As a marketer one of the multiple factors to consider while working

with marketing automation software is data access Data such

as user management password controls and more can be sensitive

and often relevant only to administrators so it doesnrsquot need to be

visible to all team members

Itrsquos necessary to maintain a balance between easily sharing data

between the team members that do need it and restricting access In

this guide wersquoll elaborate on how this balance can be achieved

using custom roles and how it can be implemented for your

Zoho Campaignsrsquo account

Roles and Privileges

Roles

Before we dive into privileges and related settings letrsquos take a look at the

various roles that exist in Zoho Campaigns

Standard admin - This role refers to the organizationrsquos administrator A

standard admin can assign privileges for custom roles within the organization

Standard admin privileges are static and cannot be modified

Standard user - This role refers to the organizationrsquos administrator A



Custom roles - Administrators can create custom roles and set privileges

based on each rolersquos needs It can be helpful to assign more specific privileges

to certain team members as custom rolesrsquo privileges can be modified For

instance you can create a custom role named ldquoDesignerrdquo and assign it to all

designers in your organization

To open the Roles and Privileges tab

1 Login to Zoho Campaigns

2 From the Navigation toolbar go to Settings

3 Click Roles and Privileges under User and Control

Zoho Campaigns provides two levels of data access privileges Self

and Others Self privileges indicate access to any data items like

campaigns contacts or a mailing list created by the corresponding

user Others privileges indicate access to data created by other users

Letrsquos consider a scenario to understand the above concept better

Patricia is the Standard Admin of a company called Zylker in Zoho Campaigns

John recently joined their organization and was assigned the role of Standard

User

Now from Johnrsquos perspective Self refers to the entities he creates and

activities he performs on the entities he creates He can create a campaign

and edit modify export or even delete it This falls under the Self privilege

Others refers to any entities created by users in Zylker other than

John Everyone else in that organization including Patricia falls under Others

To modify edit export or delete anything created by other users John

needs the Others privilege for the action he has to perform othersrsquo

entities For example if John has to edit a campaign created by Patricia

he must have the Others Modify privilege in the Regular and Advanced

Campaigns module

Control Options

There are five control options to define which operations can be performed

by users in a module

Access is the master control option that controls the data access in

a specific module and across other modules By default this setting

will be enabled whenever a user chooses any other control option

like create modify or deleteThe remaining control options are create

modify delete access and export These optionsrsquo functions vary

with the different Campaigns modules Campaigns though the underlying

basic nature remains unaltered

Tab visibility is a special control option Disabling the tab visibility of a

module means that the user cannot view a specific module in the product

For any module when you enable the Others Export privilege the

following privileges of that module are enabled by default Self-export

privilegeTab visibility

Why custom roles

The default roles available in Zoho Campaigns are Standard User and Standard

Admin Custom roles are the roles that can be created by the admin according

to their needs Letrsquos look at the reasons why the concept of custom roles

came into existence

The two basic default rolesmdashStandard Admin and Standard Usermdash

contain privileges and access that are predefined and canrsquot be edited

Custom roles were developed to create more specific and relatable roles

It can be beneficial to give a user entire access to a module relevant to the

nature of their job while restricting their access to other modules that are

irrelevant to them

Custom roles provide centralized control to the admin For each

module access is distributed to crucial activities like create delete and

update Admins can enable only those specific access that is required for

that particular custom role

Use case

Herersquos an example of when you might use a custom role Say you have a

few designers in your organization You want to give them access to the

Library tab while hiding other modules they donrsquot work on In this situation

you can create a custom role and give them the privileges needed for just the

Library and Templates tabs

Note There is no restriction on the creation of a custom role You

can have any number of custom roles in your organization

1 Open the Roles and Privileges under Users and Controls

2 Click on the Assign role link next to the username

Inter-module dependencies

All features in Zoho Campaigns have significance but none of them can

function autonomously Letrsquos look at a few scenarios and notes to get an idea

of how inter-module dependencies influence many actions

1) If a user wants to choose a mailing list during the campaign creation

they need the Mailing List module access privileges in addition to the

necessary Regular and Advanced Campaigns module privileges

2) If you want a user to send an email campaign itrsquos not necessary to grant

them sender address privileges as long as that user has modify and access

privileges for the associated email campaign

Note If the user has more than one sender address the most

frequently used email address is set as the sender address

3) If a user wants to send a campaign created by another user but doesnrsquot

have access to that mailing list there are a couple of options

bull If the campaign is going to a single mailing list for which the user

doesnrsquot have access they can choose Revoke and proceed and choose only

their own mailing lists

bull If the user does not want to alter the recipients they can choose Skip

and proceed and send the campaign to the already chosen list

4) If a user has all Self privileges enabled when they try to perform any action

on all contacts the action will only be performed on contacts that have been

added by that user

5) In the Reports module

bull The Print Campaign Preview and Download Campaign as PDF

commands need Export privileges for the Email Campaigns module

bull Create Chain Campaign requires the Create privilege for the Email

Campaigns module

bull Export and Modify privileges for the Contacts module are required

to export contact details from reports

6) If the user does not have Contacts modification privileges for others

in the Contacts module those contacts will not be removed from

the company though they will be removed from a userrsquos mailing list

7) In the Social Campaigns module

bull Account integrations between Campaigns and your social media

accounts are independent from access privileges in the Social Campaigns

tab

bull There are no privilege restrictions for actions related to page

campaigns

8) For instance if you need to modify message content for an autoresponder

that was created by another user yoursquoll need the following privileges

bull Create privilege for the Autoresponder module Modify privilege

for others for the Autoresponder module

9) To create a signup form from a template in Library you need

bull Create privilege for the Signup Forms module

bull Modify privilege for the corresponding mailing list in the Mailing

Lists module

10) To modify a webhook the user must have Mailing List modification

privileges and the Webhooks modification privileges

11) In the Signup Forms module

bull To edit a signup form that is associated with a mailing list you need

the Modify privilege for that mailing list in the Mailing List module

bull If you enable the Create privilege for the Signup Forms

module the Self-Edit privilege is also enabled by default but the reverse

does not happen

bull If you want to add a new tracking field to the Reports tab of Signup

Forms you need the Create privilege for the Custom Fields module

To view the contacts who have joined via a signup form you need

the corresponding Access privilege for the Contacts module

bull To change or associate mailing lists with a signup form you need

the Modify privilege for the corresponding mailing lists in the Mailing

List moduleIf you want to save a form template to the Library you need

the Access privilege for the Library module

bull To view the signup forms associated with a workflow you need to

have the corresponding Access privileges for the signup forms in the Signup

Forms module

12) In the Tags module

bull To associate a contact with a tag you need to have the

corresponding Access privilege for that contact in the Contacts module

bull To import contacts from the Tags module you need to have

the Create privilege for the Contacts module

bull For all contact-related activities in this module you need to have

the corresponding Contact module privileges

I13) n the SMS Campaigns module

bull Self Modify is automatically enabled along with the Create privilege

bull You need the Others Modify privileges to clone an SMS campaign

bull You need the Mailing List Access privileges in order to edit or choose

your or other userrsquos recipients

bull You need the Access privileges for Custom Merge Tags

and Custom Fields to choose corresponding entities while creating an SMS

campaign

Walkthrough of crucial activities and inter-module privilege dependencies

Create campaign

1) From the Navigation toolbar choose Campaigns and select Regular

Campaigns (Privilege required Tab visibility Module Regular and advanced

campaigns)Click the Create Campaign drop-down in the top-right corner

of the screen and select the type of campaign you want to create (Privilege

required Create Module Regular and advanced campaigns)

2) Enter these details

Name Select an easily recognizable name For instance if the Zylker company

is sending a monthly newsletter name the campaign ldquoZylker Newsletter July

2018rdquo or something similar

Subject Come up with a clever or eye-catching email subject line A great

subject line is going to draw many more readers than something boring

and dry You can also grab the attention of your contacts by using emojis in

subject line (but do this sparingly and strategically)

Sender name and email address Give a name and email address that your

recipients can easily recognize The name could be your company or brand

name (Privilege required SelfOther Access Module Regular and advanced

campaigns)

Address recipients by name Personalize your email by addressing recipients

by their name

Use sender details from Zoho CRM If the recipient was imported from Zoho

CRM you can personalize the sender name based on which user owns the

account in CRM

Configure the content for your campaign Select recipients for your

campaign by choosing a mailing list (Privilege required SelfOther Access

Module Mailing List)

Note If you want to exclude a few contacts yoursquoll need SelfOther

Modify privilege in the Regular and advanced campaigns module

You can send your campaigns once theyrsquore reviewed

Adding a new list

1) From the Navigation toolbar choose Contacts and click Manage

Lists (Privilege required Tab visibility Module Mailing lists)

2) Click Create(Privilege required Create Module Mailing lists)

3) Enter information for these details and options

Name The name of your mailing list for internal reference

Purpose Choose a purpose for your mailing list

Help contacts join this list Enable this if you want contacts to join your

mailing list via a signup form Keep it disabled if you want to make your list

private

Tell contacts how you know them Let contacts know why theyrsquore receiving

this newsletter This information will be added to the footer section of every

email campaign

4) Once your mailing list has been created you can use multiple methods to

add contacts

Add contacts Manually add contacts(Privilege required Create

Module Contacts)

Import contacts Import contacts from your computer Zoho CRM or Google

Sheets (Privilege required Create Module Contacts)

Add signup form Create your own signup form to add subscribers directly

from various sources

(Privilege required Create Module Signup forms + Privilege required Self

Access Module Library)

This requirement applies if you choose signup form templates saved in the

Library

Creating a signup form

1) From the Navigation toolbar choose Contacts and click Signup Forms

2) Click Create form (Privilege required Create Module Signup forms)

3) If you want to use a saved template from the library navigate to it and

use the template of your choice (Privilege required Create Module Signup

forms + Privilege required SelfOthers Access Module Library)

4) Make the necessary changes and click Save

If you have already created a signup form you can create another one for

the mailing list by following these steps

1) From the Navigation Toolbar select Contacts and choose Manage

lists (Privilege required Tab visibility Module Mailing lists)

2) Select the mailing list you want to create a form for

FAQsI want to export all campaign reportsmdashwhat privileges are necessary to do

this

You can enable the Others Export option in the Reports module For any

module when you enable Others Export privileges the following privileges are

enabled for that module by default

bull Self-export privilege

bull Access privilege (Self and Others)

bull Tab visibility

For example

1) You enable the Export privilege (Others) for the Reports module

2) The Export (Self) and Tab Visibility privileges are enabled for the Reports

module

Who can access the Roles and Privileges module

Only paid users with the Admin or Standard Admin privilege can view

the Roles and Privileges tab and add a new role or edit the privileges of

existing roles To view the module

1) Navigate to Settings and click Manage Users

2) Click on the Roles and Privileges tab

What are the differences between the Standard Admin and Admin roles

For accounts created before December 12 2017 users with admin privileges

will be migrated to the Admin role The Admin role has privileges enabled

based on access provided to them prior to introduction of the Roles and

Privileges feature Standard Admin is a default role provided in the Roles and

Privileges feature and has access to all of Zoho Campaigns A migrated user

can promote themselves to Standard Admin privileges if required

If I need to modify the message content of an autoresponder created by

another user what privileges do I need to proceed

If yoursquore a Standard Admin you can do it directly

OR

You will need to be assigned to an appropriate role that has Others Modify

privileges enabled for the Autoresponders module

I want a user in my organization to send an email campaign Is it necessary

to grant them the Sender Address privilege

If you want a user to send an email campaign to an email address they

own they donrsquot need any separate privileges If you want your user to use

the email address of another user they need to have access to the Sender

or Reply to Address modules

In the Contacts module if a user has all privileges enabled for the Self

level what happens when they try to perform an action on all contacts

If a user has all Self privileges enabled when they try to perform any actions


added by that user Subscribers added by other users wonrsquot be affected by

the action being performed

I am a Standard Admin but I am not able to edit templates added by other

users How can I edit those templates

You cannot edit or delete another userrsquos template regardless of your

role You can clone those templates and then edit them according to your

requirements

One of the users has left our organization and has been removed from

the organization But I can still see their email address in the list of sender

addresses How can I remove their email address

You can contact our support team with your request Sender addresses

cannot be removed by a user regardless of their role

I have enabled the Library and List Management modules privileges for

my teamrsquos marketers But they are still unable to access the signup forms

associated with the mailing lists How can they access the signup forms

They can create similar signup forms and then associate them with the

mailing list in order to use the signup forms Users cannot view access or

edit signup forms created by other users regardless of their role
