INTRODUCTION
Management Information Systems (MIS) is the study of people, technology, organizations and
the relationships among them. MIS professionals help firms realize maximum benefit from

investment in personnel, equipment, and business processes. MIS is a people oriented field ith
an emphasis on service through technology. If you have an interest in technology and have the
desire to use technology to improve people!s lives, a degree in MIS may be for you.
"usinesses use information systems at all levels of operation to collect, process and store data.
Management aggregates and disseminates this data in the form of information needed to carry
out the daily operations of business. #veryone ho or$s in business, from someone ho pays
the bills to the person ho ma$es employment decisions, uses information systems. % car
dealership could use a computer database to $eep trac$ of hich products sell best. % retail store
might use a computer&based information system to sell products over the Internet. In fact, many
businesses concentrate on the alignment of MIS ith business goals to achieve competitive
advantage over other businesses.
'he initial concept of MIS as to process data from the organization and presents it in the form
of reports at regular intervals. 'he system as largely capable of handling the data from
collection to processing. It as more impersonal, requiring each individual to pic$ and choose
the processed data and use it for his requirements. 'his concept as further modified hen a
distinction as made beteen data and information. 'he information is a product of an analysis
of data. 'his concept is similar to a ra material and the finished product. hat are needed are
information and not mas of data. oever, the data can be analyzed in a number of ays,
producing different shades and specifications of the information as a product. It as, therefore,
demanded that the system concept be an individual& oriented, as each individual may have a
different orientation toards the information. 'his concept as further modified, that the system

should present information in such a form and format that it creates an impact on its user,
provo$ing a decision or an investigation. It as later realized then even though such an impact
as a elcome modification, some sort of selective approach as necessary in the analysis and
reporting. ence, the concept of exception reporting as imbibed in MIS is the norm for an
exception.
MIS professionals create information systems for data management. In addition, they manage
various information systems to meet the needs of managers, staff and customers. "y or$ing
collaboratively ith various members of their or$ group, as ell as ith their customers and
clients, MIS professionals are able to play a $ey role in areas such as information security,
integration and exchange. %s an MIS ma*or, you ill learn to design, implement and use
business information systems in innovative ays to increase the effectiveness and efficiency of
your company.
% common misconception is that MIS only concerns programming. oever, programming is
*ust a small part of the MIS curriculum. hile programming concepts represent some of the
founding concepts and information systems development, implementation and use, many *obs in
MIS do not utilize programming at all. % large portion of the MIS degree focuses on data
analysis, teamor$, leadership, pro*ect management, customer service and underlying business
theories. 'hese aspects of the degree are hat set the MIS professional apart from a computer
science specialist.

MANAGEMENT INFORMATION SYSTEM OF PROTON
% management information system (MIS) is a computerized database of management
information in +-'/ are organized and programmed in such a ay that it produces regular
reports on operations for every level of management in a company. It is usually also possible to
obtain special reports from the system easily. 'he main purpose of the MIS in +-'/ is to
give the managers feedbac$ about their on performanceD top management can monitor the
company as a hole. Information displayed by the MIS typically shos the actual data of
+-'/ over against planned results and results from a year before thus it measures progress
against goals.
'he MIS of +-'/ receives data from the company units and functions. Some of the data are
collected automatically from computer lin$ed chec$out counters of +-'/ hereby others are
$eyed in at periodic intervals. -outine reports are preprogrammed and run at intervals or on
demand hile others are obtained using built&in query languages in the organization of +-'/
hereby display functions built into the system are used by managers to chec$ on status at des$&
side computers connected to the MIS by netor$s. Many sophisticated systems in +-'/ also
need to be monitored and displayed the performance of the company

"efore e loo$ closer to the S%+ system of +-'/, e first need to $no that +-'/ has
its on policy toards the system used. "ased on the intervieee, in order to have the system to
operate, the program must be in MySEA language. #ven though +-'/ is a big production
company, they still choose to use MySEA language because it is an open source program and it is
cheaper compared to racle hich is licensed and expensive. %nother things about +-'/ is
that previously most of the +-'/ system involve B/IF operation system but no they are
moving forard in using the Microsoft operation system.
Since +-'/ is a large corporation, they also have three data center to support the capacity of
the data and each act as bac$up data center for the other. 'his data center is situated in Shah
%lam, 'an*ung Malim and B#. 'his data center has 3 high&end server that integrates ith ;
servers. +reviously, +roton only has : servers to operate but due to high demand in the
production process they bought another @ server.
'hrough all this 85 years of evolvement, +-'/ has used : systems hich are I/'-%, .net
and S%+. S%+ in a ne implemented system in +-'/ hich have been currently operate for
: to @ years. 'his system is used in order to replace the I/'-% and .net systems that have been
used for about 5 to ? years and not sufficient enough to meet the latest technology. "esides this
big operational system, +-'/ allos each division in the company to have their on system
but still they have to integrate it ith the S%+ system.
'his is due to the needs and requirements involve in each division. %ny ne created pro*ect ill
have their on division to run. oever, +-'/ still provides or allos some system to be

created internally by the Information System of +-'/ division. In order to do this, the
proposal has to be submitted to the +rocurement 0ouncil so that they have their budget either to
outsourcing it or made internally. Members of the council are include the board of directors and
senior Information 'echnology Management team.
/o let us loo$ at the S%+ system used by +roton oldings "erhad. S%+ or System %pplication

bviously, there must be reasonable purposes for +-'/ in using this system integration
throughout its division. ith the usage type +I, +roton can integrate applications from one or
multiple systems. S%+ differentiates beteen the folloing areasH
0ross&system application integration, hich does not focus on individual end&user
actions. %pplications can be company&internal, cross&company, S%+ or non&S%+
applications. 'he S%+ /eteaver usage type +I incorporates all functions that ere
previously a part of S%+ #xchange Infrastructure (S%+ FI).
'he modeling, administration, and automation of user&driven processes ithin S%+
systems. rom a technical viepoint, a core function of the runtime is that you can save
the state of a previously&modeled process and call it up at a later stage, if the process is to
be continued as a result of a particular action or event. Since the execution of processes
can be useful hen integrating applications across system boundaries (ithout user
actions), relevant functions ithin S%+ /eteaver are reused for this purpose. 'ogether,
the functions referred to here are $non as "usiness +rocess Management.

ADOPTION OF NEW SYSTEM IN PROTON
+-'/ oldings "hd has started using its eb&based product data management (+7M)
system to enable its 3,599 engineers to save up to ;5 in time ta$en to develop products, said
chief executive officer 'eng$u 'an Sri Mahaleel 'eng$u %riff. 'he solution ill allo
information to be easily available during the product&design cycle, as ell as to improve
communications and collaboration among participants in the development process.
'he +roduct 7ata Management (+7M) system is an improvement from existing systems used by
+roton, hich as restricted to its Shah %lam headquarters. 'he system ill be lin$ed ith all
the manufacturing facilities in Shah %lam and 'an*ung Malim. It ill also allo local engineers
to have a real&time communication ith overseas design and engineering centers, such as
"ritain&based Aotus #ngineering and M> %gusta Italy, for global sharing and management of
engineering data.
'he +roduct 7ata Management (+7M) system ould help reduce costs in maintaining a
connection infrastructure beteen the Shah %lam and 'an*ung Malim facilities. 'he
infrastructure connection from Shah %lam to 'an*ung Malim cost about -M859,999 annually.

of&the&art facilities combined ith the expertise of +roton engineers mean the process of
developing ne models has been reduced to 8@ months.
'he -esearch and 7evelopment facility, here the dreams of the nation are transformed into
reality, provides a complete and comprehensive range of engineering services both for the
automotive industry as ell as for engineering consultancy for any industry requiring -esearch
and 7evelopment expertise.
%s one of the engines of groth for the country, +-'/ has the responsibility to contribute
toards the industrialization of the nation. 'he facilities and expertise available at +-'/!s
-esearch and 7evelopment facility provides Malaysia ith the capability to lead the ay by
offering a complete range of engineering solutions to both local and foreign companies.
#very ne vehicle development begins ith 0oncept ormulationH a brainstorming process
placing you, the consumer, at the center of the idea hich is trying to forecast exactly hat you
ill expect and need from your car, through studying styling trends and product segmentation,
several years before you!re even started thin$ing about buying it. Idea S$etches are hand&dran
and modeled using computer tools. Miniature Scale (3H: ratios) is built, and upon concept
approval, the concept ill progress to the 7esign 7evelopment phase.
'he design development phase is the development begins to fill in the details of the concept car,
supported by sophisticated digitizing layout planning computer modeling softare hich creates
external surface (%&surface) data for form and shape.

model, together ith internal surface data ("&surface).
ADVANTAGES OF THE MANAGEMENT INFORMATION SYSTEM FOR PROTON
In accordance ith the Senior Manager of Information 'echnology division in +roton oldings
"erhad, S%+ is a proven process and has been used internally or orld&ide. "esides that it has
a shorter time of development for either a ready&made system and customizes system because
some of the system is ready made by the =erman company. 'he S%+ system has never been
corrupted in the entire runtime process compare to other supporting system that used to be
corrupted due to the lac$ of maintaining.
S%+ system is also used because of its high effectiveness in reporting tools. +reviously +roton
used 0rystal -eport 'ools to generate the report but this tool only generates report but do not
have any input data area process. Meanhile, the S%+ system provides the input data area and at
the same time generates the report. It is also have the best support system and provide the
support and bac$up all the time for the +roton.

21/26
"esides the main S%+ system, +roton also use S%+ #-+. 'he advantage that +roton choose S%+
#-+ is becauseH
• S%+ is a poerful tool that integrates multiple business processes and functions into one
comprehensive system.
• S%+ reduces lac$ of integration across business line hich ill raise the ris$ of
duplication, mista$es and inconsistency data.
• S%+ provides different approach than their competitors in mar$et. #ach piece (module
li$e I, MM, S7) can operate independently from all other softare. %nd the $ey benefit
of using this approach is that companies can implement individual module that fits the
company needs, and have the flexibility to add other module later hen their business
gros.
It is important to note that a MIS should not only indicate the status of a business!s conditions,
but also indicate hy the conditions are improving or deteriorating. or example, a MIS of
+-'/ should report performance relative to cost and profitable or unprofitable pro*ects,
hile identifying individual accountability in both current and past.
'his can be done only if such reports are based on constantly updated information accessible to
those in authority ho are responsible for assessing and assuring it is used for timely decision&
ma$ing.

#. Impro!ed "uality and "uantity management decisions
It is inevitable that any decision&ma$ing relies heavily on information that supports the policy to
be ta$en. It can only be realized if information systems can provide information that is relevant,
accurate and current can be retrieved at any time.
$. Impro!ed "uality and responsi!eness num%er of the competitor&s condition
%spects of business intelligence are very important since a long time ith a variety of formats
and needs. 'o reach the point of rapid and appropriate response on the dynamics of the
competition ill require information systems that can collect, analyze and compile the
information needed by decision ma$ers in the company.
'. Impro!ed operational efficiency and flexi%ility
%ll business oners ould ant these. 'he more efficient and flexibly an operational then this
indicate the lo cost to run it. 'his can be achieved due to cut the bureaucracy in the company
after the implementation of good information systems.
(. Impro!ed "uality of internal and external communications
% good information system must be supported by electronic data communication netor$
systems that are reliable as ell. ith the application of good information systems, each party
both inside and outside the company can exchange information more effectively and efficiently.
'his is a crucial element for +-'/ as it is becoming the nation!s premiere automobile brand
hich holds many vendors hich needs better and improved communication systems.

). Impro!ed "uality of planning
+lanning is an essential process for businesses. oever, any plan that ill be made then of
course needed the support of adequate information into practice. If not then the plan may be
disoriented and did not reach its target because of mista$e information into its base.
*. Impro!ed "uality control and super!ision.
ith the information system is built and maintained properly then any activity ithin the
business environment can be constantly monitored. Monitoring is certainly an impact on
improving control over every procedure and activities occurring ithin the company.
CONCLUSION
Management information systems have changed the dynamics of running businesses efficiently.
7ecentralization is one of the biggest advantagesD it allos monitoring of operations at lo
levels and frees up resources for departmental managers to devote time to strategic activities.
0oordination of specialized pro*ects and activities is much better and decision ma$ers in the
organization are aare of issues and problems in all departments. %nother advantage of MIS is
that it minimizes information overload, hich can be quite common ith conventional
businesses in the modern era.
MIS has to be designed and managed in such ay that it aggregates information, monitors the

performance, manage resources and facilitate compliance ith industry and government
regulations. 0ontrol helps in forecasting, preparing accurate budgets and providing the tools and
vital information to employees, top management and business partners.
'he purpose of MIS is to generate synthesized and processed information from computerized
and automated and certain manual systems. Information distribution to all levels of corporate
managers, professionals and $ey executives becomes quite seamless ith streamlined MIS.
Managers are able to ma$e quic$, timely and informed decisions. 'op management and board
members can ta$e strategic decisions, plan future groth and business expansion activities based
