may be proposed, proposer(s) must guarantee at least 5 who will register early – 60 or 90 minute sessions (Conference committee will accept/reject)

– Quick fire, workshop, discussion, formal presentation, plenary, poster and quick fire, .... Corresponding proceedings content

– Business (for educational/research purpose), Academic,

NGOs, individuals, consortia

• Recognition of contribution to research leadership in

programme and online conference prescence, e.g.

Publishing from Conference

• Accepted academic articles that elect inclusion in

published proceedings as usual

• Option for accepted pre-reviewed contributions to be

published online with free access after the conference

• Anticipate that authors of late articles will have be

asked to pay a higher ‘early’ registration fee.

Networking & reaching out

• For any organisation that demonstrates it has actively promoted our conference to its members – same discounted registration as AAATE members

• Give Companies (or other stakeholder organisation) the opportunity to invite student papers where the organisation pays the registration of the contributions they select.
