1. Welcome and introductions

ZONE 3 ANNUAL MEETING MINUTES

Hannah De Roo opened the meeting and welcomed all delegates, guests and observers

All eight countries were represented – primarily by Committee Councillors (CCs) and Kejiwaan Councillors (KCs). Apologies were given from the Chairs of BeLux, Britain, France, Ireland, and Spain. (NB there is no Italy Chair / National Committee at present). Lucas Horton attended as honorary CC for Ireland.

Individual introductions were provided by all present (delegates, observers and guests)

2. KC meeting report The new dewan met for two days prior to the start of the zonal meeting (28-29th April). Feedback was provided by Simone-Sabariah van Beek and Paul Sillem on behalf of the KCs: It was an enriching, harmonious and valuable meeting with a lot of sharing, with

Hannah as zone representative also participating It is important that the dewan get to know and trust each other, in order to work

together effectively. This takes time so it is important they communicate and spend time together, along with latihan and testing. This is also important for committees.

Testing included the qualities of the individual KCs and the qualities of the individual countries they represented; what KCs bring to other countries when visiting; and how KCs support National Committees. There was also some testing around specific issues affecting groups.

It was agreed that two KCs will visit National Congresses in other countries in the zone. It was felt this would be beneficial to the country and will help congresses ‘open up’. There are also plans for another dewan meeting next year.

An important task of the KCs is to help promote Subud enterprises and support people working together. This is considered important for the development of Subud and was a recurring subject during the meetings.

Subud Netherlands asked how to encourage and support a stronger dewan in local groups and at national level. KCs advised helpers regularly meet and spend time together, during weekends/at overnight events where possible so male and female helpers can bond as a dewan. KCs from zone could be invited to support such events.

3. International updates: WSA & Zone 4WSA Chair, Nahum Harlap, has attended SICA, SDIA and joint wings meetings over the last week. He has now been in the role of WSA Chair for 9 months. An overview was provided of the different aspects of the international organisation, and actions/priorities to date: Budget – first priority and now agreed. There are significant shortfalls and it is an

ongoing issue to be managed. Sale of Gran Salon, Amanacer – WSA & MSF unanimously agreed action, however

it is an emotive subject and the team faced challenges, but this now seems to be on course.

Page 3: Subud 3... · Web viewRotterdam is a purpose-built Subud House, initially rented externally on an incidental basis, and in recent years began renting out a contract basis. Generates

ZONE 3 ANNUAL MEETING MINUTES

MSF – revision of grants and loans policies so these funds are used to support properties as Centerprises (rather than supporting short-term maintenance / refurbishment needs) so they generate income and are self-sustaining.

Archives – strong team assembled following World Congress; however, there is not enough funds within WSA to support these activities properly and it is a major priority. The intention is to release some improved quality audio recordings from the Memnon Project soon. Issues faced include site security and organising professional IT resources.

SICA – following constructive meetings last week the key outcome was around re-orientating SICA’s focus beyond the arts to include awakening any and every talent and connecting this to individual enterprises. Current team is working with YES Quest, both using the programme and upgrading it as a tool for the membership and widening its aims and audience beyond youth.

SDIA – on an ‘outer’ level, SD is a well organised part of Subud that functions well in its sphere of activities; some time will be spent on ensuring there is more inner guidance in the work of the organisation (note this is not related to the individuals).

Youth – Nahum met with International Youth Coordinator in Spain. Objectives for the youth are clear but realising these is harder. How WSA works with youth needs consideration. At World Congress, the youth organisation changed to zonal representatives (previously organised by areas). Responsibility for youth, including finances, now sits with the zones. Around 25% of youth reps are active. Organisational changes will be reviewed at a later date.

Centerprises – Subud Spaces website established that brings together resources to help groups develop and manage their properties. Distinction between Subud enterprise vs individual enterprise – the latter should be developed through SICA; SES should develop cooperative Subud enterprises utilising group properties. Helper’s role is to support harmonious relationships in enterprise teams and help overcome difficulties.

SIHA – following testing about SIHA operating under the auspices of WSA, SD, SICA or independently, there was unanimous feeling that SIHA would fare better as sub-organisation of SDIA, which SDIA provisionally agreed to, subject to national reps’ agreement. WSA to ask Zone Reps for country agreements.

Care support – International Almoners’ function is to provide service for countries that don’t have their own (ie poorer countries). Formerly managed by the UK, it was then transferred to WSA. At World Congress it was discussed whether SDIA should take over, but this presented legal/regulatory issues. Testing showed the ‘least wrong place’ for this function is for a country to adopt and administer it. This will be discussed at the WSC meeting in October and tested with IH’s. It is an ongoing issue originating from systemic problems around fund allocation.

World Congress – these events have been developed to incorporate more than business/delegates. Nahum asked attendees to consider the following with their countries, and provide feedback through their zonal rep: What is WSA’s role in facilitating individuals to come to World Congresses, and to what extent, and how much responsibility for non-delegates should sit with the membership?

ZONE 3 ANNUAL MEETING MINUTES

The WSA is looking for direction, thoughts and ideas. It has been playing ‘travel agent’ and this is not a core part of its role. The resources (money and time) come from the membership. The following summarises responses from those present:

- It was noted the Assistance Fund for 2018 supported delegates first, and then those volunteered to assist in some way – for youth this was particularly important.

- Suggestions from the delegates included downscaling congress and encouraging individual and national enterprises to facilitate membership attendance. It was observed there is a clash of needs between the membership vs organisation, and the practicalities of two separate events was discussed. It was noted there should be clear and firm expectations of delegates.

- It was generally agreed there is significant value in these events for all, particularly youth, and should be preserved. Late booking identified as a key barrier to effective organisation. World Congresses, when organised well, are a profitable enterprise.

- For previous congresses, youth have begun planning/fundraising two years in advance, creating enterprises and seeking support from other countries. It was noted there is external funding (including EU) available and accessible for youth; this should be researched now.

Zone 4 Representative, Salama Gielge reported on zone 4, which comprises 27 countries; a key part of her role is creating a network and connections across the zone, particularly between the many small disparate country/group memberships: Zonal gatherings are a very important aspect – and are preferred over delegates

meetings by membership. Getting delegates to focus has been hard – more contact and space for building relationships between delegates would be beneficial.

Next gathering: 3rd – 9th August in Kaliningrad. Details at: https://www.subud-zone4.org/ Registration/booking by May 20th is advised (hotel places reserved till then). All visitors welcome; there are a number attending from zone 3 and providing workshops etc. Costs have been kept low. Contact Salama for visa invitations and queries [email protected]

A joint zone 3/4 gathering is planned for 2020 – possibly in Italy

15:00 – 16:45 PLENARY

The afternoon agenda was adjusted so the core focus of this session is organisation, with the opportunity for countries to address the other planned agenda topics (communication and perceptions Subud as a cult) within focus groups under this umbrella topic.4. SUBUD as an organisationThe organisational guidelines for Subud (attached as Appendix 1) were developed to meet Bapak’s original vision for its organisation and structure, which was to suit a larger association than we see in practice in some of our member countries. Each country also faces different challenges depending on its size. The purpose of this

Page 5: Subud 3... · Web viewRotterdam is a purpose-built Subud House, initially rented externally on an incidental basis, and in recent years began renting out a contract basis. Generates

ZONE 3 ANNUAL MEETING MINUTES

session was to explore some of these challenges and concerns and share practices and possible solutions. Three discussion groups were formed. A summary from each group is provided below.Ireland, Portugal, Italy and BeLux Ireland – as a country they are like one group of scattered / isolated members.

Regular gatherings and latihans are held when possible, but most of the time they are separate. They own no property and the membership is ageing.

Italy – own one house; purchase financed through the zone some years ago. Now a Centerprise: rented out and profitable. Management effort combination of voluntary and professional.

Portugal – own two properties in Lisbon (3 years until mortgage repaid) and Bucelas (lots of potential but not easy to develop). Subud houses are easily accessible; main issues arising from conflicts among members. Rhoda Viva school is a successful SD project. Lisbon property shared with SD; some imbalances exist between professionals/volunteers (eg reporting demands).

Post meeting update: organisational side of BeLux is now active again but unfortunately could not be represented at this particular session.

France and Britain Britain = organised into 7 regions; France = 4 groups covering large geographical

regions In France, greater geographical distances separate membership, and there are

helpers that are not active; SD is active, and there are other activities, but these are not ‘labelled’ under wings

In both France and Britain, there is a small group of very active people, and a large group of less active people. Possible solutions suggested were other joint meetings in the zone (eg Wings). Older/isolated members need to be actively engaged/encouraged to congresses – helper’s talk.

Generating interest and engagement in membership is a common challenge (gap between organisation and membership, both with different needs)

Spain and Netherlands In the Netherlands, issues arising from membership not being interested in

organisation; and helpers are not interested in a dewan. Levels of Wing activity unknown.

In Spain, outer/political aspects are affecting the development of some groups (Barcelona/Catalonia). Helpers visit isolated members. Wings very active.

To engage membership in organisation, less concern about organisational positions/titles was suggested, with more focus on what people are doing. It was also noted that engagement is increased when the whole country is focused on a shared project.

Communications are improving/opening up – zonal newsletter, WSA FYI – introductions to items circulated may encourage more people to read these. More

communication from WSA was requested: website is under development; all WSA news circulated to countries by zone rep.

New members in Spain are given translated literature as part of a welcome pack (eg Bapak’s Talks, Varindra Vittachi book); new Helper’s Guide was distributed to helpers in the Netherlands.

17:00 – 19:00 PLENARY

5. ArchivesSubud Britain’s Archivist, Solihin Garrard, led and facilitated this session via zoom; the main aim being to raise awareness about why archives matter. 1. Presentation – Archives in Subud ‘Why on Earth do they Matter?’ – copy attached

(Appendix 2) A comprehensive presentation was provided outlining: the importance of archives;

what is meant by archives/documentation; essential principles of archiving; the extent of the challenge surrounding archiving; digitalisation; and archiving as a ‘forever project’. Archives are: ABOUT the past, IN the present, FOR the future

Subud France asked about access and identification system in use:- Individual access depends on what someone wants to access. If it’s a simple

question it will be less of a security issue than something complex - generally one or two stages of verification - confirm individual is a Subud member, and check question is relevant.

- Identification / indexing system: The ‘Access to Memory’ searchable database system has been adopted for some collections, but this is not agreed by WSA as a global archive system. Initial priority has been digitisation of Bapak’s talks.

2. Individual Countries - delegates were each requested to complete some pre-work around their national archives for this session. Each country presented their situation to Solihin:

France: National archives kept in Paris in dedicated and secure room with good conditions for preservation (dry and dark) and is managed by local group. Josefa is a professional archivist and will soon be retiring and focusing on national Subud archives. She has begun the classification process, creating an inventory and organising documents by subject. It is a collecting archive, including records from national committee etc, and is seeking to collect documentation from members. Missing records have been identified. There is no budget for archives. Members generally understand archives’ importance, and it is discussed at National Council meetings, and minutes circulated to all groups.

Netherlands: National archives kept in The Hague cellar, which is dry and suitable. Photographic archives maintained separately. Little active ‘collecting’. Unaware of what there is in the archive storage / no inventory. Issues with Human Resources for archive activities. Members are asked to send personal archives to the national centre. Group archives for those without committee consist of personal records.

Page 7: Subud 3... · Web viewRotterdam is a purpose-built Subud House, initially rented externally on an incidental basis, and in recent years began renting out a contract basis. Generates

ZONE 3 ANNUAL MEETING MINUTES

Spain: Unable to report fully on national situation. There are boxes of materials in one of the groups – content unknown but someone has been digitising most of it, but information didn’t come through for the purposes of this meeting. In Orgiva, one member has large collection of videos (including World Congresses) – these are well kept in offices, but they want to do something with them – Solihin’s details provided (see below).

Portugal: Most archive material safely and securely stored in the Lisbon house. There are good records of Association, committee reports etc; records of Bapak’s visits, photos etc are actively being sorted now. There is no archiving expertise within membership, and a budget for archives is not likely until priority of mortgage repayment is completed. Material needs to be organised first; providing access is next step, particularly for new members.

Britain: Archives have not been provided adequate premises, and no trainee (succession planning) is in place. Not all groups have supplied histories to the central archives, and it is unclear if regional or group records are submitted as archive material. As a country there are reasonable levels of effort – but the process needs to keep going otherwise progress falls behind, and archives needs to be understood as a priority by all.

Ireland: Records are held in a member’s loft (Michael Heaslip) Solihin’s responses and recommendations to countries are summarised below, and

are generally applicable to all: - It was recommended that members are advised to send all material they are

unsure about (books / documents) to national centre – duplicates are better than risk of losing originals.

- If interesting items are uncovered, this can be used to publicise the value of archive activities to the national membership (Britain do this in monthly Journal).

- Generally raising the profile of archives in each country via newsletters/websites etc will spread the message of needs to be met in terms of storage and archiving costs

- Amalijah Thompson manages International Archives in Canberra and collects materials for the wings. Solihin often sends items on to international archives.

- Specific queries can be sent to Solihin at: [email protected] - Supporting information will be shared with delegates. Appended to the minutes

are: Archives presentation / handout (Appendix 2) Subud National Archives - Collecting Policy & Guidelines (Appendix 3) Archives Digitisation - Subud Britain Journal article (Appendix 4)

3. Final comments and review Capturing very early records of Subud arriving in member countries is an important

priority, including records of Bapak’s visits. Archiving of recent activities, reports and records, including those of national

committees, is also important

Page 8: Subud 3... · Web viewRotterdam is a purpose-built Subud House, initially rented externally on an incidental basis, and in recent years began renting out a contract basis. Generates

ZONE 3 ANNUAL MEETING MINUTES

There is a need for archiving skills to be developed within membership. While not proposing to act as archivist for all countries, Solihin suggested countries get more activities going, and to keep in touch with him as a point of support

ACTION: All countries requested to provide a short summary of archives situation to Solihin which will be shared with WSA.

Apologies: Sandra Creemers (BeLux Chair), Louise Mackenzie (Britain Chair), Maria Blakey (France Chair), Andrew Thomson (Ireland Chair), Hannah Soto (Spain Chair)

10.30 – 13.00 PLENARY

1. SUBUD Properties and “Centerprises”Within the zone there are over 20 Subud-owned properties. Each country presented on their own situation (NB. BeLux and Ireland do not own properties):

Britain – Rashid Rogers (CC)

13 properties are owned: Amadeus, Barnet, Reigate, Canterbury, Tunbridge Wells, Perth, Manchester, Sheffield, Bradford, Liverpool, Hull, Lewes, Bristol; one is leased –

ZONE 3 ANNUAL MEETING MINUTES

Norwich (in 45th year of lease). Estimated value of portfolio is £8 million. An overview of each property was presented, along with photos of each. A copy is attached as Appendix 5.

Reigate intended to be sold; Amadeus has historically been a key contributor to Subud Britain (appx £500k in 10 yrs); several very successful Centerprises including Barnet, Canterbury, Tunbridge Wells and Lewes; Lewes has a plaque outside property describing its purpose as a Subud House to the public – group has appx 140 members; majority of properties have active lettings; other properties have less lettings, but members remain attached to houses – including Manchester, Bradford and Liverpool.

Other key properties: Brecon (owned by multiple shareholders inc. MSF), Loudwater (private lease agreement with Subud member’s company) – both active Centerprises

Management models vary at each property, including voluntary and professional (paid) management; income-based renumeration (eg 10% of lettings income) effective incentive for voluntary lettings/property management. Leasing contracts are made with the group, not Subud Britain. Amadeus is the only subsidiary company of Subud Britain. Approach dependent on the group’s available skills and level of involvement.

Britain has operated various support bodies including the Property Action Team – none currently active. Britain has a central sinking fund for long term maintenance, with the principle that if a group need assistance managing or refurbishing property they can go to National Committee. Groups are also building reserves. Quinquennial survey undertaken in recent years to help groups prioritise and plan.

Britain is in period of austerity measures to meet budget deficit. Amadeus income has significantly reduced - previously a main financial contributor. National income dependent on bottom-up contributions from groups/regions. Some property-owning groups are holding large funds; other groups are accumulating funds to purchase own property. Nearly 50% of national income goes to zone/WSA; significant administration costs are being reduced through establishment of volunteer-led model; remainder of income supports kejiwaan activities.

Netherlands – Reinhard Haster (Chair)

Two owned properties – Rotterdam and The Hague; six groups rent. Finances are centralised. Both operate different management models, but additional resources/expertise needed. Rotterdam is owned by Subud Netherlands; The Hague is owned through a Foundation (legally separate entity) and managed by a committee composed of members.

Rotterdam is a purpose-built Subud House, initially rented externally on an incidental basis, and in recent years began renting out a contract basis. Generates enough income to be self-sustaining and sometimes contributes at national level. Advertised through word of mouth, and a website has now been developed. One individual does admin/general management work on a voluntary basis.

The Hague house is in a good location, with latihan halls on ground floor; income generated by renting out upper two floors. Issues with current problem tenant with

ZONE 3 ANNUAL MEETING MINUTES

a long-term low rental agreement. Renovation works planned which will allow further rental increases; works to be funded using national reserves, and possibly small mortgage.

Recent discussions and relationship-building with the Quakers who are interested in the way Subud Netherlands runs their houses. The Amsterdam group have been renting from the Quakers for 50 years - the Quakers want to diversify the property use; Netherlands Chair is providing advice and support.

Portugal – Anali Lopes (Chair)

Two owned properties in Lisbon and Bucelas. In Porto, a longstanding Subud family provides the local group with latihan space.

Lisbon premises purchased 15 years ago with support from MSF; the mortgage will be repaid in 3 years. Shared ownership with Susila Dharma. Currently valued at appx €600-650k, the premises (300m2) are too large for the group (50 members). There are some regular lettings, managed on a voluntary basis. No current reserves for repairs; member donations and lettings income go towards mortgage and national budget running a deficit to make these repayments. Some conflicts around developing the property/changes of use to increase profitability.

Bucelas is located 20mins east of Lisbon and comprises appx 5 hectares. The main building has accommodation (10 bedrooms) available to Subud members (but cannot be commercially rented) in need of some repairs (water ingress, structural issues, and roof). There are other smaller buildings on the site, including a latihan hall used once a month (visitors welcome), and an Arts&Crafts workshop is being developed. Caretaking and maintenance by resident Subud members, who are starting to run artistic events there. It has a long history in Subud as a retreat and has previously hosted youth gatherings.

Portugal committee feel isolated in developing properties/land and want to run these as more professional enterprises – help requested from wider Subud community / zone.

ZONE 3 ANNUAL MEETING MINUTES

France – Marianne Harvey (CC)

Three owned properties – Mane and Mayenne directly owned by Subud France, Paris property owned via limited company. All local property taxes are paid centrally by Subud France (no groups hold bank accounts).

Some members are seeking to purchase a property between Toulouse and the Pyrenees – slow but ongoing/active process. Group of entrepreneurs / artists working together on an idea to create a ‘Subud village’.

Mane property purchased 23 years ago - 60m2, with no land attached, current value appx $200k. Caters for members in the South East region. Property is externally let ($11k p.a. revenue) and is well managed, maintained and used.

Mayenne property purchased in derelict state 10 years ago, with group undertaking majority of renovation works. An MSF grant allowed property to be extended. It includes two Latihan halls, with some land attached. In a remote location, only accessible by car. Doesn’t generate income, but member donations cover costs (no cost to Subud France). Current value appx $56k.

Paris property part of apartment building – 46m2, with latihan halls on ground and first floor, and includes office for archives. Good rental income of $11k p.a – 90% of profit goes to Subud France. Accessibility is good and is near the metro, but area feels unsafe at night. Maintained by committee. Current value $1mill +. No renovations forecast.

Spain – Carla Moreno Bock (CC)

Three properties owned by groups/regions (not centralised). Other groups rent premises – there are lots of scattered/isolated members.

Barcelona property is in a bad condition - can’t be rented out Alicante property is a large barn, located away from town and not accessible by

public transport, so it is difficult to rent out. Adjacent land purchased with intention to build settlement; only one house there currently, owned by Norwegian member and is for sale. One 500m2 plot of land has been sold.

Orgiva overview provided by Oliver Haitzmann. New purpose-built Subud House with two latihan halls developed by the local group. First members arrived in the area over 20 years ago, and after several different enterprise attempts, three couples invested in an area of land in Jaramuza with several cottages surrounding it. This ‘complex’ is part of a protected agricultural area where residential development is not been permitted, so ‘barn’ constructions undergo a slow process of conversion/legalisation, including the new house. There are strong connections with the local community (15 new members joined in one year), with hall use encouraged for a range of activities for a modest donation – the priority is activity, not profit – which generates enough to sustain the property.

Zone 3 Properties Survey - Lucas Horton (Ireland)

Lucas is a professional development consultant and initiated a Zone 3 property survey appx. 6 months ago to collect information including: purchase price, current

value and associated group numbers at time of purchase and currently. Copy of initial results attached (Appendix 6).

Not all countries responded; Britain provided the most complete information, which showed membership of the (15) property-owning groups decreasing by 74%.

Development of properties should be considered to unlock maximum commercial value, although from an enterprise perspective there are minimum sizes required to make development worthwhile (which vary depending on commercial use).

A scenario exercise was carried out for the Amadeus to demonstrate development potential, which considered its local context / planning restrictions: with vertical extension of additional five storeys 7-8 apartments (21 habitable rooms) could be created, with space retained for latihan halls. Cost in books: £1.7m; development costs: appx £1.5m; potential value: £5-7m.

Italy – Valentin Pizzi (IH)

One property in Florence owned by Subud Italy. Currently renting to a Dance school, with income covering costs (€800 pcm)

With ageing and scattered membership, issue faced is around how to secure future of the house and keep it in Subud

Local area is benefitting from recent development/improvement. Current sale value estimated at €170k. No residential accommodation. Change of use cost appx €300k

Property purchased via zonal enterprise - initiative intended to help all zone countries that didn’t own properties acquire one, but disbanded following change of zonal team

2. Presentation on Rungan Sari, Kalimantan Presentation by Muhammad Bachrun Bustillo providing an overview of current

situation in Kalimantan, which will be the location of World Congress 2022. Not a presentation about congress but aimed to help counter perceptions of Kalimantan as undeveloped and unsafe. Included an overview of facilities and activities in Rungan Sari, the Subud-owned land in Kalimantan, and of the range of ongoing projects and enterprises (social/education/environmental), which have created real local benefits and strong links between Subud and the local communities.

Overview provided by Zone 3 Youth Rep, Reuben Paemen - originally appointed in Freiburg as joint youth rep along with Guillaume Sanchez, who has since stepped down.

Reuben is now managing the Subud Youth International Activities Facebook page – used to connect with youth, including for purposes of enterprise

Initially felt main focus was to set up youth events, but having observed a lack of appreciation/trust/understanding of Bapak and the Latihan amongst youth in the West in particular, he is focusing energies on encouraging youth to visit Kalimantan, sharing the benefits personally experienced, such as improved personal focus, sense of belonging to the wider Subud family, and meeting valuable role models.

Attending national congresses in Zone 3 and 4 to make youth aware of the benefits of visiting Kalimantan, and the projects they can get involved in to help get them there – some of which provide support in terms of financial assistance, visas, accommodation etc

Plans to help get more youth to World Congress by working with zonal and national youth reps, and youth generally, to fundraise for the international youth travel fund (originally set up by Ethan Harris who is going to support with connecting youth and fundraising).

Early ideas include a youth volunteer programme to help set up for World Congress – plans to keep flexible around individual availability, with a programme of social events included. A similar model was used in Columbia. Also considering a Basara-2 type project for after World Congress.

An overview was provided of different uses of Subud spaces internationally including: art galleries; sports clubs/exercise classes; kitchen rental for catering; Air BnB / rental accommodation; wedding venue; music concerts; tv/production location; workshops/meetings.

www.SubudCenters.com – website still under development which brings together information about all Subud centres worldwide. ACTION: All countries requested to review information and submit descriptions and images.

SubudSpaces.Slack.com – protected website offering resources for property managing groups and those wishing to establish Centreprises; it is a growing community. Email [email protected] to register. Volunteers needed for Spanish translations of material.

Vision for properties: that every Subud centre worldwide has a successful hall rental business that is self-sustaining. Individual enterprises have started but failed; working from Subud House is low risk on individual level and is a cooperative effort that allows skills to be developed and builds connection with wider communities. Where properties are doing well, some profit could be used to help others – possibility of setting up a common fund to support this.

ZONE 3 ANNUAL MEETING MINUTES

Subud Britain Chair was invited to comment further on current situation:- Issues with older properties requiring costly maintenance and not generating

enough revenue to sustain them. Solutions being considered include a subsidiary property management company with centralised resources/efficient online working methods to support groups who want assistance; there is a need to reduce group silos mentality – part of one big community

- A National Centre project is being developed with a view to hosting national congresses, which are a significant annual cost for Subud Britain.

- Ageing groups not supporting properties in a sustainable manner; might not be feasible to engage these and smaller groups with SubudSpaces - some sort of collective to support them would be useful

- Social enterprises need to be driven by the groups – needs vision/appetite and methodology for realising this. Chair wishes to see more wings activities define activity use. It was noted Britain is quite active in this regard – Wisma Mulia care home; families wing (SuFa); volunteer-led National Council

Subud Netherlands requested more details are shared about range of business models in operation across the zone to assist others.

ZONE 3 ANNUAL MEETING MINUTES

It was noted that Subud Britain’s 2020 congress will be earlier than usual (last week of July or first week of August) – POST MEETING UPDATE Rashid Rogers: the earlier dates for Subud Britain Congress 2020 may not occur. We wish to avoid a clash of dates with the Zone3/4 bi-zonal gathering in 2020. We have provisionally reserved Spinkhill for 17th to 23rd August 2020 being the only dates that venue has available.

Saturday May 4Trip to Orgiva, hosted by the local group. 1. History of Alpujarra groupPresented by Group Chair, Sofia Haitzmann, who provided an overview of the group’s c.25 year+ history and organic growth. This cooperative and active group developed their Subud House through a visioning process, which is a facility to serve both Subud and the wider community. There is a strong enterprising culture within the group (retreats, care for the elderly, catering, YES Quest), and the group is working together to identify new projects.

2. YES QuestPresented by Peter Jenkins, with contributions from Oliver Haitzmann and Raymond Aitken. An overview of YES Quest and its aims and objectives was provided, which was initially established as a self-discovery tool for youth delivered through a facilitated residential programme of inner-exploration and adventure. The scope and application now broadening, including specific projects and other phases of life, with the view to opening it up beyond the Subud community. There are plans to create YES Quest campuses in Subud centres (including Orgiva). 3. SIHAPresented by Siti-Salamah Salie, Zonal Wing Rep. Copy of handout attached as Appendix 10. An overview of SIHA was provided with the aim of generating enthusiasm and awareness across the zone of SIHA’s activities, which is not just for health practitioners, but is a source of support and expertise for all members and includes complementary and alternative healthcare. Recent initiatives include mental health and wellbeing workshops in the UK; there are hopes to replicate this more widely across the zone, and to link activities/gatherings with the other Wings.

relationship with IHs. Several delegates noted the value of building relationships and connections (new and existing) and that it has been a strengthening and energising experience.

Better understanding of zone context and organisation, how it interlinks together, and the importance of the zone as an entity.

ZONE 3 ANNUAL MEETING MINUTES

Created awareness of wider needs across the zone (and beyond), and the cooperative efforts required to share expertise and exchange information without limitation of country boundaries.

Need to bring the meeting energy and discussion back to countries – all presentations will be shared with delegates (see Appendices). Members who are not PC literate to be considered.

Need identified for more detailed and separate discussion on Archives. Centerprise discussions provided valuable insight and inspiration. Request

reiterated for countries to share more details about various property management models in operation. Reinhard offered support to other countries to get information onto SubudSpaces site

Paul Sillem shared his intention to establish an enterprise – a sustainable eco village for Subud members somewhere near Nice. Involvement of others, including zone team, welcomed.

Now a feeling of ‘oneness’ has been established in the zonal team the next step is practical action – desire for a zonal enterprise was expressed; it was proposed delegates should each consult with their country members. Suggestions included zonal participation in Britain’s National Centre project. A centralised zonal ‘bank’/lending facility for project funding was also suggested (Reinhard to outline a proposal).

Thanks given to all delegates for their attendance and participation, and to the International Helpers for their support. Thanks given to Hannah for her commitment as Zone Rep; to Carla for organising the meeting venue and practicalities; and to Ruth as secretary.
