Greetings Sorors!

As we enter the second half of this administration Alpha Kappa Alpha Sorority, Incorporated® has completed a vast amount of work through Launching New Dimensions of ServiceSM! Sorors, I applaud all our chapters’ efforts to make a difference in communities worldwide. You have enthusiastically embraced our theme by focusing on community outreach, uplifting our youth through the ASCEND Youth Enrichment program, and nurturing our ivy through sisterhood and Service to All Mankind.

On March 16 - 19, 2017 the Sophisticated South Eastern Region will host its 85th Regional Conference in Birmingham, Alabama. With Regional Director, Soror Mary Conner at the helm, sorors throughout Alabama, Mississippi and Tennessee will be asked to absorb the information and training provided at the Regional Conference to ensure a successful program year in their local chapters. The following items are key points all sorors should be focused on in preparation for the conference:

Attendance is strongly encouraged! Engaged Regional Conference attendees will return to theirchapters fully prepared to effectively lead and share best practices with their sorors and haveoutstanding programming in their communities.

Participating in Regional Conference workshops allows sorors to share knowledge on effectivechapter operations. Through our workshops, we will have an opportunity to delve into how tobest promote our programs, effectively retain our members with sisterly love and kindness, andefficiently utilize our collective resources.

All sorors are expected to lead in some capacity and 2017 is a Leadership Conference year. Myhope is that sorors who attend and gather information at the Regional Conference will furthertheir commitment toward leadership in our sisterhood by attending the Leadership Conferencein Las Vegas. We have committed ourselves to our great sisterhood, and in attending regionalconferences, all generations have the ability to come together and continue to learn from oneanother.

I look forward to seeing you at the upcoming conference in Birmingham as we collectively work to enhance our sorority knowledge and empower one another.

We look forward to conducting the business of our sorority and serving our community as we “Magnify the Magic in the Pearl” in the Greater Birmingham area.

Please use the information included in this registration book to magnify your excitement as you plan for your participation in the conference. In addition to the schedule and conference details, the book includes information and materials to assist you with planning activities for yourself and family members during your visit to the area. Greetings Sorors,

Welcome to the Magic City and the 85th South Eastern Regional Conference in Birmingham, Alabama. The sorors of Cluster 7 are delighted to have the opportunity to host and provide the sophisticated sorors of the South Eastern Region a magical time.

We commend the Steering Committee members for the tremendous amount of time, talent and service they have contributed to this momentous occasion. I am in awe of the highly effective and efficient sorors who worked tirelessly to make the conference an amazing success.

We are grateful to the Regional Director, Soror Mary Conner, for your leadership and expertise while planning the Regional Conference. Thanks for your guidance and the opportunity to serve in this capacity.

As you “Magnify the Magic in the Pearl”, enjoy all of the sights, history and ambiance of the Magic City. You will have a marvelous opportunity to visit the Historical District which includes the Civil Rights Museum, 16th Street Baptist Church and Kelly Ingram Park. Other significant sights may include but are not limited to the Railroad Park, Birmingham Museum of Arts, Uptown Entertainment Center and of course, The Summit Shopping Center.

Behavorial Etiquette: Sorors must display their badges to gain access to conference meetings, events and vendor areas. Be on time for all sessions. Do not hold seats. Be courteous. Do not sit in designated “reserved seating” for Delegates, Very Special Guests (VSGs), Diamond/Golden Sorors, the Emergency Medical Team (EMTs) or physically challenged sorors.

Conference Attire: Adhere to appropriate conference attire. Refer to “The Official Guide to Alpha Kappa Alpha Protocol” for details. Business Attire: Meetings and Luncheons, unless noted otherwise. Rituals Attire: Ivy Beyond the Wall - Uninterrupted White. Rededication: No Pants. No flip flops or tennis shoe style shoes. Adherence to conference attire recommendations per event.

Event Etiquette: Stand when the dais processional enters the room. Stand when the Regional Director, Supreme Basileus, and former Supreme Basilei enter the room. Do not walk during program introductions, meditations and when the Regional Director or Supreme Basileus is addressing the audience. Turn off electronic devices. Do not audio or video record business meetings.

General Regular registration must be completed on or before January 31, 2017, 11:00 p.m. CSTLate registration must be completed on or before February 14, 2017, 11:00 p.m. CSTOnline registration for the conference can be accessed via the South Eastern Regional Website www.akasoutheastern.org Registration for children and guests must accompany a Soror’s registration.Registration is online ONLY. No Manual Registration Will Occur.

Individual• Online Registration is available for all financial Sorors who are associated with the South Eastern Region. • To register you must have an email address in your profile on the corporate website. If you do not have an email address and

need help, your chapter Sorors are available to assist.• Chapters can setup various options for providing registration help, including registering before or after a chapter meeting or at

a special session with Sorors from the chapter who have their computers with them. If you cannot register and you are a financial member of a chapter, a designated chapter officer can register you via group registration. Let us help you by starting early and contacting your chapter’s Technology Chairman if you have problems. Together we can have 100% online registration for the 85th South Eastern Regional Conference. Remember, “We help each other…….”

• Visiting Sorors wishing to attend the conference should send the following information to the Regional Technology Chair at [email protected]: Name, Chapter, Region, Financial Card number and a phone number or address. The Soror will receive confirmation that her email has been received and she will also receive confirmation once her record has been added to the South Eastern database by the International Technology Committee.

• Only registered financial Sorors may participate in conference activities.• Neither financial nor nonfinancial Sorors may be guests of registered Sorors at the conference. • For group registration, if paying by chapter check or money order using a purchase order, your registration will be noted pending

until payment is received and processed. Purchase order payments are subject to cancellation if the appropriate payment amount is not submitted by the due date.

• Payments at the regular registration rate must be postmarked by the close of regular registration.• Payments at the late registration rate must be postmarked by the close of late registration.• Cashier’s Checks, Chapter Checks or Money Orders should be made payable to

Conference Bags (Kits), Merchandise• Conference Bags and Materials will be reserved for pre-registered Sorors in the order received.• Conference Bags are not guaranteed for late Registrations. • Registration Materials Pick-up: Sorors must present their financial card and photo identification when checking-in.• Sorors unable to attend the conference may request that the Chapter Basileus or Graduate Advisor (Undergraduate

Chapters Only) pick up her registration packet. • Note: Only the Chapter Basileus or Graduate Advisor (Undergraduate Chapters Only) will be allowed to sign for an

absent Soror’s packet. The request must be accompanied by a letter from the Soror authorizing pickup.• No registration materials or souvenirs will be mailed.

Seating At Meals• Diamond/Golden Sorors and other Special Guests will have reserved seating at the front of the room for each meal

function. All other seating for meal functions will be open on a first come, first served basis. • Undergraduate Luncheon ~ Undergraduate Sorors and Special Guests will have reserved seating at the front of the

room for the luncheon.

Registering• Registration confirmations will be sent via email only. Please provide an email address on your corporate

profile.• Sorors will need their financial card and photo identification to complete registration/check-in. • Sorors and guests must have tickets to be admitted to all events. What is the Graduate Advisors’ Certification?• LEVEL I – an introductory training for candidates for Graduate Advisor, Graduate Advisory Committee Members, sorors in chapter

leadership positions who have never been certified and sorors who have allowed their certification to expire (certifications expire after three years on December 31).

• LEVEL II – an intermediate training for candidates for Graduate Advisor, Graduate Advisory Committee Members and sorors in chapter leadership positions who are seeking to recertify within the effective period of their certification.

What forms and documents are required for Graduate Advisors’ Certification?• From Applying Soror to Basileus or Grammateus of chapter:

The Financial Officer Certification Training – Level I is offered to current and aspiring Alpha Kappa Alpha Sorority chapter financial officers.

This one day, interactive, hands-on certification is designed to assist the graduate chapter Tamiouchos and Pecunious Grammateus in executing their operational responsibilities. Sorors will be trained in the proper implementation of the financial procedures as outlined in the Fiscal Fitness Guide to Chapter Financial Procedures and referenced in several other sorority documents. A creative learning approach will be used to enhance the core competencies of certification participants. Sorors who successfully complete this training will earn the designation of Certified Chapter Financial Officer.

This workshop is helpful for Chapter Basilei, Parliamentarians and others with a desire to better understand the fundamental concepts involved with having an efficient and effective chapter meeting.

Finance WorkshopThis workshop provides participants knowledge on chapter financial procedures and operations. Sorors will learn the roles and responsibilities of the financial officers, the expectations of being a financial leader, and their role in managing chapter operations. Sorors will become well versed on the information included in the “Financial Fundamentals Guide to Chapter Financial Procedures”; which includes budgeting, auditing, internal control procedures, and financial statement reporting.

Financial ForumThis forum will allow sorors to ask questions of the Supreme Tamiouchos and members of the International Finance Committee on chapter financial operations including upcoming changes in chapter financial obligations as it relates to the tax payment process.

Understanding the Honorary Members and Awards processThis advanced Honorary Members and Awards workshop will review the Honorary Members and Awards Nomination Process and focus on the qualifications needed by an individual to be considered for an Achievement Award or a candidate for Honorary Membership. Regional conference workshopsLiving the PurposeAre the virtues of an Alpha Kappa Alpha woman evident in your life? In the “Living the Purpose” workshop, Undergraduates will engage in open dialogue and discuss what it means to be an exemplary woman of Alpha Kappa Alpha Sorority. Launching New Dimensions of Communication 2.0: Building the PlanThe changing landscape in the media industry have significantly altered how chapters can obtain media coverage of their events and programs of service. As a follow-up to the 2015 and 2016 communications, branding, and social media workshops, this interactive session will be a working session and assist chapters in building and launching a strategic communications plan.

A Foundation Alternative: The EAF Non-Profit Chapter Assistance ProgramAKA Educational Advancement Foundation, Inc. invites Sorors to learn more about one of the foundation’s most successful partnering opportunities, the “Non-Profit Chapter Assistance Program,” or “N.C.A.P.” This program is designed to ensure that chapters and members have maximum opportunities to raise money for local scholarships, endowments, and community projects. Pinkprint for Success: Building Your Chapter Risk Management Plan Building upon last year’s Risk Management workshops developed to help Sorors identify risk, this workshop will provide Sorors with tips and strategies to develop a Chapter Risk Management Plan. The Chapter Risk Management Plan will help Sorors assess how risk may potentially impact specific chapter programs, projects, events and general operations. Using the “Launching New Dimensions of Risk Management Handbook”, this interactive workshop will assist Sorors to develop a “pinkprint” for evaluating, managing and balancing risk encountered by chapters.

Just Like a Sista: Cracking the CodeIn this interactive Sisterly Relations workshop, graduate and undergraduate Sorors will be on a mission to crack the Soror Code of Ethics. The focus will be on interactive activities that highlight organizational values, the reduction of ethical risks and the improvement of ethical behavior. Special attention will be given to model behaviors that “Nurture our Ivy.”

South Eastern Region’s first time Diamond Sorors (1942), Golden Sorors (1967), and Silver Sorors (1992) will be recognized during the Diamond/Golden/Silver Star Luncheon. Only those Silver Stars who are celebrating 25 years of service, Golden Sorors celebrating 50 years of service, and Diamond Sorors celebrating 75 years of service since the last Regional Conference will be recognized on Friday, March 17, 2017, from Noon to 2:00 p.m.

The South Eastern Region will honor legacy sorors during the 3rd Plenary Session of the 85th South Eastern Regional Conference. Alpha Kappa Alpha Sorority, Incorporated is an organization that was founded on the ideals and precepts of high scholastic, moral and ethical standards. It is our responsibility as members to uphold and display the positive image of our beloved sisterhood to the public at all times. This includes, but is not limited to, the way we present ourselves through step show/stroll performances, and exhibitions of any kind. The image of Alpha Kappa Alpha Sorority, Incorporated is important in as much as we are an organization that is more than a century old. We have weathered and survived many storms and we are still here! Our Founders’ vision was to establish a sorority that would attract young women of high scholastic, moral and ethical standards that would abide by the rules and standards of the organization that have stood the test of time.

In alignment with the founding principles of Alpha Kappa Alpha Sorority, Incorporated, the following are the Revised Step Show/Stroll and Exhibition Guidelines:

1. ALL Step Show/Stroll and Exhibition Requests MUST be approved by the Regional Director.2. ALL Step Show/Stroll and Exhibition performances MUST be approved by the Graduate Advisor.3. Attire worn for Step Show/Stroll Exhibition performances MUST be approved by the Graduate Advisor.4. As to show respect for those who serve and have served in the military, NO military or military type attire is to be worn.5. NO prison or jail house attire is to be worn.6. NO X-Rated or mature audience type attire or content is to be used. This includes shorts, dresses, and skirts that are more than

6 inches above the knee, midriff tops, and NO snug or form fitting décolleté bodices exposing areas above the waist or uppertorso and NO attire that reveals any private parts of the body including “see through” material.

7. NO drugs (illegal or legal) and/or alcohol are to be used in any performances. This includes pre-promotional short videos, flyers and advertisements.

8. ALL shows must be void of foul language, lewd, indecent, and obscene behavior, nudity and/or stripping, sexually suggestedgestures or dances, and inappropriate use of foods and/or fluids.

9. Objects that pose a physical danger to participants or any physical portion of the performance that may pose danger to theperformer or audience is prohibited.

10. ONLY active Alpha Kappa Alpha members performing in the step show and/or stroll may participate if approved by theRegional Director. If a combined team of ACTIVE Undergraduate Sorors are to perform, ALL participants, attire, music andperformances MUST be approved by Graduate Advisor(s) and the proper forms must be submitted by each participant andchapter being combined. Combined teams must be from the same region.

11. NO tributes may be performed to any fraternities (this excludes greetings to fraternities and sororities made in a positivemanner).

12. NO derogatory remarks made to other sororities and organizations.13. NO combined step shows shall be performed with members of Alpha Kappa Alpha and other organizations. 14. NO acts of violence or suggestive acts of violence shall be performed.15. A Graduate Advisor or authorized Graduate Council Member MUST be in attendance at the performance.

**Infractions of any of these guidelines could lead to serious consequences that could risk your membership in the sorority. Alpha Kappa Alpha will enforce a zero tolerance policy when it pertains to violations of these guidelines. 75

Stroll out/Step out general informationThe South Eastern Regional Conference of Alpha Kappa Alpha Sorority, Incorporated cordially invites all eligible teams to participate in its annual step show to be held on Friday,March 17,2017. To be eligible to participate, the step team must consist of inancially active chapter members in good standing.

There is a pending total of about 20 teams. Once a category has reached its maximum amount of teams, no more teams can be added. No team can enter into both categories; there is only one category per chapter.

Two Categories:1.) Stepping Category (10 teams)2.) Strolling Category (10 teams)

1) Stepping Category

The stepping category may be centered around a theme or chapters may simply step for AKA. In this category there is majority of stepping and little to no music involved. Chapters are able to get into many formations and be extremely creative when creating the steps in their show.

Steps can be no more than 7 minutes long; any time over will result in point deduction; up to 20 sorors per chapter can participate in this category. Chapters participating in this category must submit props and music, if any, to the sing out step out committee for approval prior to show.

2) Strolling Category

The strolling category consists of ALL music and no stepping. Each chapter must create a stroll (dance that can be done in a line or a formation). This category is not centered around a theme, but each chapter may incorporate AKA symbols that are allowed by International Corporate Office.

Strolls can be no more than 4 minutes long; any time over will result in point reduction; up to 10 sorors per chapter can participate in this category. Chapters participating in this category must submit music to the sing out step out committee for approval prior to show.

The D.J will be responsible for all of the music submitted to him at the run through of the program. It is the chapter’s responsibility to make sure that the D.J knows all of the logistics dealing with the music for the step show or stroll.

Chapters will be judged on Complexity, Creativity, Precision, Originality, Appearance.

Rules and Regulations for each category:

Stepping Category:

• In addition to the 7 minutes allowed for each team to step, there will be an additional 3 minutes at the beginning of eachshow for each team to setup and 3 minutes after the show will be given for each team to remove any props from the stage.

• Any time over the 3 minutes at the beginning of the show will begin to decrease the 7 minutes allotted for stepping only(Example: if it takes a team 6 minutes to set up the stage, then they only have 4 minutes to step).

• Any time over the 3 minutes at the end of the show will result in point deduction (2 points loss per minute).• Each team should have uniformed attire.• There should be no more than 20 sorors stepping at one time, and the same 20 sorors must step the entire time.• In addition to the 20 sorors designated to step, each team is allowed 2 sorors that can either act or help.

A list of props and music that will be used should be submitted to Soror Susanne Matthews via email, ([email protected]) by March 1, 2017. This email should include the following:• Subject line: Chapter and the name of the step master.• Message: Props used, length of show, names of those sorors stepping, the music that will be used during the show (no more

than 2 songs; be sure to include title of song, artist, and album). Please submit the actual song through email andbring a labeled copy of CD of the songs used.

Stroll Category:• In addition to the 4 minutes allowed for each team to stroll, there will be an additional 3 minutes at the beginning of each

show for each team to setup. Any time over the 3 minutes given for setup will result in point deduction unless there is atechnical difficulty due to the D.J.

• No props are allowed for this category.• Each team should have uniformed attire.• There should be no more than 10 sorors strolling at one time, and the same 10 sorors must stroll the entire time.• No additional sorors will be allowed to help.• A list of music that will be used should be submitted to Soror Susanne Matthews via email, • ([email protected]) by March 1, 2017. This email should include the following:
