Historical Document Manager (HDM)

• HDM is an historical record of documents in SCP.

> All documents are automatically saved to SCP and HDM.

> SCP is the ‘active collaboration’ system where users view, action and respond to documents.

• As documents in SCP become outdated, they are removed from ‘active collaboration’ but will remain accessible within HDM. This improves the scalability and performance of SCP.

• Documents are “outdated” when they generally meet one of these criteria:

1. A newer version of the document has been sent to SCP.

2. A specified amount of time (i.e. 120 days) has passed since there was any activity on the document – varies based on document type and action taken.

Note: For specific details on the storage rules for each document type – see the Data Management documentation.

Options for Documents in HDM

• The Historical Document Manager allows you to:

> Search for documents stored in HDM

> Open or save documents in a PDF or XML format

> Open or save attachments for a document (PO’s only)

> Replay orders that were removed from ‘active collaboration’ (Admin role only)

• “Replay” feature

> Only orders can be sent back into SCP. A user will be able to activate and take action on them (i.e. generate ASN’s or Invoices).

> The order of record will be returned to active collaboration. The last good Purchase Order Response will be used to regenerate the order.

> Note: The order will be queued in the system and may take a few minutes before appearing in the ‘active collaboration’ part of SCP.

When you click on Historical Document Search from the Navigation Tree, the following message appears by default:

No documents found with the given search criteria

This message does NOT mean that there are no documents available from HDM. As this screen opens, it is running a search on the empty search criteria and therefore it is not finding anything.
