INTRODUCTION  

 

The  core  objective  of  the  SANITAS  project  is  training:  providing  the  SANITAS  recruited  

fellows   with   the   multidisciplinary   skills   required   to   become   the   next   generation   of  

Urban   Water   System   (UWS)   managers.   Since   training   is   achieved   mainly   through  

research   undertaken   in   the   framework   of   Individual   Research   Projects   (IRP),  

dissemination  of   research   results   constitutes   a   key   element  of   the  project.   Creating,  

organizing   and   monitoring   a   flow   of   communication,   internally   (among   IRPs)   and  

outwards,   to   the   society   in   general,   is   expected   to   produce   a   “win-­‐win”   effect:   the  

fellows  will   receive  valuable   inputs  on   their  work  while  promoting   the  application  of  

their  research  for  the  benefit  of  the  societal  sectors  involved.    

This   first   annual   Dissemination   and   Exploitation   Plan   aims   to   set   the   basis   for   the  

communication   strategy   of   SANITAS   in   the   next   project   year   and,   at   the   same   time,  

inform  on  the  foreseen  concrete  activities  of  the  partners  during  this  period.    

Since   the   fellows   were   incorporated   in   the   project   only   few   months   ago,   they   are  

therefore  at  an  early  stage  of  their  research  projects.  Additionally,  the  starting  dates  of  

the   IRPs   were   distinct   from   one   partner   to   another,   a   fact   that   creates   an   unequal  

landscape  in  terms  of  planning  of  research,  especially  during  the  first  project  year.  This  

document  reflects  these  constraints  in  the  sense  that  the  activities  contained  here  are  

not  always   fully  defined  or   that   there  are  partners  who  could  not   fully  contribute   to

1.  COMMUNICATION  AND  DISSEMINATION  OBJECTIVES  

 

1.1.  Overview  of  SANITAS  impact  and  dissemination  objectives  

This  section  provides  an  overview  of  the  overall  expected  communication  objectives  of  

the   project,   from  more   general   goals   to  more   specific   objectives   related   to   priority  

target  audiences  and  how  scientific  activities  are  connected  to  the  society.  Finally  we  

present   the   communication   objectives   for   the   forthcoming   project   year,   which   are  

subsequently  translated  into  project  activities  (section  2).    

 

1.1.1.  Overall  communication  objectives  of  SANITAS  

• Position  SANITAS  as  a  reference  point  in  the  Urban  Water  Management  research,  

including  academia,  industry  and  policy-­‐makers’  main  targets  at  all  levels.  

• Inform   the   society   about   the   advances   of   the   research   in   this   field   in   order   to  

enhance  the  awareness  of  the  society  on  our  research  topic.    

• Transfer   knowledge   to   the   sectors   involved   in   order   to   improve   processes   and  

policies.    

• Maintain  a  fluent  internal  communication  among  partners  and  fellows  in  order  to  

optimize  the  research  effort  and  ensure  a  coherent  dissemination  of  results.      

• Ensure  that  Intellectual  Property  Rights  (IPR)  are  adequately  incorporated  in  the  

dissemination  activities  of  the  consortium  

 

1.1.2.  From  science  to  society:  specific  objectives    

• Assist  the  Commission  and  other  policy-­‐makers  to  incorporate  new  knowledge  to  

existing  policies  (WP  4  -­‐  “From  science  to  policy).    

• Industry:  disseminate  new  technology  and  strategy,  marketing    

• Academic   community:   contribute   to   existing   knowledge,   create   synergies   with  

other  groups  and  projects.    

• Promote  among  the  young  the  option  for  a  research  career

• Inform   the  general   public   and   raise   awareness   on   the   importance   of   the   issues  

addressed  in  SANITAS  and  secure  support  for  policies    

 

1.2  Objectives  for  2nd  project  year    

The  2nd  project  year  is  a  strategic  year  in  terms  of  communication:  our  overall  goal  is  to  

prepare   the   terrain   for   the   forthcoming  years,  when   the   fellows  will   have   reached  a  

more  advanced  stage  in  their  training  and  more  mature  research  results  are  expected  

to   be   produced.   In   this   sense,   the   creation   of   a   database   of   contacts   in   all   water  

sectors  in  the  EU  (at  least  in  the  partner  countries)  as  well  as  a  thorough  and  focused  

communication  in  digital  media,  will  all  be  key  actions  serving  this  goal.  Nevertheless,  

the   participation   in   specific   conferences   and   publication   of   papers   will   be   the  main  

dissemination  activity  of  the  second  project  year.  

The  core  dissemination  objectives  of  the  project  for  the  2nd  year  are  the  following:    

• A   sustained   presence   of   the   SANITAS   fellows   in   the   water   research   related  

conferences.  

• Commence  and  maintain  a  good  rhythm  of  paper  publishing  in  relevant  journals.    

• Create   and   consolidate   a   network   of   contacts   that   will   ensure   a   multiplicative  

effect  of  the  dissemination  activities.    

• Design   a   digital   communication   strategy   in   order   to   improve   the   positioning   of  

SANITAS  in  the  relevant  social  networks.  

• Encourage  and  facilitate  internal  communication  among  fellows  and  sub-­‐projects.  

All  these  objectives  are  reflected  in  the  dissemination  activities  planned  for  the  

next  year  detailed  in  the  subsequent  section.    

 

2.  DISSEMINATION  ACTIVITIES  FOR  YEAR  2  

 

2.1.  Internal  communication  

The   internal   dissemination   understood   as   the   flow   of   communication   among   the  

persons  involved  in  the  projects  (fellows  and  seniors)  and  between  the  distinct  levels

of  the  SANITAS  work-­‐chain,  is  a  key  element  to  the  success  of  project  and  its  adequate  

external  dissemination  too.    

 

During   the   2nd   project   year,   the   following   channels   of   communication   will   be  

promoted.    

 

2.1.1.  Communication  among  fellows  and  partner  representatives  

SANITAS  is  actually  a  collection  of  15  research  projects  that  are  independent  but  also  

complementary.  Due  to  this  fragmentation,  putting  emphasis  on  this  complementarity  

is   a   difficult,   yet   crucial   task   and   it   goes   through   ensuring   a   fluent   and   regular  

communication   among   the   fellows.   A   “Map   of   Connections   between   Individual  

Research   Projects”  will   be   approved   by   the   Scientific   Committee.  Moreover,   during  

the  next  project  year,  several  communication  tools  will  be  promoted  to  guarantee  that  

the  fellows  exchange  information  and  receive  mutual  feedback.    

• The  intranet  usage  will  be  promoted,  especially  regarding  blog  entries  and  sharing  

of   documents.   A   database   of   articles   and   participation   in   congresses   will   be  

created   by   each   fellow   and   constantly   updated   in   each   specific   group.   The  

automatic   e-­‐mail   notification  will   also   be   promoted.   Disseminating   the   Personal  

Career  Development  Plan  on  the  intranet  is  compulsory  to  each  fellow  and  will  be  

verified  from  month  13  on.    

• SANITAS   specific   Skype   accounts   will   be   created   to   facilitate   day-­‐to-­‐day  

communication  and  avoid  the  “spamming”  effect  of  SANITAS  related  emails.    

• E-­‐seminars   and   the  Training  Week   in  Ghent  will   be  also   forums   for  exchange  of  

knowledge  (see  next  section  for  more  information)  

• Twitter  and  LinkedIn  will  be  used  to  further  connect  the  fellows.  

 

2.1.2  Independent  Panel  of  Experts  (IPE)  

The  communication  among  partners,  fellows  and  the  IPE  will  be  a  core  objective  of  the  

internal  communication.  The  following  actions  will  be  undertaken.

• The   IPE   will   be   provided   access   to   the   intranet   with   subscription   to   all   the  

Individual  Research  Projects  so  that  they  can  comment  on  the  blog  entries  of  the  

fellows    

• E-­‐seminars   will   be   another   opportunity   to   receive   feedback   from   the   IPE   on  

fellows  research  progress  of  the  fellows  

 

2.2.  External  communication    

The  external  communication  of  the  project  during  the  following  project  year  is  meant  

to   have   an   impact   on   the   target   audiences   identified   as   a   priority   for   the   project.  

During   this   period,   not   all   audiences   are   targeted   to   the   same   extent;   rather,   the  

academia   -­‐   researchers,   PhD   students,   etc.   -­‐   is   the  main   focus   of   the   dissemination  

activities  for  the  second  project  year  (see  figure  1).

2.2.1  Academic  dissemination    

This  section  gives  an  overview  of  the  academic  dissemination  activities  planned  by  the  

consortium  partners  for  the  forthcoming  project  year.  It  is  important  to  note  that  the  

information   provided  here   is   by   no  means   exhaustive   and   in  many   cases   is   still   in   a  

phase  of  planning.  This   is  due,  as  was  mentioned  earlier,   to  the   fact   that   the   fellows  

are   still   in   an   early   stage   of   their   research   projects.  Moreover,   the   information   also  

reflects  the  particularities  of  each  institution  and  the  manner  in  which  the  fellows  and  

their   tutors   have   designed   the   Personal   Career   Development   Plans.   In   this   sense   a  

relevant  example   is   the  University  of  Lund,  where  the  fellows  have  a  4  year  contract  

(contrary  to  the  rest  of  the  ESRs  who  are  contracted  for  3  years),  where  the  first  year  

of  study  is  mainly  devoted  to  courses  and  acquiring  the  necessary  ECTS  points  foreseen  

in   the  PhD  program.  Consequently,   at   this  point   in   time,  no   specific  papers  or  other  

publications   have   been   explicitly   defined   and   therefore   some   of   the   partners   and  

fellows  are  not  represented  in  the  list  bellow.  To  compensate  the  preliminary  phase  of  

the  information  provided  in  this  Plan,  the  project  will  set  up  an  interactive  data-­‐base  

of   research   dissemination,   available   on   the   intranet   of   SANITAS.   The  profiles   of   the  

fellows  on  the  SANITAS  website  (www.sanitas-­‐int.eu)  will  also  be  updated  regularly  to  

include  this  information.

The   Training   Week   will   be   organized   by   Ghent   University   and   Aquafin   -­‐   SANITAS  

partners  and  will  take  place  in  Ghent,  on  21-­‐25th  of  October  2013.  Even  if  this   is  the  

only  Training  Week  that  is  not  open  to  external  audience,  this  event  will  nonetheless  

contribute   to   the   internal   communication   of   the   project,   as   it   will   give   fellows   the  

opportunity   to   exchange   information   on   their   research   progress   and   it  will   facilitate  

the  interaction  with  all  the  SANITAS  senior  researchers.

The  Marie  Curie  annual  infoday  will  be  held  in  each  academic  partner  to  promote  

the  research  career  among  young  graduates.  Invitations  will  be  extended  to  other  

researchers,  from  national  funded  programmes  for  example.  Dissemination  will  be  

done  online  at  each  partner  institution  and  on  SANITAS  webpage.      

c)  Attendance  at  specific  events  

Attendance  to  specific  events  such  as  European  Research  Night,  European  Science  

week,  Open  day  at  the  University  and  Youth  Campus  for  secondary  school  will  be  

guaranteed  and  will  be  reviewed  annually  from  2nd  to  the  end  of  the  project  

 

Others  

• A  joint  paper  about  SANITAS  and  its  research  focus,  authored  by  the  WP  Leaders  

and  the  Coordinator,  will  be  submitted  to  the  Journal  “Re/Views  in  Environmental

For  the  next  project  year,  all  partners  will  be  encouraged  to  open  -­‐  where  possible  -­‐  a

Newsletter  

Description.  The  SANITAS  newsletter  will  be  published  on  a   semester  base   from   the  

2nd  year  on.  It  will  include  relevant  information  on  the  research  and  training  activities  

undertaken   by   the   consortium,   including   papers   published   in   relevant   journals,  

participation   at   important   conferences,   events   organized   by   the   partners   that   are  

appropriate   to   the   topic   of   SANITAS,   progresses   achieved   by   the   fellows   in   their  

specific   research   projects,   etc.   The   Coordinator   will   elaborate   and   distribute   a  

template  and  all  partners  will  be   invited   to  contribute  with  a  brief   summary  of   their  

relevant  news.    

 

Dissemination.   The   newsletter  will   be   freely   downloadable   on   the   SANITAS  website  

and   will   further   distributed   by   email   and   promoted   via   social   networks   (Twitter,  

LinkedIn,  Facebook).  In  order  to  increase  the  dissemination  potential  of  the  document,  

the   newsletter   will   be   disseminated   by   all   the   partners   in   their   own   network   of  

contacts.  The  partners  will  be   instructed   to   identify   the   relevant   stakeholders   in   this  

field:  water  authorities  in  their  countries  at  all  levels,  partner  academic  institutions  in  

EU  countries,  industry  representatives  they  have  contact  with,  researchers  working  in  

this  field  from  their  universities.  Each  partner  will  set  up  a  database  of  contacts  to  be  

used   in   this   sense   that,  depending  on  each  partner’s  availability,   can  be   shared  with  

the  consortium,  using  the  intranet  facility.  The  Independent  Panel  of  Experts  will  be  an  

important  asset  in  promoting  the  project  outside  the  EU  borders.

Description.  The  Factsheets  are  short  and  clearly  written  documents  -­‐  preferably  in  a  

layman’s  language  -­‐  that  will  summarize  the  implications  of  the  research  results  for  the  

targeted  policies  (water  policy,   innovation  policy,  urban  policy,  environmental  policy)  

at   different   levels   but   mainly   focussing   on   the   EU   level.   The   Fact   sheets   will   be  

elaborated  by  the  Coordinator,  in  collaboration  with  the  WP  Leaders.  Importantly,  the  

work   undertaken   in  WP4  will   help   to   identify   a   set   of   main   challenges   that   water-­‐

related  policies  confront  nowadays.  This  will  ensure   that   the   focus  of   the  Factsheets  

will  be  gradually  sharpened  and  their  impact  enhanced.    

Dissemination.   The   Factsheets  will   be   freely   downloadable   on   the   SANITAS  website  

and   promoted   via   social   networks   and   email   by   the   coordinator   and   by   all   the  

partners.  A  database  of   contacts   from   the  EU  Commission  will   be  elaborated  by   the  

Coordinator   for   this   purpose.   The   Factsheets   will   also   be   printed   and   distributed   in  

appropriate  settings,  together  with  the  project  brochure.    

Target  audience.  Policy  makers,  general  public  

Quantifiable  objective  for  year  2.  Ensure  that  the  Factsheets  reached  at  least  30  policy  

makers  at  EU  level.  

 

Twitter  

Description.  The  SANITAS  Twitter  account  was  created  in  month  3  of  the  project.  The  

objective  for  the  2nd  project  year  is  to  enhance  its  visibility  so  that  it  may  perform  as  a  

showcase  for  the  project  results  and  activities.    

Target  audience.  Academia,  industry,  general  public.    

Quantifiable  objective  for  year  2.  The  SANITAS  twitter  reaches  300  followers.  

   

LinkedIn  

Description.  A  LinkedIn  account  will  be  created  from  the  2nd  year  on.  Its  objective  is  to  

connect   the  project  with   the   stakeholders,   researchers,   industry   representatives  and  

interest  groups  in  the  field.  This  will  not  only  facilitate  a  more  focussed  dissemination  

of   results   but   it   can   also   represent   an   effective   channel   for   receiving   feedback   and  

useful  information.

Quantifiable  objective  for  year  2.  The  SANITAS  LinkedIn  reached  150  contacts.    

 

E-­‐seminars    

Description.  The  SANITAS  E-­‐seminars  or  “webinars”  are  events  organized  via  an  online  

training   tool   (WebEx)   and   are   not   only   an   effective   training   and   internal  

communication   tool   but   they   can   also   constitute   a   showcase   for   the   project.   The   E-­‐

seminars  take  place  every  2  months  in  between  the  Training  Weeks  where  the  fellows  

but   also   invited   guests  make  presentations   and  exchange   comments   and   views.   The  

first   E-­‐seminar   was   successfully   organized   in   September   2012   with   25   attendees,  

mainly  from  the  SANITAS  consortium,  but  also  from  outside  the  project.  In  this  sense,  

it  is  expected  that  the  interest  in  the  seminars  will  increase  in  the  forthcoming  year.    

Dissemination.   The   SANITAS   E-­‐seminars   are   open   to   external   participation   upon  

registration.   The   channels   of   dissemination   are   the   following:   SANITAS   website,  

Twitter,  Facebook,  WebEx  tool,  email  by  all  partners.

Quantifiable  objective  for  year  2.  The  project  organized  6  E-­‐seminars  with  an  average  

participation  of  30  attendees  per  session.    

 

2.3.  Exploitation  activities    

 

By   exploitation   we   understand   those   activities   meant   to   “put   to   use”   the   research  

results,  in  a  broad  sense:  commercial  exploitation,  integration  in  teaching  curricula  or  

incorporation  in  policy  practices  or  measures,  are  a  few  examples  in  this  sense.  Given  

the   early   stage   of   the   research   of   SANITAS,   few   contributions   were   made   by   the  

partners,  except  the  two  presented  bellow.

The   Biomath   group   at   Ghent   University   will   integrate   the   knowledge   on  

compartmental  models  and  N2O  models   in  the  following  courses:  “Modelling  and  

Control  of  WWTPs”  (MSc  in  Bio-­‐science  Engineering)  and  “Integrated  modelling  and  

design  of  basin  management  plans”  (Master  after  Master  programme  Technology  

for  Integrated  Water  Management.  Additionally,  the  Computational  Fluid  Dynamics  

(CFD)  results  will  be  incorporated  in  a  new  course  on  “Modelling  and  simulation  of  

Biosystems   2:   advanced   modelling   with   partial   differential   equations”,   which   is  

approved  in  the  MSc  in  Bio-­‐science  Engineering  (as  of  Sep  2013).    

 

Contribution  to  adaptations:  collaboration  Aquafin  -­‐  Flemish  Environmental  Agency  

(VMM)  

A   big   part   of   the   data   required   for   the   IRP   carried   out   at   Aquafin   have   been  made  

available  by  VMM.  As  these  data  currently  do  not  undergo  quality  control  or  validation  

of  any  kind,  feedback  will  be  given  to  VMM  to  allow  for  the  discussion  of  adjustments  

to   the   current   monitoring   procedure,   if   necessary,   and,   where   required,   suggest  

potential   validation   procedures   for   improved  data   quality  which   could   then  be   used  

independently  at  VMM.  This  way  the  study  will  build  valuable  experience  contributing  

to  policy  adaptations  resulting  in  improved  UWS.  

 3.  MONITORING      

The   accomplishment   of   the   objectives   set   forth   in   this   planned   will   be   carefully  

monitored  by  the  Coordinator  using  the  following  instruments:  

 

• The   constant   update   of   the   intranet   database   of   articles   and   conference  

participation  by  the  partners  and  verification  by  coordinator  and  WP  leaders  every  

3  months.    

• Constant   communication   with   the   fellows   and   senior   researchers   to   update  

information  on  potential  problems  and  delays.

• A   mid-­‐term   verification   -­‐   6   months   -­‐   of   accomplishment   of   dissemination  

quantifiable  objectives.  This  will  include  a  questionnaire  to  the  fellows  and  senior  

researchers  as  well  as  an  analysis  of  the  digital  communication  objectives.    

• Depending  on   the   results   of   the  mid-­‐term   verification   and   if   the   results   are   not  

satisfactory   -­‐   the   Coordinator   will   consult   the   Supervisory   Board   to   design   an  

alternative  strategy  to  give  further  incentive  to  the  dissemination  activities.
