About This Document

This document is an instruction manual for the Virtual Experience Platform Event Settings functionality for a virtual event. It presents features that let event administrators and organizers determine and manage functional and environmental elements for a uniquely customized virtual experience. Topics covered in this manual include event branding, auditorium and lobby design, content tagging, and user interface color and style. Each of the numbered sections in this document refers to an area of the Control Panel Content Management System online User Interface (UI) and are named as such. The sections of this manual have been placed in the order an event administrator should follow when building a virtual event. As our Platform continues to evolve, so will this document. Please watch for future updates. If you’re not sure if you have the latest version, please contact your 6Connex event manager. We appreciate your selection of the Virtual Experience Platform v4.0 and hope you find this guide valuable. NOTE: The information in this manual is intended for event administrators and authors only. Terms of Use Use of this Virtual Experience Platform v4.0 Event Setting User Guide is for customers of 6Connex, Inc. only. The information contained in this document is proprietary and confidential. Distribution of this document to persons not covered under the 6Connex ‘Software as a Service Agreement’ is prohibited. Event Settings (For Administrators and Authors only) Event Settings allow you to manage general design and content elements of your virtual event. You can specify key event properties such as the event name, time frame, and user interface color.

Name the Event In the first field of the ‘Event Settings’ screen, enter the name of your event (45 characters max). Immediately after naming your event, click ‘Submit’. This will display the rest of the information on the page such as lobby images. Upload an Event Logo

Please use a .png or .jpg format, no more than 964 pixels wide by 65 pixels high. You can create an event logo banner that spans the width of the screen by uploading an image that measures 964 pixels wide x 66 pixels high. However, it’s important to note this will cover up the top section including the area for the event title. Add an Auditorium Select whether you’d like an Auditorium Presentation for your virtual event and the content you want it to feature. Choosing ‘Yes’ enables the ‘Manage Auditorium’ button. If you select ‘No’, please go to step #5.

Selecting ‘Auditorium Presentation’ will place a door in your event lobby that will lead to the auditorium. An icon in the main navigation will also appear that can also be used to access the auditorium. These elements will be absent if you opt to not have an Auditorium Presentation.

Select Auditorium Style & Content Clicking the ‘Manage Auditorium’ button will take you to the Manage Auditorium screen where you can select content to be presented in the auditorium. It’s important to note you must upload content to the content library before adding it to the auditorium (see the user manual on Managing Content for instructions on uploading content). Click the ‘Select Auditorium Template’ button (see above) to select an auditorium style.

Select an auditorium style by clicking on it. For an enlarged view, select ‘See Larger Image’. Your current selection is always shown below the ‘Submit’ button.

After selecting the style of your auditorium, click ‘Submit’ to return to the ‘Manage Auditorium’ screen. Click the ‘Add Content’ button to open the content library and select your auditorium content by checking the boxes next to the items you want to include.

Once you’ve selected all the desired items, click the ‘Add’ button at the bottom of the content list to place them in your auditorium content menu. You can change the order of your auditorium content by clicking the up/down arrows next to each piece of content. When you’ve chosen the order of the content, click ‘Save’ to confirm and return to the Event Settings screen.

Select a Lobby Choose a lobby design by clicking on one of the thumbnail images. The lobby you choose will show a thumbnail in the Current Selection area.

The ‘See Larger Image’ link below a lobby thumbnail provides a better view of what the lobby will look like.

Determine Preferred Tags Preferred tags are keywords that appear under the Preferences tab in the event with check boxes visitors can use to determine their recommended content. Separate these words by hitting the ‘Enter’ key after typing each one. When entering content in to the Control Panel, you can bring up the list of keywords and enhance the ability of content to appear in the Recommendations tab for those who choose the associated preference words.

For a piece of content to appear in Recommendations, it must have at least one Preferred Tag assigned to it (see the user manual on Managing Content). The ideal number of preferred tags is typically between 10 and 20. Even numbers are better formatted in the Preferences tab in the event.

Set the Event Timeframe Choosing a timeframe determines when users will be permitted to enter the event and when it will no longer be available for viewing.

Users may pre-register for an event as soon as it’s published the first time. They will be taken to a Thank You page after they pre-register or try to login before the start time of the event. If the event is not yet available, they can download an Outlook reminder that can be customized (see the Registration User Manual).

Choose User Interface Color Click ‘Choose’ to select a color from the color chart or enter a hex color value in the provided field manually. This will determine the user interface accent color for key elements of the event, including the event frame, tab highlights, and content item titles.
