Goals At the end of this workshop, leaders, volunteers, and parents should be able to…

• Consider how elements in the RB process contribute to life skills and the

PYD goals of belongingness, mastery, independence, and generosity. • Understand the basic components of RBs, including the judging criteria (i.e.,

how they are scored). • Translate the basic requirements for each RB component to the on-line,

social media based Edmodo program. • Support each other in the on-line community that attempts an Edmodo-based

RB. • Feel free to complete RBs in either the traditional (paper/pencil or word-

Can an RB PYD? (Record Booking & Positive Youth Development)

How does the RB contribute to the PYD foundations?

Themes from a recent survey (Skagit County, WA, 2009/2010, N = 102) suggest that • Nearly half (48%) are dissatisfied with the format/content of the

traditional record book (RBTr) • A majority (>60%) find the RBTr instructions difficult; and that new 4-

Hers struggle to learn how to RB correctly. • Half (50%) do not understand how RBs are judged/scored. The survey respondents recommended: • More clear instructions. • Improved training (on-line tutorials, more trainings opportunities, clear

examples, step-by-step instructions). • Transparency in judging (greater assurances that judging is consistent,

unbiased, with helpful judge feedback). • A format that is easier, age-appropriate, with less redundancy,

simplified/relevant financial components, and perhaps electronic.

Research results from our qualitative investigation (Bikos et al., 2013) Summer 2012, we interviewed • 14 leaders/volunteers

– average age 42 – 93% female

• 7 alumni – average age 21 – 71% female

Age: Years in 4-H: Level: ___Jr ___Int ___Sr Note: Record books may be presented in a variety of media (i.e., traditional forms, other state/county forms, electronic, video). Consequently, when the term “record book” is used in this document, its definition encompasses this variety of uses. These guidelines are general in that they reflect the core elements of record booking. Judging will take into account the individual’s age and developmental capacity. 4-H/PROJECT GOALS At least 1 goal for primaries/juniors; at least 3 goals for intermediates

and seniors. Goals are SMART (specific, measurable, attainable, realistic, timely). Goals can be listed specifically for each project; or as a whole for the

4-H experience; or clustered into meaningful groups (i.e., foods and sewing goals are listed in a grouping of home-economics projects)

LEADER/PARENT SUPPORT There is some indication that leaders and parents know about and

support goals/project commitments. This could be demonstrated through parent/leader signatures, notes, photos, or a retelling by the 4-H’er (e.g., “I discussed these goals with my parents…”)

GOAL APPRAISAL/PROGRESS Commentary on goal progress (e.g., successes toward goal

attainment, obstacles to goal attainment, mid-year changes in goals/commitments).

CALENDAR/JOURNAL There is a regular logging (with dates) of 4-H activities, events, and

project work. This might be a calendar, however, other formats may be chosen. If the record keeping is on the internet, it might be unwise to list date/time/place, so a simplified date (month/year) would be acceptable.

If in a social media format, regular wall posts (where date stamps are given automatically by the program) are also evidence that the 4-Her is logging regularly.

FINANCIAL ACCOUNTING/ADD SHEET The document provides a record of project-related expenses.

These could be the traditional Record Book financial summary, or a project “add sheet.”

Accounting activities could be the financial evaluation of a project (e.g., cost of making versus purchasing), a summary of debits/credits throughout the year, or both.

4-H STORY As a distinct unit, or dispersed throughout, the document

includes relevant information about the 4-H’er. Examples of relevant information might include: information about the 4-H’ers family, involvement in school, involvement in the community, reasons for joining 4-H, favorite parts of 4-H, future plans for 4-H. Not all of these elements are required; there should be just enough to give the reader a sense of who the 4-H’er is.

PHOTOGRAPHS/SUPPLEMENTAL MATERIALS Interspersed throughout the document (e.g., a photo inserted

into a story or highlight, a link to a website, a copy of a newspaper article), or as a distinct unit, photos or other supplemental materials should assist in describing the youth’s experiences in 4-H.

In a manner consistent with the medium chosen, the record book is neat, organized, and conveys the 4-H’ers experiences well.

For example, if the 4-H’er is using an electronic medium and has used common/age-appropriate expressions (e.g., text-speak), this is appropriate.

PERMANENT RECORD The document contains a summary of the members’ experience

in 4-H before this year of enrollment. This could be a traditional permanent record book, or inclusion of previous record books, or some summary statements. Traditionally, this includes an cumulative, annual summary of the following categories: Offices, Exhibits, Judging, Public Presentations, Contests, Events, Community Service, Promoting 4-H, Leadership, School & Community, Non 4H Contests, Meeting Attendance, Most Important Recognition

Creating Edmodo Accounts Group Codes and Join URLs Screencast link: http://www.screencast.com/t/ZKHnny0om Edmodo provides some measure of security through closed, invitation-only groups. Group codes allow to join without any secondary approval. Edmodo sets these group codes to lock (and be reset/changed by the group’s creator/owner) every 14 days. If you are planning a workshop or training event, you will want to work through your RB Administrator to obtain a current group code. This is the easiest way for members to join. Join URLs do not change. However, when a new member requests to join a group through the Join URL process, the group’s owner/creator must manually approve the join request. Without proper planning, this process can cause a delay in your individual or group training. Group codes and Join URLs are available for distribution by group creators/owners. Only group creators/owners can approve the join request. This is one reason we (later) recommend that all Edmodo RB groups be created through an RB Administrator account. When these credentials are shared, there are several who are able to review/approve the requests to join. If you are using this manual remotely and you aren’t presently associated with a project, club, program, or county that is using Edmodo for RBing, you will likely not have the requisite group code provided in the insructions below. You are invited to join the Snohomish County (WA) RB Training group (and Permanent Record Book training group). To do so, please use the following Join URLs and follow the instructions provided by Edmodo. If you first look at the instructions below (before using the Join URL) the process will likely be easier. In order to join the group, the RB Admin will need to accept you into the group. If there is a

Progress/Assignments RBing is accomplished through a series of assignments. 4-Hers (and leader/co-teachers) can get to these two ways. Option #1: Scroll down-down-down-down through the Group posts.

Option #2: Click on the Progress

Link. The 4-Her can see all the individual assignments and his/her status: Not Turned In, “Waiting” (for a score), or a score. Especially as 4-Hers are turning in assignments during the year, scores should not be final. We are hoping to coach-to-mastery each of the RB requirements. Once mastery is achieved, full points should be awarded.

In parallel, the 4-Her can see his/her badges on his/her Profile Page and in the Progress (assignments) section. Badges can be placed into any RB group by any teacher. Once the badge is added to the group, ANY co-teacher can award it. That’s easy! A trick about Shared Badges Screencast: http://www.screencast.com/t/nRUeiBmaj If the same badge is used in multiple groups, once it is earned, it shows up for the 4-Her ALL groups. That is, the same badge can only be earned once. For example, once the 4-Her earns the “Hi! My name is…” badge, it will show up in EVERY RB group with that assignment, year-after-year-after-year. If it is critical that you want to award a unique badge, you might

amend and rename it, “Hi! My name is…2013,” “Hi! My name is…2014.”

I don’t know that this will be important. Badges may be most effective in simply getting 4-Hers started RBing. After they’ve earned a bundle of badges, we hope that the RBing habit is formed.

CALENDAR/JOURNAL 

There is a regular logging (with dates) of  4-H activities, events, and project work. This might be a calendar, however, other formats may be chosen. If the record keeping is on the internet, it might be unwise to list date/time/place, so a simplified date (month/year) would be acceptable.  

If in a social media format, regular wall posts (where date stamps are given automatically by the program) are also evidence that the 4-Her is logging regularly.  

– Monthly updates are sufficient to meet this requirement. 

– Clubs/projects/programs are encouraged  to set up an Edmodo group and log their activities on the calendar or post them into the wall. 

– Post activities to your wall. – All wall posts and assignments are automatically date-stamped.

FINANCIAL ACCOUNTING/ADD SHEET 

The document provides a record of project-related expenses. These could be the traditional Record Book financial summary, or a project “add sheet.”   

Accounting activities could be the financial evaluation of a project (e.g., cost of making versus purchasing), a summary of debits/credits throughout the year, or both. 

– Financial updates are assignments that are encouraged quarterly; one is required at the end of the year. 

– Traditional RB financial forms and Add Sheets for 4-H projects are available in Resource Folders. Download the forms. Complete them. Attach them as an assignment.

4-H STORY 

As a distinct unit, or dispersed throughout, the document includes relevant information about the 4-H’er. Examples of relevant information might include: information about the 4-H’ers family, involvement in school, involvement in the community, reasons for joining 4-H, favorite parts of 4-H, future plans for 4-H. Not all of these elements are required; there should be just enough to give the reader a sense of who the 4-H’er is. 

– 4-Hers are encouraged to post information about themselves throughout the year.  

– A final assignment about “year in review” let’s 4-Hers recap the most important things.

PHOTOGRAPHS/SUPPLEMENTAL MATERIALS 

Interspersed throughout the document (e.g., a photo inserted into a story or highlight, a link to a website, a copy of a newspaper article), or as a distinct unit, photos or other supplemental materials should assist in describing the youth’s experiences in 4-H.  

– In Edmodo, it’s easy to attach photos, documents, movies, web-links to any assignment or wall post.

GENERAL APPEARANCE 

In a manner consistent with the medium chosen, the record book is neat, organized, and conveys the 4-H’ers experiences well. 

For example, if the 4-H’er is using an electronic medium and has used common/age-appropriate expressions (e.g., text-speak), this is appropriate. 

– In the Edmodo RB, we’ll look to see that you visit the program and make updates regularly. 

– We’ll also look for 4-H appropriate interactions with others. 

– We’ll also expect orderly postings. For example, you wouldn’t submit SMART Goal #12 before you submitted SMART Goal #1.

One 4-H Club required that 4-Hers set a “personal development goal.” If this group chose to use Edmodo they could change the title/instructions related to the SMART goal assignments. For example, instead of having “SMART Goal #1” they could change the title to “Personal Development Goal (required)” and then provide instructions on what is required in that goal.

Varying Levels of Access in the Edmodo Program – Youth/members

See each others’ wall posts Do not see each others’ assignments Youth and leaders may send a direct (private) message to each other.

No one else has access to that message. Youth may not send direct (private) messages to each other. Youth have the option to connect an e-mail address to the Edmodo

account. Within Edmodo is a “notifications” feature that forwards messages to that e-mail address. 4-H families with younger members may choose to use a parents’ e-mail address so that the messages sent within Edmodo are cc’d to the parent via their personal e-mail address.

FAQs What if I miss RB assignment deadlines? (or, How should judges respond to missed deadlines)? We have tried to establish sensible deadlines: recommending that the required SMART goals be due on December 1st, and then spread the optional SMART goals out through the year. Similarly, RB Updates (the quizzes) should be taken within the week after the month ends; quarterly financial reports should be turned in by the 15th of the month after they are due, and so forth. Because a number of 4-Hers and their clubs, may not start RBing until the 4-H year is well underway, please treat the deadlines as guidelines. The 4-Her should simply begin RBing at the beginning, even if they don’t start until January or March. Because the Permanent Record Book Group is an ongoing (year-after-year) group, assignments will be YEARS old. Again, this is not problematic and 4-Hers and leaders should simply ignore the message that the assignment is late/overdue. There is an option within the assignment feature that “locks” an assignment after the due date. This feature should NOT be used. If so, 4-Hers would be unable to submit their RB assignments. While we offer this advice toward flexibility, the Snohomish County RB scoresheet has a category of calendar/journal and in this category is the requirement of “regular logging.” Therefore, once the 4-Her begins RBing, points should be awarded for monthly interaction with the RB assignments (i.e., monitoring goals, financial updates, etc.).

If you are in a circumstance where you need to copy the assignments on your own, you can open the “RB Training 2013-14” or “RB Assignment Source 2013-14” (Join URL’s provided elsewhere in this manual) in one browser and open your teacher account in another browser and physically copy/paste the assignment instructions from the source to the new group. If you are in Snohomish County, please work through the RB Administrator and we will establish your group for you through the RB Admin account. What if my group wants different RB assignments? Groups are very free to amend the RB assignments (e.g., requiring that a SMART goal address something specific such as leadership or personal development) or add unique assignments. Remember, also, that folders/library tools in the Edmodo program allow for the documents such as alternative financial forms, “add sheets” from different programs, and so forth.

Lost Password Screencast link: http://www.screencast.com/t/88WG8i71 Enrolled volunteers and leaders who hold “teacher” or “co-teacher” accounts must use an e-mail address to set up the account. Like so many online programs, when a teacher/co-teacher forgets a password, they simply click the “Forgot my password?” link and they will receive instructions for resetting the password at their e-mail address. 4-Hers (students) do not need an e-mail address to establish an account. 4-Hers/students who do not have an e-mail address for password restoration will be instructed to “ask one of your instructors to reset your password.”

Any co-teacher can do this by going to the Members menu in the group to which the 4-Her belongs. Scroll to the member’s name and select “More.” One of the options is to “Change password.”
