A distinction is made between Plant Typesand Plant Numbers. Bulk plant can beregistered under a collective number.

This structure allows you to define grouplevels that enable you to manage groupoperations.

This software also makes a distinctionbetween the company's own and/or rented(external) machinery.

There is always the option to includespecifications and, if required, you cancompile a plant catalogue for publication onyour website.

Location

It is essential to know where your machineryis located.

Apart from the actual plant yard, you canlink locations directly to projects andcustomers.

Discounts, surcharges and calendars (forthe different construction industry annualholiday periods) can all be linked to theplant locations.

Planning

Plant planning uses the amount of availablemachinery and the actual demand for it.

Plant planning overviews can be seen by day,by week, by month, by quarter or by year. Youwill immediately spot any surpluses orshortages of machinery.

Pricing

4PS Construct has a separate plant estimationmodule for combining sets, durations andmachinery.

Commercial elements like rental, sales, buyback, rate structure, financial actions andcharging methods are all held against theasset/project combination.

Rental rates, hour rates and sales or buy backrates can be linked to machinery or locations atmany different levels.

This allows you to include more complex ratemodels and invoices are always calculated onthe basis of your contractual agreements.

Plant Orders

Plant orders are at the core of the plantmodule.

Plant orders enable you to send machineryfrom the yard to a plant location or to return themachinery to your yard or to the supplier.

You can also send machinery from onelocation to another and, if required, you canhave the start date of the rental trigger from thedate of the move.

There is also an option to register any damageor change in status that may have occurred.

Transport

In the case of much larger plant, it is usual toplan transport and charge it to the customerseparately.

Any accompanying loading or unloadinginformation is also supported.

Inspections

4PS Construct provides you with a filteredoverview of all inspections and the dates bywhich they must be carried out.

For example, you could display inspections ofmachinery for a particular location.

Once an inspection has been given 'approved'status, the next inspection is automaticallycreated.

PurchasingPurchasing is a crucial part of any projectand 4PS offers a lot of functionality tosupport you in this area.

To process items to be purchased for anyproject, budget items can be exported to afunction called ‘purchase actions’.

Using purchase actions you can requestquotes from potential suppliers, comparingeach using price comparison functionalitybuilt into this part of the software.

Attributes can be associated with eachvendor to allow you to automatically select aset of vendors to use as part of the quotationprocess – attributes such as region code,product group or delivery timescale.

The most favourable purchase quote can beautomatically converted into a PO. Forquotes that are not used, you canautomatically print a ‘thank you’ letter.

This function offers you a seamless link toMicrosoft Excel to help you manage thecosts and quotes involved.

There is also the option to record deliverynotes or subcontractor completion notesagainst an order.

These deliveries are then used to matchagainst the purchase invoice.

There is also a document managementsystem for purchase documents, such asdelivery notes, which is integrated with Word.

The purchase document is linked to the POand can be maintained in 4PS Construct.This gives you total freedom in formatting thepurchase order in Word should you need toadd extensive text.

Users also have the option to rate vendors.

You can assess their performance based onobjective information, such as delivery datesand accuracy of the order, or subjectiveinformation, such as friendliness or level ofcustomer service you feel they offer overall.

You can set preferred criteria and then addweightings for each criterion to allow thesystem to automatically calculate scores.

This can be done per project or acrossmultiple projects.

Invoicing4PS Construct supports various invoicingmethods – cost plus, instalments andadvances.

Instalments are automatically generated forthe initial contract amount, extensioncontracts and extension options.

For residential building you can carry outautomatic calculations of interest. The resultof these calculations can be convertedautomatically into a sales invoice.

There is also the option to invoice projects orwork orders on the basis of cost plus.

The work order functionality is especiallyhandy for small jobs.

For larger customers that undertake longterm, major works contracts, there is theoption to record multiple addresses andcomplex price agreements.

Financial Administration4PS offers a fully integrated financial suite.Whether it is about posting, processing orconsolidation, the system handles it all.

The integration is so tight that it is impossibleto create differences between the generalledger and your project administration – datais only ever entered once.

Subtotal overviews, columns with numbersand comparisons are created online themoment you retrieve the enquiry or report.
